3 Best Ways to Convert PowerPoint Presentations to Keynote

There are numerous reasons you would want to convert a PowerPoint presentation to the Keynote format . Perhaps you intend to send a PPTX or PPT file to a recipient with a Mac. Or maybe you received or downloaded a presentation as a PowerPoint file to your Mac.

Thankfully, converting a PowerPoint presentation from the PPTX or PPT format to the KEY format is quite easy. Perhaps even easier than you think. So without any further ado, let’s go through three easy ways to help you do that.

1. Use ZamZar

On Windows, the most convenient way to convert a PowerPoint presentation to the Keynote format is to use an online file conversion service. ZamZar was our pick for a couple of reasons; the service has been around for almost 15 years, and there were no other reputable file converters that could perform PPTX to KEY conversions.

Step 1: Open ZamZar in your preferred web browser. Then, click the Add Files button and upload the PPTX or PPT file that you want to convert. The file should not exceed 50MB in file size.

Visit ZamZar

Note: ZamZar lets you convert up to two PPTX files within a 24 hour time period. If you want to convert more than that, you must subscribe to a paid plan.

Step 2: Set the output format to KEY, and then click Convert.

Step 3: Wait for a few seconds while ZamZar converts the file. Then, click Download to save the converted presentation file locally.

However, you must keep a couple of issues in mind while using a file conversion service such as ZamZar. Firstly, you must be aware of privacy implications. If the presentation contains sensitive information, it’s best to avoid this method since there are no guarantees of where your data might end up in.

Secondly, there are formatting issues to consider. Converted KEY files may not carry the same formatting (fonts, for example) as their original PPTX/PPT files. The problem is further compounded by the fact that PowerPoint (which you probably used to generate the presentation) doesn’t support KEY files, so there’s no way to check either.

The next method is not only private and secure, but it also allows you to convert as many files as you want.

2. Use iCloud Keynote

The online version of iCloud Keynote also features the ability to convert PPTX files to the KEY format. If you don’t have access to an iCloud account, you can create one for free here . You do not need to have an iPhone, an iPad, or a Mac for that, although you only get one gigabyte of free storage instead of 5GB.

Step 1: After signing into iCloud.com , select Keynote from the iCloud Launchpad.

Step 2: Upload the PPTX or PPT file from your computer. You can also upload multiple files simultaneously.

Convert Powerpoint Presentation to Keynote 4

Step 3: Double-click the uploaded PPTX or PPT file. iCloud Keynote will process the file and open it.

Step 4: Check the file for formatting issues and other problems (such as missing fonts) and rectify them.

Tip: If you are unfamiliar with the options and settings in Keynote, do check our Keynote Basics guide .

After making the necessary changes, click the Keynote Tools icon, and then click Download a Copy.

Step 5: Pick Keynote as the download format.

That should prompt iCloud Keynote to download a converted copy of the PowerPoint presentation to your computer. Repeat the procedure for any other presentations that you want to convert into the Keynote format.

3. Convert Using Keynote

If you use Keynote on your Mac , iPhone, or iPad, you can open any PPTX or PPT file quite easily since the application features native support for both formats. Converting them to the KEY format is then as simple as saving them.

Keynote—Mac

Step 1: Double-click the PPTX or PPT file. Keynote will then process the file briefly and open it automatically.

Step 2: Keynote will notify you of any formatting issues in the presentation. Check the document and fix any errors.

Step 3: Open the File menu, and then click Save or Save As (press Option key to unhide) to save the file in the KEY format.

Convert Powerpoint Presentation to Keynote 10

Warning: If you click Save, you will overwrite the original PPTX or PPT file.

Keynote—iPhone & iPad

Step 1: Open the Keynote app, navigate to the location of the PPTX or PPT file, and then tap to open it.

Convert Powerpoint Presentation to Keynote 11

Step 2: Review the presentation for any formatting issues. Then, tap the option labeled Presentations to the upper-right corner of the Keynote app.

Convert Powerpoint Presentation to Keynote 12

Step 3: You should then see a new KEY file within the same location as the original PPTX file.

Convert Powerpoint Presentation to Keynote 13

Alternatively, sharing a PPTX file from another app to Keynote will automatically convert it to the KEY format. You can then find the converted file within Files > iCloud Drive > Keynote.

So, that’s how you should go about converting PowerPoint files to the Keynote format. Since formatting issues can easily play a factor in content-rich presentations , do make sure to review converted files afterward.

How to Convert a PowerPoint presentation to Keynote

How to Convert a PowerPoint presentation to Keynote | Quick Tips & Tutorial for your presentations

A presentation is the perfect visual support for any type of exposition. From a business explanation to one for a history class, it is the perfect element to attract the attention of your audience.

At Slidesgo , we have a wide variety of templates designed for Google Slides and PowerPoint. However, it is likely that your operating system is macOS , Apple's operating system, and therefore, you use Keynote to edit presentations.

This is not an obstacle for you to use our templates, because today we are going to explain how to download a PowerPoint template and still be able to edit it in Keynote. Let's get started!

Steps to transform a PowerPoint to Keynote

If you want to use and edit a PowerPoint template in Keynote, the procedure is very simple. You will only need to do a few preliminary steps that will take you just a few minutes. Here's how to convert a PowerPoint template to Keynote successfully.

1. Open Keynote on your Mac computer. Select a new empty template to open the options menu.

2. When you have the new template open, in the top menu, select File > Open and choose the PowerPoint template you want to convert.

3. Now the conversion will begin. It is important to note that, with the exception of a few elements that we will see below, everything converts and adapts to Keynote very well.

4. One of the elements to readjust when we have converted to Keynote is the fonts. In fact, the warning that appears at the end of the conversion will tell you that there may be some fonts in the file that are displayed differently. Select Replace fonts and Keynote will show you those that have not been converted.

5. Fonts that have changed in the conversion will have a warning icon on the left. Correct them easily by clicking on the arrows, which will bring up the list of fonts you can select. Replace them with a font that is a replica of the original in PowerPoint, or with the font of your choice. When you are done, click on Replace Fonts.

6. Another item that may not have been converted correctly is charts and graphs. Being all from the Microsoft Office suite, PowerPoint creates the charts from Excel, making them more complex in formatting and more difficult to convert to Keynote automatically. Go to the slides containing charts and adapt them in Keynote as they were in the original template.

7. The last step would be a general review to check that everything has been converted correctly. Review all the slides and check that, after making the previous changes, everything is as in the original PowerPoint template.

8. Once you have made all the changes and the final review, save your template with the new Keynote format, by clicking on the top menu on Save and all set. Once this is done, you will have your template in Keynote format ready to present.

As you can see, converting from PowerPoint to Keynote is very simple and will take you very little time, so don't hesitate to download a Slidesgo template to use in your presentations. Whatever your computer's operating system, there are no limits to creativity.

How to Convert PowerPoint Presentations to Keynote

how to convert a powerpoint presentation to keynote

Converting PowerPoint presentations to Apple’s Keynote format can be extremely useful for collaboration between Windows and Mac users. However, the conversion process can sometimes lead to formatting issues that need to be addressed. This article provides a step-by-step guide on how to seamlessly convert PowerPoint to Keynote while preserving the original design.

Why Convert from PowerPoint to Keynote

Here are some common reasons you may want to convert a PowerPoint presentation to Keynote format:

  • Send presentations to Mac users: Keynote is the default presentation software on Mac, so converting allows seamless collaboration.
  • Utilize Keynote capabilities not available in PowerPoint: Features like Magic Move transitions between slides.
  • Maintain formatting: The conversion process automatically transfers fonts, images, animations etc. to save time.
  • Edit presentations on an iPad or iPhone: Keynote presentations can be edited on iOS devices via iCloud Drive.

Step 1 – Export PowerPoint File

On your Windows PC, open the PowerPoint presentation you want to convert and go to File > Export > Export to Apple Keynote. This will save the presentation as a .key file that can be opened directly in Keynote.

If you don’t have access to the original PowerPoint file, you can also directly open a .ppt or .pptx file in Keynote.

Step 2 – Open Presentation in Keynote

On your Mac, simply double click the exported .key file or go to File > Open and select the original .ppt/.pptx file. Keynote will now begin converting the PowerPoint presentation.

Step 3 – Resolve Compatibility Issues

The conversion process is mostly seamless but you may encounter compatibility issues like missing fonts or charts not converting properly. Here is how to resolve them:

Replace Unsupported Fonts

Keynote will show warnings if the original PowerPoint file uses fonts not supported in Keynote. Click the warning icon next to each unsupported font and select suitable replacements from the dropdown.

Fix Formatting Issues

Examine the presentation carefully and fix any formatting issues with text, shapes or alignment of objects. This may occur due to differences between PowerPoint and Keynote.

Recreate Charts/Tables

Charts and tables may lose some formatting or data during conversion. Delete these objects and recreate them properly in Keynote using the original data/design.

Step 4 – Add Keynote-only Effects

Since the presentation is now in Keynote, you can add effects that are only available here like Magic Move slide transitions or animated builds for chart elements. This makes the presentation more dynamic and professional.

Step 5 – Export and Present

Your PowerPoint presentation is now fully converted to Keynote! Go to File > Export To and select the required format (PDF, PPT, HTML etc.) to share or present the deck.

Collaboration Tips for Keynote

Here are some tips to seamlessly collaborate on Keynote presentations:

  • Share via iCloud: Keynote has built-in real-time collaboration via iCloud Drive to allow others to co-edit presentations.
  • Use version history: Edits by collaborators are saved in iCloud version history to maintain integrity of the file.
  • Work offline: Changes sync automatically once internet connectivity is restored, allowing anytime collaboration.
  • Set permissions: Presentation owners can define editor or viewer access to each collaborator.

Following these best practices for Keynote collaboration enables creating better presentations as a team.

Converting PowerPoint files to Keynote offers many benefits but needs some manual intervention to fix compatibility issues. Following the step-by-step process highlighted in this article will ensure seamless conversion while retaining original formatting and design. Leveraging Keynote’s powerful capabilities can then take your presentations to the next level.

How to Convert PowerPoint Slides to Mac Keynote Presentation

Kris Wouk

PowerPoint might be the industry standard when it comes to presentations, but it’s far from the only option . Yes, Microsoft’s offering might be the most powerful, but it isn’t the easiest to use. That title might just go to Apple’s Keynote, which makes preparing and giving presentations easy.

Even if you’re a Keynote diehard, you might run into situations when you’re stuck with a PowerPoint file. You can tell these by the .ppt or .pptx format. Fortunately converting them to the Keynote format is a straightforward process.

Import a PowerPoint presentation into Keynote

powerpoint-to-keynote-import

To get started, open up your PowerPoint presentation in Keynote. Apple’s software supports both the newer .pptx format and the older .ppt extension. Unless you’re exceedingly lucky, you’ll probably see a few warnings.

Replacing missing fonts

The most common problem you’ll encounter is missing fonts. Being a Microsoft product, PowerPoint defaults to using Microsoft fonts. Since these aren’t available in Apple’s software, you’ll need to choose some alternatives.

Strangely enough, you might even have to replace a font with a font of the same name. Apparently, the Helvetica used in PowerPoint isn’t the same as Keynote’s version of Helvetica.

powerpoint-to-keynote-font-replace

If all you’re doing is presenting, you don’t absolutely need to change fonts. If you plan to edit the presentation at all though, you’ll need to choose replacements.

Other possible issues

While missing fonts are the most common issue, they aren’t the only issue you may encounter. Graphs, for example, can be problematic when importing a PowerPoint file into Keynote. In the worst-case scenarios, you may need to completely replace the graph with a new one.

There are other issues you may run into as well, depending on how many of PowerPoint’s features you use. A list of what is and isn’t compatible between PowerPoint and Keynote is available on Apple’s website .

Test your presentation

powerpoint-to-keynote-presentation

Once you’ve made any changes necessary, the next step should be to run through your presentation. This way you can check for any other incompatible features or other issues. If you find anything that doesn’t look right, now is the time to fix it.

Save your presentation as a Keynote file

If you’re able to run through the presentation without issue, now it’s time to save the file. Once you save the presentation as a Keynote file, the conversion process is done. Just to make sure that everything went smoothly, you might want to close the file and open it again. It’s better to catch any issues early, instead of in the middle of a presentation.

Other options

If you’re running into problems not addressed here, having PowerPoint installed on your Mac can help. This way, you can fix issues in the original version of the presentation before converting to Keynote’s format. It might be less than ideal, but if you have an Office 365 subscription, it can make your life easier. You can still convert to Keynote in the end, but you aren’t stuck if you run into issues.

In extreme cases or if you’re out of time, converting to Keynote may not be an option. If you’re stuck with a PowerPoint file but don’t have the software, there is a solution. Just as with Microsoft Word files , you can open a .pptx or .ppt file in the web version of PowerPoint. This may not be your first choice, but it can save your presentation in a pinch.

How to Convert PowerPoint to Keynote

When it comes to presentations, PowerPoint is the industry standard for a lot of people. That is, for those using Windows products. Apple users will tell you that Keynote is the standard for them. We live in a world where Windows and Mac users have to coexist, which is why you need to learn how to convert PowerPoint to Keynote . After all, you need to collaborate with PowerPoint users every now and then.

How to Convert PowerPoint to Keynote on Mac

Jumping back and forth between PowerPoint and Keynote presentations can be quite easy if you know how to turn PPT to Keynote files. And we will help with a guide anyone can understand. This conversion is easier than you think.

Step 1 . Launch Keynote on your Mac, and then click "File" > "Open" from the drop-down menu. Select "On My Mac", and then browse to find the PPTX or PPT file. The good news is Apple lets you open these files in Keynote. Once you open it, you will see Keynote will process the file. It might take a while, but in the end, you will see the presentation in Keynote.

Step 2 . Once you open the presentation, there will be a couple of warnings. This is because Keynote and PowerPoint look and work differently. Keynote will note all of the issues, and then you have to make changes to handle the warnings.

Step 3 . One of the common issues is fonts, and you will have to click the "replace fonts" button on the pop-up window. For replacing charts, sadly, there is no quick option. PowerPoint has advanced charting features, meaning you will have to re-create new charts. It is the only content that doesn't convert smoothly.

Step 4 . Run the presentation, and review if there is any difference between the one in PowerPoint and your new one in Keynote. If there are changes, make the necessary adjustments. If not, save the presentation as a Keynote file. There you go, you have successfully learnt how to convert PowerPoint to Keynote.

How to Convert PowerPoint to Keynote on iPad

Your iPad cannot open PPTX files directly. However, you can convert them to a format compatible with the iPad, or use Keynote to open the presentation and then run it on the iPad. So, let's take a look at how to convert PowerPoint to Keynote on iPad.

  • 1. Start by emailing the presentation to yourself. You can email the presentation, but cannot open directly in iPad.
  • 2. Go to the attachment, and open the file by clicking "Open In". Select Keynote as the app to open the PPTX/PPT file.
  • 3. The presentation will not look the same, since Keynote and PowerPoint work differently. You will have to make the necessary changes, the same as with opening PPT on your Mac in Keynote.
  • 4. Review the presentation, and see if there are any differences with the original presentation. If there are no differences, save the presentation.

Tips for Converting PowerPoint to Keynote

Now that we know how to convert PowerPoint to Keynote, let's talk about how to maximize your results. In other words, how to best utilize files.

One of the advantages of converting PPT to keynote is that you can now use the files and integrate them in your iCloud. All of Apple's applications like Pages, Numbers, and Keynote are integrated within the iCloud.

As we are becoming more and more dependent upon cloud service for sharing, viewing, and editing files, iCloud is becoming more helpful. Simply tap iCloud integration in your Keynote application, and you will be able to share files with all iCloud users. That includes PC users who use PowerPoint. You can set permission in the iCloud so users can access, or edit Keynote files.

The Best PDF Tool You Must Have on Mac

PDF is a huge part of using Apple products. Yes, PowerPoint and Keynote have a number of features that make the presentation neat, smooth, and professional looking. But to make it more memorable, you can also use PDF tools. PDF tools add a few nifty features to your presentation, like Full View mode. The most important aspect PDF helps with presentation is structuring your presentation.

With that in mind, you need a comprehensive PDF tool to help you make the presentation more professional looking, and that is Wondershare PDFelement - PDF Editor . What are the benefits? Here are some nifty features you might like to use:

how to convert a powerpoint presentation to keynote

Export to PowerPoint or another file format in Keynote on Mac

To save a copy of a Keynote presentation in another format, you export it in the new format. This is useful when you need to send the presentation to people who are using different software. Any changes made to the exported presentation don’t affect the original. Keynote also remembers the last export settings you used.

Note: If the original file has a password, it applies to copies exported in PDF, PowerPoint, and Keynote ’09 formats, but you can change or remove it.

Save a copy of a Keynote presentation in another format

Open the presentation, then choose File > Export To > [ file format ] (from the File menu at the top of your screen).

The File menu open with Export To selected and its submenu showing export options for PDF, PowerPoint, Movie, HTML, Images, and Keynote ’09.

Specify export settings:

PDF: You can open and sometimes edit these files with applications like Preview and Adobe Acrobat. Each slide appears on its own page of the PDF. Select the checkbox next to presenter notes and skipped slides if you want to print them. If you select “Print each stage of builds,” each build is printed on its own page, in the same order as they appear in the presentation. To include comments in the PDF, select the “Include comments” checkbox.

Click the Image Quality pop-up menu, then choose an option (the higher the image quality, the larger the file size). If you added image, drawing, audio, or video descriptions for assistive technology (for example, VoiceOver), they’re automatically exported. To include accessibility tags for large tables, click Advanced Options, then choose On.

Note: For more PDF options, click Cancel, choose File > Print, then click Show Details at the bottom of the print options.

PowerPoint: If the file needs to be compatible with an older version of Microsoft PowerPoint (1997-2003), click Advanced Options, then choose .ppt from the pop-up menu.

Movie: If you recorded a narration that you want to include with your slideshow, click the Playback pop-up menu, then choose Slideshow Recording.

To export a slideshow that advances automatically, click the Playback pop-up, then select Self-Playing. If you want to export only part of the presentation, select From and enter the beginning and ending slide numbers. Although Microsoft PowerPoint is the leading software for presentation design, alternatives like Keynote remain popular among Mac users due to its integration into the Apple ecosystem. This implies a compatibility problem whenever we want to share the presentations in an editable format with non-Mac users. Windows apps cannot natively open Keynote files; therefore, a conversion process is required to work with PowerPoint or Google Slides.

This article will teach you an easy-to-apply method to convert Keynote to PowerPoint.

Why Should You Convert from Keynote to PowerPoint?

As previously mentioned, Keynote files cannot be opened or edited on Windows computers, but let’s see the core reasons why you need full compatibility with Windows PCs.

  • You may need to present the file on another laptop/computer than your Mac.
  • Your presentation project may require collaborative work, which implies non-Mac users should be able to open it.
  • Insert non-native features into your presentation, like data synced from Excel and PowerBI.
  • Add animations and transitions to your presentation in PowerPoint.

How to Convert Keynote into PowerPoint

Start by opening the file you wish to convert from Keynote to PowerPoint.

Opening a Keynote presentation

Go to File > Export To > PowerPoint .

Are Online Keynote to PPT Converters Worth the Try?

A converter Keynote to PowerPoint is not recommended from our point of view as you may lose details in your process or submit sensitive information (like financial data) to unknown parties. Aim to stick to the native options included in Keynote to complete this process.

Will the Presentation File Work with PowerPoint Online?

Yes, all converted keynote to PPT files can be opened inside PowerPoint Online after uploading them, or if we’re working with cloud syncing for our files.

Can I Access Keynote From Windows?

Unfortunately, no, and there’s no emulation option available for it as it’s a Mac-only software. Software like VMWare or native Windows emulation options may crash when aiming to boot a Mac OS or perform heavy tasks. The reverse process, opening Windows from Mac, is natively supported via Mac’s Boot Camp.

Can I Export Keynote to PowerPoint from an iPhone or iPad?

Yes, and the process is quite similar. Open your file on your mobile device. Locate the More button (the three dots) and tap Export. Select the PowerPoint option and configure any additional details if required.

Can I Export My Keynote Presentation to PowerPoint from an Android Phone or Tablet?

It is possible, but it requires one to sign in to iCloud and open the cloud version of Keynote. From there, you can export to PowerPoint.

Can I Use PowerPoint Templates in Keynote?

Yes. Most PowerPoint templates are fully compatible with Keynote, although some effects like animations, transitions, or complex shadows are unavailable. Also, you may be unable to edit PowerPoint shapes as easily as with PowerPoint. Remember, if you save your file on Keynote, you must convert it back to PPT/PPTX to make the file viewable/editable to non-Mac users.

Q3: Will the exported EMF file retain its quality?

  • Yes, exporting as an Enhanced Metafile (EMF) ensures high-quality resolution and scalability, but it’s limited to static images.

Q4: Can I collaborate with others using Figma before importing into PowerPoint?

  • Yes, Method 4 allows for collaboration in Figma, enabling team members to make edits or enhancements to the Visio diagram before incorporating it into PowerPoint. Figma’s collaborative features enhance the overall design process.

Q5: Is there any loss of quality when converting from Visio to Figma to PowerPoint?

  • The conversion process from Visio to Figma to PowerPoint typically maintains image quality, as both Visio and Figma support high-resolution images. However, it’s essential to ensure proper resizing and arrangement in Figma to preserve the desired visual integrity.

Q6: Why choose the Visio to Figma to PowerPoint method?

  • This method is beneficial when collaboration and design enhancements are priorities. Figma offers a collaborative platform for multiple stakeholders to contribute to the diagram before seamlessly exporting it to PowerPoint.

Q7: Are there any drawbacks to using Figma in this process?

  • The main drawback is the additional step introduced by Figma. While it adds collaboration benefits, it may be seen as an extra layer in the conversion process. Additionally, this method is limited to static images, and dynamic elements in Visio may not be fully replicated in Figma

What’s Microsoft Print to PDF?

Microsoft Print to PDF, an exclusive feature of Windows 10 and above, facilitates the conversion of web pages and Microsoft Office files into PDF format. Accessible through printable applications like Microsoft Word, Excel, or PowerPoint, this feature ensures that the resulting PDF maintains the original layout, fonts, images, and design elements, preserving the visual integrity of the source document or webpage.

Notably, the tool flattens files during the conversion process, consolidating the document and removing special features or interactive elements, resulting in a PDF that mirrors the appearance of a traditional hard-copy document, making it universally compatible and suitable for seamless sharing across different platforms.

How to Print to PDF in Microsoft?

Now that we understand what Microsoft Print to PDF is, let's explore its practicality. While this feature can be applied in various contexts, its most significant utility lies in the fact that users no longer need to convert their Word documents, Excel spreadsheets, or PowerPoint presentations to PDF separately before printing. By utilizing this feature, individuals can directly convert any file into PDF format, eliminating the need for a two-step process. Below, we will guide you through the steps to achieve this seamless conversion for each type of file:

Microsoft Word:

The Microsoft Print to PDF feature is most commonly utilized in Microsoft Word, given the widespread need to convert and print Word documents as PDFs in various contexts, such as student assignments and professional office documents. Here's a step-by-step guide on how to use the Microsoft Print to PDF feature in Microsoft Word:

Step 1: Start by opening the Word document that needs to be printed in Microsoft Word.

Step 2: Next, navigate to the File menu at the top left of the page to access print settings.

Step 3: Within the File menu, click on the "Print" tab in the left-side panel.

Note : Users can also use the print shortcut keys "CTRL + P" to directly open print settings.

Step 4: In the Print Options, users can make changes to various print settings before printing their document.

Step 5: Click on the "Printer" field to expand and view different printers available. From the list, select "Microsoft Print to PDF".

Insight: It's important to note that Microsoft Print to PDF is a virtual printer, which is why it appears in the Printer options.

Step 6: Make any other desired changes, such as page orientation or the number of copies, and then click "Print" to print your Word document as a PDF.

Note: Users can also save their Word documents as PDF by selecting the "Save as" tab, choosing the PDF file format, and saving a copy of the document as a PDF.

Microsoft Excel:

For the Excel spreadsheet, the process is similar, and here are the steps:

Step 1: Open your spreadsheet in Microsoft Excel that you want to print in PDF format.

Step 2: Click on the "File" menu at the top-left corner of the screen.

Step 3: On the left side panel, go to the "Print" tab.

Step 4: In the Print window, navigate to Printer settings and select "Microsoft Print to PDF".

Step 5: Now, simply click the "Print" button to print your Excel spreadsheet in PDF format.

Microsoft PowerPoint:

The final software in the series is Microsoft PowerPoint, where you can also use Microsoft Print to PDF to easily convert your presentations into PDF format.

Step 1 : Open the PowerPoint presentation that you wish to print in PDF format.

Step 2: Click on the "File" menu located at the top-left corner of the screen next to the Home tab.

Step 3: Find and click on the "Print" tab in the left side panel.

Step 5: Adjust any settings as needed, such as the number of slides per page or other print options.

Step 6: Now, simply click the "Print" button to print your PowerPoint presentation in PDF format.

So when I used Microsoft Print to PDF for various documents, I liked some things a lot, and some things needed improvement.

How to get Microsoft PowerPoint for free

Need to create a digital presentation? There are loads of options to choose from.

Google Slides, Apple Keynote, Canva and Prezi are all worth considering, but there’s one app that probably comes to mind first.

Microsoft’s PowerPoint remains the go-to for many people, combining ease of use with an excellent range of features.

But there’s one big problem: you usually need to pay to access the app. This starts $149.99 / £119.99 for a standalone version alongside other Office apps, or £79.99 / $99.99 per year as part of a Microsoft 365 subscription.

However, the good news is that there are three totally free (and legal) ways to use PowerPoint totally free of charge. Here’s what you need to know.

Option 1 – Web version

Accessing Microsoft PowerPoint and other core Office programs is free via the web, and all you’ll need is a Microsoft account.

Head over to office.com and click ‘Sign in’ to enter your details. If you don’t yet have an account, choose ‘Sign up for the free version of Office’ and follow the instructions.

Anyron Copeman / Foundry

Once that’s complete, you’ll be taken to your main office homepage. From the left pane, choose ‘Create’ then ‘Presentation’ to open a new PowerPoint document.

As you can see, there’s also the option to create documents in Word and PowerPoint here, alongside Outlook and a free version of Microsoft Teams. These are all ‘Web Apps’, meaning you can only use them via your browser and not a desktop app. When you work on a file here, it will be saved to OneDrive, Microsoft’s cloud storage service.

In fact, you probably have Google to thank for this software being available in web app form. Its free Docs, Sheets and Slides software and their integration with Google Drive made it difficult for Microsoft to keep asking users to pay.

Check out our guide to the best cloud storage services to see how both compare to the rest of the competition.

The web version of PowerPoint is a more stripped-back version of the software, so the comparison to Google Slides is more reasonable than the full desktop program. Nonetheless, both services should provide everything a casual user is looking for.

Option 2 – Use on mobile

Perhaps again in response to Google, Microsoft’s Office mobile applications are completely free and available across modern mobile devices.

You can download the Microsoft PowerPoint app for Android and iOS . While Microsoft understandably reserves some premium features for its Office 365 subscription, the mobile apps are still very capable and offer integration with OneDrive.

Option 3 – Check if your school or workplace gets it free

Many employers offer Microsoft 365 apps to their employees free of charge. Even if your work email address ends with the name of the company you work for, it may still be used to sign into a Microsoft account. Of course, you may be working in an office job where Excel and the like are already the defaults.

If your school has signed up to Microsoft 365 Education, all staff and students should be able access Office apps for free. To check, enter your education email address on the Microsoft website .

But if your school isn’t yet signed up and you’re in a position to change that, compare plans and begin the sign-up process here .
