  • The mail belonged to an employee who has left the organization and so his email has been deleted.
  • The email has been inactive or unused for a long time and deleted by the email server for inactivity.

Undeliverable email . If bounced emails are in the “Undeliverable” category, that means that the receiving email server is temporarily unavailable, was overloaded, or couldn’t be found.

Blocked email. If the email addresses are placed within the “Blocked” category, the receiving server has blocked the incoming email. This is often the case among government institutions or schools, where servers can be more strict when it comes to receiving emails. To resolve this issue, you need to get in touch with the contact and request that their system administrators unblock the IP addresses.

Step 1: Type Control Panel in the search box and open it

Step 2: Now, in the system tray looking for the Outlook icon. Hold the Ctrl key and right-click on Outlook. Select Test email autoconfiguration.

Step 5: Copy Output from the XML tab. Click Ctrl +A to select output and Ctrl + C to copy it.

Step 7: Find the .xml file that is linked with the account. Now open this file with Notepad.

Step 8: Delete all from it and paste the information that you have copied from the Auto Configuration Test. Now save the changes.

After completing all these steps, the problem might have fixed. You can even make the XML file read-only so that your computer or laptop does not modify it. Proceed it with the below steps;

Step 1: Select the properties. You can see it when you right-click on the .xml file.

There can be various reasons for a user to be unable to send or receive emails, such as,

  • The user might have lost the internet connection. Hence, the first step should be to confirm whether the internet connection is up and running.
  • If internet access is available, check the email settings . Click on ‘File’ followed by ‘Account Settings.’ Click on the email address to access the settings. (These settings can vary for different service providers.)
  • The incoming and outgoing mail server should be ‘mail.yourdomain.com.’ The incoming port numbers depend on the email service provider . For Google, the incoming port number should be 995(POP3) or 993(IMAP). The outgoing port number should be 587 for TLS and 465 for SSL.
  • Check if the authentication is turned on for the outgoing server.
  • If issues persist, delete the account, and set it up again.

  • Go to ‘Advanced settings’ of the email account and check for the outgoing port number. Preferably, it should be 587 or 465.
