How To Run PowerPoint Presentations Online

How To Broadcast PowerPoint Presentations Through the Web

UPDATE 2020: This post was adapted to the times of Coronavirus 2020, where online presentations are increasingly used in the business environment and becoming the norm.

Nowadays, with more and more globalized companies, quarantine restrictions in many countries due to COVID19, working remotely through different time zones, through different continents and engaging customers from different locations around the world, conference calls and online presentations have become two undeniable tools in the belt of every professional.

PowerPoint Presentations are an amazing tool to help communicate clear messages through remote conversations visually assisted. Today, PowerPoint presentations are not only created to follow an agenda, but to clarify concepts that can be misunderstood across the distance of a conference call. Remote presentations are becoming more and more popular not only for corporate presentations but also for sales, marketing, online education and tutoring.

Presenters have a wide set of helper tools to improve the remote presentations experience, and generate the experience of real-life presentations. Some of those tools include video conference tools, desktop sharing software and video-recorded presentations. All of them are incredible tools and have been improving over the years.

But the reality is always harder when talking about business. At SlideModel.com we receive several requests from our business customers to help them improve their remote presentation experience without the overhead of additional tooling. In most of the cases, additional tools require the installation of software or plugins that slow down the presentation startup, awaiting for every guest to be able to see the presentations, while consuming the time scheduled for the meeting. The increase of multi-device across the business is challenging the decision of the tools to use, and is very difficult to predict before the meetings start.

One of Microsoft’s PowerPoint gems is the ability to broadcast your presentation through the web, in real-time , and for free (for an audience less than 50 guests), with little effort and with the only requirement of owning a Microsoft Live Id. This tool is the Slide Show Broadcast , and can be triggered directly from PowerPoint (versions 2010 onwards). Every PowerPoint feature is supported (animations, transitions, etc), It allows your guests to follow your presentation from any internet location, just sharing a URL . No additional software is required. Almost all versions of major internet browsers are supported, bandwidth consumption is really optimized and the most important is that your audience is ready to follow your presentation on a click.

How to run a PowerPoint presentation online? The following instructions show you how to setup step-by-step the Microsoft PowerPoint Slide Show Broadcast, a very useful feature in times of Coronavirus that allows you to continue working from home and run your presentations online:

1. Present Online

Navigate to the Slide Show menu on top of the screen and within the “Start Slide Show” section select the “Present Online Option”:

2. Read Services Agreement

Always read Service Agreement of any software service you consume. Your data is an asset that needs to be guarded like gold. Make sure you, your company and the target audience are comfortable with Microsoft Services Agreement. In this step, you will be able to select if the presentation will be available for download to the audience. Make sure you always verify that this option complies with your needs. By default the checkbox is unchecked.

3. Log In with your Microsoft Live ID

In order to be able to use Microsoft Presentation Services the user has two options:

  • Log in to Microsoft Present Online Services with a Microsoft Live ID
  • Log in to a private Sharepoint Online Services hosted by your company or service provider.

For the sake of the example, we will continue with Microsoft free Present Online service through our Microsoft Live ID.

4. Share your presentation URL

After you Login to the services, Microsoft Presentation Services will upload your presentation to the cloud, and will give you an URL so users can start viewing while you present. Share this URL with your audience so they can connect to the slideshow. Note that this URL can be accessed through every device and does not require the installation of any software product or browser plugin.

The presentation will not start until you click in the Start Presentation Button.

5. Voilà! Start Presenting Online

Once you start the presentation two things happen in parallel:

  • The presenter enters into Presentation Mode , with the regular tools a presenter has with PowerPoint.
  • The Guest starts visualizing the presentation template in the browser.  This presentation is synced with the presenter’s actions, so if the presenter moves forward, the guest will perceive this action remotely. The guest has the ability to follow the presenter slides or navigate the presentation forward or backward.

6. Ending Your presentation

You can end your presentation any time, pause it and restart it. The functionalities are almost the same as real-life presentations. If you leave PowerPoint, the presentation ends by itself, so there is no risk of sharing something unwanted. Also, you can continue using other windows without the need of changing any sharing options, as your desktop and applications are isolated from the presentation.

As every technology solution in today’s environments, there is always some disadvantage to overcome. From our point of view the only criticisms to make to these amazing tools are:

  • The feature doesn’t have a feature to speak to the audience, but readily you can combine this with other tools available in the market, e.g. Skype.
  • The lack of control over the audience that can access the presentation. If any of the guests invited, shares the URL of the presentation with an external guest, the presenter will not be able to control who can view the presentation. So be sure you share the URL with the appropriate audience, and make sure you close the presentation when you’re done.

Conclusions

In times where Working from Work is becoming the norm, face-to-face presentations are being switched to online meetings and presentations online. Aligned with this new behavior in businesses, Microsoft PowerPoint Presentation Services can be used as a tool to run your PowerPoint presentations online. We have been using it for webinars and demo sessions and our experience (and our audiences feedback) has been more than satisfactory.

Introduction

PowerPoint offers several options to enhance or even totally change the way you deliver presentations. Instead of presenting your slide show normally, you can choose to present it as a video , or you can even present it live online so others can view it remotely. No matter how you choose to give your presentation, you can enhance it by customizing your slide show to remove or reorder slides. All of these options can help you give a polished and professional presentation.

Exporting a presentation as a video

The Create a Video feature allows you to save your presentation as a video. This can be useful because it lets your viewers watch the presentation whenever they want. To make sure your viewers have enough time to view each slide, you might want to rehearse the timings or record your slide show before using this feature.

To create a video:

  • Click the File tab to access Backstage view .

  • Click Create Video . The Save As dialog box will appear.

In addition to emailing your video, you can upload your video to free video-sharing sites like YouTube . Once your video is uploaded, you can give the link to anyone you want to see it. To learn more about using YouTube to share videos online, visit our YouTube tutorial.

Presenting your slide show online

Presenting a slide show online is surprisingly easy. All you and your viewers need is an Internet connection—they don't even need PowerPoint. Once your viewers are connected, you can start the presentation as you normally would.

Please note that you cannot edit your presentation or mark it with a highlighter or pen while you are presenting a slide show online. You also cannot use PowerPoint to speak to your audience. Plan to communicate with your viewers through teleconferencing, or pre-record your narration.

To present online:

  • Select the Slide Show tab, then locate the Start Slide Show group.

  • A link will appear. If it's not already selected, select the link.

  • Click Start Presentation .
  • Present the slide show as you normally would, using the mouse or keyboard to advance the slides.

  • Open our practice presentation .
  • Export the practice presentation as a video, and save it to your computer.
  • If you have a friend or family member with an Internet connection, try to present the slide show online .

When you're ready to present your PowerPoint slides to others, look no further than PowerPoint's slideshow feature. Use this tool for all kinds of slides, but those containing photos work best for most viewers.

Instructions in this article apply to PowerPoint for Microsoft 365 , PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, and PowerPoint for Mac.

Before you create slides for your slideshow presentation, decide how long to make the slideshow, how it should flow, and the pictures you’ll use.

  • Length : A slideshow can be as long or as short as you need. The length of the slideshow should be appropriate for the topic and for your audience’s attention span.
  • Outline : It’s always smart to start with an outline; it helps you visualize your slideshow. An outline can be as simple as the list of topics you want to cover.
  • Pictures : Choose photos that are clear and tell a story.

With PowerPoint's Photo Album , select the pictures and PowerPoint creates the basic slideshow. Fill your slides with informative text and harmonizing background music, then turn your collection of slides into a self-running photo slideshow with music that can play as a video or be stored on a CD.

When you’re ready to make a photo slideshow with music, PowerPoint gets you up and running quickly. To get started, select Insert > Photo Album > New Photo Album .

Here’s how to add and format pictures for the slideshow using the Photo Album:

Add pictures

Select File/Disk and select the images you want in the picture slideshow.

Enhance photos

Place a checkmark next to the picture you want to enhance and change the orientation, contrast, and brightness. You’ll see the changes in the Preview window.

Add text boxes

To add a slide for text, select the image in the album list you want the text to follow and select New Text Box .

Rearrange slides

 Place a checkmark next to the picture you want to move and select the Move Up or Move Down arrows.

Choose a picture layout

 Select the Picture layout down arrow and choose how you want the pictures to appear in the slideshow.

Frame the pictures

 Select the Frame shape down arrow and choose a frame style. You’ll see a preview in the Album Layout area. This option will not be selectable if the picture layout Fit to slide is enabled.

Select Create when you’re finished.

Your photo slideshow is created in a new file. Add text to the slides and change the look of each slide.

How to Play Music During the Slideshow

Play music in the background during your slideshow to offer an audio counterpoint to all the visuals. The background music starts automatically with the slideshow and plays during all the slides.

To add background music to your presentation, select Insert > Audio > Audio on My PC , choose a music file, then select OK .

The audio icon appears in the middle of the current slide. To move it, drag it to a different place on the slide. When the audio icon is selected, the Playback tab appears. Select Play in Background and make changes to the audio file . Here are some suggestions.

  • Preview the music : Select Play to hear what the music will sound like during your slideshow.
  • Shorten the duration : Select Trim Audio to remove parts of the beginning and end of the music file.
  • Adjust the volume : Select Volume to make the background music louder or softer.

How to Set up the Slideshow

Once your slides are finished, it’s time to set up the slideshow. Start by deciding whether to show the slideshow in a window or full screen.

To set up the slideshow, select Slide Show > Set Up Slide Show and choose one of the following:

  • Browsed by an individual (window) : Run the slideshow automatically and inside a window. This option works best when you save the slideshow to a CD.
  • Browsed at a kiosk (full screen) : Run the slideshow automatically and at full-screen size. This option works best when you convert the slideshow to a video.

Select OK when you’re finished.

How to Add Timings to Each Slide in the Slideshow

Now it’s time to decide how long each slide will appear in the slideshow. To begin, select Slide Show > Rehearse Timings . The slideshow displays in full screen with a Recording toolbar and a timer.

While timing your presentation, use the Recording toolbar to advance through the presentation.

Select Next (arrow pointing to the right) to go to the next slide when the desired timing has been reached.

Select Pause to start and stop the timing.

Select Repeat to restart recording the time for the selected slide.

When you’re finished and have set the time for the last slide, close the Recording toolbar.

Select Yes to keep the recorded slide timings.

How to Edit Timings on a Slide

If you need to increase or decrease the time for your slideshow, change how long slides appear during the slideshow.

To change the timing for a slide:

Select View > Slide Sorter .

Select Transitions .

Select a slide.

In the Advance Slide After text box, enter how long the slide should appear in the slideshow before proceeding to the next slide, then press Enter .

The new timing applies to the slide.

How to Create a PowerPoint Video Slideshow

The easiest way to distribute and play your slideshow is in video format. This way, anyone can view your slideshow no matter what computer or device they use.

To convert a slideshow into a video:

Save the file.

Select File > Export .

Select Create a Video .

To force a smaller file size, select the Full HD drop-down list and choose a lower quality.

Select Create Video .

Select the destination folder and give the video a descriptive file name.

Select Save . It may take a few minutes to process the file and create the video.

How to Save a Slideshow to a CD or Other Removeable Media

To create a presentation that can be watched on any computer and can be stored on a CD or other removable media:

Select Package Presentation for CD > Package for CD .

Type a name for the CD.

Select Copy to Folder or Copy to CD and follow the on-screen directions.

When you’re finished, select Close .

How to run PowerPoint off OneDrive in browser in loop?

I created a PowerPoint slideshow. I want it to run it on a TV screen that has a built-in web browser, auto-loop, and I also want users to be able to view it from their laptops. I currently can do this using google docs / google drive, but I'm trying to do this using mainly Office 365 technologies, and avoid google docs.

I want the following:

  • website link to view a PowerPoint presentation.
  • store the PowerPoint in OneDrive (for Business)
  • automatically view each slide for 10 seconds (currently doing this successfully via the "transitions" settings)
  • automatically loop to the beginning when reached the end (I configured this in "slide show setup" but it doesn't seem to work when presented online)
  • full screen (hide any toolbars, bottom bars, etc.)
  • I don't want it converted to a movie (I want it to act like a presentation when users are viewing it on their laptops).

Currently, I can manually load it up, and get it full screen, and the only show stopper is that it doesn't loop. Preferably, the link would force it full screen without manually clicking to run the slideshow.

Google has nice URL parameters to tweak how the PowerPoint is presented. It is unclear what Microsoft's URL parameters are and maybe my solution lies within understanding these...

Microsoft URL parameters that I see that I don't have complete understanding of:

  • action: edit, view, embedview - documented at https://wopi.readthedocs.io/en/latest/discovery.html#wopi-actions
  • wdAr: ? (I'm guessing this means "aspect ratio")
  • wdEaa: 1 or 0; 1 means "use default autoadvance settings from the file"
  • wdModeSwitchTime: ?
  • wdSlideId: ?

  • 1 Wouldn't it be simpler to turn the presentation into a video ? If the TV browser supports HTML5, you may use the <video> loop Attribute , or make it loop manually in the browser. –  harrymc Mar 12, 2018 at 14:40
  • I think that loading a video makes more sense than loading PowerPoint and dynamically displaying each slide over and over again. Much more efficient and can be displayed anywhere. –  HackSlash Mar 12, 2018 at 15:33
  • Since you are supposed to pass wd* query string values untouched, unlikely you really need them. You can set FULLSCREEN = true to get fullscreen. See wopi.readthedocs.io/en/latest/discovery.html#term-fullscreen Dont see looping built in, consider using javascript timer and refresh. –  ThatOneDude Mar 13, 2018 at 4:05
  • Turning it into a video makes some sense for the TV, but not so much for viewing on an intranet webpage. I guess it could be setup as a video for the tv and as a powerpoint for the webpage. It works great in Google Slides though. It would be nice if Microsoft would include the same feature as Google Slides. –  Mafu Josh Mar 16, 2018 at 20:17

Thought I might share my finding, as I tried to achieve something similar:

According to Microsoft , "the feature is not available in PowerPoint web app to play slideshow in loop."

Running PowerPoint on a TV is problematic.

If the TV is running Android and can install applications, you may use the Microsoft PowerPoint app .

If the TV browser supports HTML5, there are various utilities that might help, such as :

  • Zamzar PPT to HTML5
  • Converting Microsoft PowerPoint presentations to HTML5 using Adobe Captivate.

However, as TV browsers are usually quite limited, I believe there is a much simpler solution, as follows :

  • Turn the presentation into a video of a format that is supported by your TV
  • You may display the video by the TV if it supports looping.
  • Create an HTML5 page embedding the video and using the loop Attribute
  • Otherwise, you may manually right-click the embedded video in the browser and choose Loop, or program it using JavaScript.

A video solution is basically run-anywhere and any-device.

i found a hacky work around. This will work if you know the timing of your powerpoint.

so if you put an id="slideFrame" on the iframe of your embedded powerpoint and the wdEaa=1 as mentioned in the original question in the URL, your slide show will auto play to the settings on the slides... the iframe will then reload after 20,000 milliseconds (so in my example, it took 20 seconds for my slideshow to complete. ) its not ideal but it works for a kiosk type show where you are looping a slideshow over and over on a web page.

Create a self-running presentation

You can use a self-running presentation to run unattended in a booth or kiosk at a trade show or convention, or you can save it as a video and send it to a client.

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

On the Slide Show tab, click Set Up Slide Show .

Under Show type , pick one of the following:

To allow the people watching your slide show to have control over when they advance the slides, select Presented by a speaker (full screen) .

To present your slide show in a window, where control over advancing the slides is not available to the people watching, select Browsed by an individual (window) .

To loop your slide show until the people watching press Esc, select Browsed at a kiosk (full screen) .

Rehearse and record slide timings

When you choose the following show types: Presented by a speaker (full screen) and Browsed at a kiosk (full screen), you’ll want to rehearse and record timings for effects and slides.

On the Slide Show tab, click Rehearse Timings .

Note:  The presentation timer begins immediately when you click Rehearse Timings .

The Rehearsal toolbar appears and the Slide Time box begins timing the presentation.

While timing your presentation, you can do one or more of the following on the Rehearsal toolbar:

To move to the next slide, click Next .

To temporarily stop recording the time, click Pause .

To restart recording the time after pausing, click Pause .

To set an exact length of time for a slide to appear, type the length of time in the Slide Time box.

To restart recording the time for the current slide, click Repeat .

After you set the time for the last slide, a message box displays the total time for the presentation and prompts you to do one of the following:

To keep the recorded slide timings, click Yes .

To discard the recorded slide timings, click No .

Slide Sorter view appears and displays the time of each slide in your presentation.

Add narration or sound

To record a narration, your computer requires a sound card and a microphone, and a microphone connector if the microphone is not a part of your computer.

On the Slide Show tab, in the Set Up group, click the arrow on the Record Slide Show button.

Select one of the following:

Start Recording from Beginning

Start Recording from Current Slide

In the Record Slide Show dialog box, select the Narrations and laser pointer check box, and if appropriate, select or deselect the Slide and animation timings check box.

Click Start Recording .

To pause the narration, in the Recording shortcut menu in Slide Show view, click Pause . And to resume your narration, click Resume Recording .

To end your slide show recording, right-click the slide, and then click End Show .

The recorded slide show timings are automatically saved and the slide show appears in Slide Sorter view with timings beneath each slide.

You can record a narration before you run a presentation, or you can record it during the presentation and include audience comments. If you do not want narration throughout your entire presentation, you can record separate sounds or comments on selected slides or objects. For more details, see Record a slide show with narration and slide timings .

To present your slide show in a window, where control over advancing the slides is available to the people watching, select Browsed by an individual (window) .

Note:  Selecting this option automatically selects the Loop continuously until 'Esc" check box and causes your slide show to run in a loop.

Set up slide transitions

If you want a slide show to run automatically at a kiosk, you can control when and how the slides advance. To do this, you can apply the same transition to all slides in the presentation and set the transition to automatically advance after a certain time interval.

On the Transitions tab, click the transition that you want.

Do the following on the Transitions tab:

To set the amount of time that each slide is displayed, select After and enter the number of seconds you want.

To set the duration of each transition between slides, enter the amount of time in the Duration box.

Click Apply to All .

You can export a presentation as a movie file. See Save a presentation as a movie file for more details.
