While attending training or watching a tutorial, do you wonder how it was created? Learning a new skill or technology can be enjoyable if it is taught well. A knowledgeable instructor complimented with a well-drafted learning module goes a long way.

Many expensive software like Articulate, RoboHelp, or Adobe Captivate can help you create professional training modules. However, if you are a small organization or team and don't have access to these softwares, you can create an e-learning module using Microsoft PowerPoint.

Let's look at the elements of a good tutorial and how to create one.

1. Components of a Learning Module

Every learning module usually has three components:

  • Main Body : This includes conceptual information and activities such as quizzes or multiple-choice questions to check the learner's understanding. This section makes the majority of the module. The concepts should be well-structured across multiple slides.

2. Create a Mind Map for the Learning Module

A mind map helps you brainstorm ideas and achieve clarity of thoughts, and it can help you visualize the entire learning module. Based on the complexity of modules, you can either use mind mapping apps such as Miro, Figma, or a pen and paper. Alternatively, you can create the mind map in PPT.

To create a mind map for a learning module, follow these steps:

  • Create the top-level headings, name, and objective of the module.
  • Add the child elements such as unit names, their objectives, and components. This exercise helps you structure the entire module in a PowerPoint.
  • In PPT, create slides corresponding to the mind map headings.
  • If you are working in a team, assign 3-4 slides to each member.
  • Add detailed content on every slide.

3. Set a Theme to the Learning Module

Applying a consistent color combination and adding the company logo on all the slides is essential for a professional-looking module.

You can ask the company for which you are designing the module to provide the color, theme, and logo. Else, you can select a custom color combination. To apply the theme to your module:

  • Open Microsoft PowerPoint and select New > Blank Presentation .
  • Select the color, font, themes from the drop-down in the menu.
  • To add placeholder content, table, or chart, select the Slide Master > Insert Placeholder option in the menu.
  • To place a logo or any other image, click Insert > Picture . Choose the media and place it on the header.
  • Click Close Master View .
  • Apply the same font to the entire learning module by clicking Home > Replace > Replace Fonts . In the With drop-down, select the font of your choice.

All the slides will have the same color and logo, and you don't need to modify individual slides.

Insert relevant images to complement the content. They help break the monotony of text and help quickly understand the most complex tasks. You can also use one of many PPT features, such as smart art, shapes, or animation, to convey complex information.

Here are some ways to format the content.

A learning module should have a balance of different formatting options. Overdoing any effect can distract the reader from the actual learning. If possible, refer to the company's branding or style guide.

5. Adding a Voice Over

Not many people enjoy reading training material, no matter how creative it is. To make the experience of learning enjoyable, add a voice-over to the slides.

There are many ways to record audio in PPT. So, choose the method according to your audience and goal of the module:

  • In the menu, click Recordings > Record Slide Show > Record from Beginning . The entire module is presented as a slide show, and you can add voice and video in the background.
  • If you want to record audio for a specific slide, go to the slide and click Audio > Record Sound . This option gives you the freedom to explain the content at your own pace.
  • Provide a name for the recording and click the red button.
  • Stop the recording by clicking the stop button. The record icon is displayed on the slide.
  • Click Export to Video to save the presentation as a video file.

Features of a Good Voice Over

One of the essential aspects of recording a voice-over is not to read the content as-is, because that does not add value. You should summarize the information where possible. Here are some points to remember while recording the voice-over.

  • Sync your voice-over with the transition or animation effects.
  • Pause after displaying the question in a quiz and read all the answers.

Basic tasks for creating a PowerPoint presentation

PowerPoint presentations work like slide shows. To convey a message or a story, you break it down into slides. Think of each slide as a blank canvas for the pictures and words that help you tell your story.

Choose a theme

When you open PowerPoint, you’ll see some built-in themes and templates . A theme is a slide design that contains matching colors, fonts, and special effects like shadows, reflections, and more.

On the File tab of the Ribbon, select New , and then choose a theme.

PowerPoint shows you a preview of the theme, with four color variations to choose from on the right side.

Click Create , or pick a color variation and then click Create .

Insert a new slide

On the Home tab, click the bottom half of  New Slide , and pick a slide layout.

Save your presentation

On the File tab, choose Save .

Pick or browse to a folder.

In the File name box, type a name for your presentation, and then choose Save .

Note:  If you frequently save files to a certain folder, you can ‘pin’ the path so that it is always available (as shown below).

Select the text.

Under Drawing Tools , choose Format .

Do one of the following:

To change the color of your text, choose Text Fill , and then choose a color.

To change the outline color of your text, choose Text Outline , and then choose a color.

To apply a shadow, reflection, glow, bevel, 3-D rotation, a transform, choose Text Effects , and then choose the effect you want.

On the Insert tab, select Pictures , then do one of the following:

To insert a picture that is saved on your local drive or an internal server, choose This Device , browse for the picture, and then choose Insert .

(For Microsoft 365 subscribers) To insert a picture from our library, choose Stock Images , browse for a picture, select it and choose Insert .

To insert a picture from the web, choose Online Pictures , and use the search box to find a picture. Choose a picture, and then click Insert .

You can add shapes to illustrate your slide. 

On the Insert tab, select Shapes , and then select a shape from the menu that appears.

In the slide area, click and drag to draw the shape.

Select the Format or Shape Format tab on the ribbon. Open the Shape Styles gallery to quickly add a color and style (including shading) to the selected shape.

Slides are best when you don’t cram in too much information. You can put helpful facts and notes in the speaker notes, and refer to them as you present.

Click inside the Notes pane below the slide, and begin typing your notes.

Give your presentation

On the Slide Show tab, do one of the following:

To start the presentation at the first slide, in the Start Slide Show group, click From Beginning .

If you’re not at the first slide and want to start from where you are, click From Current Slide .

If you need to present to people who are not where you are, click Present Online to set up a presentation on the web, and then choose one of the following options:

Broadcast your PowerPoint presentation online to a remote audience

View your speaker notes as you deliver your slide show.

Get out of Slide Show view

To get out of Slide Show view at any time, on the keyboard, press Esc .

You can quickly apply a theme when you're starting a new presentation:

On the File tab, click New .

Select a theme.

In the slide thumbnail pane on the left, select the slide that you want your new slide to follow.

On the Home tab, select the lower half of  New Slide .

From the menu, select the layout that you want for your new slide.

Your new slide is inserted, and you can click inside a placeholder to begin adding content.

PowerPoint for the web automatically saves your work to your OneDrive, in the cloud.

To change the name of the automatically saved file:

In the title bar, click the file name.

In the File Name box, enter the name you want to apply to the file.

If you want to change the cloud storage location, at the right end of the Location box, click the arrow symbol, then navigate to the folder you want, then select Move here .

On the Home tab, use the Font options:

Select from other formatting options such as Bold , Italic , Underline , Strikethrough , Subscript , and Superscript .

On the  Insert  tab, select  Pictures .

From the menu, select where you want to insert the picture from:

On the Insert tab of the ribbon, select Pictures, and then on the menu choose the type of picture you want.

Browse to the image you want, select it, then select Insert . 

After the image is inserted on the slide, you can select it and drag to reposition it, and you can select and drag a corner handle to resize the image. 

On the slide canvas, click and drag to draw the shape.

Select the Shape tab on the ribbon. Open the Shape Styles gallery to quickly add a color and style (including shading) to the selected shape.

A horizontal Notes pane appears at the bottom of the window, below the slide.

Click in the pane, then enter text.

On the  Slide Show  tab, select  Play From Beginning .

To start a slide show, on the View tab of the ribbon select Play From Beginning.

To navigate through the slides, simply click the mouse or press the spacebar.

Tip:  You can also use the forward and back arrow keys on your keyboard to navigate through the slide show.

Stop a slide show

To get out of Slide Show view at any time, on the keyboard, press Esc.

The full-screen slide show will close, and you will be returned to the editing view of the file.

Tips for creating an effective presentation

Consider the following tips to keep your audience interested.

Minimize the number of slides

To maintain a clear message and to keep your audience attentive and interested, keep the number of slides in your presentation to a minimum.

Choose an audience-friendly font size

The audience must be able to read your slides from a distance. Generally speaking, a font size smaller than 30 might be too difficult for the audience to see.

Keep your slide text simple

You want your audience to listen to you present your information, instead of reading the screen. Use bullets or short sentences, and try to keep each item to one line.

Some projectors crop slides at the edges, so that long sentences might be cropped.

Use visuals to help express your message

Pictures, charts, graphs, and SmartArt graphics provide visual cues for your audience to remember. Add meaningful art to complement the text and messaging on your slides.

As with text, however, avoid including too many visual aids on your slide.

Make labels for charts and graphs understandable

Use only enough text to make label elements in a chart or graph comprehensible.

Apply subtle, consistent slide backgrounds

Choose an appealing, consistent template or theme that is not too eye-catching. You don't want the background or design to detract from your message.

However, you also want to provide a contrast between the background color and text color. The built-in themes in PowerPoint set the contrast between a light background with dark colored text or dark background with light colored text.

Check the spelling and grammar

To earn and maintain the respect of your audience, always check the spelling and grammar in your presentation .

2023 ADL Initiative I/ITSEC Tutorial Presentations

The ADL Initiative is thrilled to participate in the Interservice / Industry, Training, Simulation, and Instrumentation Conference (I/ITSEC) scheduled for the week of November 27th in Orlando, FL. As a longstanding contributor to the I/ITSEC community, we recognize the paramount role the conference plays in fostering collaboration and driving advancements in training, simulation, and instrumentation.

At this year’s conference, the ADL Initiative team is providing two tutorials to help digital learning developers, learning engineers, and instructional designers create data-driven efficiencies in their own organizations through a comprehensive data strategy. At the heart of these tutorials are the ADL standards that are pivotal to enterprise digital learning. These standards are widely used by the I/ITSEC community to empower seamless interoperability, ensuring a cohesive ecosystem for effective training solutions. Florian Tolk is a Software Engineer (SETA) with the Advanced Distributed Learning (ADL) Initiative. In this role, he provides technical expertise about the IEEE standards that underpin ADL tools and technologies. Mr. Tolk also designs, develops, and implements a range of software applications that support these standards. Prior to working for the ADL Initiative, he worked as a developer for SimIS, Inc. and helped develop training simulations such as the Automated Intelligent Mentoring System (AIMS).

Andy Johnson

Andy Johnson is the Specifications and Standards Manager (SETA) at the ADL Initiative. In this role, he oversees the design and development of ADL standards that promote interoperability and improve data quality across DoD’s training and education community. Andy has worked with the ADL Initiative for over 20 years and has been instrumental in ensuring DoD-wide requirements are addressed across ADL’s portfolio of data standards. Andy received his Bachelor’s degree in Computer Science and Master’s degree in Education, Communication, and Technology from the University of Wisconsin-Madison.

After months of speculation about how generative AI might transform business, Microsoft is poised to make its AI Copilot available through its 365 platform, a test of whether CIOs believe the technology will generate enough value to justify a premium price.

CIOs say they are eager to test out the AI assistant, even though the cost is a consideration for some. Copilot leverages generative AI across the Microsoft 365 suite by doing most things you might ask a business assistant to do, like summarizing video calls, writing draft responses to emails and transforming Word documents into PowerPoint presentations, said Jared Spataro, corporate vice president of Modern Work and Business Applications at Microsoft.
