Educational PowerPoint presentation will pass information to the audience with eye-catching visuals. So, it is both informative and introductory.  

It aims to familiarize the viewers with the topic. The viewers include students, business executives, researchers, and others seeking information.

PowerPoint is an effective tool for presenting study materials. Hence, it will help in the classroom and strengthen students' learning capacities. The educators may use supporting visuals like images, graphs, data-driven charts, and tables to pass an idea. Such visuals will help the viewer to get the idea effortlessly. 

Making educational PowerPoint presentations  

Let's look at the main steps it takes to create an engaging educational PowerPoint presentation. You can use  Google Slides ,  Keynotes , or any other presentation software to create one.  

#1 Define the objectives

First, you have to set a learning goal. It refers to what your audience will know after seeing your presentation. 

The objectives of the presentation may differ according to the type of presentation. The types include

  • Decision driven . This type of presentation is used when you need to achieve a common goal, so you need a presentation guide to help everyone in decision-making. 
  • Persuasive . These are mainly used when giving a business pitch or making a sales offer. 
  • Informative . As you can guess from the name, these presentations are mainly used to share knowledge or information.  
  • Introductory. 

You can set your objectives according to the type. Each of these types comprises different desired outcomes. 

#2 Focus on the target audience and accessibility 

For the presentation to achieve its purpose, you should know the strengths, weaknesses & needs of your target audience . 

For example, learners with visual or hearing impairments could not be able to access a PowerPoint presentation. They need help to go through images, sound, and graphics. Besides, you must consider the audience's age, language skills, and ability to interpret a concept. 

#3 Define what you want from an education PowerPoint presentation 

The purpose of learning should explain clearly and concisely. For example, what specific skills should a learner have to display, produce, and know as a result of the PowerPoint class? So, you make sure that outcomes should be attainable. 

#4 Plan your content  

After you determine your content, you should select the best format. You can create this format as table content, a data chart, a comparison diagram, a circular diagram, or a timeline template. 

For example, if you think of lecturing about key milestones of American Slavery prohibitions, your format should be a timeline PowerPoint.  Below you can see a simple  timeline template for American slavery prohibitions.  

  • Civil war  
  • Emancipation Proclamation 
  • Importance of 1965 
  • Thirteenth Amendment to the United States Constitution 
  • Juneteenth

This timeline would help you to create a sequential flow for your presentation. Then, if your topic is different, you can prepare another format. So, structuring a presentation is so important to hold your audience. 

The sequence should be simple and logical, allowing the viewer to keep up with them and take away key points. It also determines how much interaction you want from the audience. 

One more thing to remember when planning your content is the length of your speech. 

#5 Design the Slides    

Designing and arranging slides in a flow will give the necessary support for your PowerPoint presentation. Let’s see what you should and should not include in the slides. 

Decide on the numbers of Slides

  • In the real sense, the number of slides depends on your subject and time. However, you can use 10 slides for a 20-minute presentation. That means one Slide for two minutes to account for discussion to absorb the material. (If your lecture is under two minutes per Slide, you can add more slides for a 20-minute presentation.) 

Arrange slide contents  

  • Avoid too much text. Instead of long and heavy sentences, try to use brief points. Some of the best AI slides app options available these days can help you create one efficiently.
  • Follow the 6 x 6 rule . You can incorporate a maximum of 6 bullets with 6 words per bullet. 
  • Use large fonts . Ensure your text is good enough to read. You can use a font size of 36-40 for the heading and titles, and the subtext should be around 32-point font. 
  • Avoid ornate fonts . Stick to basic fonts because specialty fonts may be difficult to read. 

Make the content readable

  • Use bold, italics, and attractive colors to mark key points. 
  • Use dark backgrounds (black, blue, purple, etc.). Use a light typeface or light background (white, light blue, yellow, etc.). Or use a dark typeface for easy reading in a large room. 
  • Apply only two or three color combinations per Slide. Otherwise, it will distract viewers' attention. However, in the case of statistical diagrams, you can add more colors. For example, if you are using a pie chart with 5 or 7 distributions, you can use more colors. 
  • Try to avoid underlines because it denotes hypertexts. 

Add images clipart and graphics  

  • Use images and graphics only if  they support the content. Too many uses of these will obstruct viewers' learning. Use pictures and clipart sparingly. 
  • If a photo is essential, use simple pictures without decorations. 
  • Choose only two-dimensional graphs and data-driven charts . Avoid 3D styles since it obstructs reading accurate data. 
  • Place graphics appropriately, having accurate dimensions.

Use animations carefully 

Animations are catchy motion pictures. But they only give desired outcomes if you add them to your slides sensibly. For primary schools, animations may be essential to tell a story. But avoid using them for each Slide. Instead, you can add it for business presentations when you need a transition.

Avoid many ideas on one slide 

Cramming information into a single slide will overwhelm your audience. The learners may seem disinterested, so they will stop listening to you. 

Instead, only focus on one topic in a slide. It lets you cut off your speech about that material according to your scheduled time. 

Pay attention to slide arrangement

Flow and sequence is the soul of any presentation. So, to keep the audience's attention on the topic, follow the below order of slide arrangement. Use high-quality yet simple templates with relevant images. A common sequence may be the following:

  • Heading Slide  
  • Attention-grabber  Slide to make the audience interested in the speech and topic.  
  • Topic preview  
  • Content  
  • Transition  
  • Conclusion  
  • Q&A 

#6 Make the presentation interactive

Sometimes digital platforms have communication barriers. You can't easily understand students' body language and facial expressions. This is the reason you should come up with ways to keep the presentation interactive . 

Encourage participation from the beginning

Use separate PowerPoint slides before you start the core presentation. These slides should include a series of questions for students to answer while waiting for class to begin. You can arrange it in a quiz format.  

In the final session, consider having a question-and-answer session that includes a quiz about the topic you have covered. This session will provide an opportunity to receive feedback. You can also use QR codes to increase audience participation . QR Codes are a quick and engaging way to make your quiz more accessible, collecting feedback post the presentation, or encouraging email sign-ups.

Use quizzes polls and surveys 

Most of the teachers need clarification on where to include polls, quizzes, and surveys. Is it at the beginning, middle, or end? What we have in the beginning is what we already discussed. You can add surveys, polls, and quizzes from the middle to the end without losing the sequence and fluency. For example, if you are on the topic of climate change, you can take a class opinion poll where the student stands on climate change issues. 

#7 Practice and delivery  

Don’t read the presentation.  Rehearse the presentation with a sequential flow so that you can speak from bullet points. The text should be a hint for the presenter rather than a complete message for the students. 

Succinctly prepare and control over descriptions.  A presenter may already schedule their time allocations, so overly explaining causes stop your presentation halfway. Look at your watch when staring at each slide and control the presentation according to the prescribed time limit. 

Focus on audience.  Monitor your viewers body language and behavior rather than focusing on your slides. 

Use proper designs and diagrams. Many designs and charts are already incorporated into PowerPoint presentations. For example, if you want to display the cause-and-effect relationship between two or more items. You can use simple arrow connections or drawings showing the relationship. But if you want a professional touch, you can use a fishbone diagram to show the cause-and-effect relationship.

  • Use microphones  
  • Choose clear and simple fonts 
  • Select high-contrast colors  
  • Include multiple-choice questions  
  • Use video files if necessary

Creating the Perfect PowerPoint for Online Teaching

While other forms of visual presentations have cropped up—such as Prezi and Empressr —PowerPoint remains the presentation software of choice. Yet many folks develop PowerPoint presentations without fully understanding all components of the software and/or presenter tricks that could make for much more effective PowerPoint presentations.

The suggestions that follow will help you create effective PowerPoint presentations.

Know your audience. You must be fully aware of what the audience is expecting from your PowerPoint; also, be aware of your audience’s education level—the complexity of your text and visuals must match what the audience will understand.

Create an outline to help you develop your PowerPoint presentation. The outline gives your PowerPoint the structure it requires, allows you to develop a balanced array of visuals, and gives you an initial look at the time required for students to view your PowerPoint slides. Your PowerPoint should not be so long that the audience loses interest, and if you have a set amount of time, you need be sure your PowerPoint fits within that time.

Become familiar with all features of PowerPoint. PowerPoint is a powerful presentation tool with many features that allow you to jazz up your slides, import other slides, add audio and video, change background styles and colors, etc. Spend whatever time it takes to fully familiarize yourself with all that PowerPoint offers; you’ll be able to develop a more professional and engaging PowerPoint presentation—something your audience will appreciate.

Do not become dazzled with the “whistles and bells” of PowerPoint. It is easy to be seduced by the over-the-top features of PowerPoint, such as transition and animation. Yet too much use of these will distract from the primary purpose of your PowerPoint: getting important information to your audience in an easy-to-understand manner. Certainly, some of these fun tools can help make your PowerPoint more engaging and can spotlight especially salient items in your presentation. But be careful that your PowerPoint does not turn into a Disney cartoon, resulting in a presentation that is less than effective. Overall, keep the design simple and basic.

Limit each slide to a few bulleted points. Your audience needs to quickly understand what you are presenting. Many folks load up each slide with far too much text. This defeats the purpose of a PowerPoint presentation. Keep each slide to no more than four bulleted items, with each item a maximum of one line in length. If you need to add more information, you have two options: (1) have some notes (use your outline for this) and simply add the material—by voice—when appropriate; and (2) at the bottom of each blank slide there is a section called “Speaker’s Notes”—you can add in here what you want to say to your audience beyond what they see on a slide (only you can see the Speaker’s Notes).

Use graphics to highlight your information, not overtake it. A visual on a slide won’t take the place of your text—and it shouldn’t—but it can highlight a point you are making and help to engage the audience. Have a nice balance of visuals and colors, and spend some time searching for the spot-on, already-created visual. (There are many sources: online, your own, items you’ve scanned, etc.) You also can create your own graphs and/or charts and use screenshots of items.

Your voice can truly bring a PowerPoint to life. In an online PowerPoint presentation, the audience hears more of your voice than if you were in a room with them. Thus, each clearing of your throat, sip of water, “um” and “uh,” and licking of the lips can often be heard. Speak slowly; be sure to vary your tone (no one enjoys a monotone!); stay enthusiastic and excited about the topic; and use your voice to bring audience attention to important points, closing of a subject, introduction of the next slide, etc.

Always do a slideshow run of your PowerPoint to view it as an audience member. You’ll find one of the drop-down menu items on the top tool bar of PowerPoint is called “Slideshow.” Here you have various choices that allow you to view your PowerPoint as a slideshow. Be sure to do this so you will see what your audience will see and you can quickly pick up on items that might need to be corrected, such as typos, font size, size of or lack of visuals, too much text on a slide, length of time for the PowerPoint, etc. And for each slide, make a note (e.g., #14—correct spacing; #15—OK; etc.). Once completed, make the changes and then run the slideshow again.

Check spelling, grammar, spacing, font size and style, etc. It is crucial that all components of writing be perfect. Be sure that the font size and style are easy to read. Consider line spacing and visual placement.

Always do a trial run with at least one other person. While we will see items that need to be corrected or tweaked, rarely do we see them all. Have one person or more look at it to get their input. You’ll be surprised at how many helpful suggestions you will receive about things you had not considered or just didn’t see. Your audience will benefit from this extra input.

It is best to name your presentation to ensure it is easy to search and open later via OneDrive. Otherwise, a generic name will be assigned to the presentation (e.g., Presentation 1). To name your presentation, click on the generic name at the top and type in the new name.

As you start formatting your slides, the Designer feature will provide you with options to create layouts for your slides. You can optionally use this feature to get started with the basic design for your slides or use the Design tab to select design elements.

PowerPoint for the web allows formatting videos via the Shape tab and Format Options via the right-click menu. The Shape tab can give a frame or shape to the video, adjust the outline, manage how it is displayed on the slide, and adjust the size of the video. This change is particularly visible if the user is not logged in and is editing the presentation as a Guest user. Most PowerPoint users know that the viewing options are available at the bottom of the PowerPoint interface. However, you can also access them from the View tab in PowerPoint. How to find and enable missing Copilot button in Microsoft 365 apps

Copilot is available in the Home ribbon tab of Word, Excel (Preview), PowerPoint, Outlook, and OneNote if you are a Copilot Pro subscriber who also has a subscription to Microsoft 365 Personal or Family.

If you have those subscriptions and are not seeing Copilot in these Microsoft 365 apps, follow these steps:

Important:  Copilot in Outlook only supports work or school accounts, and Microsoft accounts using outlook.com, hotmail.com, live.com, and msn.com email addresses at this time. Any Microsoft account using an account from a third-party email provider, such as a Gmail, Yahoo, or iCloud, can still use Outlook, but won’t have access to the Copilot features in Outlook.

Step 1 - Ensure you're using the correct account

Make sure you're signed into your Microsoft 365 apps with an account that has a Copilot license.

For home users ...this means you should have a Microsoft 365 Personal or Family subscription, and Copilot Pro.

For business users ...this means you should have a Microsoft 365 Business Standard, Business Premium, E3, or E5 subscription, and Microsoft Copilot for Microsoft 365.

Step 2 - Make sure that the current file is saved in that account

If you have multiple file locations available to you - such as your business OneDrive and your personal OneDrive - Copilot will only appear if the file you have open is saved to the location associated to your Copilot subscription.

For example, if you have Copilot through your work account, but not through your personal account, and you open a file from your personal OneDrive, Copilot won't work with that file.

For new, unsaved files, or files on your local hard drive, the current primary account shown at the top of the Microsoft 365 window must be licensed for Copilot.

Important:  Copilot in Excel requires AutoSave to be turned on, which means the file has to be saved to OneDrive. It currently doesn't work with unsaved files.

Step 3 - Refresh your license

Force a refresh of the license.

Note:  These steps must be done by the account administrator.

 In any Microsoft 365 app, go to File > Account .

Close and restart all Microsoft 365 apps you might have open so that the license refresh can take effect.

  In any Microsoft 365 app, select the app name at the top of your screen.

Close any open documents and restart all Microsoft 365 apps you may have open so the license refresh can take effect.

Ensure your apps are updated to their latest versions via your device's app store.

Close your app completely, and then re-launch it.

Refresh the page

Select the Refresh icon in your browser to see if the Copilot features appear.

You may have third-party cookies blocked in your browser, which currently causes Copilot to be unable to validate your license. If Copilot still isn't working for you try enabling third-party cookies. For more information see:  I am getting license validation errors with Copilot.
