How can I find out easily if an image is embedded or not (linked) in PowerPoint?

I know only the "hard" way:

Option 1: File / Related Documents / Edit Links to files

Well this will list all links, my pptx have a lot of linked files so it is not very useful since there is no thumbnail or any user interface to link the file path to the actual image in the presentation (MS fail, "thanks" MS developers that don't actually use the app),

Option 2: "Brute force"

Rename or delete the directory containing all linked images, and reopen the pptx, if the image disappear it was linked (duh)

Is there any property in the image that says if it is embedded or linked and its actual file path?? This is a fundamental feature. What a heck.

There's nothing like this in the user interface, but a bit of VBA will show you the link path.

I've got some example code on the PPT FAQ I maintain:

Extract all audio or video files from a PowerPoint presentation.

Try This Great Trick to Easily Extract All Embedded Video or Audio from a PowerPoint Presentation

Applies to: Microsoft ®  PowerPoint ®  2013, 2016, 2019 and 365 (Windows)

If you want to extract embedded video or audio files from a Microsoft PowerPoint deck to use in another presentation, you can copy and paste them between presentations or you can extract them by converting the presentation to a zip file type. Starting in PowerPoint 2010, video and sound files are embedded (copied into the presentation) by default.

In newer versions of PowerPoint, you can right-click a video or audio file (typically in Normal View), select Save Media As from the drop-down menu and save the file with a new name on your PC or a shared drive.

The following trick to extract all media works with any Microsoft PowerPoint file using XML (Extensible Markup Language) format. XML files are stored as a package and can therefore be unzipped. They also end with an "x" such as .pptx (2007 and later versions).

Note: You can't extract YouTube videos that are embedded in a presentation using this method.

Extract video and audio files by changing the file extension

In order to use the following procedure, Windows Explorer must be set so that it shows file names with extensions.

To extract embedded video and audio files from a PowerPoint deck:

  • In Windows Explorer, select the presentation (it should have a .pptx extension) with the embedded video and audio you wish to extract.
  • Right-click and choose Copy or press Ctrl + C.
  • Right-click and choose Paste or press Ctrl + V.
  • Right-click the copy of the presentation and choose Rename in the drop-down menu.
  • Change the file extension .pptx to .zip (Windows must be set to display file extensions).
  • Press Enter. A dialog box appears warning you that the file may become unusable if you change the extension.
  • Click Yes to continue. The file icon changes to a folder icon.
  • Double-click the zipped folder. The zipped folder contains multiple folders (some contain information such as XML code or properties).
  • Double-click the ppt folder.
  • Double-click the media folder to view image, video and audio files. Each file is given a generic name.
  • Copy these files (or the entire folder) to another location for use in other presentations and to rename the files. Copying to another location will unzip the files. You can also click the Extract button in Windows Explorer to extract the files to another location.

Linked audio and video files will not be extracted.

Microsoft’s suite of applications is undoubtedly one of the most essential ones installed first on any Windows PC. First, there was just Word, which allowed easy editing of documents on the go, then came Excel, for editing and managing spreadsheets the easier way, and then PowerPoint, to make presentations appear more lively. We have seen a lot more applications evolve like Outlook, One Note, Project, and much more. Long story short, Microsoft is approaching us consumers to make our tasks really simple.

As we all know, the popular Office apps are Word, Excel, and PowerPoint. If you are in a situation where you need to extract all the media like images, and videos embedded inside of these files, then you’re in the right place. The newer versions of Microsoft Office apps have extensions like .docx, .xlsx, and .pptx. The ‘x’ in all of these extensions symbolizes that all of these are Microsoft XML supported applications, which means that they are actually compressed files that you can use to extract media directly. On the other side, the older non-supported XML documents like .doc, .xls. and .ppt cannot do this directly.

We will first be taking a look at how you can use the newer extensions to extract embedded images and files directly onto your Windows PC. Down below will also be a tutorial about a software which can do the same for these older non-XML supported files. Where Does PowerPoint Save Recordings? [Here’s Where!]

It is really annoying when you finish recording a PowerPoint presentation and you don’t get to see the complete presentation that you just finished recording! The truth is that the presentation is embedded on the slides itself. But, how do you access the recordings and how do you share the recorded presentation?

PowerPoint saves the recording specific to each slide on the slide itself. However, to access the complete recording of your presentation, you need to export your presentation as a video file. Click on the “File” tab, then click “Save As” and change the file format to an “.MP4” file.

In this article, I will share with you all the details of not just how to record a presentation correctly, but also how to locate the recorded file and share it with your colleagues or clients.

So, without further ado, let’s get started!

1. How to Record a Presentation in PowerPoint?

To know how the video or audio recordings work in PowerPoint, let us first understand how to record a presentation in PowerPoint. We shall take two examples to understand this further i.e. recording yourself giving the presentation with your video camera, and recording just the audio narration.

1.1 How to Record Yourself Giving a PowerPoint Presentation With Video?

Microsoft PowerPoint allows you to record yourself presenting the slides. You can also use features like laser pointer, pen, highlighter, etc. during the recording. To record yourself presenting a PowerPoint presentation, follow the steps mentioned below:

Step-1: Click on the “Record” tab

In the menu ribbon located at the top of the screen, click on the “Record” tab to open the “Record” menu.

Step-2: Click on the “From Beginning” option

Click on the “From Beginning” option in the “Record” group of the “Record” menu. This will open the recording screen.

Step-3: Click on the “Camera” icon

In the toolbar at the top of the screen, click on the “Turn camera on” option which is the camera icon. Alternatively, you can press the “Ctrl+K” keys on your keyboard to turn on the device camera to record yourself.

Step-4: Click on the “Start recording” option

Now you can start recording yourself presenting. Click on the “Start Recording” option which is the circle icon with a large red dot in the middle. When you are done presenting, click on the same icon to stop recording.

Step-5: Click on the “Close” option

Click on the “Close” option which is the “X” icon at the top right corner of the recording screen to return to the “Normal” view.

Once you have finished the recording, you will notice that the part of the video that talks about slide 1 gets automatically added to the first slide, and part of the video where you talk about slide 2 is added to the 2nd slide .

Likewise, your entire recording gets automatically divided across every single slide wherever you had any comments to add!

You may not notice this at first, however, just look for the camera video that gets embedded to the bottom right corner of your slide.

Now, how do you extract your recordings? I will explain that in the subsequent sections.

1.2 How to Record a PowerPoint Presentation with Audio?

If you wish to record just the audio narration for your presentation without showing your face or using your camera, you can do so by choosing the following methods.

To be honest, there are a couple of different ways to record audio narration for your presentation.

Method 1 – Using the “Record” Feature

The first method is quite similar to the one described above. The only difference is that you need to turn off the camera before you begin recording the presentation.

This will record the presentation with just your voice for each slide. Since we’ve already covered the steps, I won’t show you the steps for this method and I shall focus on the second method for recording audio narration for your presentation.

Once the recording is complete, follow the steps mentioned in section 1.3 below to convert it into a cohesive recorded presentation.

Method 2 – Using the “Audio” Recording Feature

The second method involves recording the audio for a presentation on each slide. This method allows you to record audio for a slide individually and not the whole presentation at once.

Here’s what you need to do to record just the audio for the presentation.

The first step is to click on the “Record” tab in the menu ribbon at the top of the screen. This will open the “Record” menu.

Step-2: Click on the “Audio” option

In the “Record” group of the “Record” menu, click on the “Audio” option. This will open the “Record Sound” dialog box.

Step-3: Click on the “Name” box

In the “Record Sound” dialog box, click on the “Name” box. Then you can type in a file name for the audio recording.

Step-4: Click on the “Record” icon

The next step is to click on the “Record” icon in the “Record Sound” dialog box. It is the black circle with a large red dot inside. When you are done recording audio, click on the “Stop” option which is the square icon.

Step-5: Click on the “Ok” button

Now all you have to do is click on the “OK” button at the bottom of the “Record Sound” dialog box to save the audio recording.

Repeat the process for each slide where you want to add an audio recording. Once you’re done recording the audio narration for your presentation, save the file and proceed for section 1.3 below to make it into a cohesive presentation.

1.3 How to Save Your PowerPoint Presentation Recording?

Once you have recorded your complete presentation using the aforementioned methods, it is now time to save your presentation recording.

One mistake that people often make is to try and save the camera video embedded on the file. However, this will only save the camera video and not your entire presentation.

The correct way to save your PowerPoint presentation recording is to save the file as a video. However, do this only once you have finished recording your presentation.

Here’s what you need to do to save your recorded presentation into a video:

Step-1: Click on the “Save” option

On the left corner at the top of the screen, click on the “Save” option. Alternatively, you can press the “Ctrl+S” keys on your keyboard to save all the changes made to the presentation file.

Step-2: Click on the “Export to Video” option

Click on the “Record” tab in the menu ribbon to open the “Record” menu. Then click on the “Export to Video” option in the “Record” menu. This will open the recording screen.

Step-3: Click on the “Export Video” option

In the recording screen, click on the “Export Video” button at the bottom to save the presentation recording as a video file.

1.4 Recording a Presentation into a PowerPoint Show File

You can also convert your presentation into a PowerPoint Show file (.ppsx file). This allows you to directly open the file into a presentation.

This option works great when you don’t have any audio components to your presentation and when you don’t want to record yourself to give a presentation. Instead, all you want to show is the presentation itself in the “Slideshow” mode.

I’ve written a detailed article about how you can loop your presentation using a PowerPoint Show file . Make sure to check out that article to understand a use case for this type of a presentation recording.

Nevertheless, here’s what you need to do to record your presentation as a .ppsx file.

Step-1: Click on the “File” tab

In the menu ribbon located at the top of the screen, click on the “File” tab. This will open the “File” screen.

Step-2: Click on the “Save As” option

In the menu sidebar on the left side of the “File” screen, click on the “Save As” option. Then click on the second box in the “Desktop” section of the “Save As” screen.

Step-3: Click on the “PowerPoint Show (.ppsx)” option

Now all you have to do is click on the “PowerPoint Show (.ppsx)” option from the dropdown list to save the PowerPoint presentation as a recording.

Step-4: Click on the “Save” button

Finally, click on the “Save” button next to the “Save As” box to save the PowerPoint recording. This will save all the transitions, animations, and audio as a slideshow.

2. Where Does PowerPoint Save Recordings?

As I previously mentioned, typically PowerPoint saves the presentation recording as a video embedded into the presentation slide. You can access the complete recording only when you save your entire presentation and convert it into a video file.

This video file is saved in the same folder as the location of your original PowerPoint file. To find the recording or the slideshow, all you have to do is open the location of the PowerPoint presentation file.

2.1 Where does PowerPoint Save Recordings on Mac?

In Microsoft PowerPoint for Mac, you can save a presentation recording as an “MP4” or a “MOV” file. Just like Windows, you get an option to choose the location of the folder to save the video recording of your PowerPoint presentation.

That said, if you want to access just the video from the camera, it is usually saved in the “Movies” folder available on your Mac device.

3. How to Find Saved PowerPoint Recordings?

In Microsoft PowerPoint, you cannot select the destination for saving the default presentation recording as the files are saved within the presentation itself.

The difficult bit is often recognizing that the presentation has been recorded as it is often difficult to notice any change to the presentation at the end of the recording.

However, there are ways you can know that the presentation has been recorded and access the recordings!

Method-1: Click on the video inserted in the slide

When you record yourself presenting a Microsoft PowerPoint file, the recording is embedded in each slide as a video. To find the recording, all you have to do is open the slide and find the video embedded in there.

Method-2: Click on the “Video Exported Successfully” notification

When you save a presentation recording using the “Export to Video” option, the “Video exported successfully” notification will appear at the bottom of the screen. All you have to do is click on the notification to open the recorded video without having to look for it in your desktop files.

Method-3: Open the PowerPoint location

Since recordings are saved in the location of the original PowerPoint presentation file, you can simply open the file location to find the recorded presentation file.

4. Where does PowerPoint Save Audio?

In Microsoft PowerPoint, the recorded audio is embedded into each slide rather than saved as a separate file. You can find the recorded audio as the “Audio” icon which is a megaphone icon in the middle of the slide. To play the narration, all you have to do is click on the “Audio” icon on the slide during the presentation.

The timing of Reddit’s IPO is not a surprise .

The company’s free cash flow improved from –$100.3 million to –$84.8 million over the same timeframe.

The company may be making progress toward stemming the red ink that is missed in its annual figures. In the final quarter of 2023, Reddit not only posted what was at least a local maximum in revenue terms — $249.8 million — but also a net profit of $18.5 million. While the GAAP profit is notable for the fourth quarter, the company’s free cash flow was still negative in the period, ending the three-month period at –$22 million.

Reddit raised more than $1 billion while private, according to Crunchbase data . That figure includes a massive $410 million Series F raised in 2021 and a smaller $368 million Series E raised earlier the same year . The Series E pushed Reddit’s valuation to $6.4 billion, while its Series F took it to a roughly $10 billion valuation.

Both of those bubble-era valuations will be tested in Reddit’s now quickly forthcoming IPO. But the company’s debut will be more than a test for certain private-market startup valuations. Reddit is reportedly trying something novel in its own flotation.

An IPO with a twist

In what is broadly viewed as an unorthodox move, Reddit reportedly plans to reserve an undetermined number of shares for 75,000 of its users, according to the Wall Street Journal , which cited people familiar with the matter. Those users will be given the chance to scoop up shares of Reddit at its IPO price before the stock even begins trading — something typically reserved only for large investors.

Reddit’s IPO filing comes at an auspicious time. Reuters reported that Reddit has reached a deal with Google to allow the search giant to use its data. The publication pipped the deal’s value at around $60 million per year. That makes it worth roughly 7.5% of its 2023 revenue, a very nice tailwind for its 2024 results.

If Reddit is able to secure similar deals with other major AI model providers like OpenAI, it could see its revenue base expand from new sources this year in a manner that could undergird its first few quarters’ results as a public company.

Reddit is known to be a key source of data for LLMs, which could give the social media company a way to monetize from the current AI wave at very high gross margins.

In its S-1 filing, the company said that it is in the early stages of giving third parties the ability to “license access to search, analyze, and display historical and real-time data from our platform.” Investors love a growth story, and Reddit has a fresh revenue plank to crow about as it embarks on its eventual roadshow.

The investor pitch

The popular site is impressively growing its user base. The number of global daily active users (DAUs) climbed 27% in the three-month period ended December 31, 2023. For a site that has existed for a decade, that’s a significant achievement. Specifically, according to the filing, Reddit had more than 500 million visitors in December 2023 alone and an average of 73.1 million daily active unique users globally in the three months ended December 31.

Looking ahead, Reddit believes it still has plenty of opportunity to grow revenue through advertising. Unsurprisingly, it claims to be in the “early stages” of using machine learning and prediction models to “better match supply and demand and deliver return on investment” for its advertisers. Examples of that include using prediction models to do things like help better predict conversion rates of an ad.

Advertising revenues in the technology world have recovered to a degree, with companies like Meta and Amazon that sport massive ad incomes reporting earnings that included growth in that area of their larger business. After some time in the doldrums, the tides of the economy could be tilting back in Reddit’s favor.

Reddit wants to parlay its user growth into advertiser revenue growth. It ambitiously estimates that its total addressable market globally from advertising alone, not including China and Russia, to be a whopping $1.4 trillion. It’s talking specifically about desktop and mobile web, display, video and social direct response ads, in addition to search advertising.

Reddit is not an enterprise SaaS business, so it has a different business model than much of startup land. But if it does manage to price its IPO well and put up some strong early trading results, it could help nudge some other late-stage, private-market tech companies off the sidelines and into the IPO chute. Not only would that make your friendly local venture capital reporters happy, as we love the data that IPO filings bring to us as much as we love oxygen, a surge in public-market liquidity would also be a boon to venture investors long sitting on paper returns that they would love to convert to cash.

How to find and enable missing Copilot button in Microsoft 365 apps

Copilot is available in the Home ribbon tab of Word, Excel (Preview), PowerPoint, Outlook, and OneNote if you are a Copilot Pro subscriber who also has a subscription to Microsoft 365 Personal or Family.

If you have those subscriptions and are not seeing Copilot in these Microsoft 365 apps, follow these steps:

Important:  Copilot in Outlook only supports work or school accounts, and Microsoft accounts using outlook.com, hotmail.com, live.com, and msn.com email addresses at this time. Any Microsoft account using an account from a third-party email provider, such as a Gmail, Yahoo, or iCloud, can still use Outlook, but won’t have access to the Copilot features in Outlook.

Step 1 - Ensure you're using the correct account

Make sure you're signed into your Microsoft 365 apps with an account that has a Copilot license.

For home users ...this means you should have a Microsoft 365 Personal or Family subscription, and Copilot Pro.

For business users ...this means you should have a Microsoft 365 Business Standard, Business Premium, E3, or E5 subscription, and Microsoft Copilot for Microsoft 365.

Step 2 - Make sure that the current file is saved in that account

If you have multiple file locations available to you - such as your business OneDrive and your personal OneDrive - Copilot will only appear if the file you have open is saved to the location associated to your Copilot subscription.

For example, if you have Copilot through your work account, but not through your personal account, and you open a file from your personal OneDrive, Copilot won't work with that file.

For new, unsaved files, or files on your local hard drive, the current primary account shown at the top of the Microsoft 365 window must be licensed for Copilot.

Important:  Copilot in Excel requires AutoSave to be turned on, which means the file has to be saved to OneDrive. It currently doesn't work with unsaved files.

Step 3 - Refresh your license

Force a refresh of the license.

Note:  These steps must be done by the account administrator.

 In any Microsoft 365 app, go to File > Account .

Can't see name of video file embedded in Power Point anymore

I've opened a PPoint presentation created in version 2003 in my new PPoint 2010. I need to burn a CD with that presentation which includes several embedded video files. I need to find out the video file names so I can grab the actual video files and include them on the CD.

I used to just right-click on the video embedded in the slide and find out its name. I've been everywhere inside version 2010 and I can't seem to do it unless I had inserted that video as an object inside of a "movie" as it used to be called.

Can somebody help?

Have you tried the selection pane? Home Tab | Select | Selection Pane... This will list the name of the movie but not the path.

If the video is embedded, i don't see a way to get the original location. But info about all linked media can be viewed here:

File | Info | Look for View Links under Optimize Media Compatibility.

If the videos are truly embedded, you don't need to include the video files on the CD.  They're part of the PPTX file.

If they're linked, they need to be included on the CD.  One easy way to get a list of the linked videos and other linked files is to use the Links Report feature of my PPTools FixLinks add-in.  The Links Report is fully functional in the free demo version; no nags, no timeouts, etc.

    Select the chart area and press Ctrl+C. Select the location where you want to paste a picture of the chart, press Ctrl+Alt+V, and pick a Picture format. Select the original embedded chart and press Delete. To simply remove an embedded file or object, select it and press Delete.
