Choosing what to write in your motivational statement can be a challenging task, especially if you have experienced multiple and diverse professional/academical engagements throughout the years. This section will provide you with guidance on choosing the most relevant experiences to expound upon and the best way of structuring them in writing.

First of all, keep in mind that recruiters are primarily looking to read information that gives them a clear perception of the benefits you can offer the organization, if selected, and the ways in which you intend to help it to solve problems. To that end, a great way to display your skills and competencies is by choosing relevant stories from past professional or academic engagements where these competencies stood out. Remember to use keywords from the Competencies section of the UN YPP job opening for this part.

In chapter 06 of our UN YPP Manual for Candidates, we define what kind of work experience is considered as “relevant” for the UN YPP:

“Taking into consideration the UN recruitment guidelines, prior professional engagements are considered as ‘relevant’ if your duties are closely linked to the ‘Responsibilities’ outlined in the job opening you are applying for.”

  When choosing relevant facts/stories to share in your motivational statement, take the aforementioned definition into consideration, especially if you have had previous professional experience. Keep in mind, however, that the number one stipulation for an engagement to be considered “relevant” in the motivation statement section of your profile is that it showcase that you have the competencies required by the job opening you are applying for. An important volunteering activity that you engaged in, for example, although not directly related to your exam area, could be considered relevant if you tailor the story around the specific required competencies.

Keywords from the UN YPP job opening can also be used to display your knowledge of the organization. You can even demonstrate awareness of any particular challenges or developments the United Nations is currently facing within the specific exam area you are applying for.

Please note that there is no single way to structure your UN YPP motivation statement. The fundamental aspect of an effective structure is that the logical sequence of the parts is able to tell your story . Also, know that long texts should be avoided —one page is a good length to tackle the main topics. The maximum length for the UN YPP motivation statement is 2,000 characters (including spaces).

Checkpoints for a Motivation Statement

In this section, some general checkpoints have been listed for you to pay special attention to when writing and revising your motivational statement. Make sure to go through all of them prior to submitting your final version to Inspira.

As far as “language” is concerned, here is a list of aspects you should pay attention to:

– Avoid clichés, idioms and outdated language.

– Beware of errors in grammar, use of verb tense, and punctuation. Show that you have an understanding of the language’s basic rules. If possible, use a spell checker or have a proofreader analyze your content when you’ve finished writing your motivation statement.

– Give preference to writing out the full names of organizations, positions and people.

– Remember to use the first person singular to describe your personal accomplishments and achievements.

– A broad vocabulary should be used, which is appropriate for the United Nations, the competencies the program seeks, and the exam area.

– Do not use words and expressions without being sure of their meaning. Although it is important to have an extensive vocabulary, it is a mistake to think that you should misuse elaborate words which are hard to understand.

– Avoid repeating words and expressions, as they make the text tiresome and unattractive.

– Avoid slang, abbreviations (such as “asap” for example), or traces of the spoken word (that is, informal expressions typical of oral conversations).

– It is recommended that you refrain from using general terms, which demonstrate absolute certainty, such as: “always”, “never”, “every time”, “undoubtedly”, etc. Exchange these for softer expressions, such as: “possibly”, “one can imagine”, “probably”, and “it is inferred that”, among others.

  • Organization

Read your motivation statement and ask yourself why the sentences and paragraphs are arranged in that order. If you cannot find a justification, it is likely that your motivational statement is not logically organized;

  • Review your Motivation Statement

Doublecheck the grammar, spelling, verbal agreement, and cohesion, and especially check that the information is consistent with what you have put in your resume-style profile;

After finalizing your motivation statement, show it to your colleagues and ask them to provide sincere comments on its content and organization of ideas. In this way, any mistakes which you had not noticed in preparing the document can be identified and corrected.

Ideally, you should ask for the opinion of someone who does not have a close emotional tie with you or has enough maturity to be neutral, since, generally speaking, people who are very close are embarrassed about being critical, even when they have identified mistakes.

The United Nations Volunteers program requires you to have at least a couple of years of work experience prior to applying. For many international specialist roles, it requires 2-5 years of work experience as well as a Master’s degree. There are three types of UN volunteer locations. You can:

  • Volunteer abroad
  • Volunteer in your home country
  • Volunteer online

For each of these, you apply online through the UNV portal .

What do UN Volunteers do?

United Nations volunteers work along side United Nations staff in a variety of roles. A few job titles include: Human Rights Officer, Child Protection Officer, Social Protection Officer, Staff Counsellor, Nurse, Gender Based Violence Officer, Lawyer, Physician, Psychologist, Human Resources, Finance Officer, Shelter Officer, Resettlement, Teacher, Researcher, and more.

As you can see, there are countless positions. The great thing is that many of the roles will ask for a degree within a variety of sectors (social sciences, law, business administration, etc). This allows for individuals to apply to a variety of roles and does not always require a specific degree. UN Volunteers have expressed that they often feel they were treated and respected like staff. In terms of differences, the major difference would be that you would receive a volunteer living allowance instead of a salary.

Are United Nations Volunteers Paid?

UN Volunteers are not technically paid, however, they receive a Volunteer Living Allowance (VLA), affordable housing or assistance to find housing, flights, health insurance, etc.

The United Nations Volunteers provides the following allowances:

  • volunteer living allowance: a monthly allowance intended to cover basic living expenses (this is not a salary)
  • travel expenses: for travel to duty station upon appointment and for repatriation at the end of the assignment
  • settling-in-grant: a grant calculated on the duration of assignment, paid at the beginning of the assignment

  • annual leave
  • resettlement allowance: calculated based on the duration of assignment, paid upon satisfactory completion of the assignment.

What are the Requirements for United Nations Volunteer Jobs?

A university degree or higher technical diploma and at least two years of relevant work experience are among the minimum requirements to volunteer abroad with the UN.

Requests for assignments come from more than 140 countries and require a wide range of professional skills and competencies. They mobilize international UN Volunteers at the request of United Nations partner agencies to support their peace and development programmes.

First check whether you meet the minimum requirements below, and if so then you can register your profile in the UN Volunteers talent pool.

The minimum requirements to serve as an international UN Volunteer are:

  • 25 years old and older (no upper age limit)
  • university degree or higher technical diploma
  • at least two years of relevant work experience in a professional background
  • good working knowledge of at least one of UNV’s three working languages: English, French or Spanish
  • commitment to the values and principles of volunteerism
  • ability to work in a multicultural environment
  • willingness to work with people and local organizations to draw upon the synergies between expert solutions and local knowledge
  • ability to adjust in difficult living conditions and sometimes remote locations
  • strong interpersonal and organizational skills
  • prior volunteering and/or working experience in a developing country is an asset

What are the United Nations Volunteer Categories?

There are three assignment categories for internationals.

International Youth

You must meet minimum requirements plus any role-specific requirements.

International Specialist

In addition to meeting role-specific requirements, you generally need an advanced degree, like a Master’s degree, and five years of work experience.

International Expert

In addition to meeting role-specific requirements, you typically need an advanced degree, such as a Master’s degree, and 10 years of work experience.

How Does the United Nations Volunteer Recruitment Process Work?

The application process for United Nations Volunteers is straightforward.

  • Step 1: Create a profile on the UNV website and search for available positions that match your skills, education, language abilities, and work experience. Watch my YouTube video on how to get shortlisted for a UNV position here .
  • Step 2: Click apply. Write a short motivational letter. Click send.
  • Step 3: Wait for an email from UNV that states that your profile has been passed on to the host organization (UNICEF, UNDP, UNHCR, etc). This means you have passed the first shortlisting.
  • Step 4: Receive an email from the host agency with a time and date for an interview. This could be over the phone or by video. The interview is typically a panel and could include 2-4 UN staff. Watch my YouTube video for helpful UNV interview tips for competency based interviewing .
  • Step 5: Complete your interview. The interview will likely be short in duration (20-30 minutes). Typically they will ask 3-5 competency based interview style questions. Each of the questions will ask for you to reflect on your previous life and work experience and give an example of how you have demonstrated a specific skill or attribute. Some example questions could be: - “How have you demonstrated leadership in the past?” - “Tell me about a time when you dealt with a difficult co-worker, how did you handle it?” - “How do you demonstrate gender and inclusivity in the workplace?” - “Why are you the best candidate?”. If the position requires an additional language, they will typically ask you questions in that language during the interview.
  • Step 6: Receive an offer. Do a happy dance. Jet set off to your new duty station!

Tips for the UN Volunteer Process:

  • Provide an accurate representation of your work, volunteer, and language abilities in your application
  • Prepare for your interview by researching the competency based interviewing style and have answers prepared ahead of time
  • Target words in your application and motivational letter that directly correlate to the position you have applied to. I am unsure if there is a computer based system that pulls applications prior to a human being seeing it, but I have read this may be true. Therefore, put your best foot forward by using some of those words listed in the job posting to demonstrate you have the necessary qualifications and get your application SEEN.
  • Get experience within your home country with the populations you may encounter on a UNV assignment (refugees, low-income families, survivors of gender based violence, etc).
  • Remember that the UN Volunteers program want to see that you are someone that stands behind their values. Talk about shared values and mission in your motivational letter. What makes you stand out? What life experience do you have that makes you a strong candidate? How have you influenced others? Give examples.
  • Continue to check the UNV platform and apply frequently. You may need to send out 30+ applications before you hear back. That is OK. Be persistent.

How Long are UN Volunteer Contracts?

Most United Nations Volunteer contracts last 6-12 months. You can serve as a UN Volunteer for a maximum of four years. Once your assignment is complete, you may be offered the chance to renew and stay. Or, you can return home to apply for another UNV position.

Where do UN Volunteers Live While on Assignment?

United Nations volunteers live in a variety of places depending on their assignment. Sometimes they may live on a compound, in shared UN housing, or they live alone in their own form of housing. This could even include a converted shipping container or a tent depending on the country of assignment. The UN will let you know if there is a cost for housing, what that cost is, as well as assist you in finding your own housing if the UN does not provide this. Your Volunteer Living Allowance will always be enough to cover your expenses regardless of which country you are posted to.

Can I apply for a UN Staff position after completing a UN Volunteer Assignment?

You are never guaranteed a staff position after completing a UN Volunteer assignment. However, there are many UN staff that were once UNV’s themselves.

The UN career application tips specifically mention to use action verbs and avoid passive language and clichés. These tips are advisable for any cover letter, but because the UN specifically mentions that they want to see these grammar techniques, make sure to follow them closely. While you want to grab attention with your cover letter, make every word count and don’t include cheesy lines or cliché phrases that take away from your unique skills and experience.

Target your cover letter

We’ve already talked about how you want to keep the information in your cover letter relevant to the UN job you’re applying for. In addition to relevant experience, you want to make sure that the language you use matches the language the UN uses in their job descriptions. Target your cover letter to the job and to the audience, showing you understand the culture and purpose of the organization in addition to the actual job. If you decide to apply for multiple positions, tailor your cover letter for each position; don’t send one cover letter for multiple jobs. While all the jobs may be under the UN umbrella, each department, bureau, and team is looking for a specific skillset, qualification, attitude, and applicant.

Use “I” instead of “we”

Your cover letter is about you. So if you’re talking about work you did as part of a team or in a group or as part of an organization, make sure that you avoid “we” statements when talking about achievements and accomplishments. This doesn’t mean you should take credit for work you didn’t do alone, but make sure you spend most of your time highlighting the work you contributed to the team or project to show that you gained real, tangible experience, even as part of a group.

Demonstrate that you understand the job requirements/description

This might seem like the most obvious tip, but make sure that your cover letter shows that you understand the job requirements and description. How you talk about your experience and skills can make a difference if what you choose to highlight doesn’t match what the employer is looking for. If you’re applying for a position that you don’t fully understand, try to look at similar job postings or even search for articles on the internet that might help you better understand the exact nature of the position you are applying for. Job descriptions, especially for large organizations like the UN, usually don’t go into the day-to-day functions of the position, so make sure that you stay on topic and don’t try to guess what your responsibilities will be outside of what is listed in the posting.

Volunteering for a cause or organization that you care about is a tremendous opportunity to give back to your community or even the world.  For some organizations that simply involves showing up.  For others, it’s more like a job application process .  Including a motivation letter for volunteering with an application can improve your chances of being selected for the position or organization that you want to be a part of.  It helps to relay the passion and commitment that you have for the organization and the cause.

Why You Should Include a Motivation Letter for Volunteering

Volunteer organizations are about causes.  They serve a purpose and everyone there is dedicated to that purpose.  This could be anything from feeding local homeless, the Red Cross , or even trying to cure cancer.  When you have to apply to be a part of a volunteer organization, or when you are applying for a specific position or role in the organization, it can help to include a motivation letter that expresses your qualifications and passion for that cause.

In some cases, you may be volunteering for a sensitive position that requires more qualifications or sensitivities.  Examples of this could include volunteering to be a boy scout troop leader or perhaps a treasurer for an organization where you will be expected to keep records and handle money.  In these cases, the organization needs to know not just that you are passionate about their cause but that you also have the background and skills necessary for the role.  As some organizations have seen, picking the wrong people for these roles can have devastating consequences for the organization.

Just like employing the right people at a company, having the right people in the right positions for a volunteer organization is important to the organization’s success.  The leaders know that.  Including evidence of your qualifications and passion, like with a motivation letter, can help to show them that you are that right person.

Preparing to Write Your Motivation Letter

Often, when someone wants to volunteer with an organization, it’s because they have some connection to the cause.  For example, maybe it’s care about their community or because their mother was diabetic and the organization is looking for a cure for diabetes.  Maybe they care passionately about animal welfare.  Whatever the reason, this connection to the cause is a great starting point for their motivation letter.

So, the first step is to write down the organization’s cause.  Most organizations will have a mission statement that explains who they are and what they do.  For example, here is one from Doctors Without Borders (found in their charter ).

This can be a great place to start.  Simply copy their mission down.  If you can’t find it, or just don’t want to look, for many organizations, it can be as simple as writing down what you know about them.  The next part is the harder (and more important) step anyway.

The next part is a bit harder.  Write down any stories, connections, experiences that you have that are connected to their mission or purpose.  The ideal answer here is a story or personal connection.  That’s not always possible. It could just be that you love animals and want to be able to help them.  That’s not wrong.  We are looking to make an emotional connection with the organization, so the more personal and motivating, the better.

If the role you’re applying for has technical or other requirements, then write those down.  A two-column format can work well for this part.  Write down any skills or traits that are required.  A lot of times, this will be found on the organization’s website or any postings.  It doesn’t have to be complicated, though.  For example, if you want to be the treasurer, knowing how to do bookkeeping would be a great start.  Even knowing how to work a spreadsheet could be helpful.

On the other column, write down any traits that you have, experiences, training, or education that fulfill these needs.  These won’t always be something clear. For example, if working with kids, you could even include “able to pass a ten-year background check, no criminal record” in addition to any experience you have working with kids.  They just want to know that kids in their program will be safe with you.

What to include in your letter requesting volunteer work

When writing a letter requesting volunteer work, keep the following tips in mind:

  • Address your letter to the person who is going to work with you for this job description, not just “Dear community service coordinator”. This tells them that you have done your research and are familiar with their organization’s personnel.  Try to find the name of a real person.
  • Let them know that you are aware of the work they do and why their organization is important to you (in other words, your connection). How did you learn about this community service opportunity? How does it personally affect you? You may want to include a personal statement or story here. How did your grandmother volunteer in the past with this organization, and how does that affect you today? How did she help people through her service, and what did it do for her mental health?
  • How will you go about completing these tasks? How can you make yourself? How can you contribute to this organization? How do you feel that your knowledge and skills will benefit the organization in question? How will you make a difference? How can they contact you for more information?
  • Don’t forget to include your contact information in your letter requesting volunteer work, which should read like a formal business letter when complete (full name, address, phone number of contact info).
  • Keep your letter short and to the point by including only the most relevant information as it relates to your community service work at this organization.
  • Make sure that you address why your skills will fit into this organization’s position as well as the specific skills you have attained that will bring a plus to the community.
  • Include dates, times, and locations of your proposed volunteer work as well as how much time is required from their end to oversee this position.

How to Write Your Motivation Letter for Volunteering

Now that we have our information, we can start writing the motivation letter for the volunteer position.  For motivation letters, we recommend a simple three-part structure.  This makes writing the letter easier, it’s easier to read and it does the job.  It’s also pretty normal how to write such a letter.

The parts of a motivation letter include

  • Introduction – In the opening part of the letter, you will introduce yourself, the role you want and you can tease why you’re a great candidate.
  • Body – This will be the bulk of your letter and where the work we just did will be used.  This is usually 1-3 paragraphs.
  • Conclusion – You’ll wrap things up, thank them for their time and offer to keep talking.

This structure works well and is easy to write.  While we call it a letter, these will often go out as emails.  We’re going to use a formal letter as a sample, mostly because many people these days don’t send formal letters and may not remember the format.  For an email, you can remove all the address information.

Ideally, your letter shouldn’t be to a generic person (i.e. not “To Whom It May Concern”.)  You’d like to address it to someone.  If you know who is recruiting, that’s a great person.  In a smaller organization, you could even address it to the head of the organization.  If you’re sending it as an email, use the person you’re sending it to.

To get started, you’re going to write the body first.  Take the work you did before and write 1-3 paragraphs on why this is the volunteer position for you and why you are qualified.

The first paragraph (or two if you need it) can be why you are passionate about this cause and why this means something to you.

Then you can spend some time, if it fits the position, giving any background or experience that you have for the position.  You can explain experience, qualifications, or just traits that make you suited for the position that you are looking to join in the organization.

Once your body is complete, it’s pretty easy from there.  In the introduction, start with a simple introduction of who you are followed by what you’re trying to do.  Then you can include 1-2 sentences wrapping up why you are the person for this role.

Then you can write your conclusion thanking them for their time, offering to meet with them, and providing your phone and email.

That’s it. Your letter is done.  Before you send it, though, there are a few things to do:

  • Check your spelling.  At a minimum, use a spell checker.  However, a program like Grammarly is great for finding spelling errors and simple grammatical errors.  They have a free version that does the job.
  • Double-check your grammar.  You want to look professional.
  • You should have someone read it over.  Most of us miss things when editing our own writing.  Someone who hasn’t read it before is likely to pick up errors or tones that we miss.

Now Send Your Letter

Okay, there you go. You’re done.  Send it off.  You can mail or email it.  You can even follow up a couple of days later.
