How to Write a Report: A Guide to Report Format and Best Practice

A report is a nonfiction account that presents and/or summarizes the facts about a particular event, topic, or issue. The idea is that people who are unfamiliar with the subject can find everything they need to know from a good report. 

Reports make it easy to catch someone up to speed on a subject, but actually writing a report is anything but easy. So to help you understand what to do, below we present a little report of our own, all about report writing and report format best practices.

In technical terms, the definition of a report is pretty vague: any account, spoken or written, of the matters concerning a particular topic. This could refer to anything from a courtroom testimony to a grade schooler’s book report . 

Really, when people talk about “reports,” they’re usually referring to official documents outlining the facts of a topic, typically written by an expert on the subject or someone assigned to investigate it. There are different types of reports, explained in the next section, but they mostly fit this description. 

What kind of information is shared in reports? Although all facts are welcome, reports, in particular, tend to feature these types of content: 

  • Details of an event or situation
  • The consequences or ongoing effect of an event or situation
  • Evaluation of statistical data or analytics
  • Interpretations from the information in the report
  • Predictions or recommendations based on the information in the report
  • How the information relates to other events or reports

Reports are closely related to essay writing , although there are some clear distinctions. While both rely on facts, essays add the personal opinions and arguments of the authors. Reports typically stick only to the facts, although they may include some of the author’s interpretation of these facts, most likely in the conclusion. 

Moreover, reports are heavily organized, commonly with tables of contents and copious headings and subheadings. This makes it easier for readers to scan reports for the information they’re looking for. Essays, on the other hand, are meant to be read start to finish, not browsed for specific insights. 

There are a few different types of reports, depending on the purpose and to whom you present your report. Here’s a quick list of the common types of reports:

  • Academic report: Tests a student’s comprehension of the subject matter, such as book reports, reports on historical events, and biographies 
  • Business reports: Identifies information useful in business strategy, such as marketing reports, internal memos, SWOT analysis, and feasibility reports
  • Scientific reports: Shares research findings, such as research papers and case studies, typically in science journals

Reports can be further divided into categories based on how they are written. For example, a report could be formal or informal, short or long, and internal or external. In business, a vertical report shares information with people on different levels of the hierarchy (i.e., people who work above you and below you), while a lateral report is for people on the author’s same level, but in different departments. 

There are as many types of reports as there are writing styles, but in this guide, we focus on academic reports, which tend to be formal and informational.

The report format depends on the type of report and the requirements of the assignment. While reports can use their own unique structure, most follow this basic template:

  • Executive summary: Just like an abstract in an academic paper, an executive summary is a standalone section that summarizes the findings in your report so readers know what to expect. These are mostly for official reports and less so for school reports. 
  • Introduction: Setting up the body of the report, your introduction explains the overall topic that you’re about to discuss, with your thesis statement and any need-to-know background information before you get into your own findings. 
  • Body: The body of the report explains all your major discoveries, broken up into headings and subheadings. The body makes up the majority of the entire report; whereas the introduction and conclusion are just a few paragraphs each, the body can go on for pages. 
  • Conclusion: The conclusion is where you bring together all the information in your report and come to a definitive interpretation or judgment. This is usually where the author inputs their own personal opinions or inferences.  

If you’re familiar with how to write a research paper , you’ll notice that report writing follows the same introduction-body-conclusion structure, sometimes adding an executive summary. Reports usually have their own additional requirements as well, such as title pages and tables of content, which we explain in the next section. 

There are no firm requirements for what’s included in a report. Every school, company, laboratory, task manager, and teacher can make their own format, depending on their unique needs. In general, though, be on the lookout for these particular requirements—they tend to crop up a lot: 

  • Title page: Official reports often use a title page to keep things organized; if a person has to read multiple reports, title pages make them easier to keep track of. 
  • Table of contents: Just like in books, the table of contents helps readers go directly to the section they’re interested in, allowing for faster browsing. 
  • Page numbering: A common courtesy if you’re writing a longer report, page numbering makes sure the pages are in order in the case of mix-ups or misprints.
  • Headings and subheadings: Reports are typically broken up into sections, divided by headings and subheadings, to facilitate browsing and scanning. 
  • Citations: If you’re citing information from another source, the citations guidelines tell you the recommended format.
  • Works cited page: A bibliography at the end of the report lists credits and the legal information for the other sources you got information from. 

As always, refer to the assignment for the specific guidelines on each of these. The people who read the report should tell you which style guides or formatting they require. 

Now let’s get into the specifics of how to write a report. Follow the seven steps on report writing below to take you from an idea to a completed paper. 

1 Choose a topic based on the assignment

Before you start writing, you need to pick the topic of your report. Often, the topic is assigned for you, as with most business reports, or predetermined by the nature of your work, as with scientific reports. If that’s the case, you can ignore this step and move on. 

If you’re in charge of choosing your own topic, as with a lot of academic reports, then this is one of the most important steps in the whole writing process. Try to pick a topic that fits these two criteria: 

  • There’s adequate information: Choose a topic that’s not too general but not too specific, with enough information to fill your report without padding, but not too much that you can’t cover everything. 
  • It’s something you’re interested in: Although this isn’t a strict requirement, it does help the quality of a report if you’re engaged by the subject matter. 

Of course, don’t forget the instructions of the assignment, including length, so keep those in the back of your head when deciding. 

2 Conduct research

With business and scientific reports, the research is usually your own or provided by the company—although there’s still plenty of digging for external sources in both. 

For academic papers, you’re largely on your own for research, unless you’re required to use class materials. That’s one of the reasons why choosing the right topic is so crucial; you won’t go far if the topic you picked doesn’t have enough available research. 

The key is to search only for reputable sources: official documents, other reports, research papers, case studies, books from respected authors, etc. Feel free to use research cited in other similar reports. You can often find a lot of information online through search engines, but a quick trip to the library can also help in a pinch. 

3 Write a thesis statement

Before you go any further, write a thesis statement to help you conceptualize the main theme of your report. Just like the topic sentence of a paragraph, the thesis statement summarizes the main point of your writing, in this case, the report. 

Once you’ve collected enough research, you should notice some trends and patterns in the information. If these patterns all infer or lead up to a bigger, overarching point, that’s your thesis statement. 

For example, if you were writing a report on the wages of fast-food employees, your thesis might be something like, “Although wages used to be commensurate with living expenses, after years of stagnation they are no longer adequate.” From there, the rest of your report will elaborate on that thesis, with ample evidence and supporting arguments. 

It’s good to include your thesis statement in both the executive summary and introduction of your report, but you still want to figure it out early so you know which direction to go when you work on your outline next. 

4 Prepare an outline

Writing an outline is recommended for all kinds of writing, but it’s especially useful for reports given their emphasis on organization. Because reports are often separated by headings and subheadings, a solid outline makes sure you stay on track while writing without missing anything. 

Really, you should start thinking about your outline during the research phase, when you start to notice patterns and trends. If you’re stuck, try making a list of all the key points, details, and evidence you want to mention. See if you can fit them into general and specific categories, which you can turn into headings and subheadings respectively. 

5 Write a rough draft

Actually writing the rough draft , or first draft, is usually the most time-consuming step. Here’s where you take all the information from your research and put it into words. To avoid getting overwhelmed, simply follow your outline step by step to make sure you don’t accidentally leave out anything. 

Don’t be afraid to make mistakes; that’s the number one rule for writing a rough draft. Expecting your first draft to be perfect adds a lot of pressure. Instead, write in a natural and relaxed way, and worry about the specific details like word choice and correcting mistakes later. That’s what the last two steps are for, anyway. 

6 Revise and edit your report

Once your rough draft is finished, it’s time to go back and start fixing the mistakes you ignored the first time around. (Before you dive right back in, though, it helps to sleep on it to start editing fresh, or at least take a small break to unwind from writing the rough draft.) 

We recommend first rereading your report for any major issues, such as cutting or moving around entire sentences and paragraphs. Sometimes you’ll find your data doesn’t line up, or that you misinterpreted a key piece of evidence. This is the right time to fix the “big picture” mistakes and rewrite any longer sections as needed.

7 Proofread and check for mistakes

Last, it pays to go over your report one final time, just to optimize your wording and check for grammatical or spelling mistakes. In the previous step you checked for “big picture” mistakes, but here you’re looking for specific, even nitpicky problems.

What your child will learn at school

In Year 1 (age 5–6), your child will learn to:

  • Saying what they are going to write about out loud
  • Composing a sentence orally before writing it
  • Sequencing sentences to form short narratives
  • Re-reading what they have written to check that it makes sense.
  • Discuss what they have written with the teacher or other pupils
  • Read aloud their writing clearly enough to be heard by their peers and the teacher.

When you’re assigned to write a report, it can seem like an intimidating process. Fortunately, if you pay close attention to the report prompt, choose a subject you like, and give yourself plenty of time to research your topic, you might actually find that it’s not so bad. After you gather your research and organize it into an outline, all that’s left is to write out your paragraphs and proofread your paper before you hand it in!

Selecting Your Topic

Step 1 Read the report prompt or guidelines carefully.

  • The guidelines will also typically tell you the requirements for the structure and format of your report.
  • If you have any questions about the assignment, speak up as soon as possible. That way, you don’t start working on the report, only to find out you have to start over because you misunderstood the report prompt.

Step 2 Choose a topic

  • For instance, if your report is supposed to be on a historical figure, you might choose someone you find really interesting, like the first woman to be governor of a state in the U.S., or the man who invented Silly Putty.
  • If your report is about information technology , you could gather information about the use of computers to store, retrieve, transmit, and manipulate data or information.
  • Even if you don’t have the option to choose your topic, you can often find something in your research that you find interesting. If your assignment is to give a report on the historical events of the 1960s in America, for example, you could focus your report on the way popular music reflected the events that occurred during that time.

Tip: Always get approval from your teacher or boss on the topic you choose before you start working on the report!

Step 3 Try to pick a topic that is as specific as possible.

  • If you’re not sure what to write about at first, pick a larger topic, then narrow it down as you start researching.
  • For instance, if you wanted to do your report on World Fairs, then you realize that there are way too many of them to talk about, you might choose one specific world fair, such as the Panama-Pacific International Exposition, to focus on.
  • However, you wouldn’t necessarily want to narrow it down to something too specific, like “Food at the Panama-Pacific International Exposition,” since it could be hard to find sources on the subject without just listing a lot of recipes.

Researching the Report

Step 1 Include a variety...

  • If you don’t have guidelines on how many sources to use, try to find 1-2 reputable sources for each page of the report.
  • Sources can be divided into primary sources, like original written works, court records, and interviews, and secondary sources, like reference books and reviews.
  • Databases, abstracts, and indexes are considered tertiary sources, and can be used to help you find primary and secondary sources for your report. [5] X Research source
  • If you’re writing a business report , you may be given some supplementary materials, such as market research or sales reports, or you may need to compile this information yourself. [6] X Research source

Step 2 Visit the library first if you’re writing a report for school.

  • Librarians are an excellent resource when you're working on a report. They can help you find books, articles, and other credible sources.
  • Often, a teacher will limit how many online sources you can use. If you find most of the information you need in the library, you can then use your online sources for details that you couldn’t find anywhere else.

Tip: Writing a report can take longer than you think! Don't put off your research until the last minute , or it will be obvious that you didn't put much effort into the assignment.

Step 3 Use only scholarly sources if you do online research.

  • Examples of authoritative online sources include government websites, articles written by known experts, and publications in peer-reviewed journals that have been published online.

Step 4 Cross-reference your sources to find new material.

  • If you’re using a book as one of your sources, check the very back few pages. That’s often where an author will list the sources they used for their book.

Step 5 Keep thorough notes...

  • Remember to number each page of your notes, so you don’t get confused later about what information came from which source!
  • Remember, you’ll need to cite any information that you use in your report; however, exactly how you do this will depend on the format that was assigned to you.

Step 6 Use your research...

  • For most reports, your thesis statement should not contain your own opinions. However, if you're writing a persuasive report, the thesis should contain an argument that you will have to prove in the body of the essay.
  • An example of a straightforward report thesis (Thesis 1) would be: “The three main halls of the Panama-Pacific International Exposition were filled with modern creations of the day and were an excellent representation of the innovative spirit of the Progressive era.”
  • A thesis for a persuasive report (Thesis 2) might say: “The Panama-Pacific International Exposition was intended as a celebration of the Progressive spirit, but actually harbored a deep racism and principle of white supremacy that most visitors chose to ignore or celebrate.”

Step 7 Organize your notes...

  • The purpose of an outline is to help you to visualize how your essay will look. You can create a straightforward list or make a concept map , depending on what makes the most sense to you.
  • Try to organize the information from your notes so it flows together logically. For instance, it can be helpful to try to group together related items, like important events from a person’s childhood, education, and career, if you’re writing a biographical report.
  • Example main ideas for Thesis 1: Exhibits at the Court of the Universe, Exhibits at the Court of the Four Seasons, Exhibits at the Court of Abundance.

Tip: It can help to create your outline on a computer in case you change your mind as you’re moving information around.

Writing the First Draft

Step 1 Format the report according to the guidelines you were given.

  • Try to follow any formatting instructions to the letter. If there aren't any, opt for something classic, like 12-point Times New Roman or Arial font, double-spaced lines, and 1 in (2.5 cm) margins all around.
  • You'll usually need to include a bibliography at the end of the report that lists any sources you used. You may also need a title page , which should include the title of the report, your name, the date, and the person who requested the report.
  • For some types of reports, you may also need to include a table of contents and an abstract or summary that briefly sums up what you’ve written. It’s typically easier to write these after you’ve finished your first draft. [14] X Research source

Step 2 State your thesis...

  • Example Intro for Thesis 1: “The Panama-Pacific International Exposition (PPIE) of 1915 was intended to celebrate both the creation of the Panama Canal, and the technological advancements achieved at the turn of the century. The three main halls of the PPIE were filled with modern creations of the day and were an excellent representation of the innovative spirit of the Progressive era.”

Step 3 Start each paragraph in the body of the report with a topic sentence.

  • Typically, you should present the most important or compelling information first.
  • Example topic sentence for Thesis 1: At the PPIE, the Court of the Universe was the heart of the exposition and represented the greatest achievements of man, as well as the meeting of the East and the West.

Tip: Assume that your reader knows little to nothing about the subject. Support your facts with plenty of details and include definitions if you use technical terms or jargon in the paper.

Step 4 Support each topic sentence with evidence from your research.

  • Paraphrasing means restating the original author's ideas in your own words. On the other hand, a direct quote means using the exact words from the original source in quotation marks, with the author cited.
  • For the topic sentence listed above about the Court of the Universe, the body paragraph should go on to list the different exhibits found at the exhibit, as well as proving how the Court represented the meeting of the East and West.
  • Use your sources to support your topic, but don't plagiarize . Always restate the information in your own words. In most cases, you'll get in serious trouble if you just copy from your sources word-for-word. Also, be sure to cite each source as you use it, according to the formatting guidelines you were given. Step 5 Follow your evidence with commentary explaining why it links to your thesis.

  • Your commentary needs to be at least 1-2 sentences long. For a longer report, you may write more sentences for each piece of commentary.

Step 6 Summarize your research...

  • Avoid presenting any new information in the conclusion. You don’t want this to be a “Gotcha!” moment. Instead, it should be a strong summary of everything you’ve already told the reader.

Revising Your Report

Step 1 Scan the report to make sure everything is included and makes sense.

  • A good question to ask yourself is, “If I were someone reading this report for the first time, would I feel like I understood the topic after I finished reading?

Tip: If you have time before the deadline, set the report aside for a few days . Then, come back and read it again. This can help you catch errors you might otherwise have missed.

Step 2 Check carefully for proofreading errors.

  • Try reading the report to yourself out loud. Hearing the words can help you catch awkward language or run-on sentences you might not catch by reading it silently.

Step 3 Read each sentence from the end to the beginning.

  • This is a great trick to find spelling errors or grammatical mistakes that your eye would otherwise just scan over.

Step 4 Have someone else proofread it for you.

  • Ask your helper questions like, “Do you understand what I am saying in my report?” “Is there anything you think I should take out or add?” And “Is there anything you would change?”

Step 5 Compare your report to the assignment requirements to ensure it meets expectations.

  • If you have any questions about the assignment requirements, ask your instructor. It's important to know how they'll be grading your assignment.

Reports are informative pieces of writing that give information to the reader about a certain topic. For example: space, the bald eagle, Scotland, flags of the world or anything else you’re interested in.

Report rules

All the information must be about the same topic.

You should provide the audience with lots of facts and evidence rather than personal opinions.

Reports must be set out clearly with a title, introduction, paragraphs, subheadings and images . (Subheadings are little titles for each paragraph, or group of paragraphs, to explain what they are about.)

They should be written in a formal tone (like how you would speak to your head teacher).

They should be written in the present tense (as if the actions are happening now).

Using formal language

The purpose of your writing, as well as your audience, will help you decide whether to use a formal or informal style of language.

In an informative report, formal language is used and may include the following features:

  • A serious tone
  • Language that is clear and to the point
  • Specialist vocabulary for the subject
  • No slang or contractions ( there is instead of there’s )
  • Complex sentences

The term “report” refers to a nonfiction work that presents and/or paraphrases the facts on a specific occasion, subject, or problem. The notion is that a good report will contain all the information that someone who is not familiar with the subject needs to know. Reports make it simple to bring someone up to speed on a subject, but actually writing a report is far from simple. This blog will walk you through the fundamentals of report writing, including the structure and practice themes.

A report is a short document written for a particular purpose or audience. It usually sets out and analyses a problem often recommended for future purposes. Requirements for the precise form of the report depend on the department and organization. Technically, a report is defined as “any account, verbal or written, of the matters pertaining to a given topic.” This could be used to describe anything, from a witness’s evidence in court to a student’s book report.

Actually, when people use the word “report,” they usually mean official documents that lay out the details of a subject. These documents are typically written by an authority on the subject or someone who has been tasked with conducting research on it. Although there are other forms of reports, which are discussed in the following section, they primarily fulfil this definition.

What information does reporting contain? All facts are appreciated, but reports, in particular, frequently contain the following kinds of information:

  • Information about a circumstance or event
  • The aftereffects or ongoing impact of an incident or occurrence
  • Analytical or statistical data evaluation
  • Interpretations based on the report’s data
  • Based on the report’s information, make predictions or suggestions
  • Relationships between the information and other reports or events

Although there are some fundamental differences, producing reports and essays share many similarities. Both rely on facts, but essays also include the author’s personal viewpoints and justifications. Reports normally stick to the facts only, however, they could include some of the author’s interpretation in the conclusion.

Reports are also quite well ordered, frequently with tables of contents of headers and subheadings. This makes it simpler for readers to quickly scan reports for the data they need. Essays, on the other hand, should be read from beginning to end rather than being perused for particular information.

Depending on the objective and audience for your report, there are a few distinct types of reports. The most typical report types are listed briefly below:

  • Academic report: Examines a student’s knowledge of the subject; examples include book reports, historical event reports, and biographies.
  • Identifies data from company reports, such as marketing reports, internal memoranda, SWOT analyses, and feasibility reports, that is useful in corporate planning.
  • Shares research findings in the form of case studies and research articles, usually in scientific publications.

Depending on how they are written, reports can be further categorised. A report, for instance, could be professional or casual, brief or lengthy, and internal or external. A lateral report is for persons on the author’s level but in separate departments, whereas a vertical report is for those on the author’s level but with different levels of the hierarchy (i.e., people who work above you and below you).

Report formats can be as varied as writing styles, but in this manual, we’ll concentrate on academic reports, which are often formal and informational.

Major Types of Reports

While the most common type of reports corresponds to the ones we read in newspapers and magazines, there are other kinds of reports that are curated for business or research purposes. Here are the major forms of report writing that you must know about:

The main purpose of newspaper or magazine reports is to cover a particular event or happening. They generally elaborate upon the 4Ws and 1H, i.e. What, Where, When, Why, and How. The key elements of newspaper or magazine report writing are as follows:

  • Headline (Title)
  • Report’s Name, Place, and Date
  • Conclusion (Citation of sources)

Business reports aim to analyze a situation or case study by implementing business theories and suggest improvements accordingly. In business report writing, you must adhere to a formal style of writing and these reports are usually lengthier than news reports since they aim to assess a particular issue in detail and provide solutions. The basic structure of business reports includes:

  • Table of Contents
  • Executive summary
  • Findings/Recommendations

The main purpose of the technical report is to provide an empirical explanation of research-based material. Technical report writing is generally carried out by a researcher for scientific journals or product development and presentation, etc. A technical report mainly contains 

  • Introduction
  • Experimental details
  • Results and discussions
  • Body (elaborating upon the findings)

A report is a written record of what you’ve seen, heard, done, or looked into. It is a well-organized and methodical presentation of facts and results from an event that has already occurred. Business reports and technical reports don’t have a uniform structure and are generally based on the topic or content they are elaborating on. The report writing structure for students in grades 10 and 12 is as follows.

  • Heading :  A title that expresses the contents of the report in a descriptive manner.
  • Byline : The name of the person who is responsible for drafting the report. It’s usually included in the query. Remember that you are not allowed to include any personal information in your response.
  •  (introduction) : The ‘5 Ws,’ or WHAT, WHY, WHEN, and WHERE, as well as WHO was invited as the main guest, might be included.
  • The account of the event in detail : The order in which events occurred, as well as their descriptions. It is the primary paragraph, and if necessary, it can be divided into two smaller paragraphs.
  • Conclusion : This will give a summary of the event’s conclusion. It might include quotes from the Chief Guest’s address or a summary of the event’s outcome.

  • As a reporter for the Delhi Times, you are assigned to report on the influx of migrants coming from other states of the country. Take an official statement to justify your report.
  • There is a cultural program in Central Park Rajiv Chowk New Delhi. The home minister of India is supposed to attend the event apart from other delegates. Report the event within the 150-200 word limit. 
  • Write today’s trend of COVID-19 cases in India. As per the official statement. include all the necessary details and factual information. Mention the state with a higher number of cases so far.
  • In Jawaharlal Nehru Stadium in New Delhi, a table tennis tournament was held between Delhi Public School New Delhi and DPS Punjab. Report the event in 250-300 words.

Make sure that every piece of information you have supplied is pertinent. Remember to double-check your grammar, spelling, tenses, and the person you are writing in. Topic outline.

The purpose of a report is often to present relevant information in an ordered way and to make carefully considered suggestions based on that information.

Reports are usually a mixture of fact and opinion, reflecting on key facts and details to offer suggestions to the reader.

Reports can also be used to offer an objective view of a situation, proposing alternatives for the reader to consider.

For example, reports in a workplace might include statistics to support different plans for the future of the business so that people can decide on the best option.

The audience of a report is often someone in charge, for example a teacher, or an employer, so the language and tone of a report tends to be more formal.

  • think about the audience that the report is for – are you writing this report for one reader, or for a group of people such as the organisers of an event?
  • the impression you want your reader to have of you – usually a report should be impersonal and relatively formal since you are writing to someone who is in charge. You would not normally use slang or contractions ( such as don’t or can’t) .It is usually best to avoid attempts at humour or sarcasm
  • the purpose for the report – you may have been asked to make suggestions or recommendations in your report based on personal experience, or to offer an overview of a more complex situation. Try to include a range of topic related vocabulary used appropriately
  • how to reassure your reader that your report is going to be useful – i magine if your report was full of emotive words and personal appeals based on your own viewpoint, your reader might not be convinced that you were offering them an objective and accurate evaluation. For your report to be effective you will need to sound calm and polite.
  • Identify and group the key information, facts and details your report needs to include before you start writing – the structure of a report is usually in three parts. For example:
  • An overview – briefly introduce the topic of the report and the key areas you will consider. Your reader should be able to understand what you will be writing about and why by just reading this section.
  • A middle – develop and support the relevant facts and opinions about the topic that you or others have noticed.
  • An end – offer a brief summary of your suggestions, recommendations or solutions. Here you might like to include any new points you think should be considered in the future .
  • Organise different aspects of the report into paragraphs as appropriate – this will help you to explain, develop and support your points.
  • Help your reader to locate the information they need more easily – a report should be well-organised and clear. Reports often use headings to show the reader what information can be found in each section. Sometimes bullet points might also be used to highlight key information to the reader. Do not overdo these, but a precise, short, bulleted list can help to draw your reader’s attention to the key points you are making.
  • Connect the points you are making logically – for example, where you are offering suggestions based on points you made earlier you might use a linking word or phrase such as ‘in conclusion’, ‘as a consequence’ or ‘finally’.

Imagine the scene. It’s exam day. You’re nearly at the end of your Cambridge English B2 First exam . You’ve just finished writing Part 1 – the essay , and now it’s time to start Part 2. So you turn over the page to find three options:

– A review you know

– An article you’ve seen before

– But what’s this? A report??*

Don’t be intimidated. A report is another formal writing task. And it’s actually quite formulaic, which makes it a popular choice for students in Writing Part 2. It’s also a great opportunity to show you can communicate factual information, in a formal tone with clear organisation.

Three steps to writing a report for Cambridge B2 First

Let’s begin by taking a look at a typical question for the report.

Step One: Make a plan

Before you put pen to paper and start your report, hold your horses . A plan is the best chance you have for success. Start by asking these two questions:

1. Who is the report for?

Take a look at the reader of your report. It’s normally a teacher, a superior or a peer group like the members of a book club. In this case your audience is a group leader . That means you should keep the tone nice and formal . Try to avoid contractions, colloquial language and keep it polite.

2. What do you have to do?

Look at the question and underline all the key parts. This will help focus your attention on the task in hand and decide how to organise your report.

There’ll normally be two or three things they want you to do and you’ll always be asked to give a recommendation or suggestion.

The structure is the bones of your report. It’s so important because it holds everything together. Here’s one way to organise your report but perhaps you have another idea?

1. Introduction

2. How technology is used in subject X

3. How technology is used in subject Y

4. Your recommendation for which lesson the teacher should watch

The trick is to keep the structure nice and simple. And always check you’re answering the question.

Brainstorm:

Now you have a clear outline, consider the main topic paragraphs and what you want to include. If you get stuck , think about your own real life experiences. How is technology used in your own lessons at school? Make some notes on your ideas.

Step Two: Write it

If you haven’t skipped the planning stage, writing your report should be easy. An important thing to add here is that reports often contain subheadings. In fact, in the B2 First exam they are strongly encouraged!

Introduction

Remember that a report is a document that presents information in a clear and organised way. Think about science reports or statistical reports. They have strong introductions that clearly state their aims.

Useful language:

  • The aim / purpose / intention of this report is to…
  • In this report I will look at…
  • This report is based on…
  • This report is intended to…

Just make sure you don’t copy words from the question exactly, and instead try to paraphrase .

Main body of report

This is where we get to the main body of the report. Again, we want to keep it really clear and organised and one way to do that is with bullet points or numbering .

However, don’t overdo it. If you use bullets and numbering in one section, avoid using them in the next. You want to show off that you can write well in English and use a wide range of vocabulary and structures. You also want to use some fancy, formal sounding linkers to connect your ideas.

  • It appears that…
  • According to…
  • One way…
  • Another way…
  • Furthermore / In addition…

Now move on to your second paragraph. Try to stay general and avoid personal anecdotes. Don’t start talking about what you like to do at school in your technology classes or what you had for dinner last night. Instead, keep things relevant to the task.

A good way to do this is by using passive reporting verbs:

  • It is generally believed that…
  • It is thought that…
  • One way in which technology is used…
  • X is considered to be…

Remember to expand on your points giving reasons for your ideas. And if you do everything right, your second paragraph may look something like this.

Recommendations

Here’s the fun part! This is where you can look back at your ideas and give your own opinion. Make sure you mention the ideas from the previous paragraphs and don’t forget to give reasons why.

  • I would recommend / suggest + object + infinitive (no to)…
  • Based on all the findings…
  • Although both… , I think that…
  • It would seem that……

If you run out of things to say – remember you can mention the weaknesses of the other option.

Step Three: Check it

Now hopefully you’ve written a report to be proud of. The only thing left to do is to refine it before the time is up !

Make sure you’ve:

  • answered all parts of the question, including making a recommendation/suggestion
  • used formal language and no contractions like I’m, It’s, haven’t etc.
  • written subheadings for each paragraph
  • used correct spelling and punctuation
  • linked your sentences with connectors eg. However, Because, Although, Furthermore, etc .

hold your horses (exp): used to tell someone to stop and consider carefully their decision or opinion about something.

the bones of sth. (n): the structure or main idea of something.

get stuck (v): to be in a position where you’re unable to move.

skipped (v): missed out to move on to the next thing.

paraphrase (n): to say something in a different way but so it means the same.

overdo (v): to do too much of something.

show off (pv): to show your abilities and accomplishments.

expand on (v): to develop an idea.

run out of (pv): to deplete / to be used up.

time is up (exp): the time allowed is finished.

exp = expression

pv = phrasal verb

Writing an annual report can be an overwhelming task to undertake. In this article, we’ll cover what an annual report is, what to include in it, and a step-by-step guide on how to write one.

What’s an Annual Report?

An annual report is a comprehensive overview of a business. It covers the business’s accomplishments in the past year, including growth, projections, impacts, and financial statements. Typically, annual reports are for the shareholders and stakeholders of a company and showcase how their investments have benefited the company. The report also presents future plans and goals.

What to Include in an Annual Report

An annual report can include a lot of information such as financial statements, sales, product descriptions, growth projections, and research and development activity from the past year. It can range from 10 to 100 pages depending on how in-depth you showcase your business and what your shareholders and stakeholders want to know. Here’s a brief list of what you might need to include in your annual report:

●  Sales numbers

●  A letter from the CEO

●  Future product or service plans

●  Market information and projections

●  Marketing strategies

Writing an Annual Report

1. plan and prepare.

Before writing, make a list of what you need to include in the report. You can start with the items listed above. Ask a supervisor or send out a survey to your customers and investors on what information they would like to be updated on.

2. Collect Data, Stats, Forms, and Statements

Once you have an idea of what you want to include in the report, collect all needed secondary information and data. This may include sales reports, financial statements, and customer reviews. Be thorough and make sure you have all the necessary documents to impress your readers.

3. Outline Goals, Projects, and Future Plans

This is the main purpose of an annual report. Stakeholders, shareholders, customers, and even employees want to know where the company or business is going. They need to see growth, stability, and security. For example, are you planning to expand your business ? Do you have a new product or service in the making? Are you wanting to meet certain sales figures? Do you plan to revamp your marketing strategy or hire new employees? Be sure you have clear answers to these questions before you start writing your report.

4. Outline Your Annual Report

Now that you have all the information needed, you can start outlining and organizing your annual report. While you should always start by introducing who you are as a business, the rest is up to you (assuming you don’t have an outline to work from). Be sure to also include any negatives from the past year, such as not meeting sales expectations or high employee turnover. Be transparent and authentic and provide explanations and solutions.

An additional section to consider is an executive summary so people can get an overview of the report if they don’t have the time to read 100 pages. For this same reason, you should consider putting the most important information at the front of the report.

Depending on how long your report is or how many sections you hope to cover, writing is probably the most daunting part of the process. However, if you have all the required information gathered and a solid outline, it shouldn’t take too long or be too tedious. Here are some tips for business writing :

●  Be brief and to the point

●  If possible avoid excessive jargon or technical terms

●  Use a consistent tone

●  Use the active voice

●  Keep it simple

●  Make it skimmable (short paragraphs, bullet and numbered lists)

Now that you have all the text and information written, it’s time to beautify the document to make it visually appealing. This will also include adding and formatting any figures, charts, and graphs you want to include. You should also consider whether you want to print or digitize the text to determine formatting requirements, such as hyperlinks within the text or a reference section at the end. Here are some other things to consider when formatting:

●  A table of contents

●  A glossary

●  Easy-to-read font and font size

●  Contrasting colors in your color scheme

7. Edit and Proofread

Once everything is in place (text, charts, figures, and other formatting specifications) it’s time to read everything again, then again, and probably one more time. Keep in mind that editing and proofreading are different processes and should be treated as such. While it’s important to catch every spelling and punctuation mistake (proofreading), also take the time to solely focus on the content, readability, and overall organization of the annual report (editing).

Need Help Writing Your General Report Comments?

I can remember the first time I had to write report comments. It was scary! What do I put in them? How long do they need to be? The pile of questions I had were long and I had no one I felt I could ask for help. My principal was a little scary and all the other teachers at the school were freshly graduated like me! Then I found a gold mine! The previous teacher had left a copy of her reports on the computer! I was saved!

This gave me a starting point, something to go off of and suddenly reports weren't so hard. Then the next year my reports were made up of 75% of the previous years report comments thanks to copy and paste!

Today I am going to show you what I put in my general comments and give you a few sample comments.

First though, a disclaimer. Different states and different schools have different expectations of what goes into comments (and what can't) so make sure you follow any guidelines given to you.

I aim for 80 - 100 words for my general comment. This usually works out to be about 7 sentences.

Opening Sentence:

I start my general comment off with three virtues that the student regularly displays. This starts the comments off to a nice happy tone and instantly gets the parents onside. This work especially well if you are at a school that has the virtues approach, if your school does the values approach then use that wording instead.

Topics to Cover:

Here are some things I like to include when I am writing general comments. I think about the student in question and the things that pop into my head first are usually the things that need to be included. If I am struggling to think of things this list gives me ideas for what to write.

ability to work in a group and leadership skills

listening skills (be careful not to step too much into speaking and listening here as that's for English)

ability to follow instructions

ability to finish tasks diligently, in a timely manner and work ethic

their relationships with other students

participation in discussions

confidence in their ability

I will often choose a day to really observe my students on these items and jot down what things I might like to cover in a student's general comment. Below I have attached a observational grid template you can use. Write the name of each student on a separate square and any notes relating to that student go in their square.

I like to include a goal in my comments. Something the students can work towards or something that will help them improve. This can often follow a comment that states something the students is lacking or doesn't do.

Sandwich the negative:

You have probably heard this a million times in many areas of teaching and it is the same for report comments. Place any negative comments between two positive comments. This helps soften the blow and reads better to parents.

Relate to ABE's:

If you have marked students down for anything in the Attitudes, Behaviours and Efforts then this is also a great place to explain why. This is why I do the ABE's prior to doing the general comments and also in hard copy. Click the link below to get my template for this in this blog post.

Closing Sentence:

I usually put a comment that ends things off nicely such as 'Keep up the good work, Bob!' or Congratulations on a great semester, Carol!'

Cassie is a confident, responsible and honest student.   She works diligently to complete set tasks and is able to accept responsibility for, and show initiative in, decision making.  Cassie is a confident speaker in front of the class.  She enjoys asking questions and regularly joins in class discussions.  Cassie participates equally during group work.  Next semester I would like to see her take on more leadership roles.  It has been a pleasure having Cassie in the class this semester.   Carly has become a more forgiving, responsible and tolerant student this term. She needs to improve her ability to work quietly on independent tasks and avoid disrupting those around her. When Carly commits herself she is able to produce good work.However, she can be resistant to working depending on her mood and the difficulty of the task. Carly often has great ideas and questions and I would like to see her share these more readily with the class. Keep up the good work, Carly.   Jack is a friendly student who is working towards being more honest and diligent.  When faced with a challenging situation Jack will often exhibit a wide variety of poor behaviours in an attempt to avoid completing his work. I would like to see him persevere when working on tasks and make good choices more frequently. Next semester I would like to see him become more willing to seek help and to ‘have-a-go’ without prompting. Jack enjoys participating in class discussion and asks thought provoking questions.  I look forward to watching him progress next semester.   Carl is a confident, responsible and honest student. He is a quick learner and has made fantastic progress across the board.Carl is able to work and learn independently and enjoys being presented with challenges. He loves working in groups and takes on leadership roles.Carl perseveres and achieves goals in amazingly quick time and is intrinsically motivated.He has a cheeky sense of humour and a quick wit.Carl frequently assists other students with their learning and is developing skills to better help them. Congratulations on a great semester, Carl!

Judge fines Donald Trump more than $350 million, bars him from running businesses in N.Y. for three years

The judge who presided over a civil business fraud trial against Donald Trump on Friday ordered the former president, his sons, business associates and company to pay more than $350 million in damages and temporarily limited their ability to do business in New York.

Judge Arthur Engoron ordered the former president and the Trump Organization to pay over $354 million in damages , and barred Trump “from serving as an officer or director of any New York corporation or other legal entity in New York for a period of three years,” including his namesake company.

New York Attorney General Letitia James, whose office brought the case, said that with pre-judgment interest, the judgment totals over $450 million, an amount “which will continue to increase every single day” until the judgment is paid.

“Donald Trump is finally facing accountability for his lying, cheating, and staggering fraud. Because no matter how big, rich, or powerful you think you are, no one is above the law,” James said in a statement, calling the ruling “a tremendous victory for this state, this nation, and for everyone who believes that we all must play by the same rules — even former presidents.”

The ruling also bars Trump and his company from applying for any bank loans for three years.

In his first public remarks after the ruling, Trump said, “We’ll appeal and we’ll be successful.”

Speaking to reporters at Mar-a-Lago on Friday night, Trump bashed the ruling as “a fine of 350 million for a doing a perfect job.” He also repeated previous attacks by calling the judge “crooked” and the attorney general “corrupt.”

Trump did not take any questions from reporters after speaking for about six minutes.

The judge’s decision is a potential blow to both Trump’s finances and persona — having built his brand on being a successful businessman that he leveraged in his first run for president. Trump is currently running for the White House for a third time. This case is just one of many he is currently facing, including four separate pending criminal trials, the first of which is scheduled to begin on March 25.

Engoron also ordered the continued “appointment of an Independent Monitor” and the “the installation of an Independent Director of Compliance” for the company.

In posts on his social media platform Truth Social, Trump called the ruling “an illegal, unAmerican judgment against me, my family, and my tremendous business.”

“This ‘decision’ is a complete and total sham,” he wrote.

During the trial, Trump and executives at his company, including his sons Donald Trump Jr. and Eric Trump, attempted to blame exaggerated financial statements that were the heart of New York Attorney General Letitia James’ fraud case on the accountants who compiled them. Engoron disagreed.

“There is overwhelming evidence from both interested and non-interested witnesses, corroborated by documentary evidence, that the buck for being truthful in the supporting data valuations stopped with the Trump Organization, not the accountants,” he wrote.

In explaining the need for a monitor, the judge cited the lack of remorse by Trump and his executives after the fraud was discovered.

“Their complete lack of contrition and remorse borders on pathological. They are accused only of inflating asset values to make more money. The documents prove this over and over again. This is a venial sin, not a mortal sin. Defendants did not commit murder or arson. They did not rob a bank at gunpoint. Donald Trump is not Bernard Madoff. Yet, defendants are incapable of admitting the error of their ways,” Engoron wrote.

“Defendants’ refusal to admit error — indeed, to continue it, according to the Independent Monitor — constrains this Court to conclude that they will engage in it going forward unless judicially restrained,” he added.

The ruling also bars the Trump sons — who’ve been running the company since their father went to the White House — “from serving as an officer or director of any New York corporation or other legal entity in New York for a period of two years.” Both were fined over $4 million, plus interest, for their roles in the scheme.

Donald Trump Jr. posted on the social media site X that “We’ve reached the point where your political beliefs combined with what venue your case is heard are the primary determinants of the outcome; not the facts of the case! It’s truly sad what’s happened to our country.”

In a statement, Eric Trump called the judge “a cruel man.”

“He knows that every single witness testified to that fact that I had absolutely NOTHING to do with this case (as INSANE as the case truly is),” Eric Trump said.

He also attacked the ruling as “political vengeance by a judge out to get my father.”

 Trump attorney Alina Habba called the verdict “a manifest injustice — plain and simple.”

“Given the grave stakes, we trust that the Appellate Division will overturn this egregious verdict and end this relentless persecution against my clients,” she said in a statement.

A spokesperson for Trump Organization called the ruling “a gross miscarriage of justice. The Trump Organization has never missed any loan payment or been in default on any loan.”

High legal costs

An appeal in the case would likely take years, but Trump could have to post a bond for the full amount if he does so.

The judgment is the second this year against Trump after he was hit last month with an $83.3 million verdict in writer E. Jean Carroll’s defamation case against him. Trump has said he plans to appeal that verdict as well, but would have to post a bond for that amount as well.

James had been seeking $370 million from Trump, his company and its top executives, alleging “repeated and persistent fraud ” that included falsifying business records and financial statements. James had argued those financial statements were at times exaggerated by as much as $2.2 billion.

James contended the defendants used the inflated financial statements to obtain bank loans and insurance policies at rates he otherwise wouldn’t have been entitled to and “reaped hundreds of millions of dollars in ill-gotten gains.”

Trump had maintained his financial statements were conservative, and has called the AG’s allegations politically motivated and a “fraud on me.”

“This is a case that should have never been brought, and I think we should be entitled to damages,” Trump told reporters when he attended closing arguments in the case on Jan. 11.

Trump testimony knocked

The monthslong civil trial included testimony from Trump and his oldest children . The former president was combative in his day on the stand, blasting James as a “hack” and calling the judge “extremely hostile.”

Trump repeatedly complained about Engoron before and throughout the trial, and the judge slapped him with a partial gag order after he started blasting the judge’s law clerk as well. Trump’s complaints led to a flood of death threats against the clerk, as well as Engoron, court officials said, and Trump was fined $15,000 for twice violating the order.

Among the examples cited as fraud by the attorney general’s office during the trial was Trump valuing his triplex home in Trump Tower in New York City at three times its actual size and value, as well as including a brand value to increase the valuation of his golf courses on the financial statements, which explicitly said brand values were not included.

Another example pointed to by the attorney general clearly got under his skin — a dispute over the value of Mar-a-Lago, his social club and residence in Florida. Trump’s financial statements from 2011 to 2021 valued Mar-a-Lago at $426 million to $612 million, while the Palm Beach County assessor appraised the property’s market value to be $18 million to $27 million during the same time frame. Trump had also fraudulently puffed up the value of the property by saying it was a private residence, despite having signed an agreement that it could only be used as a social club to lower his tax burden.

Trump maintained during the trial the property was worth much, much more .

“The judge had it at $18 million, and it is worth, say, I say from 50 to 100 times more than that. So I don’t know how you got those numbers,” Trump testified, adding later that he thinks it’s actually worth “between a billion and a billion five.”

In his ruling Friday, Engoron said he didn’t find Trump to be a credible witness.

“Overall, Donald Trump rarely responded to the questions asked, and he frequently interjected long, irrelevant speeches on issues far beyond the scope of the trial. His refusal to answer the questions directly, or in some cases, at all, severely compromised his credibility,” the judge wrote.

Michael Cohen testimony ‘credible’

James’ investigation into the former president’s business began in 2019 as a result of congressional testimony from his former personal lawyer Michael Cohen , who told the House Oversight Committee that Trump would improperly expand and shrink values to fit whatever his business needs were.

Cohen testified during the trial about his role in the scheme, and said while Trump didn’t explicitly tell him and then-Chief Financial Officer Allen Weisselberg to inflate the numbers in the financial statement, he was like a “mob boss” who tells you what he wants without directly telling you.

Trump claimed Cohen’s testimony exonerated him while also painting him as an untrustworthy liar because he admitted having previously lied under oath.

In his ruling, Engoron called Cohen an “important witness” and said he found his testimony “credible.” “This factfinder does not believe that pleading guilty to perjury means that you can never tell the truth. Michael Cohen told the truth,” the judge wrote.

Former CFO ‘evasive’

Engoron was less forgiving about former Trump CFO Weisselberg, who previously pleaded guilty to carrying out tax fraud at the company.

Weisselberg’s “testimony in this trial was intentionally evasive, with large gaps of ‘I don’t remember.’”

“There is overwhelming evidence that Allen Weisselberg intentionally falsified hundreds of business records during his tenure” at the company, the judge wrote. “Weisselberg understood that his assignment from Donald Trump was to have his reported assets increase every year irrespective of their actual values. The examples of Weisselberg’s intent to falsify business records are too numerous to itemize,” he added.

The judge permanently barred Weisselberg “from serving in the financial control function of any New York corporation or similar business entity operating in New York State,” and ordered him to pay the $1 million he’s already received from his $2 million separation agreement from the company as “ill-gotten gains.”

AG initially sought less

James filed her suit seeking $250 million in damages from Trump in 2022, and the judge appointed a monitor to oversee the company’s finances that November.

In a summary judgment  ruling the week before the trial started, Engoron found Trump and his executives had repeatedly engaged in fraud. The “documents here clearly contain fraudulent valuations that defendants used in business, satisfying [the attorney general’s] burden to establish liability as a matter of law against defendants,” the judge wrote, while denying Trump’s bid to dismiss the case.

Engoron summarized the Trump defense as “the documents do not say what they say; that there is no such thing as ‘objective’ value; and that, essentially, the Court should not believe its own eyes.”

The order, which Trump appealed, held that Trump’s business certificates in New York should be canceled, which could have wreaked havoc on Trump’s company and forced the sell-off of some assets.

Engoron backed off of that decision in his ruling Friday, saying the addition of the “two-tiered oversight” of the monitor and the compliance director makes that move “no longer necessary.”

Trump had complained about the summary judgment ruling while he was on the witness stand. “He said I was a fraud before he knew anything about me, nothing about me,” Trump said. “It’s a terrible thing you did.”

FBI offers $15K reward in search for missing 12-year-old girl

Lori Paige has been missing from Tallahassee, Florida, since June 2023.

The FBI announced on Tuesday that the agency is offering up to a $15,000 reward for any information that leads to the whereabouts of Lori Paige – a 12-year-old girl who has been missing from Tallahassee, Florida, since June 3, 2023.

“The FBI will stop at nothing to protect kids, and we are fully committed to helping our partners at Tallahassee Police Department exhaust every investigative resource in the search for Lori Paige,” FBI Jacksonville Acting Special Agent in Charge Mark Dargis told WTXL, the ABC affiliate in Tallahassee. “We encourage everyone to keep an eye out for this young lady, and help us bring her home.”

According to the FBI, Lori has ties to or may visit Tallahassee, Florida; Tampa, Florida; Thomasville, Georgia, and Nashville, Tennessee.

ABC News has reached out to the FBI Field Office in Jacksonville for further comment as the agency assists the Tallahassee Police Department (TPD) in the search for the missing girl.

Alicia Hill, a public information officer for the Tallahassee PD, told WTXL on Tuesday that the police department, along with the Tallahassee Fire Department, began a search on Tuesday for Lori at the San Luis Mission Park in the northwestern part of the city.

Hill said that while they have searched the park in the past, this is their first “grid search” of the 64-acre area, which is half a mile from where Lori was last seen.

“A grid search is just an opportunity to go inch by inch over an area, especially a very large area, making sure that we're able to comb through a lot of the different elements that we have out here,” Hill told reporters as she spoke from the site of the search.

“It's a very large park and so it takes a lot of resources and a lot of manpower and a lot of time to be able to come in and do this type of search,” she added.

'Devastated' family of missing North Carolina mom speak out as police share new info on search

Asked if foul play is suspected, police did not immediately respond to ABC News’ requests for comment.

Pastor Rudy Ferguson, a community activist in Tallahassee who has been assisting in the search for Lori since she went missing, told WTXL on Tuesday that the latest search, which involved about 90 people, tells him that "Tallahassee is one Tallahassee and they are determined to find young Lori."

Ferguson said that while he is relieved that Lori's case is getting more resources from law enforcement, "We need the civilians, we need the citizens of Tallahassee to play a role as well to help find the young Lori."

Police said in a media advisory on Feb. 1 that TPD’s Special Victims Unit is continuing to “tirelessly explore every lead and resource to locate [Lori Paige].”

“The length of time that has passed and her young age only heightens our concerns for her well-being,” the statement said. “Despite our persistent efforts, Lori remains out of contact with her family and friends. However, we remain committed to bringing her home safely.

According to police, the 12-year-old was a student at Griffin Middle School and was last seen on June 3, 2023 in the 1200 block of Continental Ct and is described as a dark-skinned Black female with shoulder length dreadlocks, black hair, brown eyes and weighs about 120 pounds. Police said that it is unknown what she was wearing when she was last seen, but she may have had a multicolored backpack.

Police are asking anyone with information that could lead to Lori’s recovery to contact TPD at 850-891-4200.
