  • Growing: Priced at $42/user/month, this plan removes the limitations of the Early plan, offering unlimited invoicing, quotes, and bills.
  • Established: For $78/user/month, users get additional features like multi-currency handling, expense management, and project tracking.

It's worth noting that some features may require a separate subscription or purchase of add-ons, leading to additional costs beyond the base pricing.

Ease of Use

Navigating Xero is relatively straightforward once you get accustomed to the interface, which is designed with clarity and simplicity in mind. However, the initial learning curve can be steep, especially for those new to digital accounting solutions. The onboarding process is comprehensive, offering setup assistance and a step-by-step guide, yet some users might find the abundance of features overwhelming at first. The software organizes financial information efficiently, but mastering full utilization of its reporting features can take time.

Customer Support

Xero offers several support channels, including a robust online help center, tutorials, and 24/7 customer support via email. However, the absence of direct phone support can be a point of frustration for users seeking immediate assistance for complex issues. While resources like webinars and forums are available, the response time for queries, especially those handled via email, can be longer than desired, leading to delays in resolving pressing matters.

Who would be a good fit for xero.

In my assessment, Xero fits like a glove for small to medium-sized businesses that need a robust, comprehensive financial tool. Its loyal base mainly comprises entrepreneurs, startups, and growing companies that appreciate the platform's intuitive design, straightforward financial tracking, and expansive third-party integrations. Particularly, industries that deal with multiple client transactions, like retail or professional services, find immense value in Xero's invoicing and real-time cash flow visibility.

It’s equally suited for businesses expanding internationally, which need efficient multi-currency support. Teams looking for collaborative options also benefit, as Xero supports multiple users with varied permission levels, fostering transparency and teamwork.

Who Would Be A Bad Fit For Xero?

Founded in New Zealand in 2006 and now a public company, the brand is well known in Asia, Europe and the Middle East, and they’re focused on growing their presence in the Americas. Tony Ward, President of the region, is leading the charge—and his objective is to improve operating efficiencies as the company scales up. Before Xero adopted Asana, it was difficult for global teams to stay connected, with over 4,000 employees distributed across all continents. Alignment was far from perfect and there was limited visibility into the diverse work happening across countries and teams:

Time zones created communication challenges that slowed projects down.

Individuals couldn’t see how their efforts advanced company OKRs; people forgot about company-wide goals, which were tracked in static spreadsheets that weren’t front and centre.

Different departments worked from different information across a number of tools, creating silos.

People had to spend a lot of time in status meetings to stay in sync.

Xero needed a better way for employees to collaborate asynchronously—a single source of truth that linked everyone’s work to ambitious OKRs that could only be reached if the global team worked together as one.

Enterprise-grade security and functionality for all teams

Xero needed a platform that could centralise communication and accommodate all teams and working styles. It also had to be easy to use so that employees would make it the foundation of their workday. Leadership wanted high-level visibility into project status, while teams on the ground needed a way to track every little detail of a project’s tactical execution.

Another key requirement was security. Tony Ward explains that trust is a core part of Xero’s identity and vision: “We have small businesses’ financial data—their crown jewels. Security is number one for us, so any software we use needs to meet really high standards.”

When Asana passed the test, its customer success team ran training workshops for Xero employees and the leadership teams encouraged adoption by pulling up Asana  Portfolios  in meetings to review the status of initiatives. This drew their attention to anything at risk or off track—leaders spend their days context switching, so having a snapshot of all projects at once was helpful to get them up to speed and make decisions quickly.

Teams made a habit out of using Asana by building meeting agendas in the platform and assigning action items as tasks during their meetings. They also established basic rules, such as making sure that people asked any questions about a project in the relevant Asana task using comments. Xero’s Executive General Manager of Customer Operations, Rob Goodwin, explains, 'We ask all questions in Asana so that our records, workflows and artifacts are all in the same place, and we don’t confuse ourselves with some information in email, some in slides, etc.'

Gaining global and regional clarity with projects and OKRs in Asana

Xero uses Asana across the company to manage both project execution and high-level goal setting. “As a large, global company, it’s a challenge to make strategy real for everyone and help them see how their execution fits into the big picture,” says Tony. “We’re using Asana to solve that problem.”

Tracking OKRs in Asana has aligned leadership and given them the ability to prioritise projects, track progress and ultimately, execute faster to grow the business. Tony notes that breaking down silos makes this possible: “OKRs, by nature, are gnarly problems that no one group can solve alone. We’re using Asana so that cross-functional groups have visibility, clarity and accountability to complete their goals.”

Each program or initiative that Xero executes is managed in Asana as a project and they use Portfolios to group projects together. For example, Rob’s customer operations team has a portfolio for UK-based projects and another for the Central Operating Plans of the global go-to-market organisation. This portfolio holds the 14 initiatives that will help the global team advance their two- to three-year vision for the business. Clicking through this portfolio in Asana, Rob can see the live status of all projects, who their owners are, the target delivery date for the next milestone and more.

Rob says, “Our strategy articulates both central and regional priorities and it’s the sum of those parts that makes us hit our overarching strategy. With a tool like Asana, I can see how the UK piece rolls up, the Australian piece rolls up, and so on — I can also see where I need to put more resources, effort and time.” Teams update their Asana projects weekly and Rob receives an automated email with all the status updates for the projects in his portfolios. Every two weeks, teams walk through their Asana portfolios for a deeper check-in.

When a team begins a new initiative, they duplicate an Asana template and add all related files into the new Asana project so they’re in one place. If a project is managed Kanban style, they use Asana’s board view, while a waterfall project uses  Timeline  view. One of Xero’s programs is called 'Ready, Set, Go', and it takes a product or customer initiative to market through three distinct phases in an Asana project: scoping, preparation and execution. The Asana project acts as the hub for all cross-functional collaborators, bringing together marketing, product delivery, sales, customer service, the partner network and more. All the details live together, and anyone can access the information day or night, no matter what time zone they’re in.

Xero’s product marketing group relies on this collaborative hub; as a global function, they use Asana to get stories to teams in regional markets so they can build out their plans and campaigns. Marketing also runs a monthly email newsletter and each issue involves many stakeholders around the world. They manage all these contributors in Asana, and use it to improve and simplify the production process.

We can all agree on company strategy in a slide, but activating that at an operational level is hard to do. Now that our plans are connected in Asana and cascade into a collective view, we can execute on a global cross-functional strategy at the scale we need to.”

Other initiatives managed in Asana include:

Onboarding Xero’s accounting and bookkeeping partners:  70% of Xero’s business comes from its partner network. Xero runs a 3-month onboarding program to train new partners and they coordinate everything in Asana, from materials to trainers.

Salesforce effectiveness project:  Xero is improving their revenue organisation’s operating efficiency with a global initiative to improve their Salesforce instance. “We’re shipping features faster now that it’s managed in Asana, due to improved collaboration and insights from cross-functional stakeholders,” Tony says.

One-on-one meetings:  Managers and their direct reports build their one-on-one meeting agendas by adding tasks to an Asana project between discussions. They can  add tasks from other Asana projects  to their agenda, so that all the context is already there and there’s less time needed to get up to speed.

We've gone from a culture of meetings that are about sharing information to having meetings about taking action, making decisions and getting things done.”

Asana has become Xero’s source of truth, putting everyone on the same page, across the business. Employees have clarity on what they’re responsible for, leaders can make better decisions and global teammates have significantly improved their collaboration and asynchronous work.

Xero’s business is booming, and as they expand into new regions, Asana will help them continue to work efficiently at scale. As Xero gains operational clarity and visibility for themselves, they can bring more financial clarity and visibility to the business owners they serve.

Consultant operating through Ltd company

Paul set up as a consultant 10 years ago and formed a Limited company as a tax-efficient way to work with his clients.  When setting up the Limited company, his bank set him on a path of using Quickbooks Desktop.  This cost £20 per month and was an overly complex piece of software for what Paul needed. 

Paul would muddle through with his VAT return each quarter and send us his outputs from Quickbooks at year end. It would take 3 to 4 weeks to get the year-end accounts finalised.

Paul’s priorities were to be able to invoice his clients quickly and easily, monitor who owed him money and to deal with his VAT return each quarter accurately.  This type of financial control is just one of the many   benefits of Xero   and as Paul raised less than 5 invoices per month and had relatively few transactions in his bank account, he was able to convert to the Xero Starter package for £9 + VAT per month at the end of his financial year.  We dealt with all of the conversion for him and a short amount of training meant that Paul was up and running very quickly.

Paul now speaks to us once a quarter so we can quickly check his VAT return (that he has prepared on Xero) before he files directly online via Xero to HMRC.

Recruitment consultant with £1m+ turnover, no previous bookkeeping system

This client, based in Southampton, had an accountant based in Birmingham.  They never met face to face and rarely spoke on the phone.  A different team member dealt with them each time they spoke.  The previous accountant prepared the quarterly VAT return (from a pile of sales and purchase invoices the client sent his firm) and prepared year-end accounts several months after the year end. 

The client approached us for a quote.  They were keen to form a better relationship with a more local accountant and wanted to understand what they should be doing to keep on top of things.  The business had grown but the administration had been left behind.  They had 18 months’ worth of books to be written up and reconciled to the two bank accounts.

Our recommendation was that we get the client onto Xero.  We wrote up the 18 months’ worth of books on Xero for them (over 6000 bank statement lines), dealt with their VAT return that was due in less than eight days of them signing us up, and had the year-end accounts ready for approval within two weeks of them becoming our client. 

Over the subsequent six months, we gradually handed over the bookkeeping to a member of staff, providing them with tailored training.  The client has a fully operational sales and purchase ledger, keeping them in better control of who owes them money and who they need to pay.

Our role has now transitioned to reviewing the VAT return once a quarter and preparing quarterly management accounts within a few weeks of the quarter end.  They are able to receive meaningful analysis of what the business has achieved and focus on how to build on their past success sustainably. They also have several months’ warning of upcoming tax bills – so no nasty surprises.

Hair & beauty salon

This profitable owner/managed business identified an opportunity to acquire a second salon and this coincided with plans for the daughter to enter the business and form some succession plans.  Up until that point, the husband – who was holding down a highly paid sales job – was dealing with the bookkeeping once a quarter, when the VAT return was due, on a bookkeeping package.  This caused a great deal of stress four times a year.

With plans to grow the business further, it became apparent that moving to a cloud-based accounting solution was the right next step and this meant the daughter could take over the bookkeeping with a clean break on a new system, converting at a year end.

We dealt with the set-up, tailoring the system to deal with the tracking of the two salons, handling the company credit card transactions and merchant sales transactions.  We provided a tailored training session to mother and daughter, which included writing up the first six weeks’ books.

Certain aspects of Xero, such as sales invoicing, are not required for a retail outlet business like this.  However, this was not an issue as the ‘Dashboard’ was tailored to remove any ‘redundant’ aspects to ensure that only the most relevant information is at the fingertips of the business owner.

The client is embracing the new technology, seeking out phone apps that can assist with the scanning of documents (ScannerPro).  There are also various specialist Hair & Beauty Add-ons that can integrate with Xero and assist with appointment scheduling and loyalty schemes. 

Cycle retailer

As with a number of our entrepreneurial clients, this business had grown out of its bookkeeping system that had served it well for a number of years. 

The client operates four outlets and wished to track better certain overheads of each outlet, together with their sales.  In addition, the client receives over 150 purchase invoices each month, all with different payment terms, and they needed a system that kept better track of who they owed money to.  They were also keen to move to a more paperless office.

We handled the conversion for the client at their year-end and delivered two half-day tailored training sessions at their office, writing up the first couple of months’ books as a training aid.

The client adapted well to the new system and being an owner/managed business, it is now easier for them to access information both in the office and at home, as they need to. 

The client is planning to install a new point of sale and stock control system.  There are add-on partners that specialise in cycling retailers and these integrate with Xero. 

Previously we only produced annual accounts as it took a number of weeks for the client to pull together a full list of outstanding purchase invoices, as well as other information relevant to the year-end accounts.  We now produce quarterly management accounts as all the information is already in Xero and, therefore, have a regular dialogue with the client on both past financials and upcoming projects in the business.

Michael has been a client of ours for a number of years, starting as a self-employed baker and incorporating his business as it started to grow from one outlet to now three outlets, including a coffee shop.

Michael and his wife were looking after the books on a simple bookkeeping package.  This worked well for a number of years but, as the business grew and as Michael’s wife had less time to spend helping with the books (she had a full-time job, 3 children and one on the way), it became apparent that the bookkeeping software they were using was not fit for purpose.

Michael was able to convert to Xero halfway through the year, at the end of a VAT period.  He identified one of his current staff members as someone who would be able to be trained in Xero to deal with the day-to-day bookkeeping, leaving him to get on with the invoicing and running the business.

We dealt with the conversion and provided two half-day training sessions to his employee, writing up the first couple of months’ books on Xero.  She had not had any previous bookkeeping experience but got to grips with what was required easily, finding Xero intuitive. Where she had any queries, she would just simply pick up the phone to our office.

Michael was keen to start tracking more closely what each of his shops was achieving in sales and costing in overheads.  The Tracking facility in Xero is just one example of   what Xero can do   and it works like a dream for him.  The ability to raise and email invoices to his wholesale customers has also helped him get much better control over who owes him money and has meant he invoices faster and collects cash more quickly.

We produce quarterly management accounts for Michael which help him understand his margins, his performance against budget and enable us to provide him with tax forecasts every 3 months.

He recently telephoned to let us know that “he doesn’t know how he coped without Xero”.

His wife was happily made redundant from the family business and she and Michael had to find something different to argue about!

This client had been using Sage for a number of years and although it wasn’t quite fit for purpose, the bookkeeper kept on top of things.  Generating the required reports for the Trustees was a challenge, however, and it took several weeks to prepare the year-end charity accounts. 

A couple of changes in bookkeeper caused some unrest and difficulties. Finally a suitable bookkeeper was found – Karol – who was based several hundred miles away but was a good fit for the charity, experienced and pro-active. This meant that Xero came into its own and a conversion from Sage was very worthwhile. 

The bookkeeper made some changes to the payments system, utilising GoCardless Xero Add-on partner as a more cost-effective solution.  The flexibility of Xero, with tracking and repeating invoice templates, together with some CRM capabilities, means that an initial upfront investment in set-up time now pays dividends with the time saved in dealing with the bookkeeping each week.

£2m+ turnover business previously using Sage

A long-standing client, trading for over 25 years and with a very competent bookkeeper using Sage, approached us following an IT review of their systems which queried the cost of Sage versus alternative systems such as Xero.  A face-to-face meeting with the client, where we worked through the capabilities of Xero versus their current use of Sage, established that Xero would be a very good fit for the client and would speed up a number of their in-house processes, together with the added benefit of being cheaper to run than Sage.

Key facts on this business:

  • More than 2000 contacts in their database;
  • On average £350k of outstanding sales invoices at any one time;
  • Raises approx. 250 sales invoices per month;
  • Approximately 20 employees;
  • Bookkeeper works three days a week in the office, plus from home as required;
  • Additional accounts clerk, office based, two days a week;
  • Two directors, one of which is overseas for part of the year.

As the year-end was fast approaching, which is a good time to convert, we moved quickly to work on the Xero set-up, tailored to suit this client.  Moving to a new system is a good opportunity to cleanse data and the client took the opportunity to reduce their contacts list down from 5000 (built up over 25 years) to 2000 current contacts.  Sage did not provide a facility to delete defunct contacts.  Xero is much more flexible in this regard so the client will be able to keep their contacts database much cleaner going forward.

We delivered a tailored half-day training session to the bookkeeper and accounts clerk at their office and assisted with the transition from Sage, being on hand over the phone to deal with queries as and when they arose.

As Xero is cloud based, the bookkeeper was able to work remotely from home at hours convenient to her to get to grips with the new system.  Being a Sage user for so long we had anticipated that the transition may meet resistance; however, she was over the moon with how much more user-friendly Xero was and how much better Xero deals with certain aspects of their business, e.g. a number of clients make payments in advance and Xero has an excellent way of dealing with such pre-payments.

In time, the business will seek to utilise inventory tracking as well as get the sales team on board to utilise quotes.  This will make the end-to-end processes at this client much slicker, more paperless and lower cost.

Marine project management business

This client approached us as they were unhappy with the service level they were receiving from their current accountant.  They spoke with him only once a year and it was difficult to have a face-to-face meeting.  The bookkeeping had become out of control on another cloud-based system because the client did not receive a good level of support from their previous accountant.

Following advice from Parry Hancock, the client decided to incorporate its Partnership and also become VAT registered.  The client was keen to move to Xero instead of setting up the entity on the cloud-based solution they were used to, as they could see the software was more intuitive.  The client looks after a number of clients in the marine sector , handling their boats and dealing with all aspects of boat care and chartering.  For this they need a good project management tool and they selected an add-on called Jobber.  This integrates with Xero for invoicing purposes and therefore reduces the level of data entry required to process a sales invoice.

As the client spends a number of weeks overseas, dealing with client projects, a cloud-based solution is essential for them.  They can access their books from a marina in Spain, as long as they have their iPad with them and a Wi-Fi connection.

Founded in 2006 in New Zealand, Xero is a cloud-based accounting software platform for small businesses with over 3 million subscribers globally. Through Xero, small business owners and their advisors have access to real-time financial data any time, anywhere, and on any device. The United Kingdom government recently introduced Making Tax Digital (MTD) for income tax self-assessment to improve administration. MTD requires businesses to manage their tax affairs with HMRC using compatible software.

‍ Xero is a 360° product to simplify and automate the filing of digital tax returns, tracking of cash flow, and instant invoicing. Xero saw this as an opportunity to expand in the UK market. But they faced a few challenges in achieving rapid growth with their business. 

  • Finding a smart growth hack that scales fast:  With every small and medium business in the UK looking to integrate accounting software, Xero had a huge opportunity in front of them but they needed better strategies and promotions than their competitors to acquire the market share rapidly.
  • Complexities in inventory management and distribution of physical gifts: In the past, the Head of Growth Marketing at Xero, Matt Wate, tried running promotional campaigns by manually sending physical gifts like headphones, printers, keyboards, monitors among others throughout the country. But they ran into a huge challenge of stock, distribution, and high costs. The long wait between order and delivery also led to a poor customer experience.
  • Significant costs involved with logistics: The true expenses went into having to pay upfront for a bulk order of physical gifts and then coordinating the logistics of delivery as well.  With the pandemic, it became infeasible, expensive, and time-consuming to run the promotional campaigns with physical gifts delivery.
  • Limited customer experience: The customers didn’t have the freedom to choose their own gifts and rewards making the experience very restricted. The Unheard Story of Xero Degrees and Their Adorable Outlet at Patiala

Xero Degrees ( 1 ) is now an established brand that was founded by Kashish Aneja and his friend, Shivam Kakkar. Kashish Aneja studied marketing and finance after completing his schooling. He is a postgraduate in marketing. After having done his higher studies, he took a job in the finance department. While growing up, cooking was his hobby. There was always something about preparing food that he was tempted by. Soon enough, he realized that he would fit perfectly in a food-related setup. Thereby, within two months, he decided to become a food entrepreneur. He was so passionate about food that he opened a cute little café in Connaught Place by the name Xero Degrees.

“There were times when I used to distribute pamphlets in Connaught Place,”

says Kashish Aneja.

Since Kashish had a lot of knowledge about finance and marketing strategies, he applied all his knowledge to open a fully-fledged food chain with a lot of outlets. He set up a team of people from different departments like marketing, human resources, accounts, and the list goes on. Kashish himself is well versed with all the skills which have turned Xero Degrees into a successful venture. He has his hands-on cooking and is trained in numerous areas involving food and beverages.

He currently has his stores set up at three locations in Delhi, one at Gurugram, Chandigarh , Amritsar, and Patiala. His entire team is working towards the goal of opening fifty more stores across India as well as internationally by the year 2021.

To date, Kashish himself manages all the designing parts, interiors of the outlets, and also the food menu up-gradation from time to time.

We Serve Everything In A Jar

“I get around four to five queries each day about Xero Degrees which makes my day fulfilling,”

tells Kashish Aneja.

Xero Degrees has an unusual concept of serving food. The present every food item in takeaway jars. Be it pizza, cheesy fries or shakes, anything, and everything is served in jars. They have kept an American cuisine which is liked by all. We all have usually come across the basic circular pizzas, Xero Degrees, however, serve it in a heart shape. The little things like these make the customer feel surprised and bring a smile to their face. This is what the owner of Xero Degrees; Kashish Aneja looks forward to each day. They also have burgers of three different colors which too is a unique concept and is extraordinary. Not only is the food up to date but also the beverages. They prepare their coffee with the utmost delicacy. Expresso, Americano, Macchiato, Cappuccino, you’ll find and love them all.

“We are coming up with a new menu real soon with mouth-watering dishes.”

Kashish says that the upgraded menu will have a brand new concept called “double zero” which would have two drinks in one container. They will also be adding the main course to their menu like rice bowls and a lot more. He and the entire team are thrilled for the day when the exotic food items will be launched at every outlet.

The Unforgettable Experience

Kashish Aneja has been a food entrepreneur for the past two years now. He says the overall experience has been thrilling and exciting.

“We consider McD, KFC, Burger King as our models and we aspire to reach up to their level someday,”

says the proud owner.

He has the new upcoming stores at Jalandhar, Kolkata, Bengaluru, Ahmedabad, Dehradun, Noida, and two more outlets in Delhi itself. This is just the beginning and the bright future awaits Xero Degrees. Not just in India, they are also about to close deals in Brazil and Abudhabi.

A Sneak Peek Into The Patiala Outlet

“The store is owned by my wife Samriti Joshi, I just support her,” proudly says, Sandeep Joshi.

The Patiala outlet of Xero Degrees is owned by Samriti Joshi and her husband Sandeep Joshi. Sandeep Joshi has been working in the field of banking for the past twenty years. His wife, Samriti Joshi owned a primary school named “Mom’s Pride” located in Urban Estate, Patiala. Since the preschool demanded a lot of attention and care, they both decided to shift to something more productive. Their fifteen years old son insisted them to open up a food chain. Thus, they started their research to take a franchise of a reputed food joint. They traveled around in search of a deal that would suit them. After talking to a huge number of brands, they finally met Kashish Aneja, the owner of Xero Degrees.

They went to Delhi to gather some information about Xero Degrees as they found their concept and ideas really unique and innovative.

“We never got to meet the owner of any franchise we were interested in, but Kashish met us personally. He welcomed us warmly and we had a long fruitful discussion,” happily exclaims the couple.

Kashish made them feel so comfortable which inclined them to take up the franchise Xero Degrees even more.

A Happiness Filled Start

The couple says that they were highly impressed with the quality as well as the presentation of the food. They had never seen such beautifully presented food even in Mumbai. Thus, they finalized their deal in October 2019. They then designed the interior with a hint of sophistication and subtleness. After bringing up a team of highly trained and qualified staff, they opened up the store on the 25th of December, 2019. Unlike the usual food joints, Kashish sent a team of his professionals to train the staff members of the Patiala outlet. There are no restrictions on where to buy the raw materials from, etc which gives them the liberty to choose the best for their store.

“I have never seen a brand grow to this extent in just a span of three years,”

says Sandeep Joshi.

To their utter surprise, just in the first week, the sales went up to twenty thousand rupees. Although they faced a dip during the lockdown but now when everything is picking up the pace, their store has customers coming up and returning with happy faces and filled stomachs. The Freak Shakes are the most famous here. They are served in longed jars with a divine presentation.

The couple aspires to open up the basement of the store shortly. The seating arrangement needs an extension because of the encounters with familiar faces. Then Xero Degrees at Patiala would also book the basement for any private birthday parties or ceremonies.

The Journey Is And Continues To Be A Bliss

We are more than satisfied after choosing Xero Degrees. The owner is so humble and flexible. Every month one of their team members comes to the place to keep a check on their outlet. Usually, whenever an owner visits their food outlet, they book some hotels to discuss the happenings. Kashish Aneja, on the other hand, comes directly to the outlet, goes into the kitchen, and asks Sandeep Joshi what he wants to eat and he would prepare it for him. They are so glad that they chose Xero Degrees and nothing else.

They deliver their freshly prepared food on the outskirts of Patiala as well. Orders from the adjacent locations like Nabha, Samana have also been delivered which makes them feel worthy of what they are doing. Their overall experience with Xero Degrees has been fabulous. Not only the owners and the team are friendly but also the quality of the food served is ultimate. The unique combinations of food are lip-smacking. The feedback has also been so heartwarming and this venture has added happiness to their lives.
