Application letters are typically written to accompany school or job applications. The purpose of the letter is to introduce yourself to the decision committee, and to outline your qualifications in a specific way. It can be the only time other than an interview that you have a chance to really stand out in an application, so it's important to get it right. You can learn what to include in your letter, how to style it, and how to format it to give yourself the best chance.

Writing a Job Application

Step 1 Say why you're writing and what you're applying for in the first sentences.

  • A good example would be: "I'm writing to apply for the Chimney Sweep position advertised in Rolling Stone. I think my experience in the heating industry makes me uniquely qualified for this position. Please find my application materials and a brief description of my qualifications below."
  • Don't write your name until the signature. It'll be in the header and in the sign-off, so there's no reason to put it in the body of the letter itself.

Step 2 Explain why you are the best candidate.

  • Be specific. Who are you? Where do you come from? What's your story? These details are important. HR screeners read hundreds of these.
  • Describe your ambitions. Where do you want to go? How will this opportunity help you get there?
  • What skills and experiences make you the right fit? Be as specific as possible and avoid vague language. It's better to describe a time you solved a specific problem at your last job than to just write, "I'm a good problem solver at work."

Step 3 Keep the tone professional.

  • Tailor it to the business. If you're applying to work at a record store, you need to talk about music. If you're applying to work at a tech company that writes, "Tell us something totally rad about yourself!" it's probably ok to be a little more informal.

Step 4 Explain how both parties will benefit from your selection.

  • Don't over-promise. Telling someone that you can guarantee that you'll be able to turn around their sales figures in six months or less is a good way to get fired in six months.

Step 5 Do some research.

  • Any kind of job requires this type of research. If you apply to a restaurant, you need to be familiar with the menu and the kind of customers the restaurant attracts. Consider eating there a few times before you apply.
  • Don't show you're familiar by criticizing a business and telling them what you can do better. Not the time to offer a harsh criticism of a business plan that you don't really know anything about.

Writing a School Application

Step 1 Address the prompt.

  • Common prompts include things like, "Outline your qualifications for this position" or "In writing, explain how this position would affect your career goals." Sometimes, the prompt will be as short as, "Tell us something interesting about yourself."
  • If there is no prompt, but you still feel the need to introduce your application with a letter, it's usually best to keep it as short as possible. Explain what you're applying for, why you're applying, and thank the contact for their consideration. That's it.

Step 2 Tell your story.

  • Often, college prompts will ask you to describe a time you struggled, or a time you overcame some obstacle. Write about something unique, a time that you actually failed and dealt with the consequences.
  • The board will get thousands–literally, thousands–of letters about someone's first mission trip, and letters about the time someone's sports team was beaten, then overcame the odds, and won again. Avoid these topics.

Step 3 Write about your future.

  • Be specific. If you're writing to a college board, don't say, "I want to go to this college because I need a degree." That's obvious. What do you want to do with it? Why? If you're applying to a business, don't say, "I just need a job." That's obvious. Why this specific job?

Step 4 Don't include stuff that's also on your resume.

  • If you're applying to schools, what do you like about the school? What faculty are you interested in? Why this school, instead of another?

Formatting Application Letters

Step 1 Keep it short.

  • If you don't get a word-count guideline, just focus on making one or two good points about yourself, and keeping it at that. No need to drone on four several pages.

Step 2 Only address the letter if you have someone to address it to.

  • Instead of a salutation, write, "Letter of Application" at the top left corner of the page, or put it in the header on the left side at the top.
  • If you do have a contact, address it to them, making sure the name is spelled correctly. Then space down and start the body of the letter. [10] X Research source

Step 3 Use a standard font.

  • Sometimes, it's appropriate to type your name, then print out the letter and sign it in pen. That can be a nice touch.

Step 5 Put your contact information in the header.

A Doctor of Philosophy (PhD) is the highest degree one may obtain within a particular field of study. This ranges from studies in Science, Technology, Engineering, and Math (STEM) fields; Social Science fields such as Education, Economics, Political Science, and Sociology; as well as Humanities fields such as English, History, Music, Philosophy, and more. The PhD degree aims to prepare people to think critically, develop research, and produce scholarship that may be used for further research or implementation. The PhD historically prepared students to take on faculty roles in colleges and universities, and that is still the goal for many students pursuing the PhD. However, today the PhD is a sought-after degree in many other industries including pharmaceutical research, arts organizations and other nonprofits, publishing, government policy, big tech, finance, and more.

  • Who can apply to a PhD program?  PhD education is available to people from various educational, occupational, socioeconomic, and demographic backgrounds.
  • Who should get a PhD?  People interested in uncovering new ideas, solutions, processes, etc. within a specific area of study through conducting independent research.

Choosing a program for your studies is a personal decision that should reflect not only your research interests, but your work style, and interests outside of the classroom. Here we have identified five key tips to consider when selecting schools. 

  • Ask about which programs are strong in your area of interest, which have high completion rates, which have career outcomes that align with your goals, etc. 
  • Conduct a general internet search with terms related to your research interest.
  • Determine your geographic and personal preferences. Does the area meet your community needs? Is it important that the university aligns with your sociopolitical values? Do you prefer a large city or a smaller/college town? Is there a particular region(s) that has better access to resources needed to conduct your research?
  • Access your current or former university career center. These services are often still available for former students!
  • As you narrow your choices, try to identify at least 3 faculty in the programs of interest with whom you’d like to study. Also note how many of them have tenure. If relevant, research which of those faculty are taking on advisees in your year of matriculation.
  • Read articles from faculty with similar research interests.
  • Note the number of awards, publications, and service activities of faculty.
  • Identify research opportunities funded by both your program and university at large.
  • Connect with current and former students in the program for informational interviews.
  • Connect with campus Diversity Offices.
  • Whenever possible, before submitting your applications, make an appointment to visit the campuses and department(s) that interest you.
  • Use  LinkedIn  to see what graduates of your program are doing and how they are involved in their communities.
  • Estimate your feasible cost of living by geographic location and compare to the funding package offered.

  • Experiences outside of higher education can also strengthen your PhD application. These may range from project management to volunteer work.
  • Develop soft or hard skills. A soft skill that is most useful from the first day of your PhD program is networking. This is necessary not only for meeting other students but also to find collaborators with similar research interests and selecting faculty for your dissertation committee. Learning how to negotiate will also serve you well when approaching collaborative projects. Hard skills related to your field might include learning statistical analysis software, economic theory, a foreign language, or search engine optimization. In short, identify a few soft and hard skills that you can familiarize yourself with prior to your program’s start date.
  • Finally, prepare by identifying leading researchers and practitioners in your field, exploring peer-reviewed literature and/or publications, and gain familiarity with research methods.
  • Be sure to address all the specific questions/topics in the personal statement prompt. 
  • Clearly state why you want to pursue a PhD.
  • Propose your research interest.
  • Identify the faculty you’d like to study under. 
  • Discuss the unique qualities/experiences you offer to the program/school.
  • Outline what you hope to do with your degree.
  • Ask for recommendation letters early in the process, at least 2-4 weeks before the deadline. A good letter takes time to write!
  • Provide recommenders with your resume, information about the program, your personal statement and/or information about your research interests and research goals.
  • Consider your current/former instructors, supervisors, colleagues. These should be people who can speak to your work ethic, academic abilities, and research interests.
  • Test scores (i.e. TOFEL, GRE, GMAT, etc.) may or may not be required.
  • All transcripts including those for coursework completed abroad and transfer credits. Some programs require official transcripts, which take longer to procure.
  • Writing sample (field dependent): Include a graduate-level sample and update any statements, statistics, etc. as needed. It is highly encouraged that you edit your previous work.
  • Diversity statement: Many institutions offer an optional short statement where students can expand on their diverse backgrounds and experiences that may contribute to the diversity interests/efforts of the school.
  • Typically, PhD applications are due 10-12 months in advance of the program’s start date (i.e. apply in November to start the following September). A good rule of thumb is to begin your application process 6 months before the deadline. 
  • The availability of reduced application fees or fee waivers varies and sometimes depends on financial status and/or experiences (AmeriCorps, National Society of Black Engineers, attending certain conferences, etc.). If you are interested in a reduced fee or waiver, reach out to the program coordinator for details.
  • Dress professionally, even if the interview is virtual. You don’t necessarily need to wear a suit but dress pants/skirt and a blouse/button down shirt would be appropriate.

Unlike undergraduate and master’s level education, coursework is just one component of the degree. A PhD comes with additional expectations: you must independently conduct scholarly research in your field of study, train in specific activities such as teaching or lab/field research, pass “milestone” requirements along the way, such as comprehensive exams, and complete the process by writing a dissertation. Furthermore, some fields require you to write multiple articles (number varies by field/program) for conference presentation and/or peer-reviewed publication.

There are other important elements as well:

  • Student/Advisor relationship. This is one of the most valuable relationships you can have as a PhD student. Your faculty advisor not only assists you with learning how to approach your research topic, but also typically serves as the lead supervisor of your dissertation research and writing, and ideally mentors you throughout the PhD experience. The selection process of choosing your advisor varies so be sure to know what is expected of you as a student and what is expected of the faculty member. Whenever possible, it is important to align your personality and work style with that of your faculty advisor. Many universities publish expectations for the PhD student/faculty advisor relationship;  AMP’ed  is Penn’s guide.
  • Other relationships: Your faculty advisor is far from the only important person during your PhD career. Other faculty members will also serve on your dissertation committee and be potential mentors. Other students in your program can also provide good advice and guidance along the way.
  • Coursework: Most programs have a number of required courses all students must take regardless of research interests. Once you have finished this requirement, the classes you choose should closely align with your research topic. Choose courses that will help you learn more about your dissertation topic and research methods. It is a good idea to discuss elective course selection with your advisor. 
  • The dissertation is a large-scale, written document that explores a narrow research topic of your choice. It is the final step before receiving your degree and must be presented and “defended” to your dissertation committee (made up of faculty members) for approval. Defending means that you have to answer in-depth questions about your topic. While this might sound daunting, the dissertation is simply a demonstration of all the knowledge and expertise you have acquired through your PhD education. 
  • Networking comes in many forms and includes connections with your fellow classmates, faculty members, and scholarly community. Formal networking events typically take place at academic conferences, where scholars and students present research. Increasing your academic circle will not only allow you to have study buddies, but offer you the opportunity to collaborate on articles or even gain employment. Your school’s career center can provide best practices for effective networking.

Today, President Biden announced the approval of $1.2 billion in student debt cancellation for almost 153,000 borrowers currently enrolled in the Saving on a Valuable Education (SAVE) repayment plan. The Biden-Harris Administration has now approved nearly $138 billion in student debt cancellation for almost 3.9 million borrowers through more than two dozen executive actions. The borrowers receiving relief are the first to benefit from a SAVE plan policy that provides debt forgiveness to borrowers who have been in repayment after as little as 10 years and took out $12,000 or less in student loans. Originally planned for July, the Biden-Harris Administration implemented this provision of SAVE and is providing relief to borrowers nearly six months ahead of schedule.

From Day One of his Administration, President Biden vowed to fix the student loan system and make sure higher education is a pathway to the middle class – not a barrier to opportunity. Already, the President has cancelled more student debt than any President in history – delivering lifechanging relief to students and families – and has created the most affordable student loan repayment plan ever: the SAVE plan. While Republicans in Congress and their allies try to block President Biden every step of the way, the Biden-Harris Administration continues to cancel student debt for millions of borrowers, and is leaving no stone unturned in the fight to give more borrowers breathing room on their student loans.

Thanks to the Biden-Harris Administration’s SAVE plan, starting today, the Administration will be cancelling debt for borrowers who are enrolled in the SAVE plan, have been in repayment for at least 10 years and took out $12,000 or less in loans for college. For every additional $1,000 a borrower initially borrowed, they will receive relief after an additional year of payments. For example, a borrower enrolled in SAVE who took out $14,000 or less in federal loans to earn an associate’s degree in biotechnology would receive full debt relief starting this week if they have been in repayment for 12 years. The U.S. Department of Education (Department) identified nearly 153,000 borrowers who are enrolled in SAVE plan who will have their debt cancelled starting this week, and those borrowers will receive an email today from President Biden informing them of their imminent relief. Next week, the Department of Education will also be reaching out directly to borrowers who are eligible for early relief but not currently enrolled in the SAVE Plan to encourage them to enroll as soon as possible. This shortened time to forgiveness will particularly help community college and other borrowers with smaller loans and put many on track to being free of student debt faster than ever before. Under the Biden-Harris Administration’s SAVE plan, 85 percent of future community college borrowers will be debt free within 10 years. The Department will continue to regularly identify and discharge other borrowers eligible for relief under this provision on SAVE. Over four million borrowers have a $0 monthly payment under the SAVE Plan Last year, President Biden launched the SAVE plan – the most affordable repayment plan ever. Under the SAVE plan, monthly payments are based on a borrower’s income and family size, not their loan balance. The SAVE plan ensures that if borrowers are making their monthly payments, their balances cannot grow because of unpaid interest. And, starting in July, undergraduate loan payments will be cut in half, capping a borrower’s loan payment at 5% of their discretionary income. Already, 7.5 million borrowers are enrolled in the SAVE Plan, and 4.3 million borrowers have a $0 monthly payment.  

Today, the White House Council of Economic Advisers released an issue brief highlighting how low and middle-income borrowers enrolled in SAVE could see significant saving in terms of interest saved over time and principal forgiven as a result of SAVE’s early forgiveness provisions.

Today’s announcement builds on the Biden-Harris Administration’s track record of taking historic action to cancel student debt for millions of borrowers. Since taking office, the Biden-Harris Administration has approved debt cancellation for nearly 3.9 million Americans, totaling almost $138 billion in debt relief through various actions. This relief has given borrowers critical breathing room in their daily lives, allowing them to afford other expenses, buy homes, start businesses, or pursue dreams they had to put on hold because of the burden of student loan debt. President Biden remains committed to providing debt relief to as many borrowers as possible, and won’t stop fighting to deliver relief to more Americans.

The Biden-Harris Administration has also taken historic steps to improve the student loan program and make higher education more affordable for more Americans, including:

  • Achieving the largest increases in Pell Grants in over a decade to help families who earn less than $60,000 a year achieve their higher-education goals.
  • Fixing the Public Service Loan Forgiveness program so that borrowers who go into public service get the debt relief they’re entitled to under the law. Before President Biden took office, only 7,000 people ever received debt relief through PSLF. After fixing the program, the Biden-Harris Administration has now cancelled student loan debt for nearly 800,000 public service workers.
  • Cancelling student loan debt for more than 930,000 borrowers who have been in repayment for over 20 years but never got the relief they earned because of administrative failures with Income-Driven Repayment Plans.
  • Pursuing an alternative path to deliver student debt relief to as many borrowers as possible in the wake of the Supreme Court’s decision striking down the Administration’s original debt relief plan. Last week, the Department of Education released proposed regulatory text to cancel student debt for borrowers who are experiencing hardship paying back their student loans, and late last year released proposals to cancel student debt for borrowers who: owe more than they borrowed, first entered repayment 20 or 25 years ago, attended low quality programs, and who would be eligible for loan forgiveness through income-driven repayment programs like SAVE but have not applied.
  • Holding colleges accountable for leaving students with unaffordable debts.

Ottawa, February 5, 2024— Further information is being provided to clarify the announcement of an intake cap on new international study permit applications and other changes . International students make important contributions to Canada’s campuses, communities and economy; however, we have seen unsustainable growth in the International Student Program in recent years. These recently announced reforms will support sustainable population growth in Canada and improve system integrity, while helping to ensure that international students have a positive experience in Canada.

1. Cap and provincial attestation letter

As of 8:30 a.m. ET on January 22, 2024, most new post-secondary international students at the college or undergraduate level must provide a provincial attestation letter (PAL) from a province or territory with their study permit application. Immigration, Refugees and Citizenship Canada (IRCC) will return any application received that does not include a PAL, unless otherwise exempt.

This attestation will serve as proof that the student has been accounted for under a provincial or territorial allocation within the national cap. Provinces and territories have been asked to have a plan in place for issuing PALs by March 31, 2024. The Government of Canada is working with the Government of Quebec to determine how the certificat d’acceptation du Québec pour études could serve as a PAL.

International students whose applications were received by IRCC before 8:30 a.m. on January 22, 2024, as well as those who have already been approved for a study permit and intend to travel to Canada for an upcoming program, do not need to take further action as a result of the cap.

2. Post-graduation work permit (PGWP) update for graduates of master’s degree programs

In recognition that graduates of master’s degree granting programs are excellent candidates to succeed in Canada’s labour market and potentially transition to permanent residence, we have made a change to the length of the PGWP, so that they have the opportunity to meet the required Canadian work experience in order to apply for their permanent residence.

Starting on February 15, 2024, a longer, 3-year post-graduation work permit will be available to those who are graduating from a master’s degree program that is less than 2 years and who meet all other PGWP eligibility criteria.

The length of PGWPs for programs other than master’s degrees will continue to align with the length of the study program, to a maximum of 3 years.

Who is eligible for a longer post-graduation work permit (PGWP)?

  • Graduates of programs that are at least two years in length at PGWP-eligible designated learning institutions are eligible for a 3-year PGWP, as are graduates of master’s degree programs less than 2 years in length.

3. PGWP eligibility for public-private partnership college programs

Some provinces allow public colleges to license their curriculum to be delivered by an affiliated private college. In these cases, students physically attend a private college, but graduate with a diploma from a public institution. Concerns have been raised with regard to the quality of education provided by these institutions, as well as the lack of sufficient student supports. The Auditor General of Ontario has also raised concerns about a lack of oversight into program quality and student services at these institutions.

As such, IRCC has made a change to restrict PGWPs for these institutions, anticipating that without the ability to apply for a PGWP, there will be a reduction in the number of international students enrolling in them.

Who is eligible for a PGWP after graduating from a public-private partnership college program?

  • International students currently enrolled will remain eligible for a PGWP if they meet other program eligibility criteria.

Who is not eligible for a PGWP after graduating from a public-private partnership college program?

  • New students enrolling in this type of program will not be eligible for a post-graduation work permit.

4. Changes to open work permit eligibility for spouses

In the coming weeks, eligibility for open work permits for the spouses and common-law partners of international students will be updated.
