So, let’s get started:

The difference between the CV and resume is a source for a lot of confusion. Here’s why:

In the EU, the words CV and resume mean exactly the same thing - a 1-2 page career summary document that’s used for job-search. The two words are usually used interchangeably, and it’s known that they both refer to the same thing.

In the USA, on the other hand, the curriculum vitae is a very long document (as many pages as needed) that summarizes everything you’ve ever done in your career. It’s used specifically to apply for positions in academia.

For the sake of this article, we’re going to be specifically talking about the European CV (as in, American Resume).

Before getting into how we have to first cover the what . 

What does a CV consist of?

There really is no strict rule for that. It all depends on your experience and the position you are applying for. There are, however, some sections that are there to stay no matter what.

Every CV must include the following:

  • Contact Information
  • CV Summary or Objective
  • Work Experience

Depending on your profile, you can also include the following sections:

  • Certificates and Awards
  • Volunteer Experience
  • Personal Projects

In this article, we’re going to walk you through each of the sections we just mentioned and teach you how to include them in your CV the right way.

But first, let’s talk basics:

How to Format Your CV

When it comes to layout, most choices come down to preference. How you want your CV to look and how you want the information to be organized .

When making these decisions, keep these tips in mind:

  • Stick to one page. No recruiter has time to go over more than that. Unless you have a very extensive work history that needs additional space, one page should be enough.
  • Keep it consistent. Use the same colors, the right font, and font size for every section and section header. You want your CV to have a clean, professional, and organized look. (So, no comic sans for you.)
  • Get the spacing right. There should be enough space between lines and sections so that everything is distinctive and easy on the eyes. Be careful of the other extreme, however. Wide margins and too many spaces might leave your CV looking weird.
  • Save it in the right format. Some companies might specifically ask you to send them a .docx file. If they don’t, we’d recommend saving your CV as a PDF. This will make sure the formatting remains intact and your CV has a higher chance of getting past Applicant Tracking Systems .

#1. Contact Information in a CV

You can’t really get a job if the recruiter can’t call you back to let you know the position is yours, right?

It’s crucial that you enter your contact information correctly and provide the recruiter with at least two ways of reaching back to you. 

The must-have information for your CV consists of:

A creative and self-motivated marketing graduate looking for a full-time position as part of a marketing team. Practical experience in strategic marketing through internships and a part-time position.

On the other hand, if you’re an experienced professional with years in the industry, you should be using a CV summary . 

As the name suggests, a CV summary is a snapshot of your professional history that highlights your experience and achievements in the field.

Each entry should consist of the following:

  • Company location and description (Optional)
  • Period of employment
  • Achievements and responsibilities

When describing your work experiences, it’s best to focus on achievements instead of responsibilities .

You should show the recruiter you not only cover your responsibilities, but you also perform well. 

When talking about these achievements, use numbers whenever possible. They make things more concrete and help get the point across.

The best way to talk about your work experiences is by using bullet points. Between 3-6 points are just right - less than that, it will be underwhelming. More than that, and you’ll have a hard time fitting your resume on 1 page.

#4. Education

Right after work experiences, education is another important section (especially if you’re a recent graduate writing a CV with no previous experience).

Again, following the reverse-chronological format, you’d be listing your most recent education first. 

Each entry should consist of:

  • Program name: BSc in Business Administration with a concentration in Marketing
  • University Name: University of Chicago
  • Years attended: 07/2017 - 05/2011
  • GPA (if over 3.5): 3.8 GPA
  • Honors (optional): Summa Cum Laude
  • Academic Achievements (optional): Active member of University of Chicago Business Club and University of Chicago Sustainability Club

Last but not least, the skills section of your CV requires some attention too. 

There are two types of skills you can list. 

Soft skills are related to your personality, communication, attitude, etc. They are attributes that help you adapt to a work environment and communicate with others. Examples of soft skills are teamwork, creativity, leadership, etc.

Hard skills (or technical skills) are things that you learn or are taught. They apply directly to your ability to complete a job. Knowledge in C# or PHP are examples of hard skills. 

Now, soft skills like creativity or adaptability are in high demand by employers . You’d think that it’s a good idea to pack your skills section with soft skills, right?

Well, not exactly.

Most job-seekers use soft skills to fill up space on their CV, even if they don’t have the said skills. At this point, recruiters barely even look at soft skills on your CV. Rather, they evaluate this during interviews.

This doesn’t mean you should completely eliminate soft skills from your CV, though. We recommend mentioning soft skills when you have the experience to back them up. 

E.g. only mention “Leadership” if you’ve worked as a manager in the past.

To be spot-on with the skills you are going to list, have a look at the job post itself. See what skills the recruiter is looking for and include just those in your CV. Use the exact wording they used, too. If the company is using an ATS, this will help you bypass it.

Have some extra space on your CV? No problem - you can fill it up with these sections:

These might be awards from competitions in college or certifications from online courses you attended. 

In either case, they make your application look good and add to the idea that you are a high-achiever. That’s something no employer would complain about. 

#2. Volunteer Experience 

Have some volunteering experience ? 

It can be a great addition to your CV!

If it’s something related to the position you are applying for, volunteering experience shows your genuine interest in the industry. In addition, it can also count as work experience.

Even if the volunteering experience isn’t related to your career, it can still show that you’re the type of person who’s willing to put in the work for things they care about (which is a very desired trait in an employee).

Like a resume, a CV summarizes your skills and experience. The  difference between a CV and a resume  is length, the focus on credentials, and what the documents are used for. Typically, a CV is required to apply for roles in academia, scientific research, and medical fields. 

While your CV provides a detailed—and often lengthy—look at your experience and credentials, the cover letter is an opportunity to call out your most important qualifications and make a compelling case for your candidacy for the role at hand. Tailor the Letter to Fit the Organization

The CV cover letter should be  tailored to respond to the unique and specific requirements  requested by each organization you are approaching.

Start With an Introduction

The body of the letter—the second and third paragraphs—should highlight your relevant skills and experience. Highlight your  transferable skills , achievements, and versatility. Explain what you can contribute and what makes you stand out from your competition. Include mention of your current or last job, qualifications, and professional and academic training, tailoring your information to make it as relevant as possible to the organization or job applied for.

In the body of the cover letter, you can mention personality traits relevant to the role at hand. You can also use this space to call out why you're interested in this specific role, at this specific company. Potential employers and hiring managers will appreciate it if you can show you've read the job ad and researched the company. 

Avoid lengthy repetition of information covered in your CV. Unlike a CV, it is acceptable to write a cover letter in the first person.

Conclude the letter by succinctly summarizing why an employer may want to meet and employ you. Include a polite expression of interest in further dialogue with the recruiter. Do mention that you would like the opportunity to discuss your suitability further in a personal interview and that you await a response in due course.

Follow Instructions 

In some cases, an advertisement will indicate that a more substantial letter is required. 

Always follow specific instructions and include any information if it is specifically requested. For instance, some employers may ask you to include your current salary or your desired salary range. 

Make Sure the Letter Reads Well 

Ensure that your CV cover letter flows freely. You do not need to precisely match every point on the job description. The reader should be left with an overall impression that you are a potentially valuable addition to the workforce.

The letter should be readable and engaging. 

Negative information of any sort should be avoided in your cover letter, as well as on your CV.

How to write your CV cover letter

Now that you’ve seem good examples of cover letters to accompany your CV (or resume if you are in the USA) this guide will show exactly how to write your own, and the content that needs to be included .

Send your CV cover letter in email format (when possible)

When applying for jobs online you usually have 2 choices…

1) Send a message via the job website’s messaging system

2) Send the recruiter an email directly

If you can find an email address for the recruiter, then I would always recommend sending an email directly because it gives you more control.

When you send a message through a job website, it will transfer into an email with basic formatting and an auto-generated headline , which will look like this when the recruiter receives it.

Email Subject line

If you cannot find an email address for the recruiter on the job advert, then try searching LinkedIn or the company website to find the relevant contact.

You may not always be able to find an email address, but when you can – always send a job application by email .

Make your subject line appealing

As you can see in the picture above, a bad subject line can kill your chances of actually having your email read in the first place.

Your subject line should stand out and give the recruiter a reason to open your email.

When recruiters look into their inbox, they are looking for one thing; a candidate who can do the job they are advertising – so give that to them in your subject line.

Your subject line should be a short summary of your experience that relates directly to the job you are applying for.

The following are good subject line examples;

If your subject line shows that you have one or two of the most important requirements for the job, your email should get opened every time.

Address the recruiter by name

Address by name

To get the relationship off on the right foot, you should try to address the recruiter by name if you can.

Often the recruiter’s details will appear on the job advert but sometimes you may have to check out the company website or do some digging around on LinkedIn.

If you really can’t find the name, then it’s not the end of the world – just start with a simple friendly opening like “ Hi ”

(If you applying to a more traditional organisation such as an academic post for a university, you may want to use something a bit more formal like “ Dear sir or madam ”)

Use a friendly yet professional tone

It’s important to sound professional when writing a cover letter but you also need to demonstrate your ability to communicate with other people and show some personality.

If your email is too casual and written in an over-familiar tone, then you will come across us un-professional.

But on the other hand, if your email is too formal and shows no signs of rapport building, you risk appearing as somebody who lacks social skills.

So when writing your cover letter, try to strike a nice balance of professionalism and friendliness.

Opening with a line such as “ hope you’re well ” is a nice way to breathe a bit of personality into your cover letter.

Ensure that your spelling and grammar is perfect throughout your cover letter because sloppy mistakes are a huge red flag for recruiters.

Keep it brief

Unless the job advert specifies otherwise; keep your cover letter short and sweet.

Recruiters and employers receive hundreds of job applications per week, so they don’t want to read a 2 page cover letter.

Depending on the role, around 2-4 sentences should be enough for the content of the cover letter.

You just need to write enough to persuade them to open your CV – It should roughly contain the same amount of information as your CV profile or personal statement.

Show how your skills match the job

To ensure that recruiters open your CV, you simply need to explain how your skills and experience match the job requirements from the advert.

Scan the job advert to discover what the most important candidate abilities are, and show how your previous experience has prepared you to cover these.

In particular, look out for any requirements that are essential to the job .

Focus on what you have to offer at this stage and not what you want.

At this stage, your covering letter is simply a means of getting the recruiter to open your CV, so it’s too early to talk about salary demands etc. Save that for your initial conversation with the recruiter.

Include a professional signature

End your cover letter with a friendly salutation such as “Regards” and a smart signature which includes your name and most direct contact method (usually mobile phone for most people)

A professional email signature will show recruiters that you understand business-email etiquette and ensure they have a means of contacting you – even if they can’t open your CV for any reason.

More than 150 Jewish actors, filmmakers and other artists signed an open letter that was published on Friday in defense of remarks about Jewishness and the war in Gaza that the director Jonathan Glazer made in his Oscars acceptance speech for “The Zone of Interest,” his film about the Holocaust.

Glazer’s speech has become one of the most hotly debated in Oscars history, drawing an open letter of strong denunciation from other Jewish film professionals last month and now one of support.

“Right now we stand here as men who refute their Jewishness and the Holocaust being hijacked by an occupation which has led to conflict for so many innocent people,” Glazer, who is Jewish, said at the Academy Awards on March 10 . “Whether the victims of October the 7th in Israel or the ongoing attack on Gaza, all the victims of this dehumanization, how do we resist?”

The new letter expresses support for Glazer. “In his speech, Glazer asked how we can resist the dehumanization that has led to mass atrocities throughout history,” it says. “For such a statement to be taken as an affront only underscores its urgency.”

Its signatories included the actors Joaquin Phoenix, Hari Nef and Debra Winger; the directors Joel Coen, Nicole Holofcener and Boots Riley; the playwright and screenwriter Tom Stoppard; and the artist Nan Goldin, according to Variety , which reported the existence of the letter on Friday. Its signatories were confirmed by Sarah Sophie Flicker, an artist and cultural organizer who helped organize the letter.

“We stand with all those calling for a permanent cease-fire, including the safe return of all hostages and the immediate delivery of aid into Gaza, and an end to Israel’s ongoing bombardment of and siege on Gaza,” the letter says.

The art world has been deeply divided by the war in Gaza, including the Oct. 7 Hamas attack that killed 1,200 people in Israel and the subsequent Israeli military response that has left more than 32,000 Palestinians dead.

Glazer made his remarks while receiving the Oscar for best international feature for “The Zone of Interest,” a film that follows the Nazi official in charge of Auschwitz and his family as they go about their lives just outside the concentration and death camp.

“All our choices were made to reflect and confront us in the present,” Glazer said in his acceptance speech. “Not to say, ‘Look what they did then,’ rather, ‘Look what we do now.’ Our film shows where dehumanization leads, at its worst.”

His remarks were criticized last month by hundreds of Jewish film professionals who signed an open letter that said, “We refute our Jewishness being hijacked for the purpose of drawing a moral equivalence between a Nazi regime that sought to exterminate a race of people, and an Israeli nation that seeks to avert its own extermination.”

Their letter accused Glazer’s speech of lending “credence to the modern blood libel that fuels a growing anti-Jewish hatred around the world, in the United States, and in Hollywood.”

Friday’s letter criticized the earlier condemnations of Glazer, saying they “have a silencing effect on our industry, contributing to a broader climate of suppression of free speech and dissent, the very qualities our field should cherish.”

The new letter added, “We should be able to name Israel’s apartheid and occupation — both recognized by leading human rights organizations as such — without being accused of rewriting history.”

Through a representative, Glazer declined to comment on Friday.

For Joe Biden to be on the Ohio ballot, state law will have to be changed

The Ohio Secretary of State is warning that President Joe Biden won't make it on the general election ballot in Ohio unless a state law is changed or the Democratic National Convention meets earlier.

The Secretary of State's office sent a letter April 5 to Ohio Democratic Party Chairwoman Liz Walters that alerted her to the issue.

The Democratic National Convention meets August 19 to nominate its candidate for president but Ohio law sets a deadline of August 7 to certify presidential candidates for the November ballot.

The convention would have to meet earlier, which is unlikely given the planning and logistics. Or the Ohio General Assembly could pass legislation by May 9 that grants a waiver, according to the letter to Walters.

"Please contact me as soon as possible with any information that can assure this office of timely compliance with Ohio law," wrote Paul Disantis, chief legal counsel for the Ohio Secretary of State.

A spokesman for Walters said "We're looking into it."

In 2020, both major parties scheduled their conventions for after Ohio's deadline, which requires the nominee names 90 days before the election. Knowing this glitch was in the offing, state lawmakers in 2019 added a one-time change, shortening it to 60 days before the election.
