How to share your powerpoint presentation.

Sharing your powerpoint presentation.

Aside from the traditional method of sending a PowerPoint presentation to others as an email attachment, you can also upload and share your presentation from the cloud. All you need to get started is a OneDrive account. Here’s how.

You can save a PowerPoint presentation to the cloud fairly easily. In fact, it takes only a few simple clicks. For this to work, though, you’ll need a OneDrive account. If you use Office 365, then you already have one. If not, all you need to do is create a Microsoft account  and then sign in to OneDrive. This article will assume you already have a OneDrive account.

First, open the PowerPoint presentation that you’d like to share. At the top-right corner of the window, you’ll see a “Share” button. Go ahead and select it.

Once selected, the “Share” window will appear. You have a few different options here. In the “Attach a copy instead” group, you can choose to send your presentation as a PowerPoint or PDF attachment. Selecting either of these options will open your computer’s default mail client.

What we’re interested in, though, is sharing to OneDrive. To do this, select your OneDrive account under “Share.”

If you haven’t already named your presentation, you’ll be prompted to do so. After you give it a name, click  “OK.”

Your presentation will now be uploaded to the cloud and the “Share” pane will appear on the right-hand side. This is where you can invite people to edit (or read) the document. In the address bar, enter the email of the recipient. Alternatively, select the icon to the right of the address bar and select a recipient from your Outlook address book.

After you’ve entered the recipient’s email, you can then assign a permission level. Once you’ve given read/write or read-only permission, you can then add an optional message. When you’re ready, click “Share.”

The recipient will receive an email providing access to the presentation.

Note: If you’re the recipient, be sure to check your spam folder! During our testing, we found the invitation in spam.

An alternative method for inviting people is to get a sharing link. At the bottom of the “Share” pane, select “Get a sharing link.”

Next, choose which type of link you’d like to provide. You can choose between a read/write link or read-only link.

A link will then be generated. Select “Copy” to copy the link to your clipboard.

Anyone you share this link with will then have access to the presentation. This will allow multiple people to collaborate on your presentation in real-time !

In this post you’ll learn how to hyperlink in PowerPoint.

And the reason that hyperlinking in PowerPoint is important is that it allows you to jump around within your presentation or open documents outside of your presentation without leaving Slideshow Mode.

This allows you to create interactive and non-linear presentations. Common things you might use hyperlinks for in PowerPoint are:

  • Hyperlinking to another slide in your presentation
  • Opening a document or file on your computer Jumping to a page on the internet
  • Open another PowerPoint presentation or slide show
  • Create the mouseover text effect in PowerPoint (using ScreenTips)

The other great thing about hyperlinks in PowerPoint is that they automatically convert to the PDF file format. For details on how to convert PowerPoint into the PDF file format, read our guide here .

What is a hyperlink in powerpoint.

A hyperlink is typically clickable text that jumps you to a location online, opens a file on your computer or performs some other action when you click it.

An online hyperlink can be written in two ways:

  • As the full URL address you are jumping to: For example, visit our website www.nutsandboltsspeedtraining.com
  • As shortened text with the hyperlink embedded inside the text (which is how it works in the Microsoft Office suite): For example: Visit our website here (with the entire URL address embedded in the text ‘ here ‘).

This is an important distinction to make, as most of the hyperlinks you add in PowerPoint, Word and Excel are clickable text or objects, with the hyperlink embedded within.

You can use hyperlinks in the Microsoft Office suite to do a variety of things like:

  • Open a web page online
  • Open files or documents on your computer
  • Jump to a specific section in your document
  • Create new documents (that you can begin editing)
  • Start an email message

These hyperlinks can be embedded (as you’ll learn to do below) in text, shapes, pictures, charts, etc., allowing you to create interactive documents.

That is, people can click on things within your document to perform certain tasks, navigate to specific sections of your presentation or even open custom slide shows (if you have already set them up).

NOTE:  In PowerPoint, you can also use clickable objects to trigger animated effects, but these are NOT hyperlinks. To learn how to set up trigger objects to fire your animations (like making objects appear and disappear),  read our guide here .

How to hyperlink to another slide in powerpoint.

To hyperlink to another slide in PowerPoint, the first thing you need is some text or an object to anchor your hyperlink in. Once you have the object, simply select the text or object and hit Ctrl+K on your keyboard to open the Insert Hyperlink dialog box.

If you do not like keyboard shortcuts, you can alternatively open the Insert Hyperlink dialog box using your Ribbon.

Select your object, click the insert tab, open the Link drop down and click Insert Link

To add a link to an object (or block of text) using the PowerPoint Ribbon, simply:

  • Select your text or object that you want to use as the anchor for link
  • Click the Insert tab
  • Open the Link drop down
  • Select Insert Link…

For this example, I have done the following in the Insert Hyperlink dialog box:

  • Selected a Place in this Document
  • Selected Slide 3 (the slide I want to jump to within this presentation)

You can choose for yourself where you want your hyperlink to link to. Just keep in mind that a hyperlink can only have a single destination. A hyperlink cannot link to multiple locations at the same time.

Note. To use the Show and Return feature at the bottom of the Slide preview window, you need to hyperlink to a Custom Slideshow.  That is, a smaller subset of your slides that you set up. 

How to trigger a hyperlink

Once you’ve inserted a hyperlink into PowerPoint, there are two ways to trigger it.

#1. Slideshow mode (Presentation View)

When in any of the Presentation Views (like Presenter View), simply hover your mouse over your hyperlink and click it like you would any online link. Triggering the hyperlink then jumps you to the destination you selected (see details above).

#2. Normal View

In the Normal View in PowerPoint (the standard editing view), you can trigger a hyperlink by holding the Control  key and clicking the hyperlink with your mouse. This creates the same effect as simply clicking a hyperlink in the Presentation View.

When given the choice of what to use as your hyperlink trigger, the best practice is to use the object itself, rather than text. That’s because you have little control over the default hyperlink text formatting as pictured below.

All the objects in the graphic above have the same exact hyperlink applied to them. Notice how the hyperlinked text displays formatting, while the hyperlinked objects do not show any formatting.

When you add a hyperlink to text, it not only gets that underlined hyperlink formatting, but it also changes color once you have clicked the hyperlink. In PowerPoint, this is known as the Followed Hyperlink color. On the other hand, when you anchor your hyperlink on an object, the text never displays the hyperlink formatting. This is why most presenters prefer to anchor their hyperlink on their object instead of anchoring it on their text.

If you do decide to use text hyperlinks in your slides, you can always change the used hyperlink formatting by resetting your hyperlinks (see the next section).

When would using text hyperlinks make sense? When you want to see what you’ve already clicked on inside your presentation.  That’s because the Followed Hyperlink color (I’ll show you how to change that in a second) shows you exactly what you have already clicked on.

How to reset a hyperlink's color

To reset a hyperlink's color, simply select the hyperlink, hit control plus k to open the Insert Hyperlink dialog box and click ok

If you are using text hyperlinks, as you click them in your presentation, the hyperlink color changes to the Followed Hyperlink color. This is fine if you want them to change colors (demonstrating what you have already clicked on), but it’s annoying if you don’t.

If you are using text hyperlinks, this means that after you have tested them out, you will need to reset the hyperlinks, so they start with the unfollowed hyperlink color.

To reset the color of a text hyperlink in PowerPoint, simply:

  • Select the hyperlinked text
  • Open the Insert Hyperlink dialog box (Ctrl+K)
  • Immediately click OK

Clicking OK automatically resets the used hyperlink formatting back to the default unused text hyperlink formatting.

If you do go with text hyperlinks, the used formatting gives you a sense of what you’ve already clicked on. That means you won’t waste time navigating to something you’ve already covered. That said, you will need to reset the text formatting each time before you give your presentation.

How to change your hyperlink color in PowerPoint

To change the color of your hyperlinking in PowerPoint, from the Design tab, navigate to customize colors, change your hyperlink and followed hyperlink colors and click save

To change the colors of your Hyperlinks and Followed Hyperlinks in PowerPoint, simply:

  • Navigate to the Design tab
  • Open the  More option (downward facing arrow)
  • Open the Color drop down
  • Select  Customize Colors
  • Set a new  Hyperlink  and  Followed Hyperlink  color
  • Select  Save

Selecting Save saves your new color combination as a PowerPoint Theme and apply it to your current presentation. When selecting your own colors for your hyperlinks, stark colors work best so they stand out from your presentation.

How to remove a PowerPoint hyperlink

To remove a hyperlink in PowerPoint, right click the hyperlink and select Remove Link

To remove a hyperlink in PowerPoint:

  • Select the hyperlinked text or hyperlinked PowerPoint object
  • Right-click the object (or text)
  • Select Remove Link

Regardless of what the link was pointing to, Remove Link removes the hyperlink formatting and the link. 

New Zoom Transition Hyperlink

If you have a Microsoft 365 subscription, there is a new way to add hyperlinks to PowerPoint called the Zoom transition. To make it easier to refer to, I will simply call them Zoom slides below.

To create a Zoom transition, simply click and drag a slide from the Thumbnail view on the left of your presentation, onto the slide you are currently using as pictured below.

Once you have created a Zoom slide, selecting it on your slide opens the Zoom Tools Format tab. From this tab, you have a variety of different formatting and transition options to choose from.

For example, do you want your Zoom transition to return to the slide it started on?

If yes, then in the Zoom Tools Format tab Zoom Options, simply select Return to Zoom (see picture below).

Once you have a zoom slide in your presentation, you can use the Zoom tab to control the behavior of the zoom

Selecting  Return to Zoom  means that after jumping to your Zoom slide, when you advance your slideshow, you will automatically return to the jumping off point within your presentation.

That allows you to create a dashboard like effect within your presentation. For example, you could present your audience with options – have them vote – and then click the link to jump to that section of your presentation.

And while this might seem complicated, you are in fact just creating hyperlinks (with a cool zoom effect).

How to troubleshoot hyperlinks that are not working

First off, hyperlinks are meant to work in Slideshow Mode or Presentation View of PowerPoint.

So before troubleshooting your hyperlinks, make sure you have tried them out in the proper view first.

If your hyperlinks are still not working, the probable cause is that your hyperlink is broken. That is, whatever you were hyperlinking to has been deleted or moved. If this is the case, you simply need to reset your hyperlink.

To reset (or fix) a hyperlink in PowerPoint, simply:

  • Make sure you have access to the file, slide or location you want to hyperlink to
  • Select your hyperlinked text or object
  • Open the Insert Hyperlink dialog box ( Ctrl+K on your keyboard)
  • Set up your hyperlink to the correct slide, document, or location on your computer

Clicking  OK , your hyperlink resets, and will properly take you the slide, document, or location that you set it to.

Hyperlink ScreenTip Trick (the Mouseover Text Effect)

Another way to user hyperlinks in PowerPoint is to leverage the ScreenTip functionality to create the mouse pop-up text effect in PowerPoint that you can see in the picture below.

In this case, you are not using the hyperlink to jump around your presentation. Instead, you are leveraging the ScreenTip functionality, to display text as you hover your mouse over an object in PowerPoint.

As you can see, there is more to hyperlinking in PowerPoint than just inserting the link. There are considerations on what you anchor your link to, how to change the color of your hyperlinks, and how to reset them as well.

I always hyperlink objects instead of text whenever possible as it creates fewer formatting issues as you click through the slides. That said, if you want a visual cue of which links you’ve already clicked in your presentation, you will want to hyperlink your text directly.

In short, hyperlinks are a great way to create choices within your presentation. That is, giving your audience a choice and then jumping to topics within your presentation that they are most interested in learning more about.

On a different machine with Powerpoint 2016 Home, my hyperlinks are clickable in Normal Edit View, but on another machine with Powerpoint 2016 Professional I have to view in Slideshow to click the hyperlinks. What gives?

How to Put a Hyperlink in Microsoft PowerPoint

Do you want to add a link to a website or document to your PowerPoint presentation? Adding hyperlinks to PowerPoint slides is incredibly easy. This wikiHow will teach you how to insert hyperlinks into PowerPoint slides using Windows and macOS.

Select a slide.

Click the slide onto which you want to place a hyperlink.

Select the hyperlink text.

Use the mouse to select the text you want to add to the link.

  • You can also make an image a hyperlink—just click the desired image to select it.

Click the "Insert" tab.

You'll see the Insert tab at the top of PowerPoint.

Click the "Link" icon.

Click Link in the toolbar at the top of PowerPoint.

Add a location or address to link to.

Fill out the fields.

  • To link to a file or website, select Existing File or Web Page at the top-left. Then, enter the full URL of the website or select the document.
  • To link to another location in your presentation, select Place in This Document , then select a slide title.
  • To create an email hyperlink, select E-mail address , then enter an email address. Clicking the link will simply compose a new message to this address.

Click "OK" to create the link.

This creates a clickable hyperlink in your PowerPoint presentation.

Once selected, right-click to open a context-sensitive menu. This menu provides various options based on what you’ve selected.

In the right-click menu, locate and select the ‘Hyperlink’ option. The ‘Insert Hyperlink’ dialog box will pop up, presenting several hyperlinking opportunities.

Understanding Link Types:

  • Existing File or Web Page: This is perhaps the most commonly used option. Here, you can link to a webpage, a file on your computer, or even a file on a network.
  • Place in This Document: A great feature for creating non-linear presentations, this option lets you jump to specific slides within your deck.
  • Create New Document: Want your hyperlink to create and open a new document? This option is for you, though it’s less commonly used in presentations.
  • Email Address: Initiating an email is as simple as inputting an address here. Once clicked during a presentation, it will open the viewer’s default email client with the chosen address pre-populated.

Linking to a Website: Under ‘Existing File or Web Page’, input the URL of the website you wish to link to.

Jumping Between Slides: Under ‘Place in This Document’, a list of all your slides will appear. Simply select the desired destination slide.

For New Documents: If you chose ‘Create New Document’, you’d have to name the document and decide whether it should be edited now or later.

Email Links: Under ‘Email Address’, input the email and subject. The subject is optional but can pre-populate the email’s subject line for the viewer.After inputting your link, click ‘OK’. Your selected text or object will now bear the hallmark of a hyperlink, typically underscored and in a contrasting color.

The only version of PowerPoint that allows users to create embed code is PowerPoint for the Web .

Historically, consumers were able to save a presentation as a video and embed it onto a website. But it wasn't the same as allowing readers to click through the slides, and download if needed. Microsoft heard from their clients and added the ability to embed the web application into the latest iteration of PowerPoint (for Web). With that said, let's check out this feature from Microsoft!

Now that you've seen what a PowerPoint looks like once embedded, let's get into the process of completing the task at hand.

Begin by opening the PowerPoint 365 Web Application (link here !)   Note* You may need to sign into your Microsoft Office account before you start.

After the site is open, select the presentation you'd like to embed into your website if already uploaded (or start from scratch).

If you haven't uploaded your presentation to PowerPoint for the web, choose the upload option.

Okay, once you've upload or selected your PowerPoint file it will load into the PowerPoint web application.

Next, click "File" from the upper left corner of PowerPoint and select "Share" from the options on the left side.

Then, select "Embed" from the two option on the right.

The default embed code in my PowerPoint is 476 x 288.  As a rule, 610 x 367 will fit on most websites comfortably, but if you want your viewer to have a full-screen experience, then 1186 x 691 dimensions would be preferable.  However, this option is customizable, so you can choose any size you desire.

Copy the Embed Code and paste it into the body of your website or blog.

Last, but not least, be sure to save the code in your site or blog, and voila! You've successfully embedded a PowerPoint presentation into your website.

Add live Power BI data to PowerPoint

You can use live data from Power BI to help create a story with your PowerPoint presentations. Add individual visuals and whole report pages to your PowerPoint slides with the Power BI add-in or create a new PowerPoint presentation with live data from the Power BI Service. With the Power BI add-in, you can also use recommended content from the add-in to use on an existing slide. You also insert a direct URL link into the Power BI add-in.

After you use your preferred method to load the data, the report or visual will be live and you can select the data as desired. Any changes you make while editing the presentation will automatically save. The next time you open the presentation, the report or visual will appear in the state you last left it in. For more information, see View and present live Power BI data in PowerPoint .

If you don't see the Power BI button, choose Get Add-ins and look for "Microsoft Power BI" in the Office Add-ins store. If the add-in is admin managed, it will appear in a separate ribbon.

If you get a Cannot run Power BI error message when you try to use the Power BI add-in, it is most likely because you need to install WebView2, a component necessary for running Power BI in PowerPoint. WebView2 is very simple and quick to install. See Troubleshoot the Power BI add-in for PowerPoint for details.

Decide how you want to load your data and follow the procedure in one of following sections:

Create a new presentation and add live Power BI data

Add live power bi data to an existing presentation, use the direct url to add live data to a presentation.

The Open in PowerPoint and Export options are not available in national/regional clouds.

Create new presentation from a report or visual

Add the report or visual to a new PowerPoint presentation with the following method:

  • Go to the report or visual.
  • Make any changes or select filters that you want to the data before you add it to a new PowerPoint presentation.
  • Select Share the live data is a report.
  • Or, if the live data is in a visual, select More options (...) then Share .
  • Specify what users can access the content as described in the sharing reports documentation .

Check the Include my changes box if you want to add the data in its current state.

Select Apply .

  • Choose Open in PowerPoint .
  • In the Embed live data in PowerPoint dialog that appears, choose Open in PowerPoint . Then a new PowerPoint presentation will open with the visual already loaded into the add-in.

Export a report to add live data to a new presentation

Select Export .

Choose PowerPoint .

Then select Embed live data .

Check the Embed report with the data filters you selected box if you want to export the current state,

Select Open in PowerPoint .

Although this option is located in the Export menu and is labeled "Embed live data", no data actually becomes part of the PowerPoint file. The data remains secure in Power BI.

Use the content recommended by the Power BI add-in

On the slide you want to add live content, type the title of the slide. The title should include the name of the report you wish to add.

select Add-Ins from the top ribbon.

Select the Power BI add-in.

The add-in then automatically scans the title of your slide then suggests Power BI content that might be relevant under the Recommended section.

For example, if the title of your slide is "New stores sales," the add-in shows you a list of Power BI reports that contain those keywords. The add-in also shows you reports you recently visited in Power BI, so you can easily access reports you’re working on or frequently use.

Once you find the report you want, select it to insert it on the page.

When you have the report open on PowerPoint, you can select a specific page or visual to insert. You can also update filters or slicers before you insert it on the page.

If you want to allow others to access this report, select the Give people automatic access to this data checkbox, so that when others in your org view this presentation, they can see the data you added to the slide.

You must have permission to share the content you want to insert or you won't have the option to give others access to the data.

When you're ready to insert the page, select the Insert button to add the live content.

If the report you want to add doesn’t appear in the list of recommended content, use the Use the direct URL to add live data to a presentation method.

If you want to add a live report page to your presentation with a URL, there are three ways to get the report page URL, you can get the URL from the Share option, Export option, or directly from the browser's address bar.

Use the Share option if you want to be sure that all users who open the presentation can view the report. With other methods, users can or can't view the report based on their permissions.

Use the following procedure to add live data to a presentation with a URL:

In the Power BI service, open the report to the page you want to insert.

If you want, set the page to your desired state using filters, selection, slicers, etc.

If you use the share method, select Share :

Specify what users can access the content.

  • Copy the URL.

Or, if you use a visual:

  • Select More options (...) .
  • Select Share .
  • Then choose Link to this visual to get the visual's URL.

Or to use the browser link:

  • Copy the URL from the browser's address bar.

After you copy the URL with one of the previously mentioned methods, go to your PowerPoint Presentation.

Go to the slide you want to add the data.

Select the Power BI add-in from the ribbon.

Paste the URL into the text box.

Select the Insert button and the visual will load into the slide.

Change a direct link to a shareable link

If you have sharable links enabled for your organization and you have permissions to re-share a report, you can turn your link into shareable link in the Power BI add-in. When you use a sharable link, other users viewing the presentation have the required permissions to see the report and don't have to request access when the viewing the presentation. So, you don't have to give everyone access in the Power BI service before you use the report in your presentation. For admins to learn more about how to enable sharable links, read Allow shareable links to grant access to everyone in your organization .

Use the following procedure to create a shareable link to a report in your presentation:

Copy the report page from the browser address bar.

Paste the direct link into the Power BI add-in.

Check the box next to Give people automatic access to this data . The add-in changes the direct link to a shareable link.

Select the Insert button and the report loads into the slide. The report will now be accessible to everyone who views the presentation.

Including a video in your PowerPoint presentation can make it more exciting and engaging. And it’s much easier than you might think. Read on for our step-by-step guide.

Before You Start, Find the Video

Finding your video first may sound like an obvious thing to do, but its location will determine how you go about embedding it in your PowerPoint presentation. You can use video from:

  • A file saved on your computer
  • An online source, such as YouTube , in which case you’ll need to copy its URL

Once you’ve found the video you want to use, follow the steps below to embed it in your PowerPoint.

How to Embed a Video From Your Computer

1. select the slide.

In your PowerPoint presentation, select the slide where you want to insert your video.

2. Click to Insert Media

For a video stored on your computer, you have two options:

  • Click on the Insert Video icon in the center of the screen (it looks like a couple of frames of film).

3. Select the Video File

Since you found the location of your video file before you started, it should be a quick job to select it in the pop-up box that appears. Then click Insert to embed the video in your slide.

How to Embed an Online Video

As before, start by choosing the slide where you want to insert your video.

With an online video, you will need to use the options in the ribbon. On the Insert tab, click on the arrow beside the Video icon and select Online Film .

3. Enter the URL

Since you found and copied the URL for your video before you started, you can now paste that into the box that appears. Then click Insert to embed the video in your slide.

Finishing Up

Congratulations! You have now successfully embedded your chosen video. But you can do more to polish your presentation.

Whatever the source of your video, you can add text and play around with how the video appears on screen. To do this, use the options in the Video Format tab.

You can also choose a playback option to suit your presentation using the options available under the Playback tab.

And, of course, don’t forget to save your presentation: just click File , then either Save or Save As, and choose a location and file name.

Visual calculations 

A new way of doing calculations has arrived! You can now add calculations directly on your visual using visual calculations, which are DAX calculations that are defined and executed directly on a visual. A calculation can refer to any data in the visual, including columns, measures, or other visual calculations. This approach removes the complexity of the semantic model and simplifies the process of writing DAX. You can use visual calculations to complete common business calculations such as running sums or moving averages. Visual calculations make it easy to do calculations that were previously very hard or even almost impossible to do.

To use visual calculations while in preview, you need to enable it in Options and Settings  ➡️  Options  ➡️  Preview features . Select visual calculations and select OK . Visual calculations will be enabled after Desktop is restarted.

To add a visual calculation, you first need to select a visual. Next, select the New calculation button in the ribbon:

The new calculation button is shown on the Home tab of the ribbon in Power BI Desktop in the Calculations group.

To add a visual calculation, type the expression in the formula bar in the visual calculations edit mode that opens. For example, in a visual that contains Sales Amount and Total Product Cost by Fiscal Year , you can add a visual calculation that calculates the profit for each year by simply typing: Profit = [Sales Amount] – [Total Product Cost].

The visual matrix is updated as you add visual calculations using in the formula bar. New visual calculations are added as columns to the visual matrix.

Additionally, you can easily add a running sum of profit by writing:

You can use many existing DAX functions in visual calculations. Functions specific to visual calculations are also available, such as RUNNINGSUM , PREVIOUS and MOVINGAVERAGE . Using these and other functions, visual calculations are much easier to read, write and maintain than the current DAX required.

Dynamic subscriptions for Power BI reports

Dynamic per recipient subscriptions is now available in Preview for Power BI reports! Like dynamic subscriptions for paginated reports , you can now distribute a personalized copy of a Power BI report to each recipient of an email subscription.

Imagine you have a report that includes sales data for your entire team. You want to schedule an email subscription that sends out a PDF copy of this report to each salesperson on a weekly basis, with the report filtered to only show their sales results.

This can now be done by connecting to a semantic model (previously Power BI dataset) that defines the mapping between recipients and respective filter values. When it’s time to send out the report, the latest data available in your semantic model will determine which employees should receive a report in their inbox, and with what filter values applied.

This February release we added multi-visual container format support ! Previously, when multi-selecting across different visual types, the format pane did not support any options for formatting the visuals. Now, when multi-selecting different visuals, we’ve added formatting support for container formatting such as changing the size, background color, adding a shadow or turning on/off titles in bulk.

We’ve also added the ability to format a visual’s container size and position even if it’s empty:

This month we also bring you a handful of quality improvements to the on-object experience:

  • Bug fix : when working with a non-visual (text box, button, image, shape) the build pane accidentally closing automatically. The build pane now stays open unless explicitly closed regardless of selected item type.
  • Bug fix : style bug where the build pane was showing 5 icons across instead of the usual 6 has been fixed.
  • Bug fix : in some cases, the data flyout was extending beyond the window size making the search box hard to use, this has now been fixed.
  • Enhancement : When choosing a field using the data flyout – you can now click anywhere on the name, not just the checkbox next to it to select the field.

5.Enhancement : If replacing a field in a visual that does not use an aggregation or date hierarchy (other dropdowns are disabled), we auto open the data dropdown to save an extra click.

Power BI Home in Desktop is Enabled by Default  

We are excited to announce the new and improved Power BI Home as the default experience! Whether you’re a seasoned Power BI user or new to the platform, Power BI Home ensures a consistent and seamless experience across all your Power BI activities.

Now, you can:

  • Initiate a new report directly from the new home screen.
  • Access reports from recommendations that we have curated.
  • Locate your most recent reports through the Quick Access lists.

Enhanced Reference Layer in Power BI Azure Maps Visual

We’re excited to introduce a significant enhancement to the Power BI Azure Maps visual reference layer feature. In response to valuable user feedback and in alignment with evolving industry standards, we have expanded the capabilities of the reference layer. Now, in addition to supporting the existing GeoJSON format, users can also utilize KML (Keyhole Markup Language) and WKT (Well-Known Text) formats.

We’re also adding URL as a data source alongside file upload. This addition offers users even more flexibility and convenience in importing spatial data into Power BI. DAX query view improvements  

We released the public preview of DAX query view in November 2023, and in this release, we made the following improvements:

When you add the Power BI add-in to a presentation, you can pick a report suggested to you or paste a link to a specific report.

When you paste a standard report link (the URL copied from the browser address bar), and if sharable links are enabled for your organization and allowed for this report, you have re-share permissions to this report, Power BI add-in can replace the link you pasted with shareable link. In that case you will see a checkbox added below the report URL that offers you automatic access to this report. Just mark this checkbox and Power BI add-in will create a shareable link for you.

Using a sharable link ensures that other users viewing the presentation have the required permission to see the report, and do not need to request access when viewing the presentation.

Maximum connections per data source  is a setting to configure the maximum number of connections DirectQuery opens for each underlying data source. This controls the maximum number of queries that can be executed concurrently against each data source and is configurable per semantic model.

We recently updated the upper limit of the number of concurrent Direct Query connections allowed per semantic model. The updated limits for each SKU are listed in the table below.

The upper limit for Power BI PPU is 100 active connections. Note that there is no change to the Power BI Pro and Report Server limits and the default maximum value remains as 10 concurrent connections.

Introduced last September, shared device mode is now generally available! With shared device mode, organizations can safely deploy the Power BI mobile app across their pool of shared devices.  Check it out !

This API allows Custom Visuals to store data directly in the local browser. Data stored locally is more secure and improves the performance of web apps. The API will be controlled by a global admin setting. Learn more about the API.

Our February release introduces the support of the new on-object interaction. This enhancement allows users to build and customize visuals directly on the visual in Power BI Desktop. It puts common actions for creating and formatting visuals on the visuals themselves, actions such as adding fields, changing visualization types, and formatting text.

The primary objective of Power BI Desktop developer mode is to provide friendly source control and co-development experience. With this objective in mind, you can now save your Power BI Project files (PBIP) using  Tabular Model Definition Language (TMDL)  format. TMDL has been designed from the ground up to be human-friendly, facilitating not only readability but also easy editing in any text editor. This represents a substantial enhancement for source control and collaborative development experiences, particularly when dealing with complex file diffs.  

Saving as a PBIP using TMDL is currently in preview. Before giving it a try, you must first enable this feature in Preview features: go to  File  >  Options and settings  >  Options  >  Preview features  and check the box next to “Store semantic model using TMDL format”.  

After enabling the preview feature, when saving as PBIP, your semantic model will be saved as a TMDL folder named “\definition” with separate files for each table, perspective, role, culture:

By default, Fabric Git Integration will still use Tabular Model Scripting Language (TMSL) to export the semantic model during the Public Preview. However, if the semantic model is imported into Fabric using TMDL, then Fabric Git Integration will export the definition into Git using TMDL in the event of any semantic model changes in the service.

Protecting your data with Microsoft Purview

Compliance admins in your organization can use Microsoft Purview Information Protection  sensitivity labels  to manage their org’s sensitive data across different apps and services and meet regulatory and compliance requirements.

They define file protection policies for the sensitivity labels, which result in files being encrypted when such labels are applied, allowing only authorized users to open and edit these files in Office apps and Power BI Desktop.

Sensitivity labels are widely adopted by enterprises today and used to label and protect content in  Microsoft 365  apps such as Excel, PowerPoint, Word, and Outlook, and now in Power BI and Fabric as well.

All you have to do is enable Information Protection in Microsoft Fabric’s Admin Portal and let the labels do the rest.

How Power BI Desktop enforces sensitivity label protection

In Power BI Desktop , we enforce label protection on PBIX files. To open a PBIX file, you either must be the label issuer or have one of the following usage rights .

These usage rights are elevated permissions, as they grant permission to change the sensitivity label. Because Power BI and Office apps use the same label policies, compliance admins may prefer not to grant these usage rights for Highly confidential labels. This might block you from collaborating with your colleagues when you’re sharing or downloading Power BI reports and trying to open them in the desktop app.

Collaborating and keeping label protection on PBIX files

By enabling “ Increase the number of users who can edit and republish encrypted PBIX files (preview) ” in your tenant, users that have been assigned with all of the following usage rights should be able to open, edit, and republish the protected PBIX file to the Power BI service:

  • View Content (VIEW)
  • Edit Content (DOCEDIT)
  • Save (EDIT)
  • Copy and extract content (EXTRACT)
  • Allow Macros (OBJMODEL)

Thus, users who were once restricted can now collaborate with protected files, while keeping protection consistent with the organizational policy.

Note: These usage rights are a sub-set of the “Co-Author” permissions preset in Microsoft Purview compliance center.

What are the restrictions and why?

In order to align with compliance requirements, users with these usage rights are lightly restricted while editing a protected PBIX file.

No exporting to unsupported formats –The user won’t be able to export to formats that don’t support sensitivity labels, such as CSV files.

Why restrict republishing into the original workspace only?

To remain compliant, we must keep users from gaining more permissions, including Power BI permissions (i.e., Read, Write, Reshare and Build). Meaning that a user who wishes to publish should not be able to publish to a workspace that might grant them additional permissions through Workspace roles.

Additionally, this feature is meant for collaborating and sharing items that are more restricted than usual, and confidential data is usually managed in a dedicated workspace. This restriction will prevent users from publishing confidential data across the tenant.

Side note: The file must be published at least once for other users to be able to republish it to that specific workspace. If the file has not yet been published, then the latest label issuer (the one who set the protected label) or a user with sufficient usage rights must publish it and then share the file with the other editors.

How to enable it

Prerequisite: The compliance admin must assign you and your colleagues the proper permissions for that sensitivity label.

Next, Fabric/Power BI admins must enable the feature in Admin Portal > Information protection > Increase the number of users who can edit and republish encrypted PBIX files (preview).

In Power BI Desktop, users who would like to open and edit protected PBIX files must enable the feature by opening File > Options and settings > Options > Preview feature > Less elevated user support.

Final words

With this new feature, users can now collaborate more easily with other users when working on confidential data in Power BI Desktop, without any loss of protection along the way.
