How to write a good cover letter (with examples)

The best letters are unique, tailored to the job description, and written in your voice — but that doesn’t mean you can’t use a job cover letter template.

Great cover letters contain the same basic elements and flow a certain way. Take a look at this cover letter structure for ref erence while you construct your own.

1. Add a header and contact information

While reading your cover letter, the recruiter shouldn’t have to look far to find who wrote it. Your document should include a basic heading with the following information:

  • Pronouns (optional)
  • Location (optional)
  • Email address
  • Phone number (optional)
  • Relevant links, such as your LinkedIn profile , portfolio, or personal website (optional)

You can pull this information directly from your CV. Put it together, and it will look something like this:

2. Include a personal greeting

3. Draw them in with an opening story

There’s no need for a personal introduction — you’ve already included your name in the heading. But you should make reference to the job you’re applying for. A simple “Thank you for considering my application for the role of [job title] at [company],” will suffice.

Then you can get into the “Why” of your job application. Drive home what makes this specific job and this company so appealing to you. Perhaps you’re a fan of their products, you’re passionate about their mission, or you love their brand voice. Whatever the case, this section is where you share your enthusiasm for the role.

Here’s an example opening paragraph. In this scenario, you’re applying for a digital marketing role at a bicycle company:

“Dear Mr. John Doe,

Thank you for considering my application for the role of Marketing Coordinator at Bits n’ Bikes.

My parents bought my first bike at one of your stores. I’ll never forget the freedom I felt when I learned to ride it. My father removed my training wheels, and my mom sent me barrelling down the street. You provide joy to families across the country — and I want to be part of that.”

4. Emphasize why you’re best for the job

Your next paragraphs should be focused on the role you’re applying to. Highlight your skill set and why you’re a good fit for the needs and expectations associated with the position. Hiring managers want to know what you’ll bring to the job, not just any role.

Start by studying the job description for hints. What problem are they trying to solve with this hire? What skills and qualifications do they mention first or more than once? These are indicators of what’s important to the hiring manager.

Search for details that match your experience and interests. For example, if you’re excited about a fast-paced job in public relations, you might look for these elements in a posting:

  • They want someone who can write social media posts and blog content on tight deadlines
  • They value collaboration and input from every team member
  • They need a planner who can come up with strong PR strategies

Highlight how you fulfill these requirements:

“I’ve always been a strong writer. From blog posts to social media, my content pulls in readers and drives traffic to product pages. 5. End with a strong closing paragraph and sign off gracefully

  • Show, don’t tell . Anyone can say they’re a problem solver. Why should a recruiter take their word for it if they don’t back it up with examples? Instead of naming your skills, show them in action. Describe situations where you rose to the task, and quantify your success when you can.
  • Be honest . Avoid highlighting skills you don’t have. This will backfire if they ask you about them in an interview. Instead, shift focus to the ways in which you stand out.

Do I Need a Cover Letter?

So, you find an ideal job listing, but it does not ask specifically for a cover letter.

Should you write one?

Yes, the going advice is that you should write a cover letter even if not explicitly stated as a requirement.

You are already submitting a professional resume, but a strong cover letter may give you that added edge.

  • It can cause your application to stand out above the rest.

An amazing cover letter can be broken down into four simple paragraphs.

Each paragraph has a unique goal.

Remember, these are not those lengthy, six-to-ten-sentence paragraphs you learned about in high school.

  • You want them short and sweet. 
  • Make them between two to four well-written sentences.

Here’s how you do it …

Paragraph 1: Grab Your Reader’s Attention

In your first paragraph, state the position you are applying for in the company.

Also, list a few key reasons why you are the perfect fit for the job.

Use humor to get the reader’s attention, yet make sure it’s relevant and states why you would be the ideal candidate.

Paragraph 2: Show Your Value to the Company

Now that you have your reader’s attention, it is time for you to introduce yourself and explain exactly why you are the best fit for the job.

Take time to review the job description.

Then find relevant skills from your resume that you can highlight for the reader.

Here are examples of effective bullet points for a community manager position:

  • Successfully analyze the performance of 30+ marketing programs and identify the best opportunities for optimization, resulting in a 40% revenue increase in two years.
  • Monitor online posts for content and adherence to guidelines with 100% accuracy.
  • Negotiate advertising contracts with third-party sites and ad companies, saving our company over $150,000/year.

Bullet points work really well in this section of your cover letter.

Paragraph 3: Prove Your Interest in the Company

In this section of your amazing cover letter, you need to prove your interest in the organization you are applying to.

By demonstrating your knowledge of the company.

Show the reader that you have actually taken some time to research their company and that you believe in their core values and mission.

Paragraph 4: Wrap It up and Put a Bow on It

Briefly, summarize what it is that you will bring to the company.

Don’t be afraid to include some sort of call to action for them to contact you.

Write something like this:

  • “If you have any further questions, I am available by phone.” 
  • “If you would like to set up a meeting, please email me at …”

Also, if you plan to follow up on your application, let them know when and how you will follow up so they can be ready.

Lastly, thank your reader for their time and consideration while reading your amazing cover letter.

Final Step: Proofread Your Cover Letter

This might go without saying, but let’s say you just found the perfect dream job and you’re in a hurry to submit an application.

After all, if your cover letter and resume make it in first, maybe you’ll have the edge you need to land the position.

Take a breath and slow it down.

Look back over the cover letter.

Read every sentence carefully, checking for any errors in grammar or formatting.

Next, research the company properly . This means doing more than reading the ‘about us’ section on their website. Think about what the organisation’s values:

  • What makes them different from other competitors?
  • Who are their customers ?
  • What kind of candidates do they want to attract ?
  • It’s also vital to think about what really attracts YOU to their company and how you think your skills will benefit them.

What to include in a cover letter

A great, hulking cover letter DON’T is to repeat exactly what your CV already says. The trick is to highlight the relevant points in the CV and give them more information about them. The cover letter should be the filling and icing (and silver sugar balls, if you like) to the plain sponge of your CV.

What tone should you use? It needs to be professional and formal, but, at the same time, you need to convey your own personal voice. We don’t mean wittering on about your Bieber obsession, but rather avoiding clichéd expressions and formulaic business speak.

Think of different ways to structure and formulate your sentences to really show off your writing style. It should be interesting, but economical. Keep it concise. Your cover letter should be no more than one side of A4.

You can create a general cover letter template, but it should be modified for every job application. Here’s a basic structure, but you can play around with it:

How to start

Try and address your cover letter to a named person (find out who you are writing to). Use a formal business letter template: your address and the name and address of recipient should be at the top of the letter.

If you are emailing them, put the cover letter in the body of the email and omit the addresses.

Paragraph 1

This is where you tell them who you are and why you are writing. Don’t start with “I am writing to…” Everyone, EVERYONE, starts with this. Mention the role you are applying to and how you heard about the job (particularly if you were referred by a mutual acquaintance).

Give a unique reason why you personally would be great for the job. Feel free to show a little bit of enthusiasm, but don’t go overboard. No: “I am WETTING MYSELF at the thought of working for you.”

Paragraph 2

Here you should outline why you want to work for this particular company, in this job, in this sector.

Really think about why you want to work for the organisation and try to come up with a reason that sounds genuine and unique. Again, keep it concise.

Paragraph 3

Here you can highlight any relevant skills, work experience, or education that you think show why you would be great for the position. You should always, always back them up with evidence: it’s about showing rather than telling.

Make sure you showcase the skills that they ask for in the job brief; this is where you give them evidence that shows you’re a top-notch candidate for the job. Be confident, but no bragging.

Paragraph 4

This should be very brief. Say when you’re available for interview and cover any practical issues they ask about (e.g. what your salary expectations are). Be positive: “I’m looking forward to your reply.”

You should end the letter “Yours sincerely” if it’s being sent to a named person; if you haven’t managed to find out a name then use: “Yours faithfully” followed by your name (obviously!).

If you’re emailing your cover letter or they’re likely to read it onscreen, then use a font designed to be read on a screen, such as Verdana or Helvetica (Arial is a bit passé, darling!). You should also use shorter paragraphs in emails as well.

So you’ve written it, but it isn’t over until the proofreader sings. By proofreader, we mean you. Scour every inch of your cover letter for spelling and grammar mistakes. Get someone else to do it as well.

So many people make schoolboy errors, such as misspelling the name of the company, the addressee or referring to the wrong placement. Don’t be a schoolboy. Check, check, check and check again!

Every resume you send out to a potential employer should be accompanied by a tailored, well-crafted cover letter. Most hiring managers will review cover letters to decide whether it’s worth their time to read the attached resumes. Thus, your cover letter is your “teaser,” the all-important first introduction that explains why you are the right candidate for the job.

When writing cover letters, your paragraphs should be concise, grammatically flawless, and should focus on your qualifications for the job. Ideally, they should also convey an impression of your own unique personality.

A cover letter should include three paragraphs:

  • Introduction
  • Body/selling pitch

First Paragraph

The first paragraph explains why you are writing. It is your first impression and should contain a basic explanation of who you are and why you are writing. It is also acceptable to describe how you found the position, such as through an online job listing or a recommendation from a professional contact, and why you are interested in the job.

Use the qualifications on the job announcement as a guide for explaining how your past experience makes you a suitable candidate for the job.

Second Paragraph

The second paragraph, known as the  body , explains why you are qualified for the position. It is the part of the letter where it is most appropriate to highlight your experience, skills, and attributes that make you a perfect candidate for the job. Don’t restate your entire resume; rather, focus on the most important factors that make you desirable.

Because you don’t have a lot of space for elaboration in your cover letter, the best way to choose which qualifications and experience to highlight is to use the employer’s job announcement as your guide. Take note of the top attributes they list in their advertisement's “Qualifications Section,” and make sure you mention examples that demonstrate how your knowledge, experience, or training has prepared you to fulfill these requirements. 

As an eye-catcher, incorporate a list within this second paragraph that provides examples that quantify, through the use of percentages, numbers or dollar figures, the contributions you’ve made in this job role for previous employers. 

Third Paragraph

The third paragraph is a brief conclusion, thanking the employer for their time and consideration. This is where you should enthusiastically reiterate your interest in the position and describe how you will next follow up. Be sure to leave a space between each paragraph in your cover letter.

When writing a cover letter for a job, the ideal margins should be approximately 1 inch all around. The left and right margin should be set at 1 inch and the top and bottom margins should also be set at 1 inch. This gives your cover letter an uncluttered look and provides plenty of white space, which helps with readability.

You should align your text to the left; this is how most documents are aligned, so it will make your letter readable.

When You Need More Space for the Letter

If you have more text than fits on a single page, you can tighten up the margins slightly rather than writing a two-page letter. Keep the margins consistent, so your letter is balanced on the page. For example, if you adjust your margins to .70 inches, it will give you more lines and space for the letter content.

Another option is to reduce the left and right margin to .70 inches and leave the top at 1 inch. Try several options to see which looks best.

When You Need Less Space for the Letter

If your letter is short, you can make the margins larger, so the letter looks balanced on the page without too much white space. In that case, try 1.5 inches for each of the margins.

To adjust the margins in Microsoft Word:

  • Select  Page Layout > Margins > Normal   (for 1-inch margins).
  • There are a variety of other selections, or you can set your own margins by selecting Page Layout >  Margins Custom .

To adjust the margins in Google Docs:

  • Select  File > Page Set Up .
  • You can adjust all the margins⁠—left, right, top and bottom⁠—from this window.

A cover letter is extremely important in the hiring process , as it's your initial introduction to a prospective employer. It determines the employer's next move in either reading about you further or moving on to the next candidate.

Therefore, make sure your cover letter clearly and succinctly explains why you are right for the job. This will increase your chances of a callback and perhaps an interview.

"Writing Your Cover Letter" is a series of short documents that walks you through the creation of a cover letter. Here you can see the information in the "Quick Tips for Cover Letters" and "Preparing to Write a Cover Letter" pages put to use. This page guides you through adapting your experiences to the content in your cover letter and its different sections.

In the body of your cover letter (the argument), you should describe the most important qualifications to show why you are a good match for the job and the company.

You should focus your cover letter's body around the two-three qualifications you mention in the introduction. In each paragraph you can concentrate on one quality, seeking to answer the following two questions:

How can I show I am qualified for this position and that I am a good match for the organization?

What have i done that illustrates these qualifications.

You do not want to only mention the skills that you possess; you also have to show that you possess them! When writing about your skills, you can think of it as telling a story. You should describe the experiences of how you received and grew your skills, mentioning specific places you worked and positions you held. For example:

My communication skills in the workplace have grown because of my internships. When I was an intern at Newberry & Jones, I wrote memos and letters to customers and colleagues on a daily basis. This experience taught me to write professionally and to-the-point.

Along with explaining your skills, you want to describe how your experience with that skill is unique. Many people may have communication skills, but have you won an award or scholarship for technical writing? Be specific and match this information to your resume

Here are some ideas about what might set you apart:

  • Explain course work that gives you a type of professional experience.
  • Show that others have recognized the high quality of your work.
  • Include only those awards that relate to the position you desire.
  • Demonstrate how you improved efficiency/productivity at work or school.
  • Include what you did at school that proves your skills.
  • Explain how you set a goal and reached it.

For example:

While at Purdue University, I participated in a collaborative web-consulting project for a Technical Writing class. With two peers, I served as a web consultant for a local business, Patters' Painters. In order to make feasible recommendations for revisions, additions, and deletions to Patters' Painters' website, we conducted interviews, observed the workplace, and completed multiple web analyses...I believe these experiences match the requirements you outline in the job description.

What Should Your Cover Letter Opening Contain

To successfully get started with writing your cover letter, you should include these 3 main elements:

  • The header with contact information. Includes your & the recipient’s contact information.
  • The greeting to the manager. This is where you address the cover letter by greeting the hiring manager, department, or company.
  • An attention-grabbing opening paragraph. The opening paragraph of your cover letter is your chance to grab the recruiters’ attention and get them to read the rest of your cover letter.

Below, we’ll teach you how to do each of them in the right way.

What to Include in Your Contact Information 

As we mentioned, the first thing to add to your cover letter opening is your contact information. 

The header’s essential information include the following: 

  • Full name and professional title (if applicable)
  • Phone number
  • Email (a professional email, that is)

In some cases, you can also add the following: 

  • Social media profiles. By this, we mean profiles that are relevant to the position. This includes websites like LinkedIn , GitHub (for developers), or Medium (for writers).
  • Personal website. If you have a personal website you’ve created for your industry (i.e. you’re a writer with a blog), then make sure to include the link to your website on your cover letter.

After you’ve added your information, you should add the date and continue with the recipient’s name and address. So:

  • Manager’s name
  • Manager’s job title
  • Company’s name
  • Company’s street address

Once you’ve done this, here’s what your cover letter will look like:

And just like the essential DOs, there are also some things you should NOT include in your cover letter header: 

  • Unprofessional email. It’s going to be difficult for a hiring manager to take you seriously if your email address is something you coined when you were still a teenager (i.e. [email protected] ). 

How to Start a Cover Letter Greeting

After you’ve properly listed your contact information, it’s time to start writing your cover letter. 

The first thing this includes is addressing the cover letter to the hiring manager. 

Yeap, that’s right! And by greeting the hiring manager, department, or company, we don’t mean using the old-fashioned “Dear Sir/Madam,” or “To whom it may concern.”

Instead, you want to show your future employer that you’ve done your fair share of research about the job/company and that you’re not just using one cover letter template to apply for ten jobs. After all, one of the most common mistakes job seekers do (84% of them!) is not finding the hiring manager’s name and personalizing the application.

So, make sure to address the hiring manager that’s going to review your manager directly. 

Now, there are a few ways you can do that. 

The simplest - and most obvious - option is to look up the head of the department you’re applying to on LinkedIn. 

Let’s assume that you’re applying as a Communications Specialist at Novoresume. The hiring manager is probably the Head of Communications or the Chief Communications Officer. 

After a quick LinkedIn lookup, you can probably find out who that person is (that’s me!).

If none of these work, consider using one of the following greetings when you’re addressing the hiring manager: 

  • Dear [Department] Hiring Manager,

  • Dear [Department] Team,
  • Dear Director of [Department],
  • Dear [Company Name] Hiring Team

How to Write an Attention-Grabbing Opening Paragraph

The last, but the most important, part of your cover letter opening is your opening paragraph. 

You want your opening paragraph to be engaging and attention-grabbing to ensure that the hiring manager will continue reading the cover letter.

After all, recruiters receive hundreds of applications daily. Obviously, they can’t spend all their working hours reading cover letters, so, instead, they simply skim your cover letter in a handful of seconds, and if it catches their attention, they re-read it more thoroughly.

And the part of the cover letter that helps catch their attention is usually the opening paragraph! 

Compare these 2 cover letter openers and judge for yourself which one you’d rather read:

Dear Mr. Brown,

My name is Anna and I’d like to help your company exceed its sales target as a Sales Manager. My 5-year experience as a Sales Representative at XYZ Inc. has given me substantial skills in sales. During my last year working there, we beat KPIs by around 50%. I believe that my strong track record in sales makes me the perfect candidate for the position. 

Hello, my name is Mary and I am interested in working as a Sales Manager for your company. I have 6 years of experience working as a Sales Manager for Company X, so I think I’m a good fit for the position. 

While there’s nothing inherently wrong with the first example, it’s not all that imaginative. Chances are, every other applicant is going to use a similar opening statement.

The second example, on the other hand, is more customized and personal, helping the recruiter understand why Anna is a good candidate for the role.

In this section we’ll give you all the tips & tricks you need to ace your cover letter introduction:

Tip #1. Show Passion and Commitment

Showing the hiring manager that you’re passionate about the job will instantly boost your chances of getting hired. It’s not a secret that committed employees are more engaged and, therefore, more productive.

After all, research shows that engaged employees are 17% more productive than their peers.  

So, it’s only logical that the hiring manager will greatly appreciate a candidate who shows commitment and enthusiasm. 

As such, these are both qualities that you want to showcase right from the start of your cover letter. Here’s an example of how you can do that:

I have been immersed with human rights since I specialized in Conflict Resolution and started working with Amnesty International. During my 5 years of experience in the field, however, I haven’t seen any organization do the work that you’ve accomplished with human rights. Your dedication makes me want to work for your organization and put my skills to use for the work you do. 

Tip #2. Mention a Mutual Contact (if Applicable)

If someone referred you to the position, the opening paragraph of your cover letter is a great place to mention that. 

Referrals are key to securing an interview, but at the same time they’re not something you can mention on your resume, so take the opportunity to let the recruiter know at the start of your cover letter. 

The idea is that if someone the hiring manager knows recommended you for the position, your skills and qualifications immediately become more credible.

I was excited to learn about this job opportunity from John Doe, who has worked at your firm for five years. John and I worked on an architectural project together for over one year and he thought I’d be a good fit for the role at Company X. 

Tip #3. Prove You Have Researched The Company 

A generic cover letter will not give you many points in the eyes of your potential employers. 

The recruiter reading your cover letter wants to know that you’re excited to be applying for that particular company , and you’re not just applying to dozens of jobs randomly, hoping that one will stick. 

As such, it’s very important to do some research about the company you’re applying for, and in the cover letter, mention why you’re a good culture fit. 

I have always admired the work that your organization does with vulnerable communities. I have always been passionate about social justice and I think the mechanisms you have in place to empower those in need are really making an impact. I believe my previous experience as a social worker could bring value to your mission.

Tip #4. Lead With An Achievement

There’s no better way to grab attention than to lead with an achievement. It immediately gives you credibility and makes the hiring manager curious to read more about you. 

To make sure your achievements stand out, though, do this:

  • Whenever possible, make your achievements as quantifiable as possible. “Improved sales by 20% in 2 months” is more impressive than “improve sales.”
  • Show how your past achievement is relevant or can add value to your current position. 

As a Public Relations representative for Company XYZ, I worked with the press to improve its reputation and public image. This translated into a 40% increase in customer satisfaction and better public reception of the company’s values and identity. I am eager to yield the same results as the Head of Communications in your organization. 

Tip #5. Start With a Powerful Belief

A short and impactful belief statement that represents your work ethic and professional values is another great way to attract the recruiter’s attention. Obviously, you get bonus points if said belief statement aligns with the company’s goals and objectives. 

However, don’t just copy-paste the company’s mission statement to make a good impression. Rather, use your own words and beliefs to sound more genuine and original.

As a teacher, I believe every child should have access to quality education early on. This is the only way to ensure future generations’ equity and the best chance we have at improving our society. I admire your institution’s commitment to enabling quality education in the most remote areas of our country and I’d be honored to contribute to those efforts by becoming a teacher here. 

Tip #6. Be Direct  

Oftentimes, beating around the bush gets you nowhere. So, a great strategy to follow when you start writing your cover letter is to just be direct about the position you’re applying for and the reasons you believe make you the perfect fit for the job. 

There’s another upside to this. Recruiters receive hundreds of applications daily - sometimes, even for different positions within the same department - so it helps them to know what position you’re applying for early on, as well as what exact qualifications make you the perfect fit for the job.

Paragraph 1: capture attention .

  • Indicate the position you are applying for and how you learned of the vacancy, i.e. Did someone tell you about it?  Did you see an ad or website? 
  • Outline the specific reasons why you are ideal for the position.  
  • Sell yourself in paragraph 1. Do not wait until the second paragraph to articulate why you are well qualified for the position.

Paragraph 2 & 3: Create Desire 

  • Describe yourself as a serious candidate and one worth inviting for an interview. State the hard details including your specific skills, history of responsibility, success, etc. 
  • Think about ways to reinforce an image of yourself that includes as many of the desired qualities as possible. 
  • Show, don’t tell. Remember, your goal is to set yourself apart from other applicants. Do not just tell the employer you have a skill, provide evidence. For example, do not just state you are “detail oriented”. Give the reader an example of something in your work history that proves that you are detail oriented. 
  • Refer to your resume, but do not simply list the contents of it. 
  • Emphasize how your variety of experiences are connected to the position and will benefit the company. 

Paragraph 4: Call for Action 

  • Use a few lines to express your strong interest in the position and your desire to discuss your application further in an interview. 
  • Give a brief summary of the key points in the letter, but avoid repetition.
