I recently interviewed 20 of my customers, all in senior roles at Fortune 100 companies, and asked them their biggest pain point in presenting to higher-ups and even colleagues. What I heard consistently was that it can feel like Goldilocks bouncing from one option to the next, testing to figure out what’s “just right.” Does the audience want deep reports? Sparse slides? Something in between? Like … what?

Teams often come to presentation meetings with vast amounts of backup content just in case an exec wants to take a deep dive on any given point. There’s often a struggle to anticipate every direction attendees might want to go. It’s frustrating, and it’s not efficient.

There are many ways to build slides. I’m not just talking about crafting them well versus poorly. I’m talking about all of the important decisions regarding how to organize them, how much text to use, when to lean into a chart, the best ways to use bullets and color, and whether to include an appendix with additional information. Before you make your next proposal or request of the executive team, use this list of 11 tips for your next set of slides as a guide.

Four Things You Must Have in Every Exec’s Slides

Before we drill down into the harder aspects, the ones where your executives’ tastes may vary widely, let’s quickly cover four aspects that you can consider the building blocks — the basics you should never proceed without.

Start with an executive summary. Begin the slide deck with a tight executive summary that follows a three-act structure. First, start with stating the current realities. Second, clearly state the problem or opportunity your idea addresses and its potential impact. Third, explain how your recommendation solves the problem or exploits the opportunity and the next steps you’re proposing.

Have a logical organization. The arc of the deck — the package from beginning to end — should make sense. If your audience reads only the headline of every slide, the order should be coherent and make most of the case for you. The content below each slide’s headline must support the statement made in the title. Remove everything that doesn’t support your point; as writers will tell you, you sometimes need to “kill your darlings” when you’re editing.

Begin the slide deck with a tight executive summary that follows a three-act structure.

Make it skimmable. Help your audience to quickly grasp the point without getting bogged down in details. Create a clear visual hierarchy. Guide the reader’s eye through the content: Use bold headings, bullet points, and numbered lists to break down information into digestible pieces. Highlight key takeaways or conclusions in a different color or font size to draw attention to these critical points.

Focus on concise insights. Succinct statements with clear insights are everyone’s jam. Every slide should serve a purpose and contribute directly to the decision-making process. Distill complex information. Don’t use 100 words when 20 words will nail it. If you’re having difficulty trimming, consider using company-approved AI tools to help you take out the fluff.

Five Preferences to Confirm With the Person You Want to Reach

Now we’ll delve into what your particular audience does and does not want. If you haven’t yet, start by asking the person you’re presenting to what they generally prefer. They probably know themselves well but have not been asked to articulate how they like to receive information.

Ask how dense is too dense. Some executives prefer detailed slides with comprehensive data. Others favor a more high-level approach. You’re weighing how to balance informative content with readability, ensuring that slides are not overloaded yet are sufficiently detailed to support decision-making.

Confirm the delivery format and timing. Some execs like information presented to them. Others prefer a pre-read of the material followed by a discussion. I always recommend our tool Slidedocs (I’ve written a free e-book on them), which are visual documents using both words and images. The templates help presenters organize their thoughts into a document for a pre-read or a read-along. They are designed to be skimmable and able to travel through your organization without the help of a presenter.

I’m a huge fan of pre-reads and prefer to use my time in meetings to ask questions and build alignment. If your audience didn’t review your material in advance, ask at the top of the meeting whether they would like you to present it or would prefer to read through it and then discuss it.

Find out how much data visualization they prefer. Charts, graphs, photos, and illustrations often communicate complex data more clearly than words alone. When execs can see what you’re saying, they often can better understand the impact of your idea. Does the exec want to understand exact numbers? Bar charts allow them to move their eyes across a series of specifics. Does the exec want to know the shape of a trend over time? Line charts can show the pattern. (See “Classic Charts Communicate Data Quickly.”) Some prefer charts with annotations that draw attention to what you think is the most important point. Others want to make their own conclusions from the data.

One of my clients, the CEO of a massive commercial real estate company, doesn’t want anything visualized. He prefers numbers, only in a table, and only in two colors — black and red. You might think this is archaic. But the fact that he’s clear to his teams about what he wants takes all the mystery out of how to communicate with him.

When the stakes are high, have a conceptual thinker help with diagrams and concepts. If you don’t have one on your team, and when it’s high stakes, find an internal designer to help you or hire one. You can’t afford to have the baby (your idea) thrown out with the bathwater (terrible slides).

Identify which details need spelling out. How well do the people you’re presenting to know the landscape and function of the company and products you’re talking about? For example, if your engineering team threw a slide into a deck about an issue that requires executive approval, do the execs all speak geek? Or do you need to explain the technology so that they will really understand the ask? Either eliminate internal jargon and acronyms or unpack those bits, especially if your proposal deeply involves expertise outside of the executives’ domain.

Ask whether appendices will be useful. When you’re organizing a presentation, you often troll data, read through complicated reports, and even hire external experts to figure out what’s best for the company. Do your execs want access to that supporting data? You can add a document to the end of the presentation as an appendix to show all of the data and source material. This allows the main content of the slides to remain focused and accessible while still providing comprehensive background information for those who want more.

Two Tips to Improve Your Presentation Skills

Getting materials in place is the biggest step. They will be your best tools for selling your ideas. But there are two extra areas to pay attention to as a presenter: how you handle questions and how you use every experience to improve.

Anticipate questions, and practice your answers. Before you have your meeting, gather a small team to challenge every point you make. Invite colleagues you trust to role-play as “a rapidly inquisitive exec” or “the doubting naysayer exec” so you are prepared to present your idea well. They’re gonna grill you, and practicing will help you remain unruffled when it happens.

Ask for feedback after the presentation. Establish a feedback loop with those you presented to. Ask what worked well and how you can improve. If attendees don’t have the time, find people who have had their ideas funded and talk to them about what they did that worked. Advice and some perspective will help you nail your performance even better next time.

Empathetically understanding your audience members and how they process information, whether it’s executives or peers, sets up your ideas for success. Clarity creates efficiency. When a presentation fits just right, you’ve given your great thinking the best chance of moving through your organization and having maximum impact.

Google Slides is a feature-packed PowerPoint alternative. The free tool comes with style and formatting add-ons to elevate your presentation in no time. One such option is the ability to insert bullet points to simplify content on your slide. Whether you use Google Slides on the web, an iPhone, an iPad, or an Android phone , here's how to add bullet points to your presentation.

How to add bullet points to Google Slides for the web

We'll start with Google Slides for the web and then move to mobile and tablet apps to add bullet points. Since it's the web version, you can access it from a desktop browser on your Windows PC, Mac, or Chromebook.

1. Visit Google Slides on the web and open a presentation you want to edit.

2. Go to a slide and select the content to convert to a bullet list.

3. Select the Bulleted list icon at the top. You can also use Command + Shift + 8 (Mac) or Ctrl + Shift + 8 (Windows) to add a bullet list.

4. When you enter a bullet list on an empty slide, look for the first bullet point on the text field. Press Enter to add a second item to the list.

5. You can create a mini list beneath the main bullet point. This is an effective way to organize the listicle. To do so, press Enter on the main bullet point (or Return on Mac) and press Tab .

6. Add relevant points and press Enter to expand the secondary bullet list.

Change the bullet point color

By default, Google Slides uses black for bullet points. If it doesn't match your presentation theme, use the steps below to change it.

1. Launch a presentation in Google Slides.

2. Click any bullet point to select the entire list.

3. Click A at the top and change the bullet point color. You can use the same trick to change the bullet point color for the secondary list.

1. Launch Google Slides on your phone and select a presentation. Tap the slide you want to edit.

2. Select Edit slide

3. Tap any text area and select bullet list from the bottom menu.

4. Type your text and tap Enter to expand the list.

Use bullet points in Google Slides for iPhone and iPad

If you use Google Slides on an iPhone or iPad, use the steps below to add bullet points to it. Let's take the iPad as an example.

1. Open Google Slides and select a presentation.

2. Tap a slide and select Edit slide .

3. Select any text area and tap the Bulleted list icon at the top.

4. Tap Return to continue adding items to the list.

5. Tap Return and tap the indent icon next to the bullet point to add a bullet point within a bullet point list.

6. Tap the checkmark in the upper-left corner and you're set to deliver your presentation.

How To Get Free Access To Microsoft PowerPoint

E very time you need to present an overview of a plan or a report to a whole room of people, chances are you turn to Microsoft PowerPoint. And who doesn't? It's popular for its wide array of features that make creating effective presentations a walk in the park. PowerPoint comes with a host of keyboard shortcuts for easy navigation, subtitles and video recordings for your audience's benefit, and a variety of transitions, animations, and designs for better engagement.

But with these nifty features comes a hefty price tag. At the moment, the personal plan — which includes other Office apps — is at $69.99 a year. This might be the most budget-friendly option, especially if you plan to use the other Microsoft Office apps, too. Unfortunately, you can't buy PowerPoint alone, but there are a few workarounds you can use to get access to PowerPoint at no cost to you at all.

Method #1: Sign Up For A Free Microsoft Account On The Office Website

Microsoft offers a web-based version of PowerPoint completely free of charge to all users. Here's how you can access it:

  • Visit the Microsoft 365 page .
  • If you already have a free account with Microsoft, click Sign in. Otherwise, press "Sign up for the free version of Microsoft 365" to create a new account at no cost.
  • On the Office home page, select PowerPoint from the side panel on the left.
  • Click on "Blank presentation" to create your presentation from scratch, or pick your preferred free PowerPoint template from the options at the top (there's also a host of editable templates you can find on the Microsoft 365 Create site ).
  • Create your presentation as normal. Your edits will be saved automatically to your Microsoft OneDrive as long as you're connected to the internet.

It's important to keep in mind, though, that while you're free to use this web version of PowerPoint to create your slides and edit templates, there are certain features it doesn't have that you can find on the paid version. For instance, you can access only a handful of font styles and stock elements like images, videos, icons, and stickers. Designer is also available for use on up to three presentations per month only (it's unlimited for premium subscribers). When presenting, you won't find the Present Live and Always Use Subtitles options present in the paid plans. The biggest caveat of the free version is that it won't get any newly released features, unlike its premium counterparts.

Method #2: Install Microsoft 365 (Office) To Your Windows

Don't fancy working on your presentation in a browser? If you have a Windows computer with the Office 365 apps pre-installed or downloaded from a previous Office 365 trial, you can use the Microsoft 365 (Office) app instead. Unlike the individual Microsoft apps that you need to buy from the Microsoft Store, this one is free to download and use. Here's how to get free PowerPoint on the Microsoft 365 (Office) app:

  • Search for Microsoft 365 (Office) on the Microsoft Store app.
  • Install and open it.
  • Sign in with your Microsoft account. Alternatively, press "Create free account" if you don't have one yet.
  • Click on Create on the left side panel.
  • Select Presentation.
  • In the PowerPoint window that opens, log in using your account.
  • Press Accept on the "Free 5-day pass" section. This lets you use PowerPoint (and Word and Excel) for five days — free of charge and without having to input any payment information.
  • Create your presentation as usual. As you're using the desktop version, you can access the full features of PowerPoint, including the ability to present in Teams, export the presentation as a video file, translate the slides' content to a different language, and even work offline.

The only downside of this method is the time limit. Once the five days are up, you can no longer open the PowerPoint desktop app. However, all your files will still be accessible to you. If you saved them to OneDrive, you can continue editing them on the web app. If you saved them to your computer, you can upload them to OneDrive and edit them from there.

Method #3: Download The Microsoft PowerPoint App On Your Android Or iOS Device

If you're always on the move and need the flexibility of creating and editing presentations on your Android or iOS device, you'll be glad to know that PowerPoint is free and available for offline use on your mobile phones. But — of course, there's a but — you can only access the free version if your device is under 10.1 inches. Anything bigger than that requires a premium subscription. If your phone fits the bill, then follow these steps to get free PowerPoint on your device:

  • Install Microsoft PowerPoint from the App Store or Google Play Store .
  • Log in using your existing Microsoft email or enter a new email address to create one if you don't already have an account.
  • On the "Get Microsoft 365 Personal Plan" screen, press Skip For Now.
  • If you're offered a free trial, select Try later (or enjoy the free 30-day trial if you're interested).
  • To make a new presentation, tap the plus sign in the upper right corner.
  • Change the "Create in" option from OneDrive - Personal to a folder on your device. This allows you to save the presentation to your local storage and make offline edits.
  • Press "Set as default" to set your local folder as the default file storage location.
  • Choose your template from the selection or use a blank presentation.
  • Edit your presentation as needed.

Do note that PowerPoint mobile comes with some restrictions. There's no option to insert stock elements, change the slide size to a custom size, use the Designer feature, or display the presentation in Immersive Reader mode. However, you can use font styles considered premium on the web app.

Method #4: Use Your School Email Address

Office 365 Education is free for students and teachers, provided they have an email address from an eligible school. To check for your eligibility, here's what you need to do:

  • Go to the Office 365 Education page .
  • Type in your school email address in the empty text field.
  • Press "Get Started."
  • On the next screen, verify your eligibility. If you're eligible, you'll be asked to select whether you're a student or a teacher. If your school isn't recognized, however, you'll get a message telling you so.
  • For those who are eligible, proceed with creating your Office 365 Education account. Make sure your school email can receive external mail, as Microsoft will send you a verification code for your account.
  • Once you're done filling out the form, press "Start." This will open your Office 365 account page.

You can then start making your PowerPoint presentation using the web app. If your school's plan supports it, you can also install the Office 365 apps to your computer by clicking the "Install Office" button on your Office 365 account page and running the downloaded installation file. What sets the Office 365 Education account apart from the regular free account is that you have unlimited personal cloud storage and access to other Office apps like Word, Excel, and Outlook.

Getting started with Planner in Teams

The Planner app in Microsoft Teams brings together all your tasks and plans across the Microsoft 365 ecosystem in a single convenient location. It helps you manage tasks more efficiently for individual plans and team initiatives, as well as larger scale projects that are aligned to goals and key strategic objectives. 

Once you add the Planner app to Teams, you'll find:

My Day : Includes any tasks that are due today, along with any tasks you choose to add to this view.

My Tasks : Includes a dedicated place called Private Tasks for you to quickly create tasks, Flagged Emails, and Tasks that have been assigned to you from Team’s meeting notes, basic plans, premium plans, and Loop components.

My Plans : Includes all of your To Do lists, basic plans, and premium plans.

New Plan : Create new personal or shared plans directly in the app.

You can also use the Planner app to get notifications about Planner tasks.

Tip:  To pin the app for easy access, right click on Planner after adding the app and select Pin . To open the Planner app in a separate window, select Open in new window .

Plan your day with My Day 

My Day is a clutter-free focus space that helps you stay on top of tasks that you want to focus on today. Tasks from My Tasks and personal plans that are due today will show up in My Day. You can also create tasks that you feel are important and may need your attention.

Your daily dashboard:

Handpicked priorities: Determine and add your main tasks for the day.

Auto-population: Tasks from My Tasks and personal plans that are due today automatically appear on My Day, keeping you on top of important deadlines.

Prioritize and work on these tasks: Once the tasks are on My Day, you can prioritize the tasks in the order you want to accomplish them today.

Start fresh in My Day each day: My Day clears itself every night, so you can start the next day with a blank slate and personalize your day. Any unfinished tasks in My Day that are left over before it clears will be available in the original Plan that they came from.

Track your tasks in My Tasks

Planner offers a purpose-built My Tasks view, designed to centralize all the tasks relevant to you. My Tasks is organized into four distinct views, each serving a unique purpose:

Private tasks :   Private tasks is a place for you to quickly jot down tasks at the speed of thought. This is a place where you can create tasks that do not belong to a plan yet. You can then further organize these tasks inside Plans by selecting More actions, which will help you move these unorganized tasks in definitive plans.

Assigned to me :   Includes all of the tasks that have been assigned to you in Teams meeting notes, basic plans, premium plans, Loop component, and shared lists in To Do.

Flagged emails : All your flagged emails from Outlook appear in the Flagged emails section. You can also navigate to the emails directly from the task by selecting the attachment.

All : The All view provides an aggregation of all your individual tasks from Private tasks, Assigned to me, and Flagged emails. You can then filter and sort to meet your needs. For example, if you want to see all your tasks that are due tomorrow and are urgent, just apply the filter on this view and you will get a curated list of tasks.

See all of your plans with My Plans

The My Plans page in Planner shows all of your plans, no matter where they were created. This includes lists created in To Do, plans created in Planner and Project for the web, Loop plans, plans from Teams meeting notes, and more.

The My Plans page provides five filters to help find the right plan or list:

Recent:  Shows your most recently accessed plans and lists.

Shared:  Shows your shared plans and lists.

Personal:  Shows your personal plans and lists.

Pinned:  Shows all plans and lists you have pinned.

My teams:  Shows all of your plans that are shared with a Team’s channel.

Tip:  Use keywords to quickly find plans and lists by selecting  Filter by keyword .

Create new plans

With plans, you can easily manage your team workload, track work towards team goals, organize work into sprints using agile planning, track dependencies on the timeline view, and more.

Get notifications about Planner tasks

Task notifications will appear in your Teams activity feed both on your desktop and in the Teams mobile app. You'll get a notification when:

Someone else assigns a task to you.

Someone else assigns an urgent task to you.

Someone else makes a task assigned to you urgent.

Someone else makes a task assigned to you not urgent.

Someone else changes the progress of a task assigned to you.

Someone removes you from a task's assignees.

After months of excitement, the 2024 total solar eclipse is almost here! On Monday, April 8, the moon will line up perfectly between the Sun and the Earth. For a few short minutes, it’ll plunge parts of North America into total darkness—right in the middle of the day.

More than 30 million people live in the path of totality —where the moon will completely block off the sun. It stretches from northwest Mexico, across the US, and into southeastern Canada. Depending how far you are from the path, you might experience a partial eclipse. Magical, nonetheless.

Ira talks with Dr. Padi Boyd, astrophysicist at NASA and host of the agency’s podcast Curious Universe, and Mark Breen, meteorologist and planetarium director at the Fairbanks Museum & Planetarium in Vermont. They answer questions our readers and listeners have submitted about the eclipse, and discuss why we should be excited, how to prepare, and what scientists can learn from this phenomenon.

An Eclipse Q&A With Mark Breen and Dr. Padi Boyd :

These responses are lightly edited for clarity and brevity.

What’s the difference between a solar and a lunar eclipse, and how long do they last?

Mark Breen: In a solar eclipse, the moon is covering, or “eclipsing” the sun. Hence, “solar.” In a lunar eclipse, the moon becomes eclipsed by the Earth. A solar eclipse is over a relatively brief period of time and seen over a relatively select area, whereas a lunar eclipse covers basically anybody that’s on the night side of the Earth that has a view of the moon. A lunar eclipse also lasts quite a bit longer—the totality during a lunar eclipse can be well over one hour.

Where can I get eclipse glasses?

Dr. Padi Boyd: You can find free glasses in many, many places. Public libraries have them, schools, museums. Some people still have their eclipse glasses lying around from 2017!

When during the eclipse can I remove my eclipse glasses?

Dr. Padi Boyd: You’re definitely going to want to have your eclipse glasses during the partial phases of the eclipse. It’s very important to protect your eyes. But if you’re in the path of totality, then you can take your eclipse glasses away from your eyes and watch that brief moment of full totality.

Can I look at the eclipse through binoculars?

Mark Breen: It’s tempting … but enhancing light from the sun just isn’t a good idea. There are some special filters [for binoculars], but that’s generally recommended for viewers with more experience. For the casual observer, there are a lot of other ways that you can safely view the eclipse.

When is the next eclipse?

Dr. Padi Boyd: Eclipses come in cycles. If you miss the eclipse on Monday, the next total solar eclipse that passes over the [contiguous] U.S. is in 2044.* But there is an eclipse that happens somewhere on Earth about every 18 months or so, give or take a couple months.

* There will be a total solar eclipse visible from parts of Alaska in 2033.
