Basic In-Text Citation Guidelines

In-text citation refers to the brief citations included within the text of your paper. They point your reader to the full citation at the end of your paper.

Parenthetical vs. narrative in-text citation

In APA, the in-text citation is generally placed in parenthesis at the end of your sentence with the author's last name and year.

The page number is also required if you are directly quoting from a source.

• Precede a single page number with p.
• Precede a range of pages with pp.
• If page numbers are unavailable, you will need to use the paragraph number preceded by para. or paras.  

The period goes after/outside the parenthesis.

• (Alvarez, 2019, paras. 3-4).
• (Davis, 2020, p. 52). 

You can also include the author's name in the text itself and simply place the year in parenthesis after the author's last name.

• According to Davis (2020), "....." (pp. 52-53).

Direct Quotations

Page/paragraph numbers are required for direct quotations . , shorter than 40 words.

• "...." (Davis, 2020, p. 23). 
• Davis (2020) explains "..." (p. 23).

Longer that 40 Words

• Form quote into a block quotation.
• Don't use quotation marks.
• Period goes before the in-text citation.

Narrative Example

Flores et al. (2018) described how they addressed potential researcher bias when working with an intersectional community of transgender people of color:

Everyone on the research team belonged to a stigmatized group but also held privileged identities. Throughout the research process, we attended to the ways in which our privileged and oppressed identities may have influenced the research process, findings, and presentation of results. (p. 311)

Parenthetical Example

Researchers have studied how people talk to themselves:

Inner speech is a paradoxical phenomenon. It is an experience that is central to many people’s everyday lives, and yet it presents considerable challenges to any effort to study it scientifically. Nevertheless, a wide range of methodologies and approaches have combined to shed light on the subjective experience of inner speech and its cognitive and neural underpinnings. (Alderson-Day & Fernyhough, 2015, p. 957)

In-text citations briefly identify the source of information in the body text. They correspond to a full reference entry at the end of your paper.

APA in-text citations consist of the author’s last name and publication year. When citing a specific part of a source, also include a page number or range, for example (Parker, 2020, p. 67) or (Johnson, 2017, pp. 39–41) .

The in-text citation can be placed in parentheses or naturally integrated into a sentence.

• Parenthetical : There is a correlation between social media usage and anxiety symptoms in teenagers (Parker, 2019) .
• Narrative: Parker (2019) found a correlation between social media usage and anxiety symptoms in teenagers.

The publication year appears directly after the author’s name when using the narrative format. The parenthetical citation can be placed within or at the end of a sentence, just before the period. Check out a full example paragraph with in-text citations .

If a work has two authors, separate their names with an ampersand (&) in a parenthetical citation or “and” in a narrative citation. If there are three or more authors, only include the first author’s last name followed by “et al.”, meaning “and others”.

Group authors known by their abbreviations (e.g., CDC) are written in full the first time and are abbreviated in subsequent citations.

If the author of a source is unknown, try to determine if there is an organization or government responsible for creating the content. If so, include its name in the in-text citation (and reference entry).

Alternatively, use the source title in place of the author. Italicize the title if it’s italicized in the reference entry (except for court cases , which are italicized in the in-text citation but not the reference entry). Otherwise, enclose it in double quotation marks.

Apply title case capitalization, and shorten long titles. The first word of the title should always be included so readers can easily locate the corresponding reference entry.

• (“U.S. Flood Risk,” 2015)
• ( Thinking, Fast and Slow , 2017)

No publication date

If the publication date is unknown, write “n.d.” (no date) in the in-text citation.

No page number (alternative locators)

Page numbers are only required with direct quotes in APA . If you are quoting from a work that does not have page numbers (e.g., webpages or YouTube videos ), you can use an alternative locator, such as:

• (Johnson, 2019, Chapter 3 )
• (McCombes, 2016, para. 4 )
• (Davis, 2016, Slide 15 )
• (Flores, 2020, Table 5 )
• (Streefkerk, 2020, “No page number” section )

Note that Bible citations always use chapter and verse numbers, even when page numbers are available:

If a statement is supported by multiple sources, the in-text citations can be combined in one parenthesis. Order the sources alphabetically, and separate them with a semicolon.

When citing multiple works from the same author, list the years of publication separated by a comma.

When in-text citations are ambiguous because they correspond to multiple reference entries, apply the solutions outlined in the table below.

If you want to refer to a source that you have found in another source, you should always try to access the original or primary source .

However, if you cannot find the original source , you should cite it through the secondary source that led you to it, using the phrase “as cited in”.

If the publication date of the primary source is unknown, include only the year of publication of the secondary source.

Only include a reference entry for the secondary source, not the primary source.

Personal communications , such as phone calls, emails, and interviews, are not included in the reference list because readers can’t access them. The in-text citation is also formatted slightly differently.

Include the initials and last name of the person you communicated with, the words “personal communication,” and the exact date in parentheses.

General mentions of a website or software don’t have to be cited with an in-text citation or entry in the reference list. Instead, incorporate relevant information into the running text.

When citing a webpage or online article , the APA in-text citation consists of the author’s last name and year of publication. For example: (Worland & Williams, 2015). Note that the author can also be an organization. For example: (American Psychological Association, 2019).

If you’re quoting you should also include a locator. Since web pages don’t have page numbers, you can use one of the following options:

• Paragraph number: (Smith, 2018, para. 15).
• Heading or section name: ( CDC, 2020, Flu Season section)
• Abbreviated heading:  ( CDC, 2020, “Key Facts” section)

Instead of the author’s name, include the first few words of the work’s title in the in-text citation. Enclose the title in double quotation marks when citing an article, web page or book chapter. Italicize the title of periodicals, books, and reports.

If the publication date is unknown , use “n.d.” (no date) instead. For example: (Johnson, n.d.).

The abbreviation “ et al. ” (meaning “and others”) is used to shorten APA in-text citations with three or more authors . Here’s how it works:

Only include the first author’s last name, followed by “et al.”, a comma and the year of publication, for example (Taylor et al., 2018).

Always include page numbers in the APA in-text citation when quoting a source . Don’t include page numbers when referring to a work as a whole – for example, an entire book or journal article.

If your source does not have page numbers, you can use an alternative locator such as a timestamp, chapter heading or paragraph number.

If you cite several sources by the same author or group of authors, you’ll distinguish between them in your APA in-text citations using the year of publication.

If you cite multiple sources by the same author(s) at the same point , you can just write the author name(s) once and separate the different years with commas, e.g., (Smith, 2020, 2021).

To distinguish between sources with the same author(s) and  the same publication year, add a different lowercase letter after the year for each source, e.g., (Smith, 2020, 2021a, 2021b). Add the same letters to the corresponding reference entries .

In an APA in-text citation , you use the phrase “ as cited in ” if you want to cite a source indirectly (i.e., if you cannot find the original source).

Parenthetical citation: (Brown, 1829, as cited in Mahone, 2018) Narrative citation: Brown (1829, as cited in Mahone, 2018) states that…

On the reference page , you only include the secondary source (Mahone, 2018).

An APA in-text citation is placed before the final punctuation mark in a sentence.

• The company invested over 40,000 hours in optimizing its algorithm (Davis, 2011) .
• A recent poll suggests that EU membership “would be backed by 55 percent of Danish voters” in a referendum (Levring, 2018) .

Chapter 8 of the  Publication Manual of the American Psychological Association, Seventh Edition  is dedicated to formatting in-text citations, paraphrases, and direct quotations. What is presented here is a brief overview on some of these topics  based on the rules found in the manual. For more details and exceptions to the rules, be sure to  reference the manual .

At the minimum, in-text citations require both the author last name and the publication date. Depending on the type of resource you are citing and whether you're quoting or paraphrasing, you may have to include additional information such as page or chapter numbers. 

You can create in-text citations in one of two ways:

• In a  parenthetical citation , all citation information is found within parentheses. See example below:

Falsely balanced news coverage can distort the public's perception of expert consensus on an issue (Koehler, 2016).

• In a  narrative citation , some or all citation information is incorporated into your text. See example below:

Koehler (2016) noted the dangers of falsely balanced news coverage.

If you're citing more than one source in a parenthetical citation, put the sources in alphabetical order and separate each work with a semicolon.

​Example Citations:

NOTE: For resources that contain authors whose names can be abbreviated - usually group authors - include the full name and abbreviation the first time you cite the resource and subsequently use only the abbreviation.

NOTE: If you have two resources whose abbreviated names are the same (e.g. American Psychological Association and American Psychiatric Association are both abbreviated to APA), you need to use each author's full name every time you cite them to avoid confusion.

When you paraphrase a source, you are putting the content of that source in your own words.

Some basic rules concerning paraphrasing include:

• Page or paragraph numbers are not required, but you can include them.
• For all subsequent uses of that source, you don't need to include an in-text citation so long as you make it clear that you are still paraphrasing the same source.
• If you switch between multiple sources when paraphrasing, you need to include an in-text citation after each paraphrase to make it clear which source you're referring to.

When you quote a source, you reproduce its content word for word.

Some basic rules concerning quoting include: 

• For sources that don't have pages, provide heading or section names, paragraph numbers, times stamps, verse or line numbers, etc. as appropriate for the type of source you're using.
• Page numbers can be designated as p. for a single page or pp. for a page range.
• A quotation is considered a short quotation when it is fewer than 40 words.
• Embed the quote directly into your text and enclose it with double quotation marks (e.g. "quote"). See example:

Effective teams can be difficult to describe because "high performance along one domain does not translate to high performance along another" (Ervin et al., 2018, p.470).

• A quotation is considered a block quotation when it is 40 or more words.
• Place the quote on a new line and indent all lines of the quote 0.5 inch from the left margin.
• Do NOT put block quotes in quotation marks.
• If you want to omit part of a quote, use an ellipsis (...) to designate where the omitted section is. Remember to add a space before and after the ellipsis.
• If you want to insert words into a quote, surround the added words with square brackets []. 
• If you want to emphasize part of a quote, italicize the part you want to emphasize and add [emphasis added] after the emphasized section.
• For short quotes, use single quotation marks in place of any double quotation marks within your quoted text.
• For block quotes, use double quotation marks for any quoted material within the block.

If a source you're using contains direct quotes, it is recommended that you find, read, and quote the original source of those quotes.

If you can't locate the original source, provide a reference list entry for the secondary source, and format your in-text citation as: (primary source as cited in secondary source).

• Parenthetical Example:  (McCoy et al., 2010, as cited in Chekov, 2017)
• Narrative Example:  According to McCoy et al. (2010), Starfleet captains cannot keep out of trouble (as cited in Chekov, 2017).

Personal communications can come in a variety of reference types, but they all share one key characteristic: the work itself cannot be recovered by the reader (e.g. interviews, phone calls, etc.).

Personal communications are only utilized in-text and do not have a reference list counterpart. To format a personal communication, include the author name (including first and middle initials), the words personal communication, and the exact date.

• Parenthetical Example: (G. Wilder, personal communication, December 5, 2018)

This APA Research Guide is intended to help you format papers and cite sources in APA format.

Refer to the manual for specifics on writing, formatting, and citing sources. 

The Publication Manual of the American Psychological Association also referred to as the "APA Manual" is the official source for APA style. This style encompasses how to write concisely, how to format your paper and how to format your citations/references. 

Currently in its 7th edition, the APA Manual is the source for writing papers in this style. You may want to purchase your own copy of the manual or you can come to the library to use our copy at the research help desk.

There are also additional websites to help you with APA formatting but don't rely solely on websites. Use authorized resources whenever possible including the APA Manual, APA Style website, or APA Style Blog.

• APA Style from American Pyschological Association Help with APA style from the publishers of the book, American Psychological Association. It includes tutorials which can be found under the learning APA style tab, and quick answers to questions on formatting.

These are popular websites about academic writing from other universities. 

• Excelsior Online Writing Lab for APA Style This resource offers examples for formatting papers, citations, and references in APA Style.
• APA Style @ Purdue OWL This resource, revised according to the 7th edition, second printing of the APA manual, offers examples for the general format of APA research papers, in-text citations, endnotes/footnotes, and the reference page. For more information, please consult the Publication Manual of the American Psychological Association, (7th ed.).

Here are a few of the major changes between the 6 th and 7 th edition (See book for more).

• New specific guidelines for student papers that are different than the guidelines for professional papers.
• New guidelines for annotated bibliographies.
• Titles of papers are now bolded, with a blank line before the author's name.
• Use only one space after a period in the body of the paper.
• Use the singular "they" as a generic third-person pronoun rather than "he or she"
• There are changes on how to write in-text citations for works with more than three authors.
• The heading for the References list is now bolded.
• You now must include up to 20 authors for the items in the reference list.
• For journal articles, you always include the issue number.
• The way to write digital object identifiers (DOIs) and URLs have been standardized and the hyperlink should be left live.
• Instead of just Times New Roman, you can select from 6 different fonts. See each font type for size.
• You no longer include the location of the publisher for books.

In text citation

In APA style papers, you are required to include in text citation to sources used.

This is a brief citation within your research paper that is placed after information which is quoted or paraphrased from the sources you. In text citation for APA generally requires three pieces of information:

1. Author's last name 2. Year the source was published 3. The page number the information came from

The in-text citation is often included at the end of a quote or paraphrase and is formatted like this: (Author's Last Name, Year, p. #). However, the placement of the in-text can change depending on  whether or not you introduce the author in your quote or paraphrasing, but the same information for the citation is still required. See examples below. Example 1 (quoted) : "...the predominant measure of the university teacher performance [...] worldwide"  ​(Pounder, 2007, p. 178).

References List

The last page of your essay is called the "References" list. This is where you list the full citation of the sources you used to write your paper.

To create the citations for your sources:

1. Identify the type of source you are citing (book, magazine article, website, etc.) 2. Look up the APA format for that source type. Owl Purdue Online Writing Lab provides APA Citation formats for the References page.

Q: How should I cite a source multiple times in one paragraph?

Answer from APAStyle.apa.org :

"Repeating a citation When repeating a citation, show the entire citation; do not, for example, include only a page number (the abbreviation “ibid.” is not used in APA Style). Instead, use the following guidelines:

• Include the author(s) and year for every parenthetical in-text citation.
• Do not repeat the year for narrative in-text citations the second and subsequent times they appear in a single paragraph. Follow this guideline with each new paragraph (i.e., include the year in the first narrative citation in a new paragraph).
• However, if you cite multiple works by the same author or authors, regardless of the publication years, include the date in every in-text citation to prevent ambiguity. For example, if you cite Mohammed and Mahfouz (2017) and Mohammed and Mahfouz (2019), include the year with every citation, even when one of the references is cited multiple times in a single paragraph."

A Note About APA Style and Edition of the Manual

The 7th edition of the Publication Manual of the American Pscychological Association was published in late 2019. This guide reflects the style as defined in that manual. A copy of the 6th edition of the manual is also available in the library, should you be required by a professor to adhere to that edition instead.

APA style is used by writer in many disciplines for concise, powerful, and persuasive scholarly communication. This guide is intended to cover the basics that you will need to know as you complete your paper. The manual itself can be found at the reference desk, and is the final source of accurate and complete APA style.

What are citations, and why are they important?

What is a citation.

A citation, also known as a reference, is a direct, specific description of a particular work. Each citation usually includes the date of creation or publication, the creator's name, and the title of the work.

Why use citations?

• It protects you against accidental plagiarism. When you give creators credit for their work through citation, you are not plagiarizing their ideas. 
• It creates authority for your ideas. If you use the work of experts to support your ideas, your arguments are stronger. 
• It gives your reader or audience an opportunity to learn more.

How do I use citations?

There are many different citation styles. Most citations have an in-text citation in the body of your writing and a list at the end of the document of all the citations. The most common for the scientific disciplines is APA. Social sciences and the humanities may use the Chicago Style or MLA. Your professor will tell you which to use. 

The Georgia Tech Library recommends the Purdue OWL online guide to citation styles. It is extensive and free for anyone to use. It can be found at Purdue OWL .
