B. Cover Letter for Submission

Novice authors usually face difficulties in crafting a suitable cover letter to accompany their submission. Since most scholars give importance to composing their articles well, they often underestimate the importance of the cover letter. They might send a hastily composed cover letter as an afterthought before submitting the manuscript.

However, researchers of publishing have observed the importance of cover letters in influencing the publishability of the manuscript. Though the reviewers don’t read the cover letter, the editor does. It is possible that the editor might be influenced by the identity of the author as it emerges through the details in the letterhead. The style of the letter will also help them make some inferences about the author’s professionalism. For example, those who don’t use the letterhead might give the impression that they don’t belong to an established educational institution. And the way the letter is crafted will give some impressions about the writing skills of the author.

It is important to use your institutional letterhead to write your cover letter. Most universities will allow their faculty members or graduate students to use the department’s letterhead (as my department does). However, many journals now provide a space for cover letters in their web submission platform. Therefore, a letterhead may not be needed. Yet, journals also provide a space to upload a letter. If authors prefer to upload a document, it is advisable to use a letterhead for their cover letter.

In writing the cover letter, most authors waver between an extremely brief or an extremely profuse cover letter, depending on their attitudes. I have received many such letters belonging to either extreme as an editor of TESOL Quarterly . Those who believe that they should not unfairly influence the review process, write a single statement such as “I am hereby attaching a manuscript for your perusal.” Others write a two-page letter that boasts about their credentials (such as the names of their graduate supervisors, and the prizes they have won) and how their manuscript will make revolutionary contributions. However, effective letters fall somewhere between these extremes. Besides, they require certain mandatory information that editors will be looking for. John Swales has done a corpus analysis of cover letters, and provides the following useful guidelines (the quoted lines are from Swales, 1996, pp. 55-56):

Submission: Swales recommends a “neutral submission statement” and advises against being too “pushy” about the worth of the paper.

Commentary: He recommends only a few statements about the content of the manuscript, but suggests stating the previous forms of the paper, such as conference presentations. This information is important for full disclosure, as certain forms of prior dissemination don’t qualify for submission. Swales also advises against including a summary of the paper as it is already available in the abstract that most journals require.

Advocacy for the paper: Swales says that this is “usually unnecessary” unless the paper may at first sight appear unsuitable for that journal. In case of an atypical line of research in that discipline, it is useful to indicate how the study relates to ongoing scholarly conversations in the field.

Bio-data: Swales advises that “none of these is relevant to the quality of the paper.” Furthermore, personal details are unnecessary as most journals request a short bio-data to accompany the paper anyway.

Publication plans: The writer should declare that the paper is not being considered elsewhere for publication. Many journals now formally ask you to declare that the submission has not been simultaneously submitted anywhere else for consideration.

Offers and invitations to revise: Swales advises against this. That the writer agrees to revise is usually taken for granted, and asking editors to do it (which Swales finds many multilingual and off-networked scholars doing) is treated as somewhat peculiar. This move usually indicates that the author is not familiar with the publishing process. In most journals, the review process inevitably results in extensive revisions for almost all submissions.

Request for response: Swales permits a formal expression of hope of hearing from the editors soon before signing off, but advises against expressing even “justifiable anxieties” about delays. From the review process to eventually appearing in print (with the in-between processes of copyediting, proof reading, etc.), a submission typically takes at least 18 months. Therefore, authors should not display a hurry to see their articles in print.

A Brief Guide To Writing Your First Scientific Manuscript

I’ve had the privilege of writing a few manuscripts in my research career to date, and helping trainees write them. It’s hard work, but planning and organization helps. Here’s some thoughts on how to approach writing manuscripts based on original biomedical research.

Getting ready to write

Involve your principal investigator (PI) early and throughout the process. It’s our job to help you write!

Write down your hypothesis/research question. Everything else will be spun around this.

Gather your proposed figures and tables in a sequence that tells a story. This will form the basis of your Results section. Write bulleted captions for the figures/tables, including a title that explains the key finding for each figure/table, an explanation of experimental groups and associated symbols/labels, and details on biological and technical replicates and statements (such as “one of four representative experiments are shown.”)

Generate a bulleted outline of the major points for each section of the manuscript. This depends on the journal, but typically, and with minor variations: Introduction, Methods, Results, Discussion. Use Endnote, Reference Manager, Mendeley, or other citation software to start inserting references to go with bullets. Decide from the beginning what word processing software you’ll use (Word, Google Docs, etc.). Google Docs can be helpful for maintaining a single version of the manuscript, but citation software often doesn’t play well with Google Docs (whereas most software options can automatically update citation changes in Word). Here’s what should go in each of these sections:

Introduction: What did you study, and why is it important? What is your hypothesis/research question?

Methods: What techniques did you use? Each technique should be its own bullet, with sub-bullets for key details. If you used animal or human subjects, include a bullet on ethics approval. Important methodologies and materials, i.e., blinding for subjective analyses, full names of cell lines/strains/reagents and your commercial/academic sources for them.

Results: What were your findings? Each major finding should be its own bullet, with sub-bullets going into more detail for each major finding. These bullets should refer to your figures.

Discussion: Summarize your findings in the context of prior work. Discuss possible interpretations. It is important to include a bullet describing the limitations of the presented work. Mention possible future directions.

Now read the entire outline (including the figures). Is it a complete story? If so, you’re ready to prepare for submission. If not, you should have a good idea of what it will take to finish the manuscript.

Writing your manuscript

You first need to decide where you want to submit your manuscript. I like to consider my ideal target audience. I also like to vary which journals I publish in, both to broaden the potential readers of my papers and to avoid the appearance of having an unfair “inside connection” to a given journal. Your academic reputation is priceless.

Once you’ve chosen your journal, look at the journal’s article types. Decide which article type you would like to submit and reformat your outline according to the journal’s standards (including citation style).

Convert your outline (including the figure captions) to complete sentences. Don’t focus on writing perfect prose for the first draft. Write your abstract after the first draft is completed. Make sure the manuscript conforms to the target journal’s word and figure limits.

Discuss all possible authors with your PI. If the study involved many people, create a table of possible authors showing their specific contributions to the manuscript. (This is helpful to do in any case as many journals now require this information.) Assigning authorship is sometimes complicated, but keep in mind that the Acknowledgements can be used to recognize those who made minor contributions (including reading the manuscript to provide feedback). “Equal contribution” authorship positions for the first and last authors is a newer option for a number of journals. An alternative is to generate the initial outline or first draft with the help of co-authors. This can take a lot more work and coordination, but may make sense for highly collaborative and large manuscripts.

Decide with your PI who will be corresponding author. Usually you or the PI.

Circulate the manuscript draft to all possible authors. Thank them for their prior and ongoing support. Inform your co-authors where you would like to send the manuscript and why. Give them a reasonable deadline to provide feedback (minimum of a few weeks). If you use Microsoft Word, ask your co-authors to use track changes.

Collate comments from your co-authors. The Combine Documents function in Word can be very helpful. Consider reconciling all comments and tracked changes before circulating another manuscript draft so that co-authors can read a “clean” copy. Repeat this process until you and your PI (and co-authors) are satisfied that the manuscript is ready for submission.

Some prefer to avoid listing authors on manuscript drafts until the final version is generated because the relative contributions of authors can shift during manuscript preparation.

Submit your manuscript

Write a cover letter for your manuscript. Put it on institutional letterhead, if you are permitted by the journal’s submission system. This makes the cover letter, and by extension, the manuscript, more professional. Some journals have required language for cover letters regarding simultaneous submissions to other journals. It’s common for journals to require that cover letters include a rationale explaining the impact and findings of the manuscript. If you need to do this, include key references and a citation list at the end of the cover letter.

Most journals will require you to provide keywords, and/or to choose subject areas related to the manuscript. Be prepared to do so.

Conflicts of interest should be declared in the manuscript, even if the journal does not explicitly request this. Ask your co-authors about any such potential conflicts.

Gather names and official designations of any grants that supported the work described in your manuscript. Ask your co-authors and your PI. This is very important for funding agencies such as the NIH, which scrutinize the productivity of their funded investigators and take this into account when reviewing future grants.

It’s common for journals to allow you to suggest an editor to handle your manuscript. Editors with expertise in your area are more likely to be able to identify and recruit reviewers who are also well-versed in the subject matter of your manuscript. Discuss this with your PI and co-authors.

Likewise, journals often allow authors to suggest reviewers. Some meta-literature indicates that manuscripts with suggested reviewers have an overall higher acceptance rate. It also behooves you to have expert reviewers that can evaluate your manuscript fairly, but also provide feedback that can improve your paper if revisions are recommended. Avoid suggesting reviewers at your own institution or who have recently written papers or been awarded grants with you. Savvy editors look for these types of relationships between reviewers and authors, and will nix a suggested reviewer with any potential conflict of interest. Discuss suggested reviewers with your PI and co-authors.

On the flip side, many journals will allow you to list opposed reviewers. If you believe that someone specific will provide a negatively biased review for non-scientific reasons, that is grounds for opposing them as your manuscript’s reviewer. In small fields, it may not be possible to exclude reviewers and still undergo expert peer review. Definitely a must-discuss with your PI and co-authors.

Generate a final version of the manuscript. Most journals use online submission systems that mandate uploading individual files for the manuscript, cover letter, etc. You may have to use pdf converting software (i.e., Adobe Acrobat) to change Word documents to pdf’s, or to combine documents into a single pdf. Review the final version, including the resolution and appearance of figures. Make sure that no edges of text or graphics near page margins are cut off (Adobe Acrobat sometimes does this with Microsoft Word). Send the final version to your PI and co-authors. Revise any errors. Then submit! Good luck!

A cover (covering) letter is a brief business letter introducing the scientific work alongside the submission process of a manuscript and is required by most scientific peer-review journals. A typical cover letter includes the name of the editor and the journal, date of submission, the characteristics of the manuscript, the importance of the work and its relevance to prospective audiences, declarations such as author agreements, conflicts of interest statement, funding source (s), and ethical statements. The letter also includes the contact information of the corresponding author (s) and may also include suggestions of potential reviewers. Spending enough time to draft an informative, comprehensive, and concise cover letter is quite worthwhile; a poorly drafted one would not persuade the editor that the submitted work is fit for publication and may lead to immediate rejection. Here, we provide a practical guide to draft a well-written, concise, and professional cover letter for a scientific medical paper.

The Cambridge dictionary defines a cover letter as “a letter that contains information about the thing it is sent with”. The cover letter is commonly known as a motivation letter submitted along with the curriculum vitae (CV) or a job application for employment ( 1 ) or academic position ( 2 ), and it is not clear why and how it was introduced into the scientific field ( 3 ). In scientific writing and publishing, a cover/covering letter is a letter to the editor’s target journal ( 4 ).

Providing a cover letter alongside the submission process is now required by most scientific journals. In fact, some high-quality and prestigious journals pay specific attention to the cover letter ( 3 ). Amongst the different steps of the publication process, the cover letter is the last step and is often overlooked ( 5 ). One of the most common complaints voiced by editors regarding submitted manuscripts is that the authors neglect to write a well-written cover letter, including a statement justifying the importance of their work ( 6 ). Missing this opportunity may have unintentional consequences, rejection without further consideration instead of being sent for external peer-review ( 5 , 6 ). Contrary to this view, some believe that the cover letter’s content overlaps with the manuscript’s abstract and gives mostly redundant information already found within the online submission system ( 3 ). The cover letter may also be a “misleading commercial advertisement” where it would not represent the content of the manuscript ( 3 ).

Although many editors may not read or seriously consider the cover letters of the submitted manuscripts ( 3 , 4 ), neglecting the importance of the cover letter may be a risk for the authors. Therefore, spending an adequate amount of time to write a coherent and persuasive cover letter is worth it. Following our previous publication on choosing a journal in a new series entitled Scientific Publishing in Biomedicine ( 7 ), here, we provided a practical guide to draft a well-written, professional, and concise cover letter needed to be accompanied by an original scientific paper, either with the initial submission or subsequently at revision/resubmitting stage. Since there are subtle differences in writing a cover letter for an original research paper versus a review article or an opinion, some points for drafting a cover letter for such papers are also discussed.

2. The Function of the Cover Letter

A cover letter is “a brief business letter”, which introduces the submitted manuscript to a prospective editor (s) ( 8 ). There are essentially two types of letters; the first is the one that is initially submitted with the manuscript (cover letter), and the second is when a revision is being submitted (revised letter). The first letter introduces the work at the initial manuscript submission ( 9 ), while the second one is needed following an invitation to revise and resubmit the manuscript. Here, the authors respond to the suggestions/criticisms of the reviewers ( 10 ). In this paper, “cover letter” and “second letter” refer to the first/submit letter and the revised letter, respectively.

A well-written cover letter is an effective tool for authors to sell their work to the journal editor and make a “good first impression”. A cover letter is a summary that highlights the main points, emphasizes the novelty, and communicates the potential implications of the submitted work ( 3 ). A cover letter allows the authors to persuade the editors regarding the novelty/originality and significance of the research in a less formal manner than in the manuscript itself ( 6 ). A well-written and informative cover letter helps the journal’s editor to be informed about the work and its significance. Regardless of the novelty and significance of the submitted manuscript, editors may miss those points without providing insights in a cover letter ( 5 ).

3. The Content of a Cover Letter

3.1. first cover letter (submit letter).

One point of view is that the cover letter’s content should be covered in the manuscript’s abstract ( 3 ). A typical cover letter includes the name of editor (s) and the journal, date of submission, the characteristics of the manuscript (i.e., title, type of the manuscript, e.g., review, original, case report), the importance of the work and its relevance to the readership of the journal, verification of the originality of the work, the authors’ confirmation that the manuscript is currently submitted only to this journal, declarations and ethical statements, suggested potential reviewers, and contact information of the corresponding author of the submitted work ( 5 , 6 ). Other manuscript characteristics, including the length and number of tables and figures, can also be indicated. If the manuscript belongs to a special issue or is being submitted upon an official invitation from the journal’s editorial office, it should also be addressed. The main contents of the first cover letter are described in Table 1 .

The most critical element of a cover letter is a “statement of novelty/significance/implication.” The authors are advised to carefully write a brief and concise description of their work’s impact toward communicating its significance ( 6 ). The authors are strongly advised not to copy the abstract into the cover letter and instead explain in their own words the significance of the work and the reason for submitting it to the journal ( 11 ). If this information is lacking, the editors may rely on the reviewers who may not appreciate the significance of the work and just focus on the technical issues rather than the scientific value of the work ( 5 ). Providing a clear and robust statement of novelty and significance would be more critical for editors and potential reviewers with diverse and interdisciplinary backgrounds ( 6 ).

The statements are expected to answer the following questions: (1) why is the work important? (e.g., emphasizing a new measurement, a new diagnostic method or criterion, a newly discovered biological process); and (2) how does the work advance current knowledge in the field? The best approach to answer this question is by describing the current state of knowledge in the field and clarifying how the work provides an added value by answering a previously unanswered question, finding the solution to a problem, or improving existing methods ( 5 ). Checking the recently published papers on similar topics in the journal provides new insights for the authors to clarify in the cover letter as to how the manuscript follows the publication trends of the journal and will add something new that would be relevant to the trend ( 12 ).

The cover letter is also expected to emphasize why the manuscript will attract the journal’s readers ( 5 ). The authors also need to consider the journal’s Aims and Scope to underscore how the manuscript would fit within the journal’s scope and attract potential readers ( 13 ). Instead of stating simply that the manuscript is “of interest to the field” or “novel,” the authors should address specific aspects of the journal’s Aims and Scope statement, e.g., “We believe that this manuscript is appropriate for publication by [journal name] since it… [reference to the journal’s aims and scope] ( 11 ).

For a review, opinion, or a trends paper, emphasizing the timeline and novelty is needed, as stated by Sacristán, the editor of trends in molecular medicine: “The synthesis and conceptual advance should be particularly stated in terms of what is new and has been trending in the field for the last one to five years”. She also recommends that the authors need to provide a future perspective beyond the main take-home message of the manuscript for a trends paper and take a strong and novel stance on a hypothesis or idea for a cover letter of an opinion manuscript ( 14 ).

The cover letter must contain some predefined statements, including the “author agreement” statement ( 13 ). An “author agreement” is a statement to confirm that “all authors have read and approved the final version of the manuscript being submitted” ( 8 ). Furthermore, “the authors warrant that the manuscript is their original work, has not received prior publication and is not under consideration for publication elsewhere” ( 8 ). Some journals may request the corresponding author to confirm that he/she will take responsibility for informing co-authors of editorial decisions, reviews received, and any changes or revisions made; additionally, the editor (s) should be informed about any closely related manuscript (s) simultaneously submitted for consideration to the same or another journal ( 15 ). The authors also should declare if any part of the submitted work has been previously published elsewhere, even as an abstract ( 16 ); e.g., “there is some overlap in the content of the introduction section, which we have noted in the text”.

Depending on the journal’s policy, other statements, including “conflict of interest statement”, “funding source declarations”, and “permission note”, may also be required to be included in the cover letter ( 8 , 11 ). As indicated by Elsevier, a conflict of interest statement, known as a disclosure statement, is a declaration from the author that “there is no financial/personal interest or belief that could affect their objectivity”. The publisher emphasizes that the authors should declare and state the potential conflict’s source and nature in cases where a conflict of interest exists. A funding source declaration is defined by the publisher as “a declaration of any funding or research grants (and their sources) received in the course of study, research or assembly of the manuscript”. Elsevier also defines the permission note as a statement that declares that “permission has been received to use any material in the manuscript such as a figure, which is not original content” ( 8 , 17 ). Other statements like “Statement of English native editing” may also be added.

Furthermore, informing the editor (s) regarding any information that will support the submission (e.g., original or confirmatory data, supplementary materials, relevance, topicality) can be helpful ( 8 ). Other operational information, typically provided within checkboxes of the journal’s submission system, is not required to be included in the cover letter ( 5 ).

3.2. Second Cover Letter

The second cover letter, which accompanies the revised version of the manuscript, must be a model of clarity and must address every issue posed by the editor and reviewers ( 10 ). If the revised manuscript is sent for the second round of peer-review, the reviewer (s) will see the letter. The content of the header and footer sections of the revised letter is similar to that of the submitted cover letter. The letter should be directed to the editor as addressed in the first letter unless the authors are informed that a new editor will process the revised version ( 10 ). The first paragraph should start with an “expression of polite gratitude”, e.g., “we would like to thank you for the opportunity to revise and resubmit our manuscript.” The “manuscript ID” or “identification number,” usually assigned by the journal in the first submission, should be addressed in the first paragraph ( 10 ).

The second paragraph usually “signals attention to the reviewers’ comments” by providing an explicit reference to the comments made by the reviewers and the editor. Furthermore, it may contain a positive statement regarding the results, methodology, conclusions, etc., in which case the authors need to acknowledge reviews’ insights ( 10 , 18 ). For example, “We sincerely appreciate all the valuable comments and suggestions made, which helped us improve the revised version of our manuscript” or “we found the reviewers’ comments helpful in guiding us to revise the manuscript.” Such statements will help the authors in creating a polite, formal tone throughout the letter. The paragraph should be followed by providing the editor with a roadmap or a summary of the revisions, addressing “the response to comments attachment.” A point-by-point response to the specific comments of the reviewers must be provided. If the authors disagree with a point raised by a reviewer, a rebuttal or counterstatement may be in order. A scientific and polite approach should spell out why the authors disagree, never losing sight of the reviewer’s opinion ( 19 ).

The footer section (closing salutation) of the letter returns to polite formalities, using statements like “we hope that the revised version of our manuscript is now acceptable to the reviewers, and suitable for publication in the [name of journal], we look forward to hearing from you at your earliest convenience” ( 10 ).

4. Organization

Although it is not a rule, the cover letter’s content can be organized within a cover letter header (opening salutation), three main paragraphs (the body of cover letter), and a cover letter footer (closing salutation), as described in Table 1 .

The cover letter should be initiated by addressing the editor (s) and the target journal; however, the author’s affiliation and contact information may also be included at the top of page ( 4 ). The name of the editor (s) can be easily found on the journal’s information page. If it is known, the authors must address the editor who will receive the manuscript and handle the peer-review process ( 13 ). If there are several co-editors, the person the author feels has the most appropriate background, and specialty of the topic should be addressed. In cases where such information is lacking, authors can mention all editors by name or address the letter to “dear editors” ( 12 ); however, it has been recommended to avoid writing “dear editor” ( 16 ). Also, the submission date and the journal’s name where the manuscript will be submitted are required ( 13 ).

In the first paragraph of the cover letter body, to introduce the submitted work, the title and the type of manuscript, authors’ name, journal name, and manuscript length are presented ( 4 ). In addition, it is mentioned that whether the manuscript is submitted upon an invitation or belongs to a special issue. The importance of the study, including novelty, potential implications, and its take-home message, are addressed in the second paragraph of the cover letter body. In addition, it is explained why the work would be attractive for journal readers. The third paragraph of the cover letter body includes some statements including authorship agreement, conflicts of interest, funding source, and ethical considerations. If required, potential reviewers are also suggested here.

Within the closing salutation, the authors can appreciate the editor for taking the time to read the cover letter and considering the submitted work for potential publication.

5. Some Practical Tips: The Length, and Dos and Don’ts

The authors need to spend plenty of time crafting their cover letters. They are advised to avoid too many details and keep it within one page (less than 200 words), like an introduction or a brief overview ( 4 , 11 ). The authors should check the guide for authors and cover letter suggestions provided by the journal, including all the requirements, e.g., specific disclosures, statements, and potential reviewers. Some publishers (e.g., Springer, https://www.springer.com/gp/authors-editors/journal-author/cover-letters/1398, Taylor & Francis, https://authorservices.taylorandfrancis.com/publishing-your-research/making-your submission/writing-a-journal-article-cover-letter/) provide sample cover letters that the authors can use. Figure 1 provides a sample for a cover letter.

If the authors address previously published papers in the cover letter, then appropriate citation should be considered. The authors should carefully check the letter for any spelling and grammatical errors ( 11 , 20 ). They should make sure that they correctly spell the name of the journal’s editor (s) ( 4 ). Being careless regarding the editor’s name or the change of a journal’s name in a cover letter of a resubmitted manuscript, can be embarrassing and make a bad impression ( 4 ). It is suggested that the cover letter be written on the authors’ institutional letterhead to display professionalism and reliability ( 20 , 21 ).

5.2. Don’ts

When authors suggest a number of potential reviewers, they should avoid suggesting their friends and colleagues, as this would be viewed as a conflict of interest. Collaborators whom the authors have published with in the past five years should not be suggested either; an editor may easily be informed of such associations by a quick search of PubMed or other databases ( 22 ). The authors should avoid using complex sentence structures, jargon, and acronyms and keep the text straightforward and easy to read ( 11 , 20 ). The authors should also avoid including unrelated personal information or glorifying their past research papers or any of their academic accolades ( 20 ). They must not be rude towards the editors or complement the editor’s accomplishments ( 4 ). The novelty statement should not exaggerate or overstate the findings of the work; furthermore, any conclusion stated should be completely supported by the data provided in the manuscript ( 23 ). Finally, authors are recommended not to write a generic cover letter that could be used for any manuscript and could be sent to any journal ( 21 ).

6. Conclusion

In summary, a cover letter should highlight the novelty, importance, take-home message, and goodness-of-fit of the manuscript to the journal. These are critical information that can persuade an editor that the submitted work merits publication consideration in the journal. The cover letter should not be general but should be custom-written for the target journal. Although the submitted manuscript may usually pass through the peer-review process and get published regardless of the cover letter, a well-written, informative, and concise cover letter increases the chance of gaining acceptance.

What is this handout about.

The long list of application materials required for many academic teaching jobs can be daunting. This handout will help you tackle one of the most important components: the cover letter or letter of interest. Here you will learn about writing and revising cover letters for academic teaching jobs in the United States of America.

What is an academic cover letter?

An academic cover letter describes your experiences and interest as a candidate for a specific position. It introduces you to the hiring committee and demonstrates how your academic background fits with the description of the position.

What do cover letters for academic teaching jobs typically contain?

At their most basic level, academic cover letters accomplish three things: one, they express your interest in the job; two, they provide a brief synopsis of your research and teaching; and three, they summarize your past experiences and achievements to illustrate your competence for the job. For early-career scholars, cover letters are typically no more than two pages (up to four pages for senior scholars). Occasionally, a third page may make sense for an early-career scholar if the application does not require a separate teaching statement and/or research statement. Digital versions of cover letters often contain hyperlinks to your CV or portfolio page. For some fields, cover letters may also include examples of your work, including music, popular articles, and other multimedia related to your research, service, or teaching available online. Typically, letters appear on departmental or university letterhead and include your signature. Above all, a strong cover letter presents your accomplishments and your familiarity with the institution and with the position.

How should I prepare to write my academic cover letter?

Like all writing, composing a cover letter is a process. The process may be as short as a few hours or as long as several weeks, but at the end the letter should present you as a strong candidate for the job. The following section has tips and questions for thinking through each stage of this writing process. You don’t need to answer all of these questions to write the letter; they are meant to help you brainstorm ideas.

Before you begin writing your cover letter, consider researching the institution, the department, and the student population. Incorporating all three aspects in your letter will help convey your interest in the position.

Get to know the institution. When crafting your cover letter, be aware of the type of institution to which you are applying. Knowing how the institution presents itself can help you tailor your letter and make it more specific.

  • Where is the institution located?
  • Is it on a quarter-system or semester-system?
  • What type of institution is it? Is it an R1? Is it an R2? Is it a liberal arts college? Is it an HBCU? Is it a community college? A private high school?
  • What is the institution’s culture? Is it teaching-focused or research-focused? Does it privilege experiential learning? Does it value faculty involvement outside the classroom? Is it affiliated with a specific religious tradition?
  • Does it have any specific institutional commitments?
  • How does the institution advocate for involvement in its local community?
  • What are the professional development opportunities for new and junior faculty?

Learn about the department. Knowing the specific culture and needs of the department can help you reach your audience: the department members who will be reading your documents and vetting you as a candidate.

  • Who is on the search committee? Who is the search committee chair?
  • What is the official name of the department?
  • Which different subfields make up the department?
  • Is it a dual appointment or a position in a dual department?
  • How does the department participate in specific types of student outreach?
  • Does the department have graduate students? Does it offer a terminal Master’s degree, Ph.D., or both? How large are the cohorts? How are they funded?
  • Does the department encourage or engage in interdisciplinary work?
  • Does the majority of the department favor certain theoretical or methodological approaches?
  • Does the department have partnerships with local institutions? If so, which ones?
  • Is the department attempting to fill a specific vacancy, or is it an entirely new position?
  • What are the typical course offerings in the department? Which courses might you be expected to teach? What courses might you be able to provide that are not currently available?

Consider the students. The search committee will often consider how you approach instructing and mentoring the student body. Sometimes committees will even reserve a position for a student or solicit student feedback on a candidate:

  • What populations constitute the majority of the undergraduate population?
  • Have there been any shifts in the student population recently?
  • Do students largely come from in-state or out-of-state?
  • Is there an international student population? If so, from which countries?
  • Is the university recruiting students from traditionally underrepresented populations?
  • Are students particularly active on campus? If so, how?

Many answers to these questions can be found both in the job description and on the institution’s website. If possible, consider contacting someone you know at the institution to ask about the culture directly. You can also use the institution’s course catalog, recruitment materials, alumni magazine, and other materials to get answers to these questions. The key is to understand the sort of institution to which you are applying, its immediate needs, and its future trajectory.

Remember, there is a resource that can help you with all three aspects—people. Reach out to your advisor, committee members, faculty mentors, and other contacts for insight into the prospective department’s culture and faculty. They might even help you revise your letter based on their expertise. Think of your job search as an opportunity to cultivate these relationships.

After you have done some initial research, think about how your experiences have prepared you for the job and identify the ones that seem the most relevant. Consider your previous research, internships, graduate teaching, and summer experiences. Here are some topics and questions to get you started thinking about what you might include.

Research Experiences. Consider how your research has prepared you for an academic career. Since the letter is a relatively short document, select examples of your research that really highlight who you are as a scholar, the direction you see your work going, and how your scholarship will contribute to the institution’s research community.

  • What are your current research interests?
  • What topics would you like to examine in the future?
  • How have you pursued those research interests?
  • Have you traveled for your research?
  • Have you published any of your research? Have you presented it at a conference, symposium, or elsewhere?
  • Have you worked or collaborated with scholars at different institutions on projects? If so, what did these collaborations produce?
  • Have you made your research accessible to your local community?
  • Have you received funding or merit-based fellowships for your research?
  • What other research contributions have you made? This may include opinion articles, book chapters, or participating as a journal reviewer.
  • How do your research interests relate to those of other faculty in the department or fill a gap?

Teaching Experience. Think about any teaching experience you may have. Perhaps you led recitations as a teaching assistant, taught your own course, or guest lectured. Pick a few experiences to discuss in your letter that demonstrate something about your teaching style or your interest in teaching.

  • What courses are you interested in teaching for the department? What courses have you taught that discussed similar topics or themes?
  • What new courses can you imagine offering the department that align with their aim and mission?
  • Have you used specific strategies that were helpful in your instruction?
  • What sort of resources do you typically use in the classroom?
  • Do you have anecdotes that demonstrate your teaching style?
  • What is your teaching philosophy?
  • When have you successfully navigated a difficult concept or topic in the classroom, and what did you learn?
  • What other opportunities could you provide to students?

Internships/Summer/Other Experiences. Brainstorm a list of any conferences, colloquiums, and workshops you have attended, as well as any ways you have served your department, university, or local community. This section will highlight how you participate in your university and scholarly community. Here are some examples of things you might discuss:

  • Professional development opportunities you may have pursued over the summer or during your studies
  • International travel for research or presentations
  • Any research you’ve done in a non-academic setting
  • Presentations at conferences
  • Participation in symposia, reading groups, working groups, etc.
  • Internships in which you may have implemented your research or practical skills related to your discipline
  • Participation in community engagement projects
  • Participation in or leadership of any scholarly and/or university organizations

In answering these questions, create a list of the experiences that you think best reflect you as a scholar and teacher. In choosing which experiences to highlight, consider your audience and what they would find valuable or relevant. Taking the time to really think about your reader will help you present yourself as an applicant well-qualified for the position.

Writing a draft

Remember that the job letter is an opportunity to introduce yourself and your accomplishments and to communicate why you would be a good fit for the position. Typically, search committees will want to know whether you are a capable job candidate, familiar with the institution, and a great future addition to the department’s faculty. As such, be aware of how the letter’s structure and content reflect your preparedness for the position.

The structure of your cover letter should reflect the typical standards for letter writing in the country in which the position is located (the list below reflects the standards for US letter writing). This usually includes a salutation, body, and closing, as well as proper contact information. If you are affiliated with a department, institution, or organization, the letter should be on letterhead.

  • Use a simple, readable font in a standard size, such as 10-12pt. Some examples of fonts that may be conventional in your field include Arial, Garamond, Times New Roman, and Verdana, among other similar fonts.
  • Do not indent paragraphs.
  • Separate all paragraphs by a line and justify them to the left.
  • Make sure that any included hyperlinks work.
  • Include your signature in the closing.

Before you send in your letter, make sure you proofread and look for formatting mistakes. You’ll read more about proofreading and revising later in this handout!

The second most important aspect of your letter is its content. Since the letter is the first chance to provide an in-depth introduction, it should expand on who you are as a scholar and possible faculty member. Below are some elements to consider including when composing your letter.

Identify the position you are applying to and introduce yourself. Traditionally, the first sentence of a job letter includes the full name of the position and where you discovered the job posting. This is also the place to introduce yourself and describe why you are applying for this position. Since the goal of a job letter is to persuade the search committee to include you on the list of candidates for further review, you may want to include an initial claim as to why you are a strong candidate for the position. Some questions you might consider:

  • What is your current status (ABD, assistant professor, post-doc, etc.)?
  • If you are ABD, have you defended your dissertation? If not, when will you defend?
  • Why are you interested in this position?
  • Why are you a strong candidate for this position?

Describe your research experience and interests. For research-centered positions, such as positions at R1 or other types of research-centered universities, include information about your research experience and current work early in the letter. For many applicants, current work will be the dissertation project. If this is the case, some suggest calling your “dissertation research” your “current project” or “work,” as this may help you present yourself as an emerging scholar rather than a graduate student. Some questions about your research that you might consider:

  • What research experiences have you had?
  • What does your current project investigate?
  • What are some of the important methods you applied?
  • Have you collaborated with others in your research?
  • Have you acquired specific skills that will be useful for the future?
  • Have you received special funding? If so, what kind?
  • Has your research received any accolades or rewards?
  • What does your current project contribute to the field?
  • Where have you presented your research?
  • Have you published your research? If so, where? Or are you working on publishing your work?
  • How does your current project fit the job description?

Present your plans for future research. This section presents your research agenda and usually includes a description of your plans for future projects and research publications. Detailing your future research demonstrates to the search committee that you’ve thought about a research trajectory and can work independently. If you are applying to a teaching-intensive position, you may want to minimize this section and/or consider including a sentence or two on how this research connects to undergraduate and/or graduate research opportunities. Some questions to get you started:

  • What is your next research project/s?
  • How does this connect to your current and past work?
  • What major theories/methods will you use?
  • How will this project contribute to the field?
  • Where do you see your specialty area or subfield going in the next ten years and how does your research contribute to or reflect this?
  • Will you be collaborating with anyone? If so, with whom?
  • How will this future project encourage academic discourse?
  • Do you already have funding? If so, from whom? If not, what plans do you have for obtaining funding?
  • How does your future research expand upon the department’s strengths while simultaneously diversifying the university’s research portfolio? (For example, does your future research involve emerging research fields, state-of-the-art technologies, or novel applications?)

Describe your teaching experience and highlight teaching strategies. This section allows you to describe your teaching philosophy and how you apply this philosophy in your classroom. Start by briefly addressing your teaching goals and values. Here, you can provide specific examples of your teaching methods by describing activities and projects you assign students. Try to link your teaching and research together. For example, if you research the rise of feminism in the 19th century, consider how you bring either the methodology or the content of your research into the classroom. For a teaching-centered institution, such as a small liberal arts college or community college, you may want to emphasize your teaching more than your research. If you do not have any teaching experience, you could describe a training, mentoring, or coaching situation that was similar to teaching and how you would apply what you learned in a classroom.

  • What is your teaching philosophy? How is your philosophy a good fit for the department in which you are applying to work?
  • What sort of teaching strategies do you use in the classroom?
  • What is your teaching style? Do you lecture? Do you emphasize discussion? Do you use specific forms of interactive learning?
  • What courses have you taught?
  • What departmental courses are you prepared to teach?
  • Will you be able to fill in any gaps in the departmental course offerings?
  • What important teaching and/or mentoring experiences have you had?
  • How would you describe yourself in the classroom?
  • What type of feedback have you gotten from students?
  • Have you received any awards or recognition for your teaching?

Talk about your service work. Service is often an important component of an academic job description. This can include things like serving on committees or funding panels, providing reviews, and doing community outreach. The cover letter gives you an opportunity to explain how you have involved yourself in university life outside the classroom. For instance, you could include descriptions of volunteer work, participation in initiatives, or your role in professional organizations. This section should demonstrate ways in which you have served your department, university, and/or scholarly community. Here are some additional examples you could discuss:

  • Participating in graduate student or junior faculty governance
  • Sitting on committees, departmental or university-wide
  • Partnerships with other university offices or departments
  • Participating in community-partnerships
  • Participating in public scholarship initiatives
  • Founding or participating in any university initiatives or programs
  • Creating extra-curricular resources or presentations

Present yourself as a future faculty member. This section demonstrates who you will be as a colleague. It gives you the opportunity to explain how you will collaborate with faculty members with similar interests; take part in departmental and/or institution wide initiatives or centers; and participate in departmental service. This shows your familiarity with the role of faculty outside the classroom and your ability to add to the departmental and/or institutional strengths or fill in any gaps.

  • What excites you about this job?
  • What faculty would you like to collaborate with and why? (This answer may be slightly tricky. See the section on name dropping below.)
  • Are there any partnerships in the university or outside of it that you wish to participate in?
  • Are there any centers associated with the university or in the community that you want to be involved in?
  • Are there faculty initiatives that you are passionate about?
  • Do you have experience collaborating across various departments or within your own department?
  • In what areas will you be able to contribute?
  • Why would you make an excellent addition to the faculty at this institution?

Compose a strong closing. This short section should acknowledge that you have sent in all other application documents and include a brief thank you for the reader’s time and/or consideration. It should also state your willingness to forward additional materials and indicate what you would like to see as next steps (e.g., a statement that you look forward to speaking with the search committee). End with a professional closing such as “Sincerely” or “Kind Regards” followed by your full name.

If you are finding it difficult to write the different sections of your cover letter, consider composing the other academic job application documents (the research statement, teaching philosophy, and diversity statement) first and then summarizing them in your job letter.

Different kinds of letters may be required for different types of jobs. For example, some jobs may focus on research. In this case, emphasize your research experiences and current project/s. Other jobs may be more focused on teaching. In this case, highlight your teaching background and skills. Below are two models for how you could change your letter’s organization based on the job description and the institution. The models offer a guide for you to consider how changing the order of information and the amount of space dedicated to a particular topic changes the emphasis of the letter.

Remember your first draft does not have to be your last. Try to get feedback from different readers, especially if it is one of your first applications. It is not uncommon to go through several stages of revisions. Check out the Writing Center’s handout on editing and proofreading and video on proofreading to help with this last stage of writing.

Potential pitfalls

Using the word dissertation. Some search committee members may see the word “dissertation” as a red flag that an applicant is too focused on their role as a graduate student rather than as a prospective faculty member. It may be advantageous, then, to describe your dissertation as current research, a current research project, current work, or some other phrase that demonstrates you are aware that your dissertation is the beginning of a larger scholarly career.

Too much jargon. While you may be writing to a specific department, people on the search committee might be unfamiliar with the details of your subfield. In fact, many committees have at least one member from outside their department. Use terminology that can easily be understood by non-experts. If you want to use a specific term that is crucial to your research, then you should define it. Aim for clarity for your reader, which may mean simplification in lieu of complete precision.

Overselling yourself. While your job letter should sell you as a great candidate, saying so (e.g., “I’m the ideal candidate”) in your letter may come off to some search committee members as presumptuous. Remember that although you have an idea about the type of colleague a department is searching for, ultimately you do not know exactly what they want. Try to avoid phrases or sentences where you state you are the ideal or the only candidate right for the position.

Paying too much attention to the job description. Job descriptions are the result of a lot of debate and compromise. If you have skills or research interests outside the job description, consider including them in your letter. It may be that your extra research interests; your outside skills; and/or your extracurricular involvements make you an attractive candidate. For example, if you are a Latin Americanist who also happens to be well-versed in the Spanish Revolution, it could be worth mentioning the expanse of your research interests because a department might find you could fill in other gaps in the curriculum or add an additional or complementary perspective to the department.

Improper sendoff. The closing of your letter is just as important as the beginning. The end of the letter should reflect the professionalism of the document. There should be a thank-you and the word sincerely or a formal equivalent. Remember, it is the very last place in your letter where you present yourself as a capable future colleague.

Small oversights. Make sure to proofread your letter not just for grammar but also for content. For example, if you use material from another letter, make sure you do not include the names of another school, department, or unassociated faculty! Or, if the school is in Chicago, make sure you do not accidentally reference it as located in the Twin Cities.

Name dropping. You rarely know the internal politics of the department or institution to which you are applying. So be cautious about the names you insert in your cover letters. You do not want to unintentionally insert yourself into a departmental squabble or add fire to an interdepartmental conflict. Instead, focus on the actions you will undertake and the initiatives you are passionate about.

Writing for Publication: Cover Letters

A well-written, properly formatted cover letter is the first impression an editor of a journal has of the submitting author. Make sure that your cover letter is free of typographical errors, misspellings, casual language, and any other idiosyncrasies such as a nonstandard font. A good cover letter will ensure that the content of your article is given serious consideration by the journal's editors. Make sure your cover letter is brief and direct (usually no more than four paragraphs, maximum).

In addition to adhering to any journal-specific guidelines, make sure your cover letter follows the following guidelines.

Establish Credibility

Gump (2002) recommended that authors establish their credibility by using institutional letterhead if possible, as well as using a title or appointment to help establish qualifications (e.g., "Associate Professor," "Visiting Professor"). Gump also advised that those not currently affiliated with an academic institution use the letterhead of their company or organization. Of course, if you are submitting electronically, it may not be possible to make use of a letterhead.

Establishing your authority must also be done in the body of your cover letter. Be sure that your cover letter makes clear to the journal editors whether your research fills a research gap in your field. There is no need to tell the editors that your article is going to change the world; avoid hyperbole and state simply and briefly the contribution that your article contributes to your field.

Personalize the Letter

There are several ways you can personalize your letter to establish a connection with the editor and the journal. These ideas include making a specific reference to a previously published article in the journal that contains similarities to yours or demonstrating a familiarity with the interests of the journal's readership.

Simultaneous Submissions

Different journals have different rules about what types of submissions they will accept. A simultaneous submission is a submission that you have sent out to more than one journal at the same time. Many journals have stated policies that ask submitters to only submit to one journal at a time. Polices regarding simultaneous submission often vary by field. For example, most journals in the sciences require that papers under review not be submitted elsewhere, while some journals in the humanities have different policies. Be sure to check each journal's submission policies to determine whether they accept simultaneous submissions or not.

If you do submit to a journal with a no simultaneous submission policy, include a line in your cover letter informing the journal that your article is not under consideration elsewhere. Breaching this rule and submitting to multiple journals that explicitly request exclusive consideration is widely considered unethical in the scholarly community.

Other Important Information

Previously published material: Without exception, academic journals will not publish previously published material. Therefore, you will want to make it clear to the editors in one brief sentence that the article you are submitting for consideration has not been published elsewhere.

Funding: If you have received a grant or funding in order to conduct your research, be sure to mention the source of your funding in your cover letter.

"Writing Your Cover Letter" is a series of short documents that walks you through the creation of a cover letter. Here you can see the information in the "Quick Tips for Cover Letters" and "Preparing to Write a Cover Letter" pages put to use. This page guides you through adapting your experiences to the content in your cover letter and its different sections.

The heading provides your contact information, the date you are writing, and the address of the company to which you are applying.

For your contact information, you will want to include the following:

  • The address where you can be reached ( if you live at college, will it be more accessible to include the local address or your permanent address? )
  • Phone number
  • Fax number (if applicable)
  • E-mail address

Then, you will skip a line and write the full date ( month, day, year ). Follow this by skipping a space and writing the contact information for the person to whom you are writing:

  • Name of the specific person
  • Title of that person (if available)
  • Address of the company

Your cover letter plays an important role in your job search, because it's a quick summary intended to tease or intrigue a recruiter into wanting to read your resume. An effective cover letter can convince the recruiter to devote time to actually reading your resume instead of the typical few seconds recruiters spend reviewing most.

Not sending a cover letter or sending a cover letter on something other than professional-grade paper can ruin your chances for an interview. Reviewing some cover letter letterhead ideas and expertly written cover letter examples you can find on the internet will help you decide which strategy is best for you.

About Business Letterhead

Aside from business cards and a website, organizations use letterhead to give their written correspondence a professional look. Business letterhead generally has an individual's or company's name, address, telephone numbers and URL in a prominent space on the paper, usually at the top of the page. Personal stationery usually isn't called letterhead, but regardless of the term, letterhead isn't required for a cover letter. Using a company's business letterhead to write a cover letter is an absolute no-no.

About Personalized Stationery

Individuals also create letterhead for sending personal letters, or letters to government agencies or other businesses. Imprinted stationery is ideal for writing letters to friends and family, or for thank-you notes to express your appreciation for a gift or gesture. In fact, imprinted stationery is a classic sign of proper etiquette for personal correspondence.

Using your personal stationery for cover letters may not be entirely appropriate, depending on its style, font and the paper color. Stationery designed for personal use is best reserved for personal correspondence, not business letters.

Many resume experts recommend using the same heading for your cover letter and resume, according to LiveCareer . This makes your presentation look more coordinated and professional. If you are paying for a cover letter and resume, ask for the headings on both to be the same.

Business Correspondence Practices

Cover letters are business correspondence and, as such, should be on plain white bond paper or stationery that doesn't have any kind of personal design. Although some job seekers have personalized stationery that has a more professional look than personal stationery, employers don't require it. In fact, most employers are likely to prefer plain white or off-white bond paper over imprinted stationery, if the stationery has an obviously personal touch.

Cover Letter Paper

Choose plain white or off-white bond paper for your cover letter if your stationery looks more suitable for personal correspondence rather than a business letter. The paper you select for your cover letter should match the paper on which your resume is printed. If you have your resume professionally printed, buy additional sheets of the same paper for your cover letter.

Cover Letter Format

Use standard business format for your cover letter. A plethora of online resources depict sample cover letter formats. You have a couple of options for setting up the format for your inside address: Type your name, address, city, state and ZIP code across the top of the page, 1 inch from the top of the page and centered. Alternatively, type your name and inside address flush with the left margin, again, 1 inch from the top of the page.

A more-than-occasional arrival in the email these days is a question expressed two ways, one with dripping condescension and the other with courtesy:

Why don’t our opinion platforms treat Donald Trump and other politicians exactly the same way. Some phrase it differently, asking why we demean the former president’s supporters in describing his behavior as monstrous, insurrectionist and authoritarian.

I feel for those who write. They believe in Trump and want their local news source to recognize what they see in him.

The angry writers denounce me for ignoring what they call the Biden family crime syndicate and criminality far beyond that of Trump. They quote news sources of no credibility as proof the mainstream media ignores evidence that Biden, not Trump, is the criminal dictator.

The courteous writers don’t go down that road. They politely ask how we can discount the passions and beliefs of the many people who believe in Trump.

This is a tough column to write, because I don’t want to demean or insult those who write me in good faith. I’ve started it a half dozen times since November but turned to other topics each time because this needle is hard to thread. No matter how I present it, I’ll offend some thoughtful, decent people.

The north star here is truth. We tell the truth, even when it offends some of the people who pay us for information.

The truth is that Donald Trump undermined faith in our elections in his false bid to retain the presidency. He sparked an insurrection intended to overthrow our government and keep himself in power. No president in our history has done worse.

This is not subjective. We all saw it. Plenty of leaders today try to convince the masses we did not see what we saw, but our eyes don’t deceive. (If leaders began a yearslong campaign today to convince us that the Baltimore bridge did not collapse Tuesday morning, would you ever believe them?) Trust your eyes. Trump on Jan. 6 launched the most serious threat to our system of government since the Civil War. You know that. You saw it.

The facts involving Trump are crystal clear, and as news people, we cannot pretend otherwise, as unpopular as that might be with a segment of our readers. There aren’t two sides to facts. People who say the earth is flat don’t get space on our platforms. If that offends them, so be it.

As for those who equate Trump and Joe Biden, that’s false equivalency. Biden has done nothing remotely close to the egregious, anti-American acts of Trump. We can debate the success and mindset of our current president, as we have about most presidents in our lifetimes, but Biden was never a threat to our democracy. Trump is. He is unique among all American presidents for his efforts to keep power at any cost.

Personally, I find it hard to understand how Americans who take pride in our system of government support Trump. All those soldiers who died in World War II were fighting against the kind of regime Trump wants to create on our soil. How do they not see it?

The March 25 edition of the New Yorker magazine offers some insight. It includes a detailed review of a new book about Adolf Hitler, focused on the year 1932. It’s called “Takeover: Hitler’s Final Rise to Power” and is by historian Timothy W. Ryback. It explains how German leaders – including some in the media -- thought they could use Hitler as a means to get power for themselves and were willing to look past his obvious deficiencies to get where they wanted. In tolerating and using Hitler as a means to an end, they helped create the monstrous dictator responsible for millions of deaths.

How are those German leaders different from people in Congress saying the election was stolen or that Jan. 6 was not an insurrection aimed at destroying our government? They know the truth, but they deny it. They see Trump as a means to an end – power for themselves and their “team” – even if it means repeatedly telling lies.

Sadly, many believe the lies. They trust people in authority, without questioning the obvious discrepancies or relying on their own eyes. These are the people who take offense to the truths we tell about Trump. No one in our newsroom gets up in the morning wanting to make a segment of readers feel bad. No one seeks to demean anyone. We understand what a privilege it is to be welcomed into the lives of the millions of people who visit our platforms each month for news, sports and entertainment. But our duty is to the truth.

Our nation does seem to be slipping down the same slide that Germany did in the 1930s. Maybe the collapse of government in the hands of a madman is inevitable, given how the media landscape has been corrupted by partisans, as it was in 1930s Germany.

I hope not.

In our newsroom, we’ll do our part. Much as it offends some who read us, we will continue to tell the truth about Trump.
