You were almost done with your application, but approaching the finish line, you hit a snag. How are you supposed to write a cover letter without the company address? How about a cover letter without the name of the hiring manager? You don’t want to make a bad first impression, and you don’t want your application to be misplaced. Fortunately, there are a few ways around this.

Addressing a Cover Letter with No Name

Letters are a type of social interaction, so it’s best to address letters to their recipient. But, if you don’t know the name of the person receiving your resume and cover letter, you do have options:

  • Do some light research. Before addressing a letter to an unknown recipient, start by searching the company websites for the name of hiring managers, recruiters, and HR employees. You can also search through LinkedIn, or by using GlassDoor’s interview section. For many smaller organizations, it’s also possible to email and ask.  
  • Keep it professional. Sometimes your research won’t turn up anything and you’ll be left without a name to address. In that case, instead of addressing the letter to an individual, you can address the letter to the job title of the reader. For example, “Dear Hiring Manager of [Company].” If you can’t narrow down a job title, there’s always “To whom it may concern.”

Addressing a Cover Letter without a Company Address

Companies with several locations may have multiple addresses. Companies involved with remote work may have no address at all. When writing a cover letter without an address, you have several options:

  • Double-check for an address online. You may not have found it immediately, but diligent research can often turn up results. Consider checking the contact/about section of a company’s website, or searching for a Google My Business listing. Beyond that, you may also consider contacting the Department of Revenue to learn their state location, and follow up with their local chamber of commerce.  
  • Use the address of the company headquarters. It’s descriptive, professional, and better than leaving the address blank. This approach often makes sense for remote work, and for larger organizations where applications are passed through an HR department.  
  • Use their P.O. box number. If you can’t find a headquarters address, using a P.O. box number is the next best thing. Like with a headquarters address, it shows you made an effort.  
  • Leave the address blank. While an address can help prevent busy HR departments from misplacing your letter, outside of those circumstances, going without an address on your cover letter is not a grievous mistake. Hiring managers usually have more important things to worry about.

If you're writing a cover letter to submit with your résumé to apply for a job, ideally, it should be addressed to a specific recipient. Knowing the hiring manager's name sends the message that you've done your homework and are serious about the job. Step 1 Check the job post for a specific name.

  • If the job listing instructs you to address your cover letter to a job title or other designation, follow those instructions exactly. The company may be using a filter to collect applications, particularly if you're submitting your cover letter and résumé by email.

  • Some small, privately held companies or startups may not have a list of employees on their website. Extremely small "mom and pop" companies may not even have a website at all. In that case, do a general internet search for the name of the company and see what comes up.

  • For the largest companies, you'll have better luck asking to be connected to human resources. Someone in that department would be more likely to know the name you'll need than a receptionist or operator.

Step 1 Look for the name or job title of an executive or department head.

  • For example, if you're applying for an accounting position, you might address your cover letter to the "Chief Financial Officer."

Tip: Use an internet search to come up with a list of executives for the company. If all else fails, you could address your cover letter to the president or chief executive officer of the company.

Step 2 Tailor your greeting to the job you're applying for.

  • For example, if you're applying for a job as a senior analyst, you might address your cover letter to the "Senior Analyst Hiring Manager."

  • In a smaller company or startup, you don't have to worry as much about your cover letter and résumé getting to the right person. It's likely that everyone who works for the company knows that they're hiring, and knows who's in charge of reviewing applicants.

Formatting Your Letter

Step 1 Start off formally by including

  • Sometimes "hello" is appropriate, particularly if you're sending your cover letter using email. However, unless you know the company is more casual, including the "dear" won't hurt – even in email correspondence.

Step 2 List the name of the recipient.

  • For example, if the recipient has her name listed on the company's website as "Mrs. Shirley Jackson," it's okay to address her as "Mrs. Jackson" in your cover letter.
  • If you're not sure about the recipient's gender identity, use their first and last name instead of "Mr." or "Ms."

Tip: Make sure you don't confuse the recipient's first name and family name. If you're not familiar with the order, err on the side of caution and use both.

Step 3 Include an academic or professional title if appropriate.

  • For example, if Dr. Sam Greene is the head of the department where you're applying for a job, you don't need to know whether Sam is a man or a woman. You can simply address your letter to "Dr. Greene."
  • Check the company's website or do an internet search if you think the recipient is part of an ethnic group that lists the family name first. For example, if you were writing a letter to Dr. Yang Yuanqing, who is Chinese, you would address your letter to "Dr. Yang," since the family name is listed first in Mandarin.

Step 4 Follow the name or job title with a colon or comma.

  • If you've addressed your cover letter to a group of people, such as "Dear Web Content Hiring Team," a colon may look better than a comma. Again, this is typically simply a matter of personal preference.
  • If you choose to simply address the person by name, rather than including the word "dear," follow their name with a colon instead of a comma.

You might have to cross check the findings with other reverse directories to be sure that the details are correct.
  • If you are unable to get desired results from the reverse fax directories, try a local business directory. Make use of the information provided in the job-ad for finding information about the company in the local directory. One way to narrow down your search is to use the area code of the fax number to figure out which city is the company located in.
  • If, even after trying everything, you are not able to find out any details of the company, look for local business directories in the city library, pick up the directory of the industry under which you believe the company falls and look for the company’s name — these directories are generally alphabetically ordered. By now, you have probably found the hiring manager’s full name and gender. With this information available, it’s best to address the hiring manager formally, as follows: 

  • Dear Mr. Brown,

If, for some reason, you are unsure about the person’s title, gender, marital status, or preferred pronouns, just address them using their entire name to avoid any mistakes. For example:

How to Format the Company’s Address

Before you reach the salutation, you have to make sure that the header with the recipient’s contact information is formatted correctly. 

It might not be the deciding point of whether you’ll secure an interview or not, but it will cost you points if it’s off. 

So, the first thing you want to do is add your name and surname on the upper left side of the cover letter. Underneath, you should write your professional title (if applicable), your email , and your phone number . 

Now, after you’ve also added the date, you should leave one more space and add the recipient’s contact information and, most importantly, the company’s address.

When You Can’t Find the Company’s Address 

Some companies might have several addresses listed (as per their branches, for example), or even none at all. 

Since an application that doesn’t have an address line could end up lost or misplaced, make sure you do one of the following before skipping the company’s address completely:

  • Check all your resources, (pretty much like when you were looking for the hiring manager’s name) to find the company’s address. 
  • Use the company’s headquarter address. This is sometimes easier to find, especially if the company has several branches. 
  • Use the P.O. Box number for the company. This is not as specific as an actual address line, but if all else fails, it’s still something. 

Frequently, you’ll be asked to submit your job application (including your cover letter) electronically, or by email. In those cases, you can skip the address line altogether.

If you’re sending your job application through email, chances are you’ll need to format your cover letter in the body of the email, or as an attachment along with your resume.

First and foremost when you’re addressing a cover letter in an email is the subject line, which should be between 6-10 words long. 

Considering that hiring managers receive countless emails daily, you want to make sure that yours is a job application immediately. And the way to do that is straight through the subject line, which should indicate exactly the position you’re applying for and your name so that it’s easier to find through the recruiter’s swarmed mailbox.

How to Write a Cover Letter That Will Get You a Job

I ’ve read thousands, maybe tens of thousands, of cover letters in my career. If you’re thinking that sounds like really boring reading, you’re right. What I can tell you from enduring that experience is that most cover letters are terrible — and not only that, but squandered opportunities. When a cover letter is done well, it can significantly increase your chances of getting an interview, but the vast majority fail that test.

So let’s talk about how to do cover letters right.

First, understand the point of a cover letter.

The whole idea of a cover letter is that it can help the employer see you as more than just your résumé. Managers generally aren’t hiring based solely on your work history; your experience is crucial, yes, but they’re also looking for someone who will be easy to work with, shows good judgment, communicates well, possesses strong critical thinking skills and a drive to get things done, complements their current team, and all the other things you yourself probably want from your co-workers. It’s tough to learn much about those things from job history alone, and that’s where your cover letter comes in.

Whatever you do, don’t just summarize your résumé.

The No. 1 mistake people make with cover letters is that they simply use them to summarize their résumé. This makes no sense — hiring managers don’t need a summary of your résumé! It’s on the very next page! They’re about to see it as soon as they scroll down. And if you think about it, your entire application is only a few pages (in most cases, a one- or two-page résumé and a one-page cover letter) — why would you squander one of those pages by repeating the content of the others? And yet, probably 95 percent of the cover letters I see don’t add anything new beyond the résumé itself (and that’s a conservative estimate).

Instead, your cover letter should go beyond your work history to talk about things that make you especially well-suited for the job. For example, if you’re applying for an assistant job that requires being highly organized and you neurotically track your household finances in a detailed, color-coded spreadsheet, most hiring managers would love to know that because it says something about the kind of attention to detail you’d bring to the job. That’s not something you could put on your résumé, but it can go in your cover letter.

Or maybe your last boss told you that you were the most accurate data processor she’d ever seen, or came to rely on you as her go-to person whenever a lightning-fast rewrite was needed. Maybe your co-workers called you “the client whisperer” because of your skill in calming upset clients. Maybe you’re regularly sought out by more senior staff to help problem-solve, or you find immense satisfaction in bringing order to chaos. Those sorts of details illustrate what you bring to the job in a different way than your résumé does, and they belong in your cover letter.

If you’re still stumped, pretend you’re writing an email to a friend about why you’d be great at the job. You probably wouldn’t do that by stiffly reciting your work history, right? You’d talk about what you’re good at and how you’d approach the work. That’s what you want here.

You don’t need a creative opening line.

If you think you need to open the letter with something creative or catchy, I am here to tell you that you don’t. Just be simple and straightforward:

• “I’m writing to apply for your X position.”

• “I’d love to be considered for your X position.”

• “I’m interested in your X position because …”

• “I’m excited to apply for your X position.”

That’s it! Straightforward is fine — better, even, if the alternative is sounding like an aggressive salesperson.

Show, don’t tell.

A lot of cover letters assert that the person who wrote it would excel at the job or announce that the applicant is a skillful engineer or a great communicator or all sorts of other subjective superlatives. That’s wasted space — the hiring manager has no reason to believe it, and so many candidates claim those things about themselves that most managers ignore that sort of self-assessment entirely. So instead of simply declaring that you’re great at X (whatever X is), your letter should demonstrate that. And the way you do that is by describing accomplishments and experiences that illustrate it.

Here’s a concrete example taken from one extraordinarily effective cover-letter makeover that I saw. The candidate had originally written, “I offer exceptional attention to detail, highly developed communication skills, and a talent for managing complex projects with a demonstrated ability to prioritize and multitask.” That’s pretty boring and not especially convincing, right? (This is also exactly how most people’s cover letters read.)

In her revised version, she wrote this instead:

“In addition to being flexible and responsive, I’m also a fanatic for details — particularly when it comes to presentation. One of my recent projects involved coordinating a 200-page grant proposal: I proofed and edited the narratives provided by the division head, formatted spreadsheets, and generally made sure that every line was letter-perfect and that the entire finished product conformed to the specific guidelines of the RFP. (The result? A five-year, $1.5 million grant award.) I believe in applying this same level of attention to detail to tasks as visible as prepping the materials for a top-level meeting and as mundane as making sure the copier never runs out of paper.”

That second version is so much more compelling and interesting — and makes me believe that she really is great with details.

If there’s anything unusual or confusing about your candidacy, address it in the letter.

Your cover letter is your chance to provide context for things that otherwise might seem confusing or less than ideal to a hiring manager. For example, if you’re overqualified for the position but are excited about it anyway, or if you’re a bit underqualified but have reason to think you could excel at the job, address that up front. Or if your background is in a different field but you’re actively working to move into this one, say so, talk about why, and explain how your experience will translate. Or if you’re applying for a job across the country from where you live because you’re hoping to relocate to be closer to your family, let them know that.

If you don’t provide that kind of context, it’s too easy for a hiring manager to decide you’re the wrong fit or applying to everything you see or don’t understand the job description and put you in the “no” pile. A cover letter gives you a chance to say, “No, wait — here’s why this could be a good match.”

Keep the tone warm and conversational.

While there are some industries that prize formal-sounding cover letters — like law — in most fields, yours will stand out if it’s warm and conversational. Aim for the tone you’d use if you were writing to a co-worker whom you liked a lot but didn’t know especially well. It’s okay to show some personality or even use humor; as long as you don’t go overboard, your letter will be stronger for it.

Don’t use a form letter.

You don’t need to write every cover letter completely from scratch, but if you’re not customizing it to each job, you’re doing it wrong. Form letters tend to read like form letters, and they waste the chance to speak to the specifics of what this employer is looking for and what it will take to thrive in this particular job.

If you’re applying for a lot of similar jobs, of course you’ll end up reusing language from one letter to the next. But you shouldn’t have a single cover letter that you wrote once and then use every time you apply; whatever you send should sound like you wrote it with the nuances of this one job in mind.

A good litmus test is this: Could you imagine other applicants for this job sending in the same letter? If so, that’s a sign that you haven’t made it individualized enough to you and are probably leaning too heavily on reciting your work history.

No, you don’t need to hunt down the hiring manager’s name.

If you read much job-search advice, at some point you’ll come across the idea that you need to do Woodward and Bernstein–level research to hunt down the hiring manager’s name in order to open your letter with “Dear Matilda Jones.” You don’t need to do this; no reasonable hiring manager will care. If the name is easily available, by all means, feel free to use it, but otherwise “Dear Hiring Manager” is absolutely fine. Take the hour you just freed up and do something more enjoyable with it.

Keep it under one page.

If your cover letters are longer than a page, you’re writing too much, and you risk annoying hiring managers who are likely sifting through hundreds of applications and don’t have time to read lengthy tomes. On the other hand, if you only write one paragraph, it’s unlikely that you’re making a compelling case for yourself as a candidate — not impossible, but unlikely. For most people, something close to a page is about right.

Don’t agonize over the small details.

What matters most about your cover letter is its content. You should of course ensure that it’s well-written and thoroughly proofread, but many job seekers agonize over elements of the letter that really don’t matter. I get tons of  questions from job seekers  about whether they should attach their cover letter or put it in the body of the email (answer: No one cares, but attaching it makes it easier to share and will preserve your formatting), or what to name the file (again, no one really cares as long as it’s reasonably professional, but when people are dealing with hundreds of files named “resume,” it’s courteous to name it with your full name).

Approaching your cover letter like this can make a huge difference in your job search. It can be the thing that moves your application from the “maybe” pile (or even the “no” pile) to the “yes” pile. Of course, writing cover letters like this will take more time than sending out the same templated letter summarizing your résumé — but 10 personalized, compelling cover letters are likely to get you more  interview invitations  than 50 generic ones will.

Send a dispute letter to your card company, consider contacting the seller, sample letter for disputing credit or debit card charges, report problems.

You must notify your credit or debit card company of any error you’re disputing within 60 days of the date that the first statement on which the charge appears was sent to you. Consumer protections for credit cards are stronger than protections for debit cards , but some debit card companies voluntarily offer more protections than the law requires. To best protect your rights, review your account statements carefully every month and submit any dispute right away.

Start by calling the card company’s customer service number to report the problem. Find the telephone number on your monthly statement or on the back of your card. Keep a record of who you spoke with and when. Follow up promptly with a letter. The sample below may help.

Many card companies may let you to submit your dispute online. You may have to set up an online account to do that. However, to fully protect yourself, follow up with a letter quickly.

After you call the card company or dispute the charge online, follow up right away with a letter disputing the charge. The letter is a written notice to the card company about the problem. Remember, you must send the letter within 60 calendar days of the date that the first statement on which the disputed charge appears was sent to you.

Make sure your letter includes

  • your name and account number
  • the dollar amount of the disputed charge
  • the date of the disputed charge
  • an explanation of why you think the charge is incorrect

Here are some possible reasons why you might believe a charge is incorrect:

  • The date or amount of the charge is wrong.
  • The charge is for goods or services that you didn’t accept or that weren’t delivered to you as agreed.
  • You were charged more than once for something.
  • You returned the item, but the credit wasn’t posted to your account.
  • You paid for the item, but the payment wasn’t posted to your account.
  • You didn’t authorize the transaction.

Send your letter to the address your card company lists for billing disputes, errors, or inquiries. Look on your monthly statement, the card company’s website, or your card agreement to get the right address. The address for billing disputes usually is different from the address where you send your payments.

Send your letter by certified mail, if possible. Ask for a return receipt so you have proof that the card company got your letter. Include with your letter copies of any receipts, checks, or other proof of the transaction. Hold on to your originals.

It also may help to contact the seller for problems you are having with debit or credit card charges. But for most problems, if you don’t first contact the card issuer, you could lose important rights that protect you due to the timing requirements.

When you contact the seller, keep a record of who you spoke with and when. If you resolve the problem, check back with your card company — often your bank — to make sure your account shows the proper credit or refund.

Create a form in Word that users can complete or print

In Word, you can create a form that others can fill out and save or print.  To do this, you will start with baseline content in a document, potentially via a form template.  Then you can add content controls for elements such as check boxes, text boxes, date pickers, and drop-down lists. Optionally, these content controls can be linked to database information.  Following are the recommended action steps in sequence.  

Show the Developer tab

In Word, be sure you have the Developer tab displayed in the ribbon.  (See how here:  Show the developer tab .)

Open a template or a blank document on which to base the form

You can start with a template or just start from scratch with a blank document.

Start with a form template

Go to File > New .

In the  Search for online templates  field, type  Forms or the kind of form you want. Then press Enter .

In the displayed results, right-click any item, then select  Create.

Add content to the form

Go to the  Developer  tab Controls section where you can choose controls to add to your document or form. Hover over any icon therein to see what control type it represents. The various control types are described below. You can set properties on a control once it has been inserted.

To delete a content control, right-click it, then select Remove content control  in the pop-up menu. 

Note:  You can print a form that was created via content controls. However, the boxes around the content controls will not print.

Insert a text control

The rich text content control enables users to format text (e.g., bold, italic) and type multiple paragraphs. To limit these capabilities, use the plain text content control . 

Click or tap where you want to insert the control.

Insert a picture control

A picture control is most often used for templates, but you can also add a picture control to a form.

Insert a building block control

Use a building block control  when you want users to choose a specific block of text. These are helpful when you need to add different boilerplate text depending on the document's specific purpose. You can create rich text content controls for each version of the boilerplate text, and then use a building block control as the container for the rich text content controls.

Insert a combo box or a drop-down list

In a combo box, users can select from a list of choices that you provide or they can type in their own information. In a drop-down list, users can only select from the list of choices.

Select the content control, and then select Properties .

To create a list of choices, select Add under Drop-Down List Properties .

Type a choice in Display Name , such as Yes , No , or Maybe .

Repeat this step until all of the choices are in the drop-down list.

Fill in any other properties that you want.

Note:  If you select the Contents cannot be edited check box, users won’t be able to click a choice.

Use the legacy form controls

Legacy form controls are for compatibility with older versions of Word and consist of legacy form and Active X controls.

Select the Legacy Form control or Active X Control that you want to include.

Set or change properties for content controls

Each content control has properties that you can set or change. For example, the Date Picker control offers options for the format you want to use to display the date.

Select the content control that you want to change.

Go to Developer > Properties .

Add protection to a form

If you want to limit how much others can edit or format a form, use the Restrict Editing command:

Open the form that you want to lock or protect.

Select Developer > Restrict Editing .

After selecting restrictions, select Yes, Start Enforcing Protection .

Advanced Tip:

If you want to protect only parts of the document, separate the document into sections and only protect the sections you want.

To do this, choose Select Sections in the Restrict Editing panel. For more info on sections, see Insert a section break .

Open a template or use a blank document

To create a form in Word that others can fill out, start with a template or document and add content controls. Content controls include things like check boxes, text boxes, and drop-down lists. If you’re familiar with databases, these content controls can even be linked to data.

Go to File > New from Template .

In Search, type form .

Double-click the template you want to use.

Select File > Save As , and pick a location to save the form.

In Save As , type a file name and then select Save .

Go to File > New Document .

Go to Developer , and then choose the controls that you want to add to the document or form. To remove a content control, select the control and press Delete. You can set Options on controls once inserted. From Options, you can add entry and exit macros to run when users interact with the controls, as well as list items for combo boxes, .

Adding content controls to your form

In the document, click or tap where you want to add a content control.

On Developer , select Text Box , Check Box , or Combo Box .

To set specific properties for the control, select Options , and set .

Repeat steps 1 through 3 for each control that you want to add.

Options let you set common settings, as well as control specific settings. Select a control and then select Options to set up or make changes.

Select Macro to Run on lets you choose a recorded or custom macro to run on Entry or Exit from the field.

Bookmark Set a unique name or bookmark for each control.

Calculate on exit This forces Word to run or refresh any calculations, such as total price when the user exits the field.

Add Help Text Give hints or instructions for each field.

OK Saves settings and exits the panel.

Cancel Forgets changes and exits the panel.

Set specific properties for a Text box

Type Select form Regular text, Number, Date, Current Date, Current Time, or Calculation.

Default text sets optional instructional text that's displayed in the text box before the user types in the field. Set Text box enabled to allow the user to enter text into the field.

Maximum length sets the length of text that a user can enter. The default is Unlimited .

Text format can set whether text automatically formats to Uppercase , Lowercase , First capital, or Title case .

Text box enabled Lets the user enter text into a field. If there is default text, user text replaces it.

Set specific properties for a Check box .

Default Value Choose between Not checked or checked as default.

Checkbox size Set a size Exactly or Auto to change size as needed.

Check box enabled Lets the user check or clear the text box.

Set specific properties for a Combo box

Drop-down item Type in strings for the list box items. Press + or Enter to add an item to the list.

Items in drop-down list Shows your current list. Select an item and use the up or down arrows to change the order, Press - to remove a selected item.

Protect the form

Go to Developer > Protect Form .

Note:  To unprotect the form and continue editing, select Protect Form again.

Save and close the form.

Test the form (optional)

If you want, you can test the form before you distribute it.

Protect the form.

Reopen the form, fill it out as the user would, and then save a copy.

Creating fillable forms isn’t available in Word for the web.

You can create the form with the desktop version of Word with the instructions in Create a fillable form .

When you save the document and reopen it in Word for the web, you’ll see the changes you made.
