My journey as an Administrative Assistant on placement at Loughborough University

My name is Nicole. I’m an International Business student and I am currently on placement at Loughborough University as the Administrative Assistant for the Planning team within the Vice Chancellor’s Office. 

As an international student, I was dreading the thought of moving my personal belongings to a different city. Ideally, I wanted a placement in Loughborough to remain close to my friends and avoid the expensive relocation costs.  

I stumbled across the Administrative Assistant job advert on the University’s social media channels and was thrilled that I may have a chance to stay in Loughborough. I was excited by the prospect of learning more about governance and capital projects in higher education and gaining a different perspective on the University as a staff member rather than as a student.  

I customised my CV, wrote my cover letter and sent it in a couple days before the deadline. I heard back after a week; I had an interview! I was so excited; I messaged my parents and began to prepare. The recruitment process was quite straightforward: an application form, a task, and an interview. It was a breath of fresh air compared to the numerous interviews and assessment centres students do for other placements. 

The interview was based in Hazlerigg, one of the buildings next to the fountain on campus. As a student, I had passed it and always wondered what was inside. I never thought I might be working in it! After a very nerve racking two hours, I left the interview room feeling welcomed, pleased with myself, and excited – I had a good feeling about it as the interview felt like a natural conversation rather than a series of intimidating questions. Two days later, I was woken up by my phone, “Hi Nicole, I would like to congratulate you on your interview. We are offering you the role!” 

I was very nervous on the first day. I was introduced to the team, allocated a desk and a laptop, and talked through my everyday responsibilities. Starting my placement in August was very relaxing as I had time to settle into the job and integrate myself into the team while campus was fairly quiet.  

I am now halfway through my placement and the pace has picked up. I have my regular daily activities such as raising purchase orders, updating the holiday calendar, recording absences, inbox tracking, helping with the University HR process, and rescheduling meetings (some meetings are scheduled a year in advance!). However, I did not realise I would be fortunate enough to be involved in projects happening at the University. I have worked with Finance, Organisational Development, and the Human Resources team to name a few.  

In addition, the University offers an intern development programme with monthly meetings with the other interns working across the University to network and develop transferable skills. In doing so, I have met a diverse range of people from different Departments, Schools, Services, where I have had the chance to engage and discover more about what happens in the institution I study at.  

Reflecting on the past six months, I would not have done anything differently. This placement has taught me much about myself and the 9-5 life. It has taught me an Administrative Assistant is a unique job alternating with several responsibilities and opportunities. I was able to discover and explore various departments, and organise and facilitate events, liaise with senior members, and learn the importance and significance of governance in higher education. As a student at Loughborough University, I consider myself incredibly lucky to be learning all these transferable skills at a highly reputable and prestigious institution while being surrounded by a safe, encouraging, and positive environment.  

I have learned to trust my instincts and ask for help when I feel unsure about a task.  I have met people who have taught me the importance of collaborative work and relying on one another for help. I am sad to be leaving the team at the end of my placement, but I am excited for the next Administrative Assistant to have the opportunity of acquiring new abilities while being part of a wonderful team and institution.

Diverse Master’s degree programmes

With a wide choice of master’s degrees across art and design, humanities, science, engineering, business, sport and the social sciences, we offer an excellent choice for anyone looking to pursue their studies and further their career. You will be taught by some of the world’s best academics in their subject areas.

Many programmes are available on a part-time basis.

Fees and funding

The costs attached to a master’s degree are tuition fees, which vary from course to course, and accommodation and daily living costs. Tuition fees cover the cost of your teaching, assessment and operating University facilities such as the library, IT equipment and other support services.

Some of our PhDs are funded, with funding provided for all or part of the PhD fee and in some cases, for living expenses. Others are self-funded.

We offer a range of bursaries and scholarships to eligible students. More information can be found in the fees and funding section of our website, along with details of the other types of funding available.

Applications are currently open for the Chevening Scholarships . The deadline to apply for one of our 30 fully-funded master’s scholarships is 7 November 2023 and is open to international students (excluding US and EU countries).

How to apply

Applications for master’s degrees and PhDs are submitted via our online portal. The majority of our master’s degrees begin in October; PhD students enrol to start in January, April, July or October.

As part of the application process, we will also ask for documentary evidence of entry qualifications, including English language, academic transcripts and references, which can all be submitted online.

Career guidance and Graduate Futures

At Loughborough University London, we understand that every career journey is unique. This is why we provide every student with the support and guidance they need to reach their personal career goal.

Whether you are looking to launch your own business, progress with your existing employer or begin a new career journey, The Future Space team can help. We enable you to reflect on the skills and experiences you have and take action to build on those you need to stand out from the crowd.

Our Careers Manager,  Nadine Lewis , and and Senior Futures Consultant, Kadeza Begum, offer one to one guidance and support. Students can choose to book a Career Consultation (30/45 minutes), a shorter Quick Advice appointment or mock interview. We hold drop-in sessions, mentoring and a range of skills building workshops to support you.

Career Consultations

Our career consultations offer you a chance to discuss your career goals and future with a consultant. You can receive advice on the type of skills and experiences you need to transform your career aspirations into a reality. You will work with one of our dedicated careers professionals to formulate a detailed career action plan, and will receive advice on a range of services, events and opportunities that will enhance your work-related skills and experiences. You can book an appointment through Careers Online .

Mock interviews

Our interview coaching sessions are designed to prepare you for the final and most critical stage of the job application process. The sessions last approximately 45 minutes and take the form of a real interview, so that you can practice your skills and receive personalised feedback on your performance. If you are interested in a mock interview, please email Future Space ([email protected]) to arrange it. There are also mock interview and mock assessment centre events run during the academic year. These give you the opportunity to be interviewed by professionals and receive feedback. You can get more information on this through the F uture Space LEARN page .

Quick Advice

Our Quick Advice sessions last approximately 20 minutes and are an ideal opportunity to discuss a simple query with a careers specialist, or receive useful feedback on your CV, cover letter or job application. If you cannot see a Quick Advice appointment available in the booking system, please select a London Flexible Careers Consultation. There are occasional drop-ins throughout the year.

Email Advice

Our careers and futures professionals are also able to answer queries and review CVs and applications via email. Simply email either Nadine Lewis ([email protected])  or Kadeza Begum ([email protected])  with your request. Please note that both Nadine and Kadeza work part time and they will answer email queries on a first come, first served basis. If your request is urgent, please book an appointment online , email [email protected] or visit the Future Space team on the ground floor.

Booking an appointment

Students can book a discussion by telephone or Microsoft Teams. To book an appointment, follow the steps below:

  • Log in to Careers Online
  • Click on the Appointments tab and look for ‘London Flexible Careers Consultation’
  • Select the ‘Appointments’ tab
  • Click ‘View appointments’ to show results
  • Select the appointment you want to have and click ‘book now’. Appointments are bookable up to 14 days in advance.
  • Complete the booking form and click ‘book appointment’. If you are booking a telephone appointment you must include your contact number.
  • You will receive a confirmation email. For a consultation using MS Teams you will receive the link before your appointment to your university email address.

Professional Mentoring

Professional Mentoring is a great way to unlock your future career goals. Across a six week programme, every Monday mentors and mentees come together in their small groups to discuss their goals. The programme is a great way for you to reflect on their skills, build a network and take action on your goals. Our Mentoring is run regularly throughout the year in 6-week blocks. It is open to all current students and a limited number of Loughborough University London Alumni.

Careers Insight Events and Talks

Building your network to create or secure a graduate level job is a key part of the careers support here at Loughborough University London. To support this our Future Space team organises regular Careers Insight Events and talks from alum and industry professionals. For more information go to our events pages . Skills Workshops

To help you create or secure a graduate level job the Future Space team at Loughborough University London runs regular bespoke workshops and skills sessions to expand your knowledge and expertise. Previous workshop examples have included: online job searching, the importance of work experience, online tools for project management, UX/UI design, digital product design, Adobe design skills, and blogging for business. Mock Assessment Centre

Your time as a student with Loughborough University London culminates with a Mock Assessment Centre every June. The Future Space Mock Assessment Centre gives an opportunity to develop your skills and experience in how UK employers recruit. It features partner employers and professionals.
