How to Use Microsoft Teams Status Settings

Sakshi Garg

Microsoft Teams has become one of the most popular Workstream Collaboration apps. And for organizations that use it, it is now the primary mode of communication among team members overtaking email. And rightly so. Microsoft Teams has a lot of tools to make communication and collaboration more effective and productive than traditional means.

Even when you’re working from home and are not present in the same physical space, there are a lot of tools to avoid chances of miscommunication and maintain productivity. One such tool that you might have been overlooking but should start paying attention to is the various Status settings available in Microsoft Teams and all the ways you can use them.

What Status Settings are available in Microsoft Teams

There are two types of status settings available at your disposal in Teams – User Presence Status and Custom Status.

What is a User Presence Status

The User Presence Status is the part of your profile in Microsoft Teams (and also throughout Microsoft 365) that lets other users know your availability state. It appears as the small dot in green/ red/ yellow/ grey color next to your profile picture.

One glance at the status and other members in your team will be aware whether you’re online, in a meeting, not to be disturbed, etc. You get the gist. Strictly speaking, it’s meant to let others know the general state of your availability.

What is a Custom Status

Other than the user presence status, there’s also a Custom status in Microsoft Teams that you can use to let others know the exact circumstance of your availability. Where the User presence status can only tell someone that you’re away from the desk, the custom status can tell the exact grounds behind this status, like telling someone you’re away at lunch and will be back in an hour.

It is a little custom message you can display for a brief period of time. Other users can see it when they hover over your profile picture. And it also pops up when someone sends you a message through personal chat or @mentions you if you so desire.

Using the Status Settings in Microsoft Teams

Setting your status in Microsoft Teams to indicate your availability to other users is rather easy.

Setting Your Presence Status

You might have noticed that even though you’ve never changed your status settings before, there’s automatically a change in your Presence status. That’s because Microsoft Teams automatically displays your status depending on different circumstances.

You’ll also find that certain status options are not available to you to set as your status, yet you can see them as other users’ presence state. Like “In a meeting”, “Presenting”, “Focusing”, etc. These options aren’t just “not available” for you, they are not available for anyone to set themselves. These statuses are app-configured, i.e., Microsoft Teams changes these statuses. It can change them to “In a meeting” when you’re, well, in a meeting, or “Presenting” when you’re sharing the screen in the meeting, and so on.

But the options for you are limited. To set a user-configured Presence status, click on the profile button on the Title bar of the Teams app.

what is presenting status in teams

A context menu will appear. Go to the Status option (current status) on the menu.

what is presenting status in teams

The sub-menu will appear with the following status options: Available, Busy, Do Not Disturb, Be Right Back, and Appear Away. Click on the status you want to display. There’s also a ‘Reset Status’ option if you want to revert the presence to the app-configured state.

what is presenting status in teams

When you set a status yourself, it overrides the app-configured status in most cases as its precedence is high. For eg., if you set the status as ‘Do Not Disturb’, Teams won’t change it to ‘In a Meeting’ or ‘On a Call’ as it would have done so normally.

Not all user-configured statues are override proof, though. Even if you set your status to ‘Available’, Teams would override it to ‘Away’ after detecting inactivity for more than five minutes most of the time.

Also, when you set a status yourself in Microsoft Teams, all states have a default expiration period. So even if you forget to change back your status, you won’t stay on Do Not Disturb or Busy forever.

Setting Custom Status

To set a custom status message, click on the profile button, and then go to ‘Set status message’ from the menu.

what is presenting status in teams

The compose box for the status message will open. Compose the status you want to display to others; the maximum length for the custom status is 280 characters. You can also @mention someone in your status.

what is presenting status in teams

After composing the status, check the ‘Show when people message me’ option if you want. When this option is enabled, whenever someone sends you a private message or @mentions you in the channel, Teams will display your status above their compose box. So, there’ll be no chance in hell that they miss out on your status and blame you later for not responding.

what is presenting status in teams

You can also set the expiration date for the status upon whose completion, Teams will clear your status automatically. By default, it will show ‘Today’ as the selected option. Click on it to expand the drop-down menu. Then, select one of the options from ‘Never’, ‘1 Hour’, ‘4 Hours’, ‘Today’, ‘This Week’. You can also select ‘Custom’ to specify a date and time.

what is presenting status in teams

Now, tap ‘Done’ to save the status.

what is presenting status in teams

Your custom status will be set and visible to others along with your presence state.

Tip: There’s also an Out of Office status you can set in Microsoft Teams that, funny story, cannot actually be set from Microsoft Teams. Read how to set Out of Office in Microsoft Teams in our detailed blog post here.

Follow Other Users’ Status in Microsoft Teams

Apart from setting your own status to keep others informed, you can also follow other users’ status in your organization. When you’re following a person’s status, you’ll get a notification every time they appear Available or Offline. You’ve got to admit, getting notifications is better than having to obsessively stalk and wait for them to appear online when you have some important business.

Click on the profile button in Microsoft Teams and go to the ‘Settings’ option from the menu.

what is presenting status in teams

Go to ‘Notifications’ from the navigation menu on the left.

what is presenting status in teams

Find the ‘People’ option and click on the ‘Edit’ button next to it.

what is presenting status in teams

Now, add the person(s) whose status you want to follow and get notified about.

what is presenting status in teams

You can stop these notifications at any time by clicking the ‘Turn Off’ button next to the person’s name.

Status settings in Microsoft Teams is an invaluable tool available to you to make sure that there is no room for miscommunication. You can also use various settings like Do not disturb, or Focused, etc. to make sure that you can focus on the task at hand, and no one can disturb you. You still receive messages from people, just not the notifications, so you can remain in your zone.

In this article

Whether you’re working from home, or just using Microsoft Teams to work and communicate with your coworkers, there’s one thing that’s important: online presence.

Knowing when the people you communicate with are online can be key to business operations. You don’t want to send someone a message when you know they can’t (or won’t) see it.  In Teams, there are indicators throughout the app on the desktop, the web, iOS, and Android which can alert you to the presence of the people you’re working with.

Here’s a look at how you can check online presence in Teams.

Indicators

Before getting into anything, there are some important things to understand. There are various online presence indicators in Microsoft Teams. These are set by clicking the profile icon and then choosing one of the status indicators. There’s a green check for “available,” two red circles for “busy” or “do not disturb,” and then a yellow clock for “be right back,” or “appear away.” These are the indicators you’ll have to look for.

It’s also worth noting that in most cases, status is auto-set by Teams. When a user comes online, they’ll get the screen online status. Then, when the user is active or idle for a few minutes, they’ll get the away status. Additionally, if a user enters a call, they’ll get an inactive or busy status to let everyone know they aren’t available for chats.

Checking the online status for all your team members

Manage Team Teams

In our guide, we’ll talk about the various ways of checking a specific user’s online presence. However, there is one common way that is quite easy: checking the online presence of all users at once. You can do this by clicking the team name, clicking More options (the three dots), and then Manage team Members. Everyone who is online right now has the green circle with a checkmark next to their name. You’ll also see the other users too who are away, or offline entirely.

On the desktop and Web apps on MacOS or Windows or Linux

Online Prescense 3

Now that you know what the indicators mean, you can look for them. In Teams on desktop or the web app, there are two places you can look for these indicators. That includes from the channel, or in the chat.

First off, you can look for the indicators in the channel where daily chats occur itself. In the channel, you’ll see the person’s profile icon, and the message they last left. The icon will have a little indicator next to it, to show if they’re available, busy, or away. This is the quickest way to check the online presence, and you can hover over their name to see additional details such as their email.

Next, there’s the chat. If the person who you’re trying to check the online presence on isn’t in the main channel, you also can try to check on their presence via a chat. To do this, you’ll need to head to the Search or type a command top bar in Teams and type out their user name. Select it from the list, and you’ll be taken to space to message them. Here you’ll see the online status in the middle of the screen, where their name appears.

On iOS and Android

teams presence

Finally, there are iOS and Android. If you’re looking to check online presence when on the Teams mobile app, the process is similar to desktop. You’ll want to check in either a channel or via a chat. Chat on iOS and Android has a benefit as it shows the exact last time the user was active — something not possible on the desktop or web versions of the app.

To check the user’s online presence on a channel, you’ll want to visit the channel and look for their last sent message. You’ll then be able to see an icon showing one of the four indicators we listed in the first section. You also can tap their profile for more information, too.

Then, there’s the chat. If you’ve previously chatted with the user, you’ll be able to find them on the list. If not, just start a new chat. You should see everyone who you could chat with in the list, along with their presence indicators. Once you find the person, tap their name, and then you should see their status appear in the top left corner. If they are away or aren’t active, it will say  Last Seen .

How-To Geek

How to change your status in microsoft teams.

Tell your colleagues when you're busy by setting your status in Microsoft Teams.

When you're working remotely, you need to let people know if you're available or not. Microsoft Teams has a visible status you can change depending on your availability so your colleagues know whether they can bother you or not.

Your status is displayed as a colored circle next to your profile. You can see this at all times in the top-right corner of Teams.

Your Profile icon in Teams.

You can also see a person's status in their profile next to a chat.

A user's profile icon next to a message they've posted.

Microsoft Teams will change your status automatically under certain circumstances, such as when you're in a meeting or video call, or if you've been inactive for a period of time. But you can also change it manually as well.

To do this, click on your profile in the top-right corner of the Teams application, select your current status, and change your status to whatever you want.

The status options in Microsoft Teams

You can also set how long you want to remain in a particular status by clicking "Duration."

The "Duration" menu option.

Choose the status that you want and how long you want to remain in that status.

The "Duration" time options.

Your status will automatically change back to "Available" when the duration is complete (or "Busy" if the end of the duration is at a time when you're in a meeting or call).

You can also change your status from the Search box at the top of Microsoft Teams by typing in one of the following commands:

  • /available:  Sets your status to Available
  • /busy:  Sets your status to Busy
  • /dnd: Sets your status to Do not disturb
  • /brb: Sets your status to Be right back
  • /away: Sets your status to Away
  • /offline: Sets your status to Appear offline

If you like a keyboard shortcut, Ctrl+e will take you to the search box. So, to set your status to "Do not disturb" without leaving your keyboard, it's Ctrl+e, followed by "/dnd."

Microsoft Teams' "Seach" box.

However, you can't set a duration in the Search box, so if you want to automatically change back to "Available" at a certain time, you'll have to use your mouse.

The different statuses are fairly self-explanatory, but there are a few useful things to know.

Available: (The green circle) is the default status when you are logged in to Teams and are not in a meeting or call. If you lock your device or are idle for a long time, Teams will automatically change your status to "Away." If you're using Teams on a phone or tablet, Teams will also change your status to "Away" when you're using a different app and Teams is in the background.

Busy:  (The red circle) is the status Teams will automatically change you to when you

are on a call or in a meeting, as long as you haven't set your status to "Do not disturb" (in which case you will stay in "Do not disturb"). You'll still get notifications when you're set to Busy.

Related: How to Configure Microsoft Teams Notifications

Do not disturb: (The red circle with the white bar across it) will prevent notifications from popping up. Teams will never change your status from "Do not disturb," so you'll need to remember to change it back to "Available" yourself.

Be right back: (The yellow circle) indicates that you're temporarily away and will be back soon. It looks identical to "Away," but when your colleagues hover over your profile, they'll see that you're set to "Be right back" rather than "Away."

Appear away: (The yellow circle) is identical to "Away" and "Be right back," and gives other people the impression that Teams doesn't have your focus. You'll still get message notifications.

Appear offline: (The white circle with an "x" in it) gives other people the impression that you're not signed in to Teams. You'll still get message notifications. As with "Appear away," you need to make sure that this won't give the impression that you're not actually working, so perhaps discuss it with the rest of your team and manager so that you'll all use it in the same way.

Microsoft Teams Status: What They Mean and How to Change

Microsoft Teams Status: What They Mean and How to Change

Microsoft Teams has a Status feature where you can set your status, allowing other users or team members to know essentially if it is okay to message/contact you. Microsoft Teams has a number of status icons and messages to choose from and you can also create and set a custom status message if need be. I will break down what each status icon means on Microsoft Teams and how to change your Microsoft Teams status message on desktop and mobile.

Table of Contents

How Microsoft Teams Status Message Work

A status is a non-verbal and non-intrusive way to let other team members know whether you are available to chat, busy with work, or traveling for example. Your status is displayed next to your profile picture and name to all the other team members who are using Teams desktop or mobile app except members that you have blocked on Teams .

You can either choose one of the existing status messages or create your own that caters to your situation or work for you. You can also set a timer for the status. After the set duration ends, the status will be updated automatically. Useful when you know how long you will be out. One example can be a meeting that you know will last 30 minutes only.

What Teams Status Message Means

There are a couple of statuses to choose from. Each status is denoted by a colored dot icon which makes it easier to remember and identify status as they are consistent for all profiles. Here they are in the order they appear on Teams app and their meaning:

  • Available – you are online and available to chat on Teams app. You also do not have any meetings or events on your Calendar.

Note: If you lock your computer or the computer goes to sleep or idle mode, your Teams status will change from Available to Away automatically. On mobile apps, the same will happen when the Teams app is in the background.

  • Busy – use this status on Teams if you are working and don’t want to be disturbed. You will continue to receive notifications and will be alerted of the same too. However, if you are on a call or meeting, your status will change to In a meeting or In a call automatically.
  • DND or Do Not Disturb – use this status when you don’t want to receive any notifications at all and don’t want to be disturbed at all.
  • BRB or Be Right Back – it means you are gone momentarily and will be back at your desk soon.
  • Appear away – use this status when you want to work on something and do not wish to respond to notifications or messages right away.
  • Appear offline – when you are not signed in to Teams app and so can’t take messages. You will still receive notifications though.

How to Change Microsoft Teams Status Settings

Microsoft Teams is available on both mobile, desktop, and also web browsers. Since the UI is consistent, we will cover only browser (same as Windows and macOS) and iOS (same as Android) here.

Change Teams Status on Browser or Desktop

1. Open Teams desktop app or the web app in your favorite browser.

2. Click on your profile picture at the upper right corner of the screen.

change microsoft teams status on web or desktop app

3. From the drop-down menu, select a status and it will reflect on your profile immediately. All other team members will now see this status on your profile or next to your name everywhere on Teams app.

Change Teams Status on Mobile App

The steps to update Teams profile status is the same for both Android and iOS but I will be using the latter for this guide.

1. Open Teams app.

2. Tap on your profile icon in the upper left corner and tap on the current status to view a list of all available status options.

3. Now tap to select one of the options to set it as your status.

How to Set Duration of Status on Teams

As discussed above, you can choose a status to appear for a set amount of time. After that duration, the status will revert to the original status (the one before the duration was set) automatically.

1. Open Teams app and go to Status as shown in the previous steps. Now click on Duration option from the status drop-down menu.

2. Open the drop-down menu below Reset status after menu and choose a time duration. Click on Custom at the bottom to choose a date and time when the status will revert.

3. Click on Done button when you are happy with both the status selected and the time set for Microsoft Teams.

How to Set Custom Status Message in Teams

If you are not happy with one of the default status messages, you can also set a customized message that will provide further clarity on what you are up to.

1. Open Teams app and go back to profile icon where you update your status. Click on Set status message right under your name.

2. Type of custom message here. You can also use @name operator to notify a specific user, like your superior or boss, about the change in your status.

set custom status message on microsoft teams

3. Check Show when people message me option if you want the custom status message to appear right above the Compose message box when someone is typing a message to you (DM) or @mentioning you in a group.

4. Set a timer or schedule the custom Teams status message and then click on Done when you are ready to save changes.

Pro Tip: How to Enable End-to-End Encryption on Microsoft Teams

1. Do others receive a notification when I change or update my status on Teams app?

Yes and no. Nobody will receive a notification when you update your status except the person that you @name in the custom status message section.

2. What about Outlook integration and status updates in the Outlook app?

MyAnalytics customers using the Outlook add-in will see that setting Focus time in MyAnalytics will update their status on Teams app to Focusing.

3. I see a different icon or symbol in Microsoft Teams Status section. What’s that icon?

Some status messages are set automatically by Microsoft Teams and you may not recognize them because they don’t appear in the list. However, Microsoft Support document has a complete list of icons and symbols for Microsoft Teams status messages . For example, the pink back arrow icon means you are out of the office and is set when automatic reply is set.

4. What does Reset Status means in Teams?

Click on Reset status when you no longer need to use the custom status message. This will change the status to Available and Teams will begin automatically managing your status based on your activity level on your computer.

What’s Your Status

Microsoft Teams was launched in the aftermath of the pandemic and the subsequent lockdowns. It has changed the way teams work and communicates with each other. While the Status feature is exactly new, Teams adds a couple of thoughtful additions to make it better.

Microsoft Teams Status Messages – A Comprehensive Guide

Updated June 2023

Microsoft Teams Status messages are a great way to display your current status so other users know when they should and shouldn’t contact you. They have been heavily used in other Microsoft tools such as Skype for Business and Microsoft Outlook , so you may already be familiar with the concept. Let us take a look at how to set a status and some common Microsoft Teams status message examples along with it.

Changing your Microsoft Teams Status

Changing your Microsoft Teams status message is easy to do and is the same across mobile and desktop apps.

First, go to your profile which is located at the top right corner of the desktop application.

Then click on Set Status Message to be taken to the area where you set your status message:

Microsoft-Teams-Status-Message-Edit-1-2-1-2

Your Microsoft Teams status message can contain up to 280 characters and, as a bonus feature, you can also @mention someone to contact in your absence. For example, if you want to let people know to contact someone else whilst you are away, a good status message for Microsoft Teams would be:

If someone mentions you in their status message, you will receive a notification as shown in the image below:

Show Teams Status When Message Received

By default, you should also have the show when people message me enabled in your Microsoft Teams status.

For example, if you try to do a one-to-one chat with a co-worker, as soon as you start typing in the message box you will get a prompt showing their current Microsoft Teams status message:

ms teams status message - notification in chat

Clear Teams Status Message

You can decide when you want your Microsoft Teams status message to end with the clear Microsoft Teams status message function. Choose between the options provided, or select your own custom time frame – whatever suits you best.

Finally, once you have set your status you will receive a notification of your set status and the top notification bar in the Microsoft Teams application. This is easy enough to dismiss but is a nice cue that will help you to understand how and where your status messages for Microsoft Teams will be used.

Where is the Microsoft Teams Status Message Visible?

Once you set a Microsoft Teams status message it will be visible in multiple places across Microsoft Teams:

1. In one-to-one or one-to-many Microsoft Teams Chats: When you start a one-to-one chat the status message will be visible above the conversation box. You can always dismiss the notification if necessary.

ms teams - status message - chat notification

2. @Mentions in Microsoft Teams Channels: You will also see the status message if you are mentioning a person as part of a Microsoft Teams Channel. This happens both in new conversations and replies and is incredibly useful.

3. Pop Up Card in Microsoft Teams:  The Microsoft Teams’ status message also appears on users’ contact cards. If you hover over the image of a person in Microsoft Teams you will see their contact card. As you can see in the image below, the status message is displayed along with when the message was entered.

Microsoft-Teams-Status-Message-Contact-Card-1-2-1-2

When to use the Microsoft Teams Status Message Feature

There are a number of ways that you can use the Microsoft Teams status feature:

  • When you are away: Often people won’t look at your calendar or might wonder why you are away. Setting a good Microsoft Teams status message can be a great way to add some additional context so that people understand what is going on. Learn how you can schedule a meeting from Teams chat.
  • When you don’t want people to contact you : Another way to use this feature is when you want some quiet time from people. For example, if you are working on a presentation and need some time to prepare for it.
  • You want to delegate work to someone else : Having a status message explaining that you are unavailable and who they should contact is incredibly useful.

Microsoft Teams Status Message Suggestions for Improvements

Given all that is included, what improvements could be made to this feature?

  • Better integration with MS Outlook and Office 365 : If there is a status in Microsoft Teams, then why not have this status message flow to the Office 365 contact card so that it may be visible in SharePoint and also Outlook?
  • Better Microsoft Teams Status Message visibility : Even though the Microsoft Teams status message is visible in a few areas, it would be better if you didn’t have to hover over a user to get the status message. On the Microsoft Teams User Voice, there are some good examples of use cases.
  • Ability to specify Microsoft Teams or Channels in the status : Another useful addition would be being able to specify a Microsoft Teams status per team or per channel so that if a user has a question they could be redirected to the best resource.

Microsoft teams focus mode: what is it & why should i use it.

Microsoft Teams focus mode

If you spend a lot of time presenting in meetings, don’t you get sick of other people sending you messages in the middle of a screen share?

That’s why Microsoft has introduced Focus mode in Teams.

In this blog post, you’ll learn what Focus mode is, when and why to use it, and even how you can stop people on other platforms from interrupting you.

What is Focus mode in Microsoft Teams?

Focus Mode is a simple Microsoft Teams feature designed to do what you may consider impossible: keep your attention locked in a meeting. If we’re making realistic predictions, it will remove some of the distractions you commonly get in  a meeting.

It is a simple layout scheme that immerses you in whatever content is being shared. Teams Focus Mode probably tops the list of the best Microsoft Teams features in that’s been introduced in 2023.

What’s the use case?

The use cases for Microsoft Teams Focus Mode include:

  • When you’re in a meeting, presenting, and you need to avoid distractions.
  • When you’re in a meeting, presenting, and you need other contacts to be aware so they don’t instigate that distraction in the first place.

To fully appreciate the Microsoft Teams Focus Mode feature and its use cases, we have to understand what it’s trying to fix.

1 – Avoid distractions with Teams Focus Mode

You can add Focus Mode to the many intelligent methods used when tackling notification overload .

Focus mode will totally immerse you in a Teams meeting presentation.

You’ll avoid distractions like participants in the video feed or even in-meeting messages.

Moreover, when you turn on Focus Mode in fullscreen (more on that in a bit), you also get to cut out any notification badges in the taskbar.

This helps avoid the effects of excess context switching in your work.

2 – Automatically notify contacts to avoid distractions

Being in a meeting with Focus mode turned on automatically updates your Teams status from Available to In a call .

Updating Microsoft Teams presence to in a call

This is useful if you’re in a team whose members have been briefed on Microsoft Teams etiquette .

Your team members immediately know to send scheduled messages for when you’re likely to be available again. And if it’s truly urgent, a priority message lets you know.

Thus, Focus Mode also works as DND.

How to turn on Microsoft Teams Focus mode

Follow these steps if you want to focus on the presentation going on in your Microsoft Teams meeting:

  • Click the View icon at the top of the script and hit Focus on content in the dropdown.

What happens when people on other platforms can’t see I’m in Focus mode?

When you use Teams but your colleagues prefer other platforms like Slack or Webex, they won’t be able to see you’re busy, let alone sharing your screen.

So, what happens?

They send you messages or even try to call you.

You see, when Dave uses Slack and you use Teams, he doesn’t know your presence without logging into Teams.

So when Dave needs to know the latest pricing for your new product, he phones you without thinking.

Sure, Dave might check your presence status on Slack. But if you don’t use Slack, that’s not much use.

You’re using Presence Sync .

Presence Sync automatically shares your presence status cross-platform.

If you’re presenting in Teams (Focus mode or otherwise), your presence turns red and is reflected on any other platforms you’re connected to.

Presence Sync

Presence Sync is a way to integrate your online, offline, busy, and other statuses across Microsoft Teams, Slack, Webex, and Zoom.

So the next time you’re presenting and don’t want to be interrupted, make sure you have Presence Sync installed.

Microsoft Teams

Microsoft has added yet another one of the most-requested features to Teams. The software giant has added more status options to Teams, including ‘In a meeting,’ ‘Presenting,’ ‘In a call,’ ‘Out of office,’ ‘Be right back,’ and many more. Moreover, Teams will let you create custom status options, making it easier for you to create an out-of-office message.

On the Microsoft Teams   UserVoice page, Microsoft has recently informed that it’s added as many as six new status options to Teams. These new status options are now available for all Teams users and are not limited to Preview users.

You can find the list of presence statuses that are currently available by clicking here .

In the coming days, Microsoft will add more useful features to Teams. One of the features that are currently in the developmental phase is the End to End encryption calls for Teams . The macOS native notifications support is also in the final stages of development, meaning the feature might soon become available for all macOS users. The ability to delete private chat threads is another useful feature that will soon be added to Teams.

For students and teachers, the Redmond company recently rolled out the ability to download a list of users who attended a meeting , thus helping teachers keeping an eye on students’ attendance reports. It’s also working on a feature that will let  students privately message teachers but not each other .

Meanwhile, you can track all the latest developments regarding Microsoft Teams  here .

Your actual presence status isn't reflected in Teams

  • 7 contributors
  • Applies to: Microsoft Teams

In Microsoft Teams, your presence status is shown incorrectly. For example, your presence status changes to Away if your desktop is inactive for more than 5 minutes. However, when you resume activity on your desktop, your presence status doesn't immediately change to Available .

Note: Your desktop is inactive in these scenarios:

  • You lock your computer.
  • The computer enters idle or sleep mode.
  • The Teams mobile app is running in the background.

This issue occurs if the latest Teams updates aren't installed.

Try the first workaround, and check whether the issue is resolved. If it isn't, go to the second workaround.

Workaround 1

Update Teams: Select your profile picture at the top of the app, and then select Check for updates .

Workaround 2

After your desktop resumes from an inactive to an active state, wait three minutes, and then check whether your presence status is updated.

For users whose mailbox is hosted on-premises, it's expected to have presence delays with a maximum of an hour.

For more information, see User presence in Teams .

If neither workaround fixes the issue, open a support ticket that contains the following information:

Note: This step must be performed by administrators.

  • Sign-in address of the user.
  • The desktop and debug logs. For more information about the logs, see Use log files in troubleshooting Microsoft Teams .
  • The UTC time at which you might expect that the presence indicator shows the user's actual status. For the example that's described in the "Symptoms" section, this would be when you expect that the presence status would show Available instead of Away . Verify that the UTC time is captured in the collected logs.

Run a self-diagnostics tool

Microsoft 365 admin users have access to diagnostic tools that they can run within the tenant to verify possible issues that affect user presence.

This feature isn't available for Microsoft 365 Government, Microsoft 365 operated by 21Vianet, or Microsoft 365 Germany.

Select the Run Tests link. This will populate the diagnostic in the Microsoft 365 admin center.

How to change status settings on Microsoft Teams

Are you getting started with Microsoft Teams? Use these steps to change the status settings according to your availability.

Microsoft Teams status settings

On Windows 10, the Microsoft Teams app allows you to set a specific status to let other people know your availability when using the service.

When using the Teams app on Windows 10 , you can have two types of status, including a little badge that appears on your profile icon to make sure that your colleagues know that you're "away," "busy," or "offline." And you can set a custom status message that will appear to anyone who sends you a direct message or mentions you in a team.

Also, the app includes an option to follow people's availability status to receive a notification when a specific person is available or not.

In this Windows 10 guide, we'll walk you through the steps to change the status settings on the Microsoft Teams app, including setting a custom status message and following someone to know when they're online or offline.

How to change status on Microsoft Teams

How to set custom status message on microsoft teams, how to follow person status on microsoft teams.

To change the status on Teams, use these steps:

  • Open Microsoft Teams .
  • Click the profile button on the top-right corner.
  • Click the status menu (the first option under your account name).
  • Available: You're signed in the service, and there's nothing on the calendar. If you lock your device or send it into sleep mode or it becomes idle, Microsoft Teams will automatically change the status to Away .
  • Busy: You're actively working on something specific, and you don't want notifications to break your workflow. If you're in a call or meeting, Microsoft Teams will change the status to In a call or In a meeting automatically.
  • Do not disturb: You're actively working on the device, and you want to suppress all notifications.
  • Be right back: You're signed in, but you need to temporarily step away from the device.
  • Appear away: You're signed in and working, and you'll respond at a later time.
  • Appear offline: You're signed in and working, but other people will see you as if you were not logged in.
  • (Optional) Select the Reset status option to revert the status to the default setting.

Once you complete the steps, a small dot indicating your availability will appear in your profile icon.

To show a custom status message on Teams, use these steps:

  • Click the Set status message option.
  • Compose a status message. Quick tip: You can also use the "@" to mention someone in the status.
  • (Optional) Check the Show when people message me option.
  • Use the Clear status message after the drop-down menu and select a time range. Quick tip: Use the Custom option to set a more specific time range.
  • Click the Done button.

After you complete the steps, the status message will appear above the compose box when anyone sends you a direct or mention message. If you want to remove the message before the time expires, in the profile menu, you can click the delete (trash) icon.

To follow a person's availability status on Teams, use these steps:

  • Click on Settings .
  • Click on Notifications .
  • Under the "People" section, click the Edit button.
  • Specify the name of the people you want to follow. Quick tip: If you want to stop getting these types of notifications, click the Turn off button next to the person.

Once you complete the steps, you'll get a notification when the person appears available or offline.

We're focusing this guide on Windows 10, but you can refer to these steps if you're using the service on another platform or the web.

Ask a new question

When does MS Teams "reset" your presence status?

At my work we are just starting to transition to using MS Teams from SFB, and through some trouble-shooting of the presence statuses I had a question regarding how MS Teams tracks your 'away time'.

If I set myself to Away, I don't see how long I've been away for - whether 5 minutes, 10 minutes, 30 minutes, etc. Like I would on SFB.

For others, I can see how long they've been away for. For example, a colleague of mine was set to away and under their presence status it would say something like '27 minutes' - and then I notice it will suddenly change to 'Just now', followed by 'A moment ago', followed by 'x minutes' while still keeping the Away status.

My question is how does MS Teams track this? Does it start counting the minutes you've been away for based on your mouse/keyboard activity or is it just if you have MS Teams minimized or in the background? And if so, is it so that whenever you move your mouse or touch something on your keyboard, the minutes reset?

Thanks for your feedback.

User presence status changes based on user activity, it includes any activity like mouse movement, and keystrokes.

What about when you manually set a status to Away? I've noticed colleagues of mine who have their status set to Away on MS Teams and their time away will say 2 hrs or 3 hrs, but will still be at their computer and using it, e-mailing back and forth, etc. but their Away time doesn't reset. Is it because they don't have it open?

I am talking about when the time away function - not resetting back to available.

It doesn't make sense because if MS Teams only resets the time when it detects mouse or keyboard activity, then if I have manually set myself to Away and am still using my computer, the time away would only constantly show as 'Just now'.

But I have noticed in others that they will still be using their computers, but their MS Teams status will say Away 3 hrs or something.

Microsoft Teams will update your status based on your calendar availability as well as your activity.

Unfortunately, there are very few settings you can use to customize this behaviour.

As an alternative solution,  try setting the "Show As" field in your all-day calendar event to "Free".

In theory, Teams will then report you as "Available' because your calendar event says so.

Best Guide: Keep Your Microsoft Teams Status Active

MICROSOFT TEAMS STATUS ACTIVE

Understanding the Importance of Active Status

When you’re part of a bustling professional environment, keeping your Microsoft Teams status active can significantly impact team collaboration and productivity. The green dot next to your name isn’t merely a status symbol; it’s a signal to your colleagues that you’re available and approachable. Especially in remote work scenarios, maintaining an active status can be reassuring to teammates, showing you’re there and ready to engage.

Download our 141 Free Excel Templates and Spreadsheets !

Key Takeaways

  • Regular Interaction : Engage in team conversations, respond to messages, and participate actively to maintain an active status on Microsoft Teams.
  • Scheduled Breaks : Take short breaks to prevent automatic status changes due to inactivity, ensuring that your presence remains visible to team members.
  • Custom Status Updates : Utilize custom status updates to communicate your availability and ongoing activities, keeping team members informed even when you’re not actively engaging in conversations.

The Role of Status in Professional Communication

Your Microsoft Teams status is more than just a personal indicator; it’s a tool for professional communication. It helps manage expectations, allowing coworkers to know when they can reach out to you immediately or when they should hold off because you’re busy. By accurately displaying your availability, you encourage a respectful work culture that values each individual’s time.

Your status on Microsoft Teams is a fundamental aspect of non-verbal communication within the digital workplace. It allows peers to gauge your availability, preventing interruptions during focus-intensive tasks and respecting boundaries. An ‘Active’ status denotes your responsiveness, fostering timely collaboration, while a ‘Do Not Disturb’ status underlines the importance of the task at hand, guiding colleagues to possibly seek help from others when you’re indisposed.

Strategies to Keep Your Microsoft Teams Status Active

Manually adjust your availability.

Take command of your online visibility by manually adjusting your availability on Microsoft Teams . This action is a simple yet powerful way to convey your presence to the team. Here’s what you need to do:

STEP 1: Click on your profile picture at the top right corner.

STEP 2: Select the ‘Availability’ option.

STEP 3: Choose ‘Available’ from the drop-down menu to display the green status.

Microsoft Teams Status Active

Remember, you have full control over how you appear to your team—be it active, busy, or away—to enhance communication efficiency without the platform dictating your online presence.

Employ Technical Solutions to Stay Online

If you need to ensure your Microsoft Teams status remains green throughout the day, technical solutions offer a helping hand. The goal is to keep your computer active to avoid the status switching to ‘Away.’ Here are some popular methods:

  • Use a mouse mover : A gadget or an improvised setup (like placing your mouse on top of a rotating object) can keep the mouse in motion, signaling to the system that you’re still there.
  • Keyboard tricks : Taping down a non-essential key or placing a weight on the spacebar in a Notepad window could also prevent the system from going idle.
  • Software : Programs like Caffeine for Windows  simulate activity by periodically simulating a keypress, keeping your system awake without any physical intervention.

By employing these technical solutions, you can maintain an active status even while you step away for a moment. But use them judiciously and within your organization’s policies.

Staying Available: Practical Tips and Tools

Optimize your device settings for constant activity.

Ensuring your device settings are optimized can be a straightforward way to maintain an active status on Microsoft Teams . Here’s what you can do:

On Windows:

Microsoft Teams Status Active

  • Keep the Teams app open and your phone charged to prevent the screen from locking, which keeps the status active.

Screen Saver and Lock Screen:

  • Additionally, adjust your screen saver or lock screen settings to ensure they don’t trigger inactivity status too quickly.

By tweaking these settings, your device lessens the likelihood of triggering the ‘Away’ status due to inactivity.

Please note , these adjustments may impact your device’s energy consumption, so it’s best to use them when you can keep your device plugged in or when you need to be visibly active for important periods.

Embracing Software Aids: From Mouse Jigglers to Video Streams

If you’re looking to maintain your Microsoft Teams status without constantly fiddling with your device, software aids can be a lifesaver. Let’s explore some options:

  • Automatic mouse movement
  • Customizable intervals
  • Runs in the background
  • Easy to toggle on/off
  • Can simulate random or fixed pattern movements
  • Keeps computer awake without manual input
  • Prevents status from showing as ‘Away’
  • Allows continued notifications from Microsoft Teams
  • Quick to install and effortless to use
  • Perfect for short breaks away from the computer
  • May violate company policy if overused
  • Could be considered deceptive if not used appropriately
  • Those who need to step away momentarily for breaks without changing status

Both these methods serve to keep your status consistently active, ensuring you stay in the loop with team communications.

The Ethics and Etiquette of Status Management

When is it acceptable to force active status.

Forcing an active status on Teams is acceptable within the confines of reason and ethical professional behavior. It’s generally appropriate when you have to step away for a short period – for instance, during a quick bathroom break or grabbing a coffee – and you intend to return to work immediately. It can also be suitable during times when you need to focus on a project without interruption but still want to appear available for urgent team communications.

However, it’s crucial to refrain from exploiting these methods to give a false impression of presence during extended periods of absence or when you’re not actually working. Transparency and honesty with your team are key to maintaining trust in a remote work environment.

Best Practices for Honest and Efficient Status Indication

To maintain integrity in your professional interactions on Microsoft Teams, here are best practices for status indication:

  • Update Actively : Regularly review and manually adjust your status based on your current activities and availability. Don’t set and forget.
  • Communicate Delays : Should you be away longer than anticipated, inform teammates through a quick message or status note.
  • Configure Wisely : Use built-in features like status scheduling or automatic replies during known unavailability periods.
  • Transparency is Key : If employing a software aid, ensure it’s within the bounds of your organization’s acceptable use policy.
  • Be Considerate : Reserve the ‘Do Not Disturb’ status for times you truly require full focus without interruptions.

Implementing these strategies ensures clarity in your communication while respecting the workflows of your colleagues, hence fostering a productive team environment.

This 2024 Super Bowl QB is a potential Vikings target if Kirk Cousins leaves in free agency, per report

Cousins' contract expires in march.

getty-kirk-cousins-vikings.jpg

The Minnesota Vikings are interested in re-signing Kirk Cousins ahead of 2024 free agency. But if the quarterback lands elsewhere, they're likely to pursue a "more economical veteran," according to NFL Media , including a specific player in Super Bowl LVIII.

Current San Francisco 49ers backup Sam Darnold is one of the Vikings' possible targets, per Tom Pelissero, with Minnesota "examining all" contingency plans for a post-Cousins QB room. The hope, Pelissero noted Sunday, would be for Darnold or another free agent to "become this year's Baker Mayfield , while also buying them time to maybe also develop a rookie quarterback."

Darnold, a former No. 3 overall draft pick, has played minimally as Brock Purdy's backup with the 49ers, but he started 55 games for the New York Jets and Carolina Panthers from 2018-2022.

Cousins, meanwhile, has expressed an interest in returning for a seventh season as the Vikings' starter, fresh off a hot start to the 2023 campaign. But the four-time Pro Bowler, who suffered a season-ending Achilles tear in October, has also left the door open for his latest free agency tour. His contract officially expires in March after he and the Vikings failed to strike an extension the year prior.

The Vikings also own the No. 11 overall pick in April's 2024 NFL Draft , where they could target a QB.

Tears, kisses and confetti: Super Bowl victory celebrations create indelible images.

Here's what it looked like as the Kansas City Chiefs relished their second consecutive Super Bowl victory in Las Vegas on Sunday night:

Biden and Harris congratulate the Chiefs on Super Bowl win

From CNN's Aileen Graef

President Joe Biden congratulated the Kansas City Chiefs for their Super Bowl win Sunday night.

"With their third Super Bowl win in just five seasons, the Kansas City Chiefs aren’t just champions today – they’re a dynasty. Congratulations, Chiefs Kingdom," he said on X .

He said he was ready to welcome the Chiefs back to the White House.

Vice President Harris, a 49ers fan, also congratulated the team on Threads .

"From this Niners fan to Chiefs Kingdom: Congratulations on your Super Bowl victory. This Kansas City Chiefs team is a force. Your skill and determination this season were an inspiration to us all. I’ll see you at the White House," she said.

Kansas City Chiefs tight end Travis Kelce celebrated his team's Super Bowl win with girlfriend Taylor Swift on the field after the game.

While on stage during the Vince Lombardi Trophy presentation, Kelce was amped, touting the Chiefs' hard work and well-earned win. He said the team is going to party tonight, and chanted, "Viva Las Vegas," (where today's game was played) at a volume that probably rendered the microphone unnecessary.

He then went on to hug Swift in a sweet moment on the field.

It's a fitting end to a season of Football (Taylor's Version) .

In pictures: Super Bowl LVIII turns into a classic with thrilling second half and overtime

What started as a tense game of grinding offenses and tight defense exploded into a thriller finish Sunday night in Las Vegas.

The Kansas City Chiefs emerged victorious, defeating the San Francisco 49ers on the back of all-world quarterback Patrick Mahomes.

These are more of the best photos from just the second Super Bowl to ever go to overtime:

When the game was on the line, Kansas City Chiefs quarterback Patrick Mahomes called his own number, making two huge plays with his legs before slinging a touchdown pass for an overtime victory.

The effort earned him his third Super Bowl MVP award.

How it happened: With a fourth down in overtime in his own half of the field — knowing if they failed to convert, the Chiefs would lose the Super Bowl — Mahomes ran for the needed yardage and kept the drive going.

On the next set of downs, he made a clutch throw on the run to convert on third down.

And then there was his biggest play yet: A huge scramble up the middle for 19 yards to the San Francisco 13-yard line. The man with the golden arm was getting it done on the ground, willing his team to victory the way he had so many times this season.

He finished it off with a short pass to receiver Mecole Hardman for a touchdown and a back-to-back Super Bowl championship.

Despite struggling earlier in the game , a big-game player delivered on the biggest stage.

Beyoncé teases new music release in Super Bowl ad

From CNN's Alli Rosenbloom

Beyoncé  knows how to break the internet.

She attempted to do that again on Sunday when she teased the release of new music in a Verizon ad that debuted during the  Super Bowl .

Moments later on her  official website , the Grammy-winner and Texas native posted a clip of a new song that sounds like a departure from her most recent dance-centric album "Renaissance," with a guitar strumming along to a tune about the card game Texas hold ‘em.

"Act II" and the date March 29 was listed on her site.

The  ad spot , titled "Can’t B Broken," featured "Veep" actor Tony Hale challenging Beyoncé to break the cellular service company’s 5G capabilities, and she accepted the challenge in glorious fashion.

"It’s Verizon 5G, the network’s crazy powerful," Hale said, adding, "Bet you can’t break that!"

Confidently, Beyoncé retorts, "Bet you I can."

Beyoncé proceeds to go to great lengths to prove Hale wrong.

She is seen causing a scene at a lemonade stand in a nod to her hit 2016 album "Lemonade," introducing a robotic version of herself called "Beyoncé-AI" and even a Beyoncé Barbie, aptly named "Barb-Bey."

With no luck, she continues her attempts by announcing that she’s “running for Beyoncé of the United States” and attempts to become "the first woman to launch the first rocket for the first performance in space" as she takes off in a space shuttle and performs a routine in zero gravity.

At the very end, the star is heard saying, "OK, they ready. Drop the new music."

With that kind of an exit, if anybody can break Verizon … It’s Beyoncé.

Patrick Mahomes says Chiefs' win is the start of a dynasty

From CNN's Kyle Feldscher

Patrick Mahomes celebrates after winning the Super Bowl.

Quarterback Patrick Mahomes is ready to deem his Kansas City Chiefs a dynasty after they won back-to-back Super Bowl championships.

“It’s a start of one. We are not done,” Mahomes said immediately after the game. “I know we are going to celebrate tonight, celebrate with the parade Wednesday in Kansas City — but we are not done. Got a young team. We are going to keep this thing going.”

It’s the Chiefs’ third Super Bowl championship in five years, and they’ve played deep into the postseason in each of Mahomes’ six years as a starter. It’s hard to argue with a resume like that.

Star tight end Travis Kelce agreed: "The goal has always been to get three (championships), but we couldn’t get here without getting to two, and having that target on our back all year," he said on the CBS broadcast. "And I love these guys right here. The men that we just won this thing with — family forever, baby."

The Kansas City Chiefs are the first team to go back-to-back in almost 20 years

Patrick Mahomes and the Kansas City Chiefs celebrate winning the Super Bowl.

The Kansas City Chiefs on Sunday became back-to-back NFL champions, accomplishing something that had not been done in 19 years.

The New England Patriots last accomplished the feat in 2003-04 and 2004-05.

No team has ever won three straight Super Bowls. The Chiefs will have a chance next year.

Kansas City Chiefs win Super Bowl LVIII after overtime touchdown drive

From CNN's Ben Morse

Mecole Hardman Jr. of the Kansas City Chiefs celebrates with Patrick Mahomes after scoring the game-winning touchdown in overtime.

The Kansas City Chiefs won Super Bowl LVIII after producing a stunning overtime touchdown drive to beat the San Francisco 49ers 25-22.

Quarterback Patrick Mahomes masterminded an excellent 14-play, 75-yard touchdown drive in overtime following the 49ers' field goal to go ahead, culminating in a three-yard pass to receiver Mecole Hardman to clinch the victory.

The win cements the Chiefs' legacy as the NFL's next great dynasty, becoming the first back-to-back NFL champions in 19 years and winning its third ring under head coach Andy Reid and with Mahomes as quarterback.
