5 Rules for writing the perfect sales email

Sales pitch emails can be tricky to write if you’re new to the art of selling.

We tend to make some rookie mistakes as salespeople. The emails may be lengthy, too self-centered, and offer little or no value to the receiver.

Understandably, the vast majority of those emails go unseen or get classified as spam. Barely  9 percent of sales  emails get opened by recipients. 

So, what are the rules of thumb to stick to when writing sales emails?

#1 Personalize

Personalizing subject lines helped us increase open rates by 327.75% .

If you have their name, address them in the subject line. If that information isn’t available, use the word “ you .” The word “you” is a powerful tool of persuasion. A name is always better, but “you” creates a similar effect that personalizes your sales pitch . 

#2 Let the spotlight be on the receiver

Pack a punch with your opening lines.

Instead of writing an introduction like “I am…..”, write something that puts them at the center of the mail. Something along the lines of “I loved your talk on……” or “Congratulations on the……” puts the receiver at the heart of the message.

#3 Be relevant

Segment your list.

Sending a mail about car insurance to someone who doesn’t own a car won’t help you sell. Figure out who’s your target audience and then proceed to pitch your product.

#4 Ask questions

Emails asking questions attain  50 percent  more responses.

At times, the best way to get an answer is to ask a question. “Do you own ____ product?” “Do you know___?” Asking these questions creates a sense of curiosity and pushes the prospect to open the mail.

If it doesn’t suit the current context, use a pitch that arouses emotion. That’s because emotional mails get 13-15% better response rates .

Always have a clear call to action.

How to Close an Email Sales Pitch

Whatever type of email sales pitch they are, they must have a CTA (Call To Action) incorporated at the end of the email.

We can say that a CTA is an invitation to our target to do the specific action we are looking for.

In many cases, as they are sales emails, the objective of the CTA is usually to get them to respond and then arrange a meeting or call (it does not necessarily have to be to close a deal, creating a professional relationship is a very valid objective).

If the tone of our email is not strictly formal, we can add a postscript (PS) to clarify something or add any type of relevant information with a greater emphasis.

At the end of the email, a signature can help you show who you are and what you do.

A good signature is crucial for building trust, especially if it is well crafted and well prepared. Showing your photo is essential, your targets want to put a face to the person they are talking to, this photo builds trust, and trust can translate into more success for your email sales pitch.

Here are some sales pitch email templates you can inspire your email pitches. Remember that copying word for word, line for line each template is a huge mistake.

Every target is different and two of the keys to a successful email sales pitch are creativity and personalization, don’t forget to apply them to every email.

I work at [Our company] and thought it would be a great idea to get in touch with you to discuss how [Our Product] can benefit [Their Company].

I would like to speak to a sales operator or simply the person responsible for this area.

Did you know that about 270 billion emails are sent every day to around 3.7 billion email users? That’s an average of about 73 emails per user per day.

In other words, we’re all bombarded with emails.

With so many emails circulating around the globe, how are reps supposed to get theirs opened, let alone responded to?

This post is all about the art of writing the perfect email sales pitch. In this post, we'll explain:

  • How technology prevents your emails from reaching your recipient's inbox ,
  • Using placeholders in an email pitch
  • with someone who opened your email
  • with someone who didn't open your email , and
  • with someone who clicked something in your email (they're really engaged!)

Get familiar with some technical stuff.

The first thing we need to clarify is how technologies affect the way our emails are received (as 21% of email goes to spam incorrectly ).

So, let’s take a look at the way technology influences whether or not an email is sent to spam and how you can prevent your pitch from hitting spam boxes.

  • Merge tags and placeholders : Merge tags and placeholders are the same thing. They’re the words with brackets or characters around them that look like this *|EXAMPLE|* or this {{Example}}. Using these tags decreases the likelihood that your email will deliver to a spam box.
  • Attachments : Because of all the phishing scams out there, email servers are finicky about attachments. It’s best not to have any attachments in your sales pitch email—this includes any images or logos you might have in your signature.
  • Images and content : Similar to attachments, some email providers may flag emails that contain images or other content (like if you sent a template with header images and your company logo). It’s best to send plain-text pitches.
  • IP Address : An IP (Internet Protocol) address is a number, kind of like a unique name, for your computer. If your IP address is flagged for sending spam in a previous campaign or email, then any future emails coming from your IP address are more likely to deliver to spam boxes. To avoid having your IP address flagged, make sure you’re following the rest of the advice listed above.

Use placeholders and merge tags if you’re sending to multiple contacts.

Placeholders correspond with columns in a spreadsheet or CRM list.

If you use a placeholder for {{First Name}} in the intro of your email, you’re less likely to be sent to your recipient's spam box as the email is more personal.

If you’re running a campaign with a mail merge tool (a tool that sends more than one email at a time), a CRM, or email marketing tool, you can use placeholders to customize each message based on a recipient's specific details.

Mail merge software will pull data from a spreadsheet and CRM/email marketing tools will pull data from the customer’s info saved within the platform.

For a spreadsheet using {{First Name}} placeholder, data would populate that field from the spreadsheet column titled “First Name.”

In the image below, "Hi {{Name}}" would show up in the email as "Hi Michael Scott."

Pro Tip : Case and spacing matter! You must match case and spacing of placeholders/merge tags with spreadsheet columns and CRM fields respectively.

Other placeholders you can use to warm up your email are {{Location}} or {{Where we met}}. Check out this template example:

Sales Pitch Email Example 1:

Hi {{First Name}},

It’s {{Your Name}}, we met at {{Where we met}} and discussed {{Prospect’s pain point}}.

I’m wondering if you have 10 minutes this week to talk more about your company’s needs?

Write the pitch.

Now that you’re familiar with the technical lingo and how your IP address and placeholders affect the deliverability of your campaigns, it’s time to start writing your email sales pitch.

Get the subject line right.

Some argue that shorter subject lines are best, around 3-4 words. But word count aside, we can be sure that a subject line that piques interest is always best.

Here are some ways to write subject lines that win a prospect’s interest:

  • Ask a question. This encourages prospects to open for the answer to the question.
  • Use an emoji . According to Constant Contact , using emojis increases open rates.
  • Use a brand name to target prospects. For example, if your prospect is in the banking industry, you might mention Capital One in the subject line. Like this: Did you see that Capital One increased profits by 20%? You might follow this subject line up with a case study in the body copy, showing how your company was responsible for that increase in profit.

Warm things up.

How can you make an email pitch less cold—when you barely know someone? Or maybe, you’ve only been introduced once at a conference?

  • Noting the time or place you met the person helps warm things up as it reminds your prospect that you aren’t emailing them out of the blue. And if you were introduced by a colleague through LinkedIn , email, or some other internet introduction—that's a great reference point too.
  • If you haven’t met your prospect in person (or been introduced via web) before, then point out something you’ve got in common. One of my favorites is “we’re in the same LinkedIn group ________ and I noticed you shared this interesting article _________.”
  • Use a prospect’s first name and be sure you don’t use too much industry jargon. Make sure your note sounds professional, but not stuffy. There’s nothing colder than a drawn-out email, full of jargon, that starts with "Dear Ms. Lewis."

Keep it short and sweet and to the point.

You have eight seconds to grab your prospect’s attention. Sales emails that are long-winded hurt your chances of getting a response. The best way to grab attention is to talk benefits in the first sentence or two.

Amateur sales reps often don’t realize that benefits are best expressed as results—not product features or services. For example...

Product feature/service (bad) : "Our CRM solution can integrate with thousands of products."

Results (good) : "Sales reps save an average of three hours per day because they don’t have to do as much data entry ."

Results are what sell, so focus on writing results into your introduction.

Ask for something.

You won’t get what you don’t ask for—and the most important part of your pitch is your ask. This ask is also known as a call to action (CTA). This CTA, which can be expressed as a question, gives your recipient a reason to respond.

Here are a few tips on writing an effective CTA:

  • Ask for something specific —like a phone call, meeting, or email response.
  • Make sure your CTA is its own paragraph and is only one line or two. This will draw your prospect’s eye to the CTA. And even if it follows a couple of paragraphs, it’ll stand out.
  • Note a specific time if you plan to ask for a phone call. This lets your prospect know that you’re being considerate of their time, and also that your call won’t eat up too much of their busy schedule.

Here’s an email sales pitch template based on all of the pieces we’ve suggested:

I’m glad we met at {{where you met}} as I think {{your company}} can help you in your efforts to {{prospect’s goal}}.

Don’t forget to follow up..

If the CTA is the most important part of your pitch, the follow-up might be the next most important piece.

Did you know that following up within the hour increases your likelihood of a meaningful convo with a decision-maker by about seven times ? This means that there are different types of follow-up messages that you’ll need. Let’s go over the three most common follow-up types:

Yes responders

First, there’s following up for people that respond positively to your pitch. This type of follow-up is your top priority as these leads are interested and likely qualified compared to non-responders.

No responders

These contacts aren't interested in your product or service. It’s probably your best bet to remove them from your pipeline and focus your efforts on qualified leads.

Non-responders

There are multiple types of non-responders, depending on what all you’re measuring with your email tool or CRM . We recommend tracking opens (who opens the email) and clicks (people who click a specific link in your email—like to a webpage).

Here are a few templates to get a reply out of these non-responders:

For people who opened.

These prospects were interested in your subject line . So it’s worth a follow-up attempt to learn more about their interest. Try this template:

I noticed that you got my message, I’m wondering if there’s any more information I can provide?

For people who didn’t open.

I always follow up with the same exact email pitch I originally sent. I just add the following line to my introductory sentence:

I’m following-up to my last email as I wanted to make sure you’re aware of {{benefits your company can provide}}.

Sales Pitch Email Example 5:

For people who clicked.

For folks who click on a link, you should follow up with something relevant to the link they clicked. For example, if a prospect clicks on the link in our email pitch above, we might follow up with something like this:

I noticed you checked out our case study, {{case study title}}. Was there something in particular about the case study that you’d like to discuss?

I think that we could help your company save 50% on CRM costs in the same way that we helped Company XYZ in the case study above.

Do you have 5 minutes to discuss in the next day or so?

Go forth and pitch your company’s benefits.

Now, you have five templates that will help you crush your sales goals . Remember that benefits sell things, not product features or services. And it’s always best to follow up within the hour if possible.

11 Sales Email Templates to Connect With Your Prospects (+ Best Practices)

Writing the perfect prospecting email is the holy grail of outbound sales. Every rep dreams of an email template that works…every…time. Unfortunately, there’s no perfect email—but there are definitely templates that can increase your response rate and connect you with more buyers. 

No matter what you decide to write about, good emails all follow the same structure so your outreach is direct, personalized, and focused on your prospect’s goals and pain points. The four cold email components you should always include are:    

  • A catchy subject line 
  • An interesting hook/opening sentence 
  • A compelling value proposition 
  • A clear CTA

There are infinite ways to use these components. To get you started, we’ve put together a list of eleven sales email templates that are guaranteed to increase your email response rate. Plus, some of our top cold emailing best practices. 

First things, first: Six best practices for great emails

As you start creating your own custom email templates, follow these best practices to ensure your emails are short and sweet, personalized, offer a clear call to action, and more. 

  • Switch out a hard CTA with a soft CTA: 

Your buyers are busy people and receive hundreds of prospecting emails. It’s understandable if they don’t immediately see the value of jumping on a 15 minute phone call based on one email. 

Asking for a less formal response means that you’re not putting pressure on them right away and these emails receive more positive replies. It also helps you avoid being marked as spam. Try asking if they’re interested in learning more, without asking for a meeting.

  •  It’s about the prospect, not you or your company

Don’t send prospects a brochure about your business in email form. It will eventually be important for them to know who you are and what your company does, but cold emailing is about solving their problems and helping them reach their goals. Relate your value proposition to the challenges that happen in their industry. It’s not what your company does, it’s what your company does for them . 

  • Keep it short and simple

Wait until later in the sales process to provide details about your product, features, and services. Your initial emails should be easy to scan and direct as well as enough information to pique their curiosity without paragraphs of text.  

  • Start with quality leads 

If the email addresses of your leads are inaccurate or out of date, no email will be effective. Start cleaning up your database by using LinkedIn. You can download batches of contacts into a CSV file and sync the file with your CRM to increase the effectiveness of your outbound sales process. 

  • Follow up, repeatedly 

Even if your email was interesting, your prospect might not respond right away. Reach out again over email, by replying to your original message, with another value proposition. You might need to do this ten times but following up will improve your response rate. 

  • Personalize

Research your prospects, their roles, and their companies. The better you understand their goals and roadblocks, the more relevant you can make your content. Always address emails to their name and explain why your product is suited to their company. 

Email personalization gets results. The average response rate of personalized emails is 17%, big increase from generic emails, which have a 7% response rate.

  • The social selling Play 

Social selling is table stakes in 2022. Your prospect’s are giving away information about their needs and goals on social media. Acknowledge what they have to say in your prospecting emails. Start with Twitter and LinkedIn, they’re the most popular platforms for professionals. 

Engage by commenting, liking and sharing your prospect’s posts – they’ll remember the people that reached out about their content. 

Take things a step further with this social selling email template. By interacting across social media and email, this message  will be a little warmer than a regular cold email. 

Subject: I follow your tweets

Hi [Prospect’s first name],

I follow you on Twitter and always find your content to be really helpful. In fact, the blog post you shared recently on [subject] helped me [result]. 

My company helps customers with [value proposition]. I’d love to talk with you about how I can help [prospect’s company] improve [workflow or results]. 

Are you interested in having a quick chat? 

Regards,

  • The “congrats on your announcement” play 

Sending an email that shows you did your research is a great way to cut through the generic spam that fills up inboxes everyday. Acknowledging big achievements, especially personal ones, sets the groundwork for further relationship building. 

Use this template to congratulate your prospect on their company’s recent industry award, a new round of funding, or big announcements. Or speak directly to the prospect and celebrate their recent promotion or their new role at a new company. 

Subject: Congrats on the new role!

Hi [Prospect’s first name], 

Congratulations on your new role as [job title] at [their company name]! I read the announcement on [their company] website and I’m looking forward to seeing how you help your team achieve [goal that your prospect was hired for]. 

I work with companies in [their industry] to make this process more efficient and to see results faster. Are you free for a chat to learn more? 

[Your Name]

  • The referral play 

Sellers benefit from connecting the dots in their network because people trust people they know. By connecting your name with someone this person knows and respects in their industry, you establish a level of social proof. 

Don’t use someone’s name without their permission though, otherwise it may backfire. It’s helpful to regularly talk to your existing customers and keep your conversations fresh. Call customers regularly, offer to meet your contacts for lunch, and make sure to say hello at industry events to build good will. 

Subject: [mutual connection’s name] and [prospect company]

I spoke with [mutual connection’s name] at our annual conference last week and she mentioned how her role as [connection’s job title] is to improve [result]. I’ll be meeting with her again soon to brainstorm.

She thought that you might want to learn more as well since you’re in a similar role. [Your company] helps businesses [value proposition] in just a few months. 

Are you open for a short call later this week? 

  • The interest-based CTA play 

According to research by Gong, asking for a prospect’s “interest” in a cold email is a higher performing CTA than asking for a meeting. Instead of requesting some of their limited time, ask for their curiosity – which isn’t a limited resource. 

Try out Gong’s interest-based CTA email template . Your goal is to sell the conversation, not the product. After your first conversation, this CTA is no longer as effective and it’s better to ask your prospect for specific things like a call, meeting, or demo. 

Subject: Losing winnable deals

Is [pain point] stopping your team from reaching your goals?

Imagine being able to [top use case] to improve [positive outcome].

As I research [prospect’s company], I see 
one big way where [prospect’s company] can

boost your team’s performance:

[workflow] so you can [benefit].

  • The helpful content play 

Most sellers are asking for something when they email a prospect. Flip the script and offer something of value to your prospect. By linking to or attaching content that is relevant to their needs, you show them that you’re invested in helping them reach their goals. 

Your company’s case studies can be helpful but industry publications are more compelling. Send them the latest Forrester or Gartner research. You can also send them a timely and related news article. 

Subject: New Gartner report on [business objective]

While researching [prospect’s industry or role] I learned that [pain point] is a major challenge for companies like yours. Do you find that to be true? 

If so, I thought this [piece of content] could be useful for you. It dives into how [industry leading companies] are able to overcome this challenge with [value proposition]. 

Would you be interested in talking about this article over the next week? 

Kind regards, 

  • The “I read your content” play

Your prospects are talking about their goals, challenges, and expertise all the time. Visit their company blog, LinkedIn page, and Twitter feed to see what they’re talking about. Even better, follow your prospect’s social media. 

If they posted on LinkedIn about their strategy to improve certain elements of the sales process, like and comment on their post. Then, reference that article in your email as well as how your company can help.

Subject: Great LinkedIn article 

Hey [Prospect’s first name], 

I loved your article that you posted on LinkedIn about [subject]. The way you simplified such a complex process was helpful for me when I work on [subject] here at [your company name].

We just [hosted a webinar, organized a meetup, released an ebook] on how we help our customers solve [relevant challenge] you might be experiencing. 

Can I set up a quick chat over coffee with you this week? 

Thanks, 

  • The “offering feedback” play 

This email template shows your personal expertise in your subject matter. Make sure that you’re offering feedback that will be well received – in other words, don’t call their baby ugly. Your feedback should help them improve while also offering praise about what they do well.

  • The value selling play 

Value Selling is an entire sales methodology where sales reps take a consultative approach and provide value to the customer. This helps prospects make their decision based on the future value that your product can provide. Get straight to the point about the results of buying your product. Make sure that you’re using verifiable data to prove your point.

Hello [Prospect’s first name],

I have an idea that I can explain in 10 minutes that can get [prospect company] it’s next [quantity of new customers, leads, revenue, etc].

  • The shared interest play

This is a flexible email strategy. Shared interests could be related to your personal similarities with the prospect or how your companies are working towards similar goals. Take a look at your prospects’ social media history to see if you have a shared interest in sports, hobbies, or talk about the same business objectives. 

Your companies can also have things in common. If your organization helps sales teams with real time coaching software, and your prospect’s company sells sales methodology training, you probably have things in common without being competitors. 

Company similarities

Subject: We have the same goals 

The more I read about your company, the more I see that we are both working towards [goal or result]. It looks like we both partner with some of the same companies like [list of shared customers or partners]. 

Some of these customers have improved [result] by 2X after working with [your company name]. I’d like to tell you more about this over a call and arrange a meeting soon. 

When is a good time for you? 

Personal similarities (bonus email template!)

Subject: SF Giants fans

I follow you on Twitter and always enjoy your commentary about baseball, and especially the Giants. My family has season passes so I’m usually at every home game.

  • The feature and benefits play

Sometimes the simplest approach is the most effective. Include a handful of valuable product features and connect them to why they’ll benefit your prospect. 

Subject: [prospect company] x [your company]

[Your company] helps our customers with [value proposition]. 

Our product’s [feature] lets you [explain value proposition] at scale. [Feature] also helps our customers save time and ensure [result] across the team.

Are you free for a call tomorrow morning so I can explain more?

  • The “point me in the right direction” play 

Asking a prospect to connect you with the person that’s in charge of an initiative at their company lets you show value to your prospect without using up their time. This strategy works well when emailing VPs or Directors at larger companies, or CEOs and founders at smaller companies.  

Subject: Appropriate person for [subject]? 

I have a service that helps companies with [value proposition] and saves them money while doing it. 

Can you point me towards the right person that’s running this initiative in your [relevant department] team and let me know how best to get in touch with them?

1. Research, research, and research some more

Great research will help build a foundation of value for your pitch, increasing the likelihood that your buyer will respond. Try to understand to whom you are pitching. What does their company do? What goals might that company have? What buyer persona are they most likely to fit in? Additionally, don’t forget to explore the customer’s story and profile — find out who they are, what their role is, and if you have any shared interests that might help you set the tone for the rest of the customer relationship.

2. Frame it around the customer’s needs , not yours

Talking about your product is the fastest way to get buyers to tune out. A winning sales pitch is about the customer, not you. Think about the functionality of your product and the value it provides for your potential clients. Are you reducing costs? Improving efficiency? Eliminating manual tasks? Buyers will respond more to the benefits of your product pitch than anything else.

3. Choose the right channel

There are many venues through which a sales pitch can be delivered — email, social media, or a phone call. Think about both the customer’s needs and their industry. Think about both the buyer and their industry. Mature, more established industries may respond better to more traditional forms of outreach, like a sales call. On the other hand, a highly innovative or startup company may prefer modern approaches, like a direct message through social media. That said, don’t stress over this stage too much; if you don’t get a response from one channel, it’s totally acceptable to try again via another one.

4. Make it personal

Next, think about personalization. Most reps use automation tools or work off a base pitch template, but that template should change based on how you are delivering your pitch and who it’s going to. For instance, you’d use different language based on whether you’re pitching a prospect via social media than you would through a sales email. You’ll also want to tailor your pitch so that the value and benefits you’re describing map to actual buyer pain points — after all, someone in healthcare will have very different needs than someone in manufacturing.

5. Tell the buyer what you want them to do

Finally, always end with a call to action. What do you want the buyer to do? Call you back or respond with times to meet?   • Asking a question (“How would you like to increase revenue…”)
  • Share a data point (“Did you know that 60% of CEOs…”)

  • Cut to the chase (“I won’t waste your time — just wanted to share…”)
  • Mention a recent interaction (“It was great connecting with you at…”)

After your hook, you should quickly explain why you are contacting your buyer and what your product can do for them. Keep this value prop short but enticing. Some key points to hit on include:

  • What your product is in plain English — now is not the time for marketing jargon.
  • Why the buyer should continue to engage with you using data, case studies, testimonials, or market research.

Call to Action

WHAT MAKES A SALES PITCH BAD?

There are some sales pitch techniques you should avoid at all costs. Before you send your pitch or dial your customer, skim your pitch for any of these red flags:

  • “I” statements: Your sales pitch has limited real estate. Don’t waste it on talking about yourself.
  • Long pitches: The term “elevator pitch” should be taken literally. You shouldn’t take an hour to deliver your value proposition. A good sales pitch should be delivered in the time it takes a person to go from the lobby to the second floor.
  • Product pricing: Getting a buyer to speak about their wallets, or money in general, on the first interaction is a fast way to have them ignore you because you don’t sound interested in them or their journey.
  • Complicated explanations of product features or capabilities: During the prospecting stage, buyers aren’t ready to discuss solution details or look through an entire pitch deck.
  • Overfamiliar greetings like “How was your weekend?”: Unless you’ve met the prospect before, this will come off as creepy.
  • Generic pitches: If this pitch could work for any prospect, then it’s probably not tailored enough to capture a prospect’s attention.
  • Promises you can’t keep: It may be tempting to promise buyers the moon, but this approach will ultimately set them up for disappointment; be realistic and let the strength of your product speak for itself.

HOW TO DELIVER A SALES PITCH

Any inside sales rep will tell you that pitching is hard. No matter which channel you work through, engaging with customers is a nerve-wracking experience. But it’s not impossible.

The key to delivering a flawless pitch is to stay confident. And the way to build confidence is through preparation. Here’s how:

  • Practice your pitch live before you deliver it . While it may seem silly to recite a pitch to your roommate (or your pet), live practice is one of the most effective ways to work out the kinks in your delivery so you’re fully comfortable speaking in front of prospective clients, even if you’re pitching through a digital channel. — so it’s best to start honing your live pitch delivery skills sooner rather than later.
  • Keep buyer profiles on hand. In general, most pitches will be done remotely via phone calls, social media outreach, or email. Your subject line is your hook. In the battle of the inbox, it’s your only weapon that’s going to actually get your email opened. It needs to be short, urgent, positive, on time, and personal. Above all, it needs to be clickable. According to Invesp research, 69% of messages get sent straight to spam based on the subject line alone. VP stands for value proposition and is part of your business model . A value proposition refers to the value a company promises to deliver for a customer. A good value proposition works as a statement of intent, introduces the brand to a customer, outlines what they stand for, how they operate, and why the customer should choose them. VP eliminates buyer guilt and replaces it with buyer reason.

Your VP needs to address the following points

  • What do you sell?

  • What benefits customers can expect
  • Why customers should buy from you over your competitors

Stories engage customers with your brand and give them threads of commonality to connect with a business. Your story should be emotional and personalised, but at the same time real and tangible. It must be communicated in the customer’s language and should play on the customer’s pain points and common situations.

Shortness and Sweetness

Like this paragraph, make it snappy. Your sales pitch should be concise and to the point. Don’t let information get lost in nervous chit-chat and beating around the bush. Ideally, your pitch should be a line to summarise what your company does, how they do it, and for who they do it. At most, it should be three lines expressing the same information.

The sauciest subject line and the most Shakespearian story still wouldn’t be enough, however. After promising so much about a product, you better have the resources in your back pocket that are going to back you up.

Back it up with expert opinions , testimonials , professional reviews , customer reviews , studies, awards and competitor comparisons .

The truth is, people trust data and people trust other people who are similar to themselves. A survey conducted by Dimensional Research revealed that as many as 90% of respondents claimed positive online reviews influence their buying decision.  

A call-to-action (CTA) is (usually) the final sentence of the body of your email before you sign off with your name. It must be distinct and understood. It would be daft to preach the benefits of your business without outlining the next, logical step for a customer to take. Urge your client to take action after they read that original email with a clear phrase that starts with a verb. Include a link so they know exactly where to go.

But hitting on a good subject line isn't easy. Plus, what was fresh and inventive eight months ago will make your buyer's eyes roll back in their head today. So I talked to a few salespeople to learn the subject lines they were having success with.

Use the following tips knowing that they've been tried, tested, and verified to work by reps around the world.

1. Keep it brief.

The ideal length of an email subject line varies between mobile, desktop, and tablet devices, so keep this in mind as you craft the perfect one-liner for your sales email. On average, the maximum subject line is about 60 characters long before it gets cut off by the email provider. Campaign Monitor recommends a subject line of 41 characters so that each word appears on desktop, mobile, and tablet devices.

2. Personalize it.

Personalizing the subject line to include the prospect’s name is always a smart way to go. In fact, Campaign Monitor found that 74% of marketers claim to enjoy an average 20% increase in revenue when personalizing emails. People want to hear from, talk to, and buy from other people, not from big brands and companies.

Rather than sending your sales emails from a generic address like [email protected], use your personal email address or an alias that includes your first name to give your message a more human appearance.

3. Make it interesting.

I know. We’ve all been taught not to judge a book by its cover, but sales email subject lines don’t count. (Sorry, mom.) If you followed our tips on creating the best cold sales email , we don’t doubt that the content of your emails will have your prospects doing backflips to book calls with you. But before they get to the masterpiece of an email, they’ve got to make it through the subject line first.

Making the subject line interesting could mean a number of things, so use this list to find an angle that you think your prospect might care about.

  • A recent news story in their industry
  • A new statistic about their industry
  • A question about a project they just started or finished
  • An ask for their help

The key to each of these angles is this: they’re all about the prospect. You’ll have plenty of time to pitch your product in the body of the email and on future calls. The primary goal of your subject line is to get the prospect to click, read more, and decide if they’re interested enough to respond or take action.

4. Offer value.

Does your company offer a product or service that the prospect has been looking for on social media? Do you have a promotion that could free up your prospect’s budget for other activities? Can you help the prospect reach their goals faster? All of these options offer value to the prospective customer and are enticing angles to include in your subject line.

5. Create urgency.

Time sensitivity is a common filter that many of us use to prioritize our inboxes, so it’s understandable that our prospects operate their inboxes the same way. Even if your prospect isn’t particularly interested in making a purchase right now, there’s still some benefit in knowing that they could miss out if they don’t at least see what the limited-time-only promotion is. Creating urgency, where appropriate, is a tried-and-true tactic to get your emails opened and read, but don’t rely on this all the time. You could risk annoying your prospect with constant urgent requests.

6. Avoid clickbait.

Along the same lines of annoying your prospect, avoid creating email subject lines that can’t live up to the actual email, product, or service itself. Insinuating urgency, value, or importance where there isn’t any can leave a bad taste in your prospect’s mouth at best, and lead to your domain being marked as spam at worst. 20. "Have you tried [restaurant in prospect's town]?"

The salesperson who suggested this said it has an insanely high open rate. And I'm not surprised; if I got an email asking whether I'd visited Waypoint — one of the best seafood places in Cambridge, in my opinion — I'd click so fast I'd break the sound barrier.

To use this line, do a little digging to discover A) where the prospect's company is located and B) one of the top-rated restaurants in that area. And you don't have to pretend you've gone there. Inside the email, say something like, "If I ever visit [location], should I go? Does it deserve the hype?"

With this line, you'll start a rapport-building conversation, show you did your homework, and make the prospect feel like a local expert in one fell swoop.

21. "So, you speak sign language?"

That's an example of a tidbit you can easily learn from someone's bio, personal website, LinkedIn profile, or Twitter account. Personalizing your email subject line — even if it has nothing to do with the purpose of your outreach — will earn you lots of opens.

According to Ali Powell, a former principal account executive at HubSpot, the secret to writing a phenomenal sales email subject line is to make it something about them. Mention something that couldn't apply to anyone else.

Pack a one-two punch with this subject line. Not only are you using your recipient's name, but you're referring to an opportunity or objective that's on their mind right now.

Referral sales expert Bill Cates notes that salespeople who get referred to new prospects "borrow trust" from the referral source.

This means that instead of coming in cold, the relationship between the rep and the prospect automatically becomes warmer thanks to the relationship between the referred prospect and the referral source. This subject line effectively uses that connection to your advantage.

31. "Contacting you at [Referral]'s suggestion"

This is a slightly more formal version of other referral subject lines on this list. Use it if you're emailing someone in a less casual industry; for example, I'd suggest this subject line for a finance professional or higher-ranking employee.

All the salespeople who recommended this subject line passed on the same warning — if you didn't get a referral, don't use this line! It's not worth the risk of your prospect asking your fake referrer, "Hey, did you tell so-and-so they should talk to me?" If that happens, you'll look bad to everyone involved.

32. "[Referral name]"

This is another one from Ali Powell's arsenal. "Just put the full name of the person in the subject line and nothing else. I promise this works!" she writes. For example: "Jane Smith" or "John Doe."

The simple "referral name" subject line draws on the power of referrals without providing details. But there's another reason it works — in a sea of emails labeled with verbs and adjectives, a person's name (and one the recipient knows well) stands out.

33. "[Referral name] loves us & thought you might, too"

Follow up with your happiest customers and use this subject line to set the tone for your communication. As an extra bonus, include a personalized testimony from the referrer in the email or have them introduce you via email.

This prompt is great for connecting post networking event. It’s to the point, but most importantly, reminds the recipient who you are and why you’re contacting them.
