If you are sending specific application materials or your entire application by mail, then you will need to include a graduate school cover letter. Additionally, a few institutions, like the University of Illinois graduate college, for example, require students to submit a graduate school cover letter with their application, even when it is online. 

Furthermore, even when a graduate program does not explicitly ask for a cover letter, including a well-written and informative letter can help differentiate you from the other students by leaving a lasting impression on the admission committee, thus increasing your chances of admission. That said, before you start writing a cover letter for such a program, you should verify the school's admissions website to ensure that the school accepts additional documents.

Once you know what you want your cover letter to say, organize it so that it flows nicely, and it is easy to follow. Your graduate school cover letter should follow the structure of a typical letter. It should have an introductory paragraph, the main body, and a closing paragraph. 

Step 2: Address your letter 

As mentioned earlier, your graduate school cover letter is, in fact, a letter! Therefore, you should begin by addressing it the way you would in a formal letter. Write your full name and mailing address at the very top. We also recommend including your email address and phone number, but this is optional. On the following line, write out the date, and then write the recipient's name (typically, this is the name of the head of the department or just the name of the school you are applying to) and their address. You should verify the school's admissions webpage for this information. If it is unclear and you are unsure whom to address in the letter, contact the school and ask for this information to ensure that your documents get to the right person.

Once again, because this is a formal letter, you want to open your letter with the appropriate greeting or a personal salutation. If you have the name of a specific recipient, you can use the most common salutation for graduate school cover letters, which is "Dear [recipient's name]." Do not forget to include the recipient's title if you have it. If you do not have the name of a specific recipient, then you can simply address the letter "To Whom It May Concern". 

Step 4: Introduce yourself and express your interest in the graduate program

The reader will already have your name at the top of the page, but your introductory paragraph should tell them why you're writing this graduate school cover letter. You should use it to state your interest in your chosen graduate program and briefly mention your academic background and accomplishments thus far. 

Take a look at this example for context: 

I am pleased to submit my application for the Master of Applied Psychology program at X university. As a recent psychology graduate of YZ university, this graduate program is the perfect next step toward achieving my goal of becoming a clinical psychologist. 

Step 5: Talk about your suitability for this program

This is the main body of your graduate school cover letter. You should try to limit this to one paragraph, but you can use up to two of them if necessary. You should briefly touch on why you chose this particular school and program, what skills you have that have prepared you for this program, and what makes you an ideal applicant. 

You can talk about what you intend to do after this degree or specific professors and faculty members you wish to work with. The information you share here will be personal, so there is no golden template. Just ensure that it is written in an organized fashion that is easy to read and understand. 

Step 6: Conclude and close your letter 

In your last paragraph, make sure you thank the recipient for their time and consideration. You should also encourage them to reach out to you if they need additional information, or if they have any questions. Then finally, You can close your cover letter with a warm, professional closing salutation. "Sincerely" or "Warm Regards" followed by your name are some acceptable closing salutations you can use.

Step 7: List enclosed documents

This section of your graduate school cover letter will look different depending on the school you are applying to, and the application format used. If you are applying by mail, you should list the enclosed documents in the same envelope as your cover letter. If you are applying online or by email, verify that all of the documents listed on your cover letter are attached and ready to send. 

This section should be at the very bottom of the page. It should list the documents in a bullet point format, in the order in which they are enclosed. The list should look something like this:

Cover letters are supposed to be a brief introduction to your application, so unless otherwise specified by the school, they should not be longer than one page. We recommend sticking to three to four paragraphs, as this is long enough to share substantial information without losing your audience. The information in your other application components, such as your  statement of purpose , will complement your cover letter. So, treat your cover letter like a summary of your candidacy; keep it short but impactful.

Be genuine & professional

The individual or committee that will review your application will probably be people that help run the program you're applying to. It is, therefore, best that they get a sense of who you genuinely are. Communicate honestly and let your personality shine through. But how exactly should you go about writing a cover letter? After all, surely everything important has been said in your CV ? Not true! Think of your CV as a list of all the necessary points, and the graduate cover letter as someone taking a highlighting, picking pertinent points, and then writing more about them. You can also highlight things that might not have made it to the CV, but that are still relevant – maybe a particular hobby , or general skill gained outside of work.

Remember, your cover letter shouldn’t be too long, and should be quick and interesting to read. It’s not an essay, it’s a brief introduction to the most important and relevant parts of you. With that in mind, let’s take a look at some of the basics...

Generally, there’s a set way you want to write a cover letter, just as there is with CV s. This doesn’t mean that you can’t be original or unique in the content, just that there are certain things you should aim to get in. Generally the follow pattern is good to follow:

Paragraph detailing your skills – those mentioned on the CV, but giving more detail and talking about specific achievements.

Paragraph explaining why the company appeals to you – try to be specific ‘because this particular area...’, rather than a general ‘because it’s a world-leader’.

Conclusion, pointing out again your commitment to the role, and a suggestion for them to get in touch.

However, don’t be afraid to change some aspects of this if the job requires it. For instance, a speculative application requires a very different style of opening paragraph, and a graduate cover letter for a more creative job may have a bit more room to break the format. In general though, this is a good template to follow.

I am writing with regards to [job role] advertised on [website]. Please find attached my CV, which shows I have the necessary qualifications and experience in the workplace.

My degree course  has prepared me well for this position. During my dissertation, I was required to do a lot of independent research, which required self-motivation, and the ability to organise and work on a long term project. In particular, [module] has helped prepare me by [talk about skills gained].

Second paragraph, add on if have work experience

In addition, I have worked at [company], as [role]. This role required [discuss skills]. In particular, [highlight one example of a specific event/project/incident that required certain skills and what you did].

I’m attracted to this role, because [reasons specific to that company, not general ones] and I hope that I can demonstrate to you that I would be a good fit for this company, with my proven skills, commitment to the role, and enthusiasm to learn.

How to write a graduate cover letter

So now we’ve looked at some templates, let’s look at some brief tips on how to write a graduate cover letter:

#1 Point out where your degree is relevant Don’t just assume having a degree will sell you, instead you need to point out just why it makes you useful. This is slightly easier for say, a marketing job with a marketing degree, but you can work it with any. For instance, applying for a journalist role with a philosophy degree? Point out how you’ve learned to condense lots of information into clear, understandable forms, and how you also touched on things such as politics and scientific ethics.

#2 Don’t be general about skills, give examples Never just say ‘I am good at communicating’. Everyone says this. Show us how! Did you have a fundraising job and participate in the university’s highest raising campaign? Mention it. Or maybe you worked in customer service and got given more responsibilities due to your skills. Definitely worth saying! Concrete examples of your skills will look much more impressive than a generic ‘I can do [x]’.

Things such as being the treasurer of a society, or volunteering at children’s events can teach you things, and show that you didn’t just do your degree – you made the effort to do additional things too.

#4 Show commitment to the role Remember – you’re not applying to jobs you’re applying to this particular job. So talk about what you’d like to do with this company, and where you’d like to be in this company – not in general.

#5 Do your research! Make sure you know about the company, and can point out specifically why you want to work there. No ‘because it’s well-known’. For example, if you’re applying for a role at Lush, it goes without saying that Lush is well known for its ethical campaigning, so rather than saying ‘because Lush is ethical’, you would say ‘because [x] campaign really stood out to me, because [reasons]’. This shows you’re interested in working for them, not just a general company.

Studying for a master’s degree can be expensive. Next to tuition fees, following a master’s degree is time-intensive which reduces a student’s earning ability. Therefore, securing a scholarship to study at a master’s level is not only a nice achievement. For many prospective master’s students, it is a necessity.

A key to securing a scholarship is an outstanding motivation letter. This motivation letter is different than a motivation letter that you would write as part of a job application.

Motivation letters for master’s scholarships are unique because they have to bring two points across simultaneously: The motivation of the applicant to pursue a specific master’s programme, and the expected benefits from receiving financial support to do so.

Regular motivation letters usually focus on just one aspect. For instance, on how an applicant can contribute to a company. Or on how a prospective master’s student fits and can contribute to a graduate degree programme.

Motivation letters for master’s scholarships, however, involve a more complex argumentation. Funding bodies that provide master’s scholarships usually want to see how the applicant upholds their values. Additionally, funding bodies are interested to learn how a master’s scholarship awarded to one person can have a wider societal impact.

Every scholarship is different, and requires different documents, styles and structures. However, a common misconception is that motivation letters for master’s scholarships automatically equal the applications’ cover letters.

Motivation letters for master’s scholarships are typically not the same as cover letters. Instead, they have to be submitted as separate documents as part of scholarship applications.

Scholarship applications, and especially those that involve a lot of money, tend to require a lot of information. Applicants often have to submit a cover letter, a separate and quite detailed motivation letter, a CV and a reference.

Therefore, always read and follow the specific instructions of each master’s scholarship!

Motivation letters for master’s scholarships should always be tailored to the specific scholarship description and funding body.

Nevertheless, several key elements have to be included in every motivation letter. The following questions help you to hit the high points:

  • An introduction of who you are that extends beyond the information that is provided in your CV: What are your values? What motivates you? What are your ambitions and goals?
  • A justification why a master’s degree helps you to achieve your goals: What is missing in your education? What do you want to learn and why?
  • A motivation why you apply for the specific scholarship: How would this scholarship benefit you? What would the scholarship allow you to achieve? How do your values align with those of the scholarship’s funding body?
  • A description of the expected impact of receiving the scholarship to earn a master’s degree: How will you put your master’s degree to good use after graduation? What impact will you have on your community or society at large? After receiving support, how will you pay it forward and help others?

The best writing style for a master’s scholarship motivation letter is an elegant mix between personal and formal.

There are several tricks to write a motivation letter in a personal writing style:

  • Write your motivation letter in a first person point of view, by using pronouns “I” and “me”
  • Start your motivation letter with a personal story or anecdote
  • Write in active voice (“ I experienced this situation as stressful “) instead of passive voice (“ This situation was stressful “).
  • Use verbs that express thoughts, feelings and opinions , such as “ I feel “, “ I believe “, “ I suspect “, “ I disagree “

At the same time, make sure that your motivation letter uses a formal writing style:

  • Make sure that your motivation letter follows a clear structure
  • Write straightforward sentences , instead of sentences that are complex and difficult to follow
  • Eliminate grammar and spelling mistakes
  • Avoid contractions , such as “ don’t ” or “ won’t “. Instead, use the unshortened versions, such as “ do not ” or “ will not ”

Most scholarships specify how long applicants’ motivation letters are supposed to be. The length often depends on whether the funding body requires a standalone motivation letter, or whether the motivation letter simultaneously represents the cover letter.

If no length indications are given, writing approximately 800 to 1000 words is a good guideline to follow. 1000 words results in two pages, single-spaced.

Motivation letters for master’s scholarships are typically a bit longer than regular cover letters. At the same time, they should not exceed two pages.

It is extremely important to follow a clear structure in a motivation letter for a master’s scholarship. A clear structure helps you to bring your points across. And it helps the reader to follow your line of argumentation.

At the most basic level, a strong motivation letter consists of the following parts:

  • An introduction , in which you introduce yourself and tell the reader what to expect.
  • A main body of text in which you present your arguments and provide evidence to support them.
  • A conclusion , in which you summarise your key points.

Each part can consist of several paragraphs, though it is recommended to keep the introduction and conclusion to one, and a maximum of two, paragraphs.

To structure the main body of a motivation letter, develop one key argument per paragraph.

For instance, you could use the following structure, dividing your motivation letter into three parts, and seven paragraphs :

  • Introduction (Paragraph 1)
  • Your track record of accomplishments (Paragraph 2)
  • Your ambitions (Paragraph 3)
  • How a specific master’s degree would help you to accomplish your goals (Paragraph 4)
  • How your ambitions and values overlap with those of the scholarship funding body (Paragraph 5)
  • The expected results and (societal) impact if you receive the scholarship (Paragraph 6)
  • Conclusion (Paragraph 7)

The layout of motivation letters for master’s scholarships differs depending on whether the letter is simultaneously the application’s cover letter, or has to be included as an attachment.

A motivation letter that also functions as the scholarship application’s cover letter should follow a formal letter format:

If the motivation letter is one separate part of the scholarship application, and not the cover letter, the situation is different. Assuming that the formal letter format is already used in the cover letter, there is no need to repeat it in the motivation letter. Just make sure to include your name, the document description and the scholarship title in the header of the document:

The most common mistake when it comes to motivation letters for master’s scholarships is simply not spending enough time and effort writing them.

Writing a tailored letter of motivation for each scholarship that you are applying to is a lot of work. Therefore, it comes as no surprise that many applicants are tempted to use the same motivation letter for several scholarship applications. This is a bad idea though!

Never ever use a generic motivation letter to apply for a master’s scholarship.

Why? It will simply not work out. Every funding body and every scholarship is unique. Therefore, every letter of motivation should be unique as well.

For instance, if you apply to a political foundation, you should emphasise your political engagement and how your views overlap with that of the political funding party. If you apply for a scholarship from a faith-based organisation, make sure to emphasise how your faith and values are aligned with the organisation.

Lastly, writing your motivation letter last-minute. Instead, start preparing it at least two weeks before the submission deadline. It allows you to edit and improve your motivation letter several times, and to receive feedback from someone else. Another pair of eyes helps you to spot mistakes and point out unclear argumentations. This feedback is invaluable!

Much like preparing your CV, Bachelor and language certificates, the motivation letter is an integral component of modern application requirements. And while it feels like it is more relatable to the world of jobs, reality shows that a large proportion of Masters admissions depend on the content of your motivation letter.

As challenging as it sounds, the preparation of this type of documentary can be enjoyable – especially if you think of it as a short but clear advertisement about yourself. Also, there is no real need to be a dab hand at writing either, but rather in possession of some good language and styling skills. Ready to become subject to marketing? Let’s dive in!

Step 1. Prepare a summary

Now, before actually starting to write your motivation letter, it is a very bright idea to summarise the main points that you will be focusing on. In many cases, this step also includes conducting thorough research based on the Masters study course and university you are applying for.

After all, it is good to be familiar with the details regarding your potential future study; most importantly, the admission deadlines and requirements, language of instruction, period of studies, rewarded degree and last but not least, the course modules. Each piece of such information will help the reading person or committee understand that you are perfectly aware what you are applying for.

Of course, this is the stage when it is best to consider the personal information that you will be including. Focus on relevant facts and avoid copying from you CV – your previous Bachelor experience, professional background and personal goals and skills. Finally, it is worth preparing a brief story about a specific study project or work-related activity that presumably led to your decision to continue with a Masters in your specific area.

Step 2. Organisation and structure

With your summary completed, the next stage involves the actual organisation of the content for your motivation letter. And as easy as it sounds, there are many important rules that are often missed out, but also an absolute must for a writing prepared for readers within an academic circle.

For a truly outstanding motivation letter, there should be at least 3 separate parts – introduction, body and conclusion. These should be easily noticeable and at the same time structurally connected, which allows the reader to follow the set line of thought within a minimum length of at least 600 words for the entire motivation letter.

Next, check your styling and follow a simple guideline. One of the most preferable and recommended fonts for this sort writing is Times New Roman, with a size of 12 and spacing set at 1.5. Make sure that your text distribution is justified and search for any online tools that can inform you about the reading level and time. Best case scenario, your motivation letter ends up taking no more than 5 minutes to read while displaying advanced language skills – B2 or C1.

Step 3. Proceed with the writing process

During this final stage, the idea is to test out your writing capabilities and prepare an alpha version of your motivation letter. However, note this – your results do depend on productivity as well. Try capitalising on your most productive period of the day while being stimulated by your most suitable environment as well.

Before beginning with the formal addressing of “ Dear Sir or Madam ”, have a look at your title – it is worth having one. To avoid overcomplicating, simply add “Motivation Letter”.

Up next, there is the marketing component that we hinted in the beginning of this article. Here you have the best chance of proving that you are the perfect candidate for this Masters opportunity by switching between past and present experiences.

“During my Bachelor student years at [ your previous university ] I succeeded in thoroughly preparing for my chosen Masters study while developing excellent understanding of [ some previous example subjects ] . Furthermore, I managed to apply a great extent of theory to practice at my working position as a [ your job title ] . In combination with my analytical and multitasking skills, each of my given tasks and projects seemed more and more interesting, which further lit my interest in [ your chosen Masters study field ] .”

And there we have it – the very end of the motivation letter. As a formality, there is no need to go crazy with any unreasonable amount of information or text. For the best results, stick to a strategy of implying that you are thankful and looking forward to a positive outcome.

“I am grateful for the given opportunity and time to review my motivation letter. In the upcoming time, I will look forward to your reply and hope for a positive reaction. Please inform me about a potential interview if there is a further need for information required.”
