Getting Citations out of EndNote and Into an Independent Bibliography

EndNote can be used to create a bibliography independent of a paper, such as an annotated bibliography or a subject bibliography. First, select the desired output style for the independent bibliography (Tools >> Output Styles; select the desired style or click on Open Style Manager...).

*Including notes or abstracts:  If a style does not include notes and abstracts, you may create new styles and edit existing ones .

Copy formatted references: Select the desired reference(s) from the EndNote library. (Hold down the control key to select multiple references.) From the References  tab menu, select Copy Formatted Reference . Open the desired Word document and paste the formatted references using Ctrl-V or right-clicking for paste options.

Exporting references: Note: Only the references that are selected or showing in the active window will be exported. From the File menu, select Export …. Give the file a name and select the desired file type (see below), and click on Save .

  • Text: This format will only result in text and punctuation. Formatting such as underlining and italics will be lost. This format can be opened by any text editor.
  • RTF: This format (Rich Text Format) will retain font and formatting options. This format can be opened by all word processors.
  • HTML:  This format (HyperText Markup Language) is useful for posting reference lists on a Web page.
  • XML:  This format exports in a proprietary EndNote XML format.

Printing references:

The Print option from the File menu is a quick-and-dirty way to get the references on paper. As with exporting references, only the references that are showing in the active window will be exported. From the File menu, select the desired output style (as described above), then print.

Inserting References and Creating a Bibliography in a Word Document

Creating a List of References from Your EndNote Library

  • From the command bar on the top of the EndNote screen, select File  >> Export
  • A window will open asking you to choose: a name for the reference list, the type of file you want to save (nb: select RTF to create a Word-style document), and an output style.
  • Select Save

Cite-While-You-Write (CWYW)

EndNote  comes with  Cite-While-You-Write (CWYW) , a utility that allows you to insert references into a Word document to create in-text citations and a bibliography in a specific output style (such as APA,  JAMA , Chicago). When you install  EndNote  onto your computer,  Cite-While-You-Write  will also be integrated within Microsoft Word. Please note that the Microsoft Word program must be closed in order to successfully install  Cite-While-You-Write!

Inserting citations into a Word Document

An EndNote library must be open before inserting citations. To insert citations, you can either:

  • In MS Word, select  Tools  >> EndNote  >> Find Citation(s) . Search for references in any open EndNote library. Select citations >> Insert .
  • Go into your EndNote library, select reference(s) from your list  and select the insert citation into Word icon from the toolbar. This will insert the reference(s) into your Word document.

In addition to creating in-text citation, EndNote will insert a bibliography at the end of the document based on the style you have selected. To select or change the output style, use the output style pull-down menu located in Word under the EndNote tools on Word.

Creating Separate Bibliography for Sections Within a Word Document

First, in your Word document,  you want to be sure insert a  break to separate each section. To insert a break inbtween sections,  go to  “Page Layout” on the tool ribbon and  select “Breaks.” Under “Breaks”, choose the specific type of break you want to have between sections (i.e., “Next Page,” “Even Page,” “Odd Page,” etc.)

Second, in EndNote, you need to modify a citation style so that it can create a bibliography at the end of each section. To do this:

  •  Go to:  Edit >> Output Styles >>Open Style Manager >>  highlight the style you want (for example, APA 6 th ) and hit the “Edit” button
  • On the left-side of the screen, select “Sections.” Check the button for “Create a bibliography for each section.” Close out of the window, and when prompted,  re-name the style  (for example, “APA 6 th  _sections”)

When you installed EndNote on your computer, it  automatically create an EndNote tool ribbon in Word. Inthe EndnOte tool ribbon, the citation style currently selected will be displayed in the "Style" pull-down menu. To select the style you just modified, choose “Select Another Style” from the pull-down menu and choose the style you just modified (i.e., “APA 6 th  _sections”).  You will now be able to insert in-text citations in each section of your Word document and have  a bibliography at the end of each section.

Inserting Figures with Captions

The first step to inserting figures with captions into a Word document using Cite-While-You is to create an EndNote reference for the figure.

Step 1: Creating an EndNote for a Figure:

  • From the command bar at the top of the EndNote screen, select  References  >> New Reference.
  • give the figure a title.
  • attach the figure by scrolling down to  the field labeled  Figure  and then right-clicking in order to select  Figure >>Attach Figure ... When promtped, browse for and select the figure you want to attach.
  • include a caption for the figure by completing the  Caption  field.

Step 2: Inserting Figures into a Word Document:

  • In your Word document, go to the EndNote tools and select  Find Figures . Search for title of the figure.
  • Select figure and select  Insert . The figure and associated caption will be inserted in the Word document. The placement of the figure and caption withinthe text is determined by the output style selected.

Formatting a Bibliography

By default, when you insert citations into your Word document, EndNote formats the citations in the formatting style that is currently in effect (this is called "instant formatting"). Instant formatting also automatically generates a bibliography as you insert citations. (Instant formatting can be turned off in CWYW preferences.)

In some cases you may wish to change the formatting style. Or (if instant formatting is not in effect) you may want to generate a new bibliography.

  • Choose Bibliography from the EndNote submenu. The Format Bibliography dialog box appears:
  • Choose the output style you would like to use from the dropdown menu. (If you don't see the output style you want, choose "Browse" for a comprehensive list.)
  • Click OK.  EndNote will instantly format your citations and bibliography in the output style you chose

Changing the Current Output Style

Once you have chosen an output style using the Format Bibliography dialog box, that output style becomes the current output style, and is displayed on the toolbar at the top of the EndNote window.

To change the current output style, click on the current output style drop down box in the toolbar, and the list of output styles you have previously selected is displayed. Click on an item in the drop down box to make it the current output style.

If you cannot find the style from "Select another Style," here are instructions on how to download a style from EndNote.com. This example specifically demonstrates APA 7, but the instructions are the same for any style available from EndNote.com.

How to add APA 7 or another style from EndNote.com

If you need to change (add to, modify, or delete) your formatted citations, use the Edit Citation(s) command.

  • In your Microsoft Word document, click on the citation you wish to change.
  • Choose Edit Citation(s) from the EndNote submenu ( ). The Edit Citations dialog box appears:
  • Make sure the citation you want to change is selected, or click on another citation to select it.
  • You can modify the citation, add additional citations to it, or delete it.

To modify the citation:

Exclude the author or the year by clicking the "Exclude author" or "Exclude year" checkboxes.

Add a prefix or suffix by typing text in the Prefix or Suffix boxes. The text will appear immediately before (prefix) or immediately after (suffix) the citation in your document.

In the Pages field, add page numbers to appear with the citation.( Note : The Pages field works only for styles containing a Cited Pages code in the output style. Examples include MLA, Chicago, and Turabian).

To add additional citations:

Click the Insert button. This will bring up the Find Citations dialog box.

In the Find Citations dialog box, click on the citation you wish to add, and click Insert. The citation will be added to your existing citation.

To delete the citation:

       Click Remove, then click OK.

Note : Do not delete the citation in Word using the backspace or delete key. Special EndNote codes associated with the citation may not be erased and as a result your document file could become corrupted.

Working with Images

Inserting images.

Cite While You Write allows you to insert images contained in an EndNote library into your Microsoft Word documents from within Word. These are called figures, and they are accompanied by figure citations. Figure citations are numbered sequentially and appear in parentheses.

The image itself appears either right below the citation or at the end of the document (in the figures list), depending on the formatting style you are currently using.

When you insert figure citations, EndNote automatically creates a figure list at the end of the document.

To insert images into your Word document:

  • Open the EndNote library you want to use. Then open your Word document.
  • In your Word document, position the cursor where you want to insert the image (figure citation).
  • Choose Insert Citation, then Find Figure from the EndNote submenu ( ). The Find Figures dialog box appears.
  • In the Find: box, enter text to bring up matching references that contain figures.
  • Click Insert to insert the figure and its caption into your Word document.

 Deleting Images

If you inserted an image as a figure and then later decide to delete it, do the following:

  • Highlight the figure citation, including the parentheses.
  • Press the Delete or Backspace key.
  • Choose Update Citations and Bibliography from the EndNote submenu.

4.    Note: If you try to delete the picture without deleting the figure citation, it will reappear the next time a figure list is generated .

Removing Field Codes

Journal publishers request that you remove EndNote’s field codes before submitting your manuscript. EndNote uses field codes to insert additional data into your document, and it interferes with the publisher’s software. To remove field codes, click Convert Citations and Bibliography in the Bibliography group of the EndNote submenu, and then select Convert to Plain Text.

Word will prompt you to save this version of your paper with another name. You should do this so that you can edit the original version with the field codes intact in the future.

Hints and Tips Topics

You can use EndNote to create an independent and fully formatted bibliography without using the CWYW features. There are currently three ways to create stand-alone bibliographies without the CWYW feature. Instructions and video-only tutorials for each method are given below.

Copy Formatted/Paste Method

Export method, subject bibliography method.

  • Select the records that you want in your bibliography list
  • Change the citation style at the top of the bar with a drop-down menu
  • Then, In EndNote 20 , go to References → Copy Formatted Reference
  • You can then paste the references into a Word document

Note: This list is text only and can not be edited in Word using the EndNote tools. To change the style of the list, go back to your EndNote library and select the style you wish to use, and repeat the process.

Subject Bibliography Method allows you to select references based on subject fields and keywords. The steps for the Subject Bibliography Method are:

  • You will need to choose your selected citation style (APA, MLA, etc.) for your bibliography
  • Then you will need to go to Tools → Subject Bibliography...
  • From Subject Bibliography, you will need to select the subject fields to create a list of records using the fields
  • From the list of records, select the ones you would like to be in your bibliography
  • After finalizing your bibliography, select OK to create the bibliography list
  • Next, the option Layout will allow you to modify and make changes to the format of your bibliography
  • You will then need to save your bibliography list as a text file, RTF file, or in HTML.

From The Experts

When creating a bibligraphy in this way, the references are sorted and formatted according to the style selected in the library.

The bibliography list is plain text - you can change any part of the list using the typical edit commands in Word but you can not use the CWYW commands to change the style.

Cite While You Write: Insert References into Word Documents

The basic steps required to cite a reference and generate a bibliography with Microsoft Word are summarized below. To  Cite While You Write :

  • Start Microsoft Word and open the paper you are writing.
  • When you are ready to cite a source, position the cursor in the text where you would like to put the citation.
  • Go to the EndNote tab in Word, and then select  Insert Citation:   A "Find & Insert My References" dialog appears.
  • In the text box at the top, enter identifying text for EndNote to locate the appropriate reference.  This could be an author’s last name, a year, a keyword, or any other combination of terms found in the reference.
  • Click  Find  and EndNote compares the identifying text to your EndNote references and then lists the matching reference(s).
  • Identify and  highlight the appropriate reference(s).
  • Insert: To insert the citation and format it as defined by the currently selected output style
  • Insert & Display as: Author (Year)
  • Insert & Exclude Author
  • Insert & Exclude Year
  • Insert in Bibliography Only
  • NOTE: You can click Insert (not the triangle) to quickly select the default Insert command.
  • NOTE: When  Instant Formatting  is turned on, each time you insert a citation it is formatted and a bibliography is updated at the end of your document. When you are done inserting citations, your document is done!  Instant Formatting  is turned on by default.

If your citations are not automatically formatted, and a bibliography is not updated each time you insert a citation:

  • Go to the EndNote menu, and then select  Update Citations and Bibliography .
  • NOTE:  Even when  Instant Formatting  is turned on, you may want to select  Format Bibliography  in order to change the style or layout of your citations and bibliography.
  • NOTE: The dialog lists the styles that are currently selected as your "favorites" in the Style Manager. If you need to select a style that is not in the list, click Browse to locate it.
  • Click OK. EndNote scans your paper and, using the selected style, formats any temporary citations, reformats formatted citations, and appends a bibliography to the end of your paper.

ALERT: EndNote Cite While You Write and new Word version

Occasionally EndNote Cite While You Write Plugin updates do not keep up with new versions of Word. EndNote Online can be used to format your papers until a patch is available. You can also use this technique if you are using Office 365.  All that is required is that the document be saved in the .rtf (Rich Text Format).

Find More Citation Styles

If you do not see your particular citation style in the list of styles preloaded into EndNote, search the EndNote website for additional styles.  Instructions for downloading new styles are included in the link:  http://endnote.com/downloads/styles

Always proofread the bibliography!  No citation software is perfect.

Add a Footnote

There's one extra step if you're inserting a reference into a footnote.

Click the References tab in Word ribbon.  Then click the Footnote button/link.

With your cursor still in the footnote, click the EndNote toolbar in Word and then the Insert Citation button as usual.  (Wherever your cursor is in your document -- the body or the footnote -- is where the citation will appear in the document.)

Traveling Library

There may be occasions where you want to copy all of the references used in a Microsoft Word document to an EndNote library. Perhaps you received only the formatted Word document from a colleague, and would like to create EndNote references to use later. Or, you may have a large EndNote library, but want to create a smaller EndNote library with only the subset of references used in your paper. Note: The Traveling Library does not contain Notes, Abstracts, Figures, or Captions. To export references from a Word document to an EndNote library:

  • Open the document in Word.
  • From the  Tools  menu, go to the EndNote X7 submenu, and then select  Export Traveling Library.
  • Select a library from the drop-down list of available libraries, or click Browse to locate a library.
  • You will be prompted to name and save the new library.
  • Note: We recommend that you export to a new EndNote library, so you can review the records before adding them to an existing library.

There is an alternate way to copy references from your Word document to an EndNote library. Open both your Word document and the EndNote library. Then, in EndNote, go to the Tools menu, then the Cite While You Write submenu, and select Import Traveling Library.

Note: When you use the Export/Import Traveling Library commands, the exported references are renumbered and do not retain their original reference numbers.

EndNote Online is also designed to work with a word processor, such as MS Word with the Cite While You Write (CWYW) plug-in. As you insert citations, EndNote automatically builds a bibliography at the end of your document according to the rules of whatever citation style is selected. Changing the citation style will automatically reformat the bibliography and citations to the new style.

Using EndNote with BibTeX & LaTeX

You can use easily export your EndNote references to BibTeX by following these steps:

  • Select the references you'd like to export. Or, select All References if you'd like to export your entire library.
  • In the Output Style drop-down menu in the toolbar at the top of your screen, choose Select Another Style .
  • Select BibTeX Export from the list. When you preview your citation, it will now be in the BibTeX format.
  • From the File menu, select Export .
  • Change the File Name to read filename .bib (Adding the ".bib" extension will create a file that BibTeX can read.)

Now you have a file ready to be imported into your BibTeX program.

Exporting References

If you just want to quickly generate a bibliography from your references, follow the advice on this page.

If you want to automate your in-text citations AND references as you write, move on to the next page in this guide to learn about Cite While You Write.

To export a formatted bibliography, first highlight the group of references you want included. Then click File-->Export or choose the button at the top of the library for "export."

how to create a bibliography on endnote

You will then need to tell EndNote which file type you want to create and which output style to use. Your choice for file types are:

.TXT - This is a simple text file which will not retain all of the formatting.

.RTF - This file extension retains formatting and works with Word and most other word processors.

HTML - This will open the file in a web browser window.

XML - This exports the xml code for your bibliography.

When I find the file and open it with Microsoft Word, I see my references formatted in the style I chose:

how to create a bibliography on endnote

You can still edit your references in Word if you notice any mistakes or omissions.

Output Styles

If you don't see the citation style you want listed, you can go back and add more to your favorites. You can download around 6,000 more output styles from the EndNote website's style page , including modified styles for specific journal titles.

There you can search for a specific style or learn how to download and install the entire package.

Annotated Bibliographies

You can also use EndNote to quickly generate a formatted annotated bibliography.

To do so, edit each reference and write your annotation under the "Research Notes" field. Be sure to tell EndNote to save your changes when you navigate to the next reference.

When you export your bibliography, change the output style to one which includes annotations. For example, instead of "APA 6th" choose "APA 6th - Annotated" and the bibliography will automatically include your annotations in your exported document.

  • Using EndNote with Word

In addition to storing your references, EndNote is a bibliography maker. It works with Microsoft Word and several other word processors to create formatted bibliographies and citations in your papers. If you install EndNote after you have installed your word processor program, EndNote should update your word processor program and add EndNote options. If you are using Word, to make sure your software has loaded these features open Word: you should see EndNote listed as one of the menu items across the top of the screen. If not, please contact the ITS help desk by phone (685-4000) or submit a service ticket .

To Add Page Numbers in a Citation

In Word, click to highlight the citation you want to add a page number to, then select the Edit & Manage Citation(s) option in the EndNote toolbar menu. This will list all citations in the document, with the selected citation highlighted in the list. EndNote will automatically format the page numbers in the citation according to the currently selected citation style.

To Edit Citations and Bibliography in Word

If you try to edit anything in an in-text citation, footnote, or bibliography created by EndNote in a Word document, it won't let you; anything you add in a citation or bibliography will be deleted. To edit the content of a citation or bibliography in a Word document, you will need to do the editing in EndNote. But, when you are done adding citations to your document, you can create a copy of your Word document that is disconnected from EndNote and will allow you to edit citations and bibliography as regular Word text. To do that, select the Convert Citations and Bibliography option in the EndNote menu, and select to "Convert to Plain Text." Your original document will still be connected to EndNote, but the copy will be all editable plain text.

how to create a bibliography on endnote

To Create a Stand-Alone Bibliography

To create a bibliography of some or all sources in an EndNote library, first select the desired citation style in EndNote (in the menu toward the upper left). Then select to highlight all the citations you want in your bibliography. Hold down the Control key (on a PC; for Mac, hold down the Option key) and drag the citations into a Word document. Or, click to highlight one or more or all citations, then right-click on the highlighted citations and choose the option to "Copy Formatted"; then "Paste" that into a Word document.

Remembrance of a Roadrunner

Archer Fellowship helps UTSA student pursue research in public health policy

Archer Fellowship helps UTSA student pursue research in public health policy

FEBRUARY 15, 2024 — Public administration graduate student Janet N. Ekezie has been selected for the Graduate Archer Fellowship Program. The program will take Ekezie to Washington, D.C. this summer, where she will get an in-depth look at policymaking, history and advocacy. As a current employee of the San Antonio Area Foundation, she hopes to leverage the fellowship to learn more about public health policy, particularly mental health.

“I am really interested in mental health, particularly how those from underrepresented populations pursue mental health care,” she said. “I am Nigerian American, and people from my background or similar backgrounds may have difficulty pursuing mental health care because of stigma, coupled with difficulties in our current systems of diagnosis.”

Archer Fellows like Ekezie work full-time with offices and organizations in the nation’s capital. Students may choose their internships according to their professional goals and academic interests.

“I’m really looking forward to working with other inspired Fellows motivated to affect change.”

how to create a bibliography on endnote

Janet N. Ekezie (left) currently works at the San Antonio Area Foundation.

Ekezie earned her bachelor’s degree in political science and philosophy from University of Texas Rio Grande Valley in 2018.

When it came time to consider where she wanted to advance her education, Ekezie chose UTSA. She wanted to be closer to her hometown and workplace.

Ekezie enrolled in the Master of Public Administration program at UTSA in fall of 2023 and immediately knew it was the right fit for her. The graduate program is led by academics and practitioners who bring community-relevant research and public-sector experience to the classroom. Students learn policy implementation and how to apply theory to real-life scenarios.

“I really appreciate the organizational theory aspect and how it applies to real-world problems based in my career,” she said. “I also love the cohort that I entered in with. They are very supportive, kind, gracious and inspiring.”

In the coming months, Ekezie will take part in several interviews to determine her fellowship placement, while preparing a policy proposal in her preferred policy research area.

The Graduate Archer program is one of several hands-on learning programs offered by the UT System to help students prepare for successful careers. As part of its Classroom to Career initiative , UTSA aims to have 75% of its undergraduate students participate in some type of experiential learning by the time they graduate.

Ekezie’s fellowship will provide the practical experience that will help her distinguish herself. She is also looking forward to developing her professional and research skills through the Archer program.

“Having a diversity of experience in the group will contribute to better ideas,” she said. “I’m really looking forward to working with other inspired Fellows motivated to affect change.”
