How to: Format Bibliographies

One of the best features of EndNote is formatting your bibliography in almost any style, using a variety of fonts, adapting your favorite style to your own specifications, spacing, numbers or add annotations.

Formatting methods

Method 1: Copy Formatted

  • EndNote > select your Output Style (this is the style of your bibliography).
  • Select references in your library - use command or control A to select all references.
  • References> copy formatted references.
  • Open a word document, place the cursor where you want the references to appear.
  • Edt > paste.

Method 2: Export references

  • EndNote > select your Output Style (this is the style of your bibliography)
  • Select the references you with to export. File > Export.
  • Select file name, file type and destination ("Save in:") for your bibliography.
  • Open the text file you have just created in word and edit or print.

Method 3: Drag and drop : (not all word processing programs support this method, MS word does)

  • Select citations from your reference library.
  • Hold command or control key and drag references from the library to your word document. -- You can tile your windows: put your cursor on the taskbar; right click the mouse, select show windows side-by-side.
  • You may need to select Update Citations and Bibliography.

Create a subject bibliography

  • Library > Tools  > Subject Bibliography . Keywords . OK .
  • Subject Terms search box corresponds to the keywords field in your library.
  • Select subject terms to use as subject headings in your bibliography, or click Select All. OK .
  • Your bibliography is formatted on the screen.
  • Click Layout button to modify the layout and style of your bibliography:
  • Click on the tabs, References , Terms , Page Layout and Bibliography Layout .
  • Verify or change the settings.
  • Once your bibliography is set up, display with Print Preview , print, or save. Close.

Inserting References and Creating a Bibliography in a Word Document

 Creating a List of References from Your EndNote Library

  • From the command bar on the top of the EndNote screen, select File  >> Export 
  • A window will open asking you to choose: a name for the reference list, the type of file you want to save (nb: select RTF to create a Word-style document), and an output style.
  • Select Save

Cite-While-You-Write (CWYW)

EndNote  comes with  Cite-While-You-Write (CWYW) , a utility that allows you to insert references into a Word document to create in-text citations and a bibliography in a specific output style (such as APA,  JAMA , Chicago). When you install  EndNote  onto your computer,  Cite-While-You-Write  will also be integrated within Microsoft Word. Please note that the Microsoft Word program must be closed in order to successfully install  Cite-While-You-Write!

Inserting citations into a Word Document

An EndNote library must be open before inserting citations. To insert citations, you can either:

  • In MS Word, select  Tools  >> EndNote  >> Find Citation(s) . Search for references in any open EndNote library. Select citations >> Insert .
  • Go into your EndNote library, select reference(s) from your list  and select the insert citation into Word icon from the toolbar. This will insert the reference(s) into your Word document.

In addition to creating in-text citation, EndNote will insert a bibliography at the end of the document based on the style you have selected. To select or change the output style, use the output style pull-down menu located in Word under the EndNote tools on Word.

Creating Separate Bibliography for Sections Within a Word Document

First, in your Word document,  you want to be sure insert a  break to separate each section. To insert a break inbtween sections,  go to  “Page Layout” on the tool ribbon and  select “Breaks.” Under “Breaks”, choose the specific type of break you want to have between sections (i.e., “Next Page,” “Even Page,” “Odd Page,” etc.)

Second, in EndNote, you need to modify a citation style so that it can create a bibliography at the end of each section. To do this:

  •  Go to:  Edit >> Output Styles >>Open Style Manager >>  highlight the style you want (for example, APA 6 th ) and hit the “Edit” button  
  • On the left-side of the screen, select “Sections.” Check the button for “Create a bibliography for each section.” Close out of the window, and when prompted,  re-name the style  (for example, “APA 6 th  _sections”)

When you installed EndNote on your computer, it  automatically create an EndNote tool ribbon in Word. Inthe EndnOte tool ribbon, the citation style currently selected will be displayed in the "Style" pull-down menu. To select the style you just modified, choose “Select Another Style” from the pull-down menu and choose the style you just modified (i.e., “APA 6 th  _sections”).  You will now be able to insert in-text citations in each section of your Word document and have  a bibliography at the end of each section.

Inserting Figures with Captions

The first step to inserting figures with captions into a Word document using Cite-While-You is to create an EndNote reference for the figure.

Step 1: Creating an EndNote for a Figure: 

  • From the command bar at the top of the EndNote screen, select  References  >> New Reference.
  • give the figure a title.
  • attach the figure by scrolling down to  the field labeled  Figure  and then right-clicking in order to select  Figure >>Attach Figure ... When promtped, browse for and select the figure you want to attach.
  • include a caption for the figure by completing the  Caption  field.

Step 2: Inserting Figures into a Word Document:

  • In your Word document, go to the EndNote tools and select  Find Figures . Search for title of the figure.
  • Select figure and select  Insert . The figure and associated caption will be inserted in the Word document. The placement of the figure and caption withinthe text is determined by the output style selected.

Word 2016 for Mac

EndNote now has a version of Cite-While-You-Write for Mac  Word 2016. To update for Mac Word 2016,  please run the auto updater or go to the desktop menu option EndNote X7 -> Check for Updates to download X7.5 and get started.

For EndNote users who are currently using  Mac  Word 2016 beta plugin, please be advised that beta plugin will cease working on March 1, 2016. Please read the instructions for how to update to the new  Cite-While-You- Write for Mac Word 2016 .

Cite While You Write: Insert References into Word Documents

The basic steps required to cite a reference and generate a bibliography with Microsoft Word are summarized below. To  Cite While You Write :  

  • Start Microsoft Word and open the paper you are writing.
  • When you are ready to cite a source, position the cursor in the text where you would like to put the citation.
  • Go to the EndNote tab in Word, and then select  Insert Citation:   A "Find & Insert My References" dialog appears.
  • In the text box at the top, enter identifying text for EndNote to locate the appropriate reference.  This could be an author’s last name, a year, a keyword, or any other combination of terms found in the reference.
  • Click  Find  and EndNote compares the identifying text to your EndNote references and then lists the matching reference(s).
  • Identify and  highlight the appropriate reference(s).
  • Insert: To insert the citation and format it as defined by the currently selected output style
  • Insert & Display as: Author (Year)
  • Insert & Exclude Author
  • Insert & Exclude Year
  • Insert in Bibliography Only
  • NOTE: You can click Insert (not the triangle) to quickly select the default Insert command.
  • NOTE: When  Instant Formatting  is turned on, each time you insert a citation it is formatted and a bibliography is updated at the end of your document. When you are done inserting citations, your document is done!  Instant Formatting  is turned on by default.

If your citations are not automatically formatted, and a bibliography is not updated each time you insert a citation:

  • Go to the EndNote menu, and then select  Update Citations and Bibliography .
  • NOTE:  Even when  Instant Formatting  is turned on, you may want to select  Format Bibliography  in order to change the style or layout of your citations and bibliography.
  • NOTE: The dialog lists the styles that are currently selected as your "favorites" in the Style Manager. If you need to select a style that is not in the list, click Browse to locate it.
  • Click OK. EndNote scans your paper and, using the selected style, formats any temporary citations, reformats formatted citations, and appends a bibliography to the end of your paper.

ALERT: EndNote Cite While You Write and new Word version

Occasionally EndNote Cite While You Write Plugin updates do not keep up with new versions of Word. EndNote Online can be used to format your papers until a patch is available. You can also use this technique if you are using Office 365.  All that is required is that the document be saved in the .rtf (Rich Text Format).

Find More Citation Styles

If you do not see your particular citation style in the list of styles preloaded into EndNote, search the EndNote website for additional styles.  Instructions for downloading new styles are included in the link:  http://endnote.com/downloads/styles

Always proofread the bibliography!  No citation software is perfect.

Add a Footnote

There's one extra step if you're inserting a reference into a footnote.

Click the References tab in Word ribbon.  Then click the Footnote button/link.

With your cursor still in the footnote, click the EndNote toolbar in Word and then the Insert Citation button as usual.  (Wherever your cursor is in your document -- the body or the footnote -- is where the citation will appear in the document.)

Traveling Library

There may be occasions where you want to copy all of the references used in a Microsoft Word document to an EndNote library. Perhaps you received only the formatted Word document from a colleague, and would like to create EndNote references to use later. Or, you may have a large EndNote library, but want to create a smaller EndNote library with only the subset of references used in your paper. Note: The Traveling Library does not contain Notes, Abstracts, Figures, or Captions. To export references from a Word document to an EndNote library:  

  • Open the document in Word.
  • From the  Tools  menu, go to the EndNote X7 submenu, and then select  Export Traveling Library.
  • Select a library from the drop-down list of available libraries, or click Browse to locate a library.
  • You will be prompted to name and save the new library.
  • Note: We recommend that you export to a new EndNote library, so you can review the records before adding them to an existing library.

There is an alternate way to copy references from your Word document to an EndNote library. Open both your Word document and the EndNote library. Then, in EndNote, go to the Tools menu, then the Cite While You Write submenu, and select Import Traveling Library.

Note: When you use the Export/Import Traveling Library commands, the exported references are renumbered and do not retain their original reference numbers.

You can use the Configure Bibliography window to format your bibliography or reference list.

  • To open it on a Windows computer, click on the arrow in the bottom right corner of the Bibliography section of the EndNote toolbar in Word.
  • To open it on a Mac, click on the down arrow beside Bibliography in the EndNote toolbar.

Format Bibliography tab options

  • Format document: The name of the document you are working in.
  • With output style: Choose the referencing style you need.
  • Temporary citation delimiters: These are the punctuation marks used for in-text citation place markers when you convert to unformatted citations for editing your document. The default is curly brackets {}. EndNote treats everything inside a pair of curly brackets as a citation linked to a record in your library, so if you are including mathematical expressions in your document, you will need to change the temporary citation delimiter to a character you are not otherwise using.
  • Link in-text citations to references in the bibliography: If you tick this, it creates a hyperlink between the in-text citation and the reference in the bibliography.
  • Underlink linked in-text citations: If you tick this, it underlines the linked citations.

Layout tab options

  • Font: Choose the font to use for the references in your bibliography so they match the text in your document.
  • Size: Choose the font size for references in your bibliography.
  • Bibliography title: Type a heading for the bibliography section.
  • Text format: Define the font style, size and attributes (bold, italic, underline) for the bibliography title so that it matches the other headings in your document.
  • Start with bibliography number: If you are using a numbered style, you can choose the number to start at. The default is 1.
  • First line indent: Set an indent for the first line of a reference if your chosen referencing style requires it. The default is 0cm.
  • Hanging indents: Set an indent for all other lines of a reference if your chosen referencing style requires it. The default it 1.27cm.
  • Line spacing: Set the line spacing for your bibliography to match the settings for the rest of your document as closely as possible. The options are Single, 1.5 lines and Double.
  • Space after: Set the line spacing between references. The options are Single, 1.5 lines and Double.

For some assignments you may need to format your bibliography to group references by type. You can do this using the Categorize References function in the EndNote toolbar in Word. and assign references to them. It allows you to create the groups yourself and put the references into them. You can set the categories up before you start writing, part way through or after you’ve finished. You’ll need to double check that all of your references have been added to a category before you convert you document to Plain Text ready for submission.

Set the categories for your bibliography

  • Go to the EndNote toolbar and open the Categorize References menu
  • Select Configure Categories … This opens the Configure Categories window.
  • Click the Plus sign beside Category Headings at the top left to add a new category.
  • Type a name for the category that you need, e.g. Books and e-Books
  • Continue adding categories until you have the ones you need then click OK to save them.

Note: To delete a category, click the minus sign beside the category name

Add references to a category

If you are grouping your bibliography by source types, click on the Reference Type column heading to sort into types first. That way you can work in batches.

  • Highlight the references you want for your first category.
  • Drag them across to the category heading. You’ll see that the category name now appears beside them in the Category column of the window.
  • Continue selecting references and dragging them across to the Heading you want them under until you’ve got them all under a heading.
  • Click OK. Your references list will now display references grouped by the categories of your choice. References will be sorted in alphabetical order by first author within each group.

There are two places to make edits to the bibliography in the Word document. Basic edits are made through the EndNote toolbar in Word:

Control of the look and layout of the bibliography beyond the basic settings in the EndNote toolbar can be made by going to the Home tab in the Word document and selecting EndNote from the list of styles in Word:

Getting Citations out of EndNote and Into an Independent Bibliography

EndNote can be used to create a bibliography independent of a paper, such as an annotated bibliography or a subject bibliography. First, select the desired output style for the independent bibliography (Tools >> Output Styles; select the desired style or click on Open Style Manager...).

*Including notes or abstracts:  If a style does not include notes and abstracts, you may create new styles and edit existing ones .

Copy formatted references: Select the desired reference(s) from the EndNote library. (Hold down the control key to select multiple references.) From the References  tab menu, select Copy Formatted Reference . Open the desired Word document and paste the formatted references using Ctrl-V or right-clicking for paste options.

Exporting references: Note: Only the references that are selected or showing in the active window will be exported. From the File menu, select Export …. Give the file a name and select the desired file type (see below), and click on Save .

  • Text: This format will only result in text and punctuation. Formatting such as underlining and italics will be lost. This format can be opened by any text editor.
  • RTF: This format (Rich Text Format) will retain font and formatting options. This format can be opened by all word processors.
  • HTML:  This format (HyperText Markup Language) is useful for posting reference lists on a Web page.
  • XML:  This format exports in a proprietary EndNote XML format.

Printing references:

The Print option from the File menu is a quick-and-dirty way to get the references on paper. As with exporting references, only the references that are showing in the active window will be exported. From the File menu, select the desired output style (as described above), then print.

To create a bibliography for each section in the document , OR to create a bibliography for each section and also a complete bibliography at the end of the document :

2.  How can I create a standalone/independent bibliography?

For multiple-word last names, like  Charles de Gaulle , enter the name with the last name first, such as: de Gaulle, Charles Entering a name this way ensures that both words "de" and "Gaulle will format as the last name. Enter authors with titles, such as "Jr. or III, as Last, First, Title. For example, Alfred Smith Smith, Alfred, Jr. The text after the second comma will print exactly as entered.

EndNote automatically creates your reference list in your chosen referencing style at the end of your document.  Alter the layout of your reference list by using the Configure Bibliography function in the EndNote tab, you can change the font style and size or the line spacing for your reference list.

Currently when EndNote imports references, while they are in alphabetical order, the list does not have single line spaces between references.

Editing your reference list

1. Open the Word EndNote tab.

2. Check the reference style is set correctly to APA 7th.

3. Click the bottom corner arrow of the  Bibliography section.

4. A pop-up window will open, select the Layout tab.

5. Adjust the reference list's font and size.

  • Please note: SIT requires students use size 12 font that is easy to read, such as Times New Roman, Arial or Palatino.  Do not use Courier for essays.

6. Click Text Format to set the title's font, size and attributes (e.g. bold, italics, underline).   Add a title e.g. Reference List. 

7. Adjust the line spacing to either 1.5 lines or double as required by SIT guidelines.

8. Adjust the space after to either 1.5 lines or double.  This puts a space between the references.  These reference list settings will be retained in this assignment.

    Click on Output Styles

    Click on Edit ##### Style or Open Style Manager to select a different style to edit.

(Click to highlight the style you want to edit then click Edit in the lower right corner)

Style Editor gives you information about the style and all of the fields you can manipulate

Be careful with the changes you make.   If you make a mistake you will have to re-download the style from the EndNote website

2. Click on Template under Bibliography to make your edits

3. Put the cursor at the end of the line of the reference type you want to edit

Add several hard returns (enter button)

Click on Insert Field (upper right corner)

 (You can edit all of them if you wish but you should probably focus on the types you use most frequently)

4.  Select Research Notes     You may add any field you are using if you want it to print out in a bibliography, but for annotated bibliographies, you will want to use the Research Notes field

5.   Add several more hard returns (Enter button) to add spaces between your references in a bibliography

6.   Click File then Save As

7.  Name the new Output Style

         (You should probably keep the original style name and just add “annotated” to the end

8.  Click the lower “X” in the top right to close the style editor

Now when you click on the Output Style box and Select Another Style, you will see your new annotated style in the list

What Are Endnotes? | Guide with Examples

Endnotes are notes that appear at the end of your text in a piece of academic writing. They’re indicated in the text with numbers (or occasionally other symbols). Endnotes are used:

  • For citations in certain styles
  • To add extra information that doesn’t fit smoothly into the main text

Endnotes are sometimes confused with footnotes . Footnotes are also used to provide citations and/or supplementary information, but they appear at the bottom of the relevant page instead of all together at the end.

  • Clutter your writing less than footnotes, since they’re all grouped together instead of spread throughout the text
  • Are less convenient, since the reader has to flip to the back to read the notes
  • Are convenient, since the reader finds the additional information on the same page as the relevant part of the text
  • Can make your text appear messy, especially if there are a lot of them

You should usually choose either footnotes or endnotes and use them consistently. Your instructor may tell you which style of note to use.

Endnote numbers appear at the end of the clause or sentence the endnote relates to. The number appears after any punctuation, unless the clause ends with an em dash, in which case it appears before it. There’s no space added after the number.

The general consensus now—though there are dissenting voices 1 —is that this experiment was simply too methodologically flawed to produce valid results. 2

Endnotes are numbered consecutively in the order they appear in your text. Each note has a unique number; don’t repeat the same number even if you cite the same source more than once.

In Chicago notes and bibliography style , you use endnotes (or footnotes) for citations. Either kind of note can also be used to add extra information: further examples, commentary on the sources you cite, or more detailed discussion of ideas you mention in the text.

Place your Chicago endnotes at the end of the relevant clause or sentence. A citation endnote provides full information about a source the first time you cite it, and shortened information for any further citations of that source.

You should still include a full list of your sources in a bibliography after the endnotes, unless you’re writing a very short paper and have been told you don’t need to.

The endnotes page appears just before the bibliography and starts with the title “Notes” written in bold and centered. The notes themselves are formatted as follows:

  • Leave a blank line between endnotes, and single-space the notes themselves.
  • Indent the start of each endnote.
  • Write the note numbers in normal text, not superscript, followed by a period and then a space.

Either endnotes or footnotes may be used in APA Style to provide additional information. They’re not used for citation; for that you’ll use APA in-text citations instead.

APA endnotes are used to provide copyright attributions where necessary. They can also be used, for example, to elaborate on ideas in the text or provide further examples. Do this sparingly, however; APA cautions against adding unnecessary details.

Endnotes appear on a separate page after the reference list , with the heading “Footnotes” (confusingly, APA doesn’t use the term “endnotes”) in bold and centered at the top.

The notes are written as double-spaced indented paragraphs. Start each note with its number, in superscript and followed by a space.

MLA in-text citations appear in parentheses in the text, but you can use endnotes to avoid cluttering the text if you need a lot of citations in one place.

MLA endnotes may also be used to provide additional information—any necessary clarifications, further examples, or expansions of ideas covered briefly in the text.

List your endnotes on a separate page before the Works Cited list, and title them either “Notes” or “Endnotes.” Indent the first line of each endnote, and start the note with the number in superscript followed by a space. Endnotes should be double-spaced.

It’s straightforward to insert endnotes automatically in many word processors, including Microsoft Word. Just follow these steps:

  • Click on the point in the text where you want the endnote number to appear.
  • Open the “References” tab at the top, and click on “Insert Endnote.”
  • Type something in the endnote that appears at the end of your document.

But if you’re following one of the styles covered above, do adjust the formatting to match their requirements and add a heading for the endnotes page.

Footnotes appear at the bottom of the page they refer to. This is convenient for the reader but may cause your text to look cluttered if there are a lot of footnotes.

Endnotes appear all together at the end of the whole text. This may be less convenient for the reader but reduces clutter.

Both footnotes and endnotes are used in the same way: to cite sources or add extra information. You should usually choose one or the other to use in your text, not both.

To insert endnotes in Microsoft Word, follow the steps below:

  • Click on the spot in the text where you want the endnote to show up.
  • In the “References” tab at the top, select “Insert Endnote.”
  • Type whatever text you want into the endnote.

If you need to change the type of notes used in a Word document from footnotes to endnotes , or the other way around, follow these steps:

  • Open the “References” tab, and click the arrow in the bottom-right corner of the “Footnotes” section.
  • In the pop-up window, click on “Convert…”
  • Choose the option you need, and click “OK.”

Overview of Editing an Output Style

The box below shows an example of how to edit an output style (i.e., a citation style) to include an annotation for purposes of creating an annotated bibliography. Changing the Layout to Add an Annotation to the MLA Output Style

By modifying an established output style (i.e., the citation style), you can display additional parts of the record to create an annotated bibliography. The easiest way to do this is to create a modified version of the output style, which includes the field in which you write the annotation. For this example, we will use MLA.

Before you begin this project, you must decide which EndNote field you will use to store your annotations. For this example, I used the Research Notes field. 

Make sure that MLA is the current output format [it should be displayed in the output window].

  • Open the Style Manager by selecting Tools --> Output Style --> Open Style Manager . 
  • Select MLA 8th  then click Edit.
  • After the style window opens, select  Layout  [listed under Bibliography]
  • Click in the text box below the End each reference with section , and select click on the Insert Field  button
  • Select End of Paragraph [which will begin the annotation on a new line]
  • Place the cursor under the ¶ symbol
  • Select the "Insert Field" button and select Tab
  • Type in "Research Notes" [or the name of the field that you are using to hold your annotation]
  • NOTE: Save the output style under a new name by going to File --> Save As and naming something like MLA 8th Annotated. This is so you do not amend the standard MLA 8th output style.
